2 Dear Departing Resident(s), As your move out date approaches, Gwaltney Properties would like to take a moment to thank you for renting from us for the past year(s). We would also like to provide you with a move-out guide/checklist to ensure your move-out goes as smooth as possible. Please review our expectations carefully to avoid any confusion or miscommunication regarding our expectations. Gwaltney Properties prefers to return your entire security deposit, so please use the information provided to your advantage. Failure to meet our move out expectations will result in charges against your security deposit. If damage to the apartment is extensive, charges could exceed the security deposit resulting in additional money owed to Gwaltney Properties. Therefore, it is imperative that you review the information we have provided in this packet. Once again, thank you for choosing Gwaltney Properties. It was a pleasure having you as residents, and we hope you will consider us for any of your future housing needs. 3 PO Box 31722, Clarksville, TN * Phone: (931) * Fax: (931) NOTICE OF MOVE OUT Name: Date: I hereby advise Gwaltney Properties that I will vacate my rental/house located at: on (Date) for the following reason: If this vacancy is prior to the end of your current lease, the following is our termination policies taken from paragraph #11 in the Lease Agreement. Lessee shall give Lessor at least thirty (30) days written notice prior to vacating the Premises. Lessee agrees to surrender peaceable and quiet possession of the Premises to Lessor upon the expiration or earlier termination of this Lease Agreement in good order and condition, ordinary wear and tear expected. Within the final thirty (30) days of the termination of this Lease Agreement and for the purpose of showing the Premises to prospective tenants/purchasers, Lessor shall have the right to enter the Premises upon giving Lessee not less than twenty-four (24) hour notice. Lessee must be present at time or showing and may be subject to $ penalty for any missed appointment. Further, Lessor shall also be entitled to display a for rent sign on the Premises during this time period. Should I subsequently wish to cancel or extend my notice to a later date, I will contact you immediately, either in person or through a written request. If my apartment has already been re-rented to a new resident by the time I make such a request, I understand that it may not be possible for you to grant this request. I understand that the giving of this notice does not relieve me of any liability that I may have under my present lease agreement. If the termination of this lease is due to Military Relocation and you are utilizing the military clause in the lease, you must supply Gwaltney Properties with a copy of the orders. Please refer to the following taken from paragraph #12 of the Lease Agreement. The effective date of termination of the Lease Agreement is thirty (30) days after the first date on which the next rental payment is due. Lessee advises lessee that this Lease Agreement may not be terminated by voluntary move to government or military quarters.

4 Please Provide a Forwarding Address: CONDITION OF UNIT AT VACANCY In order to receive security deposit refund and/or avoid penalty charges, you must have:! Completed full term of lease! A 30-day written notice given prior to leaving the premises (even if the lease has expired)! No damage to property beyond ordinary wear and tear.! Entire premises cleaned, including, but not limited to: range, refrigerator, bathrooms, closets, cabinets, baseboards, ceiling fans and windows cleaned. Drip pans on stove are to be replaced and carpets are to be professionally cleaned and paid receipt provided.! Replace all light bulbs and batteries that no longer function.! No holes or scratches on walls, other than those made by approved hangers.! NO unpaid late charges, bad check charges, delinquent rents, tenant required repairs, or missed appt. charges.! No holes, burns, or stains on carpets.! No application of security deposit to last month s rent.! All trash and rubbish removed from premises.! All keys returned to Gwaltney Properties. If not, the property needs to be rekeyed by Agent and will be charged to tenant.! Forwarding address left with property manager. Move out inspections of rental units are made between 9:00 a.m. and 4:00 p.m., Monday thru Friday (except Holidays). A $35.00 re-inspect fee will be charged if property is not ready at scheduled appointment time. If utilities are not on at time of inspection this will be cause for a re-inspection and a charge of $ to Lessee for the service connection fees of said utilities. I understand that I must be present for the move out inspection and that all utilities must be left on through the date of move out. 5 Move-Out Checklist Have You Turned In A Written 30 Day Notice To Gwaltney Properties? You may print out and return the 30 Day Notice form to our office. If you would prefer, you may send an to your leasing agent to give notice. Be sure to list your intent to vacate all occupants names, the unit you occupy, and your move out date. Scheduled Your Moving Company? Plan ahead and take the time to research the best moving company for your needs. Once you find the right company for you, don t hesitate to schedule your move date in advance. Scheduled Utility Transfer? Utilities must be on during the move-out inspection. Please schedule them to be on until at least one day following your move-out inspection. The local utility companies will work with you to schedule the transfer date in advance so you can mark this off of your to do list early! Updated Your Change Of Address With The Post Office? Be sure to change your address with the United States Postal Service. https://www.usps.com/umove/ Completed Cleaning Checklist/Move-Out Procedures? The next page is a cleaning checklists, reminders, and procedures that should all be completed by move-out. Scheduled Move-Out Inspection? We schedule all move-out inspections in advance. They will typically take any where from 15 minutes to 30 minutes. At the time of the inspection, the apartment should be cleaned and all personal items should be removed from the premises.

6 Cleaning Checklist & Move-Out Procedures Helpful Tips Personal Items All personal items MUST be REMOVED from the unit. We do not share your old things, we find that creepy, so please don t leave it for the next tenant! If you do not find new homes for the stuff you no longer use, we charge per trip to haul it away for you. Please donate or dispose of these items away beforehand. Clean As a Whistle To get the full refund of your security deposit clean, clean, clean before you leave! We ask that you dust blinds, baseboards, fans, air returns and any other applicable locations. Please sweep, vacuum and mop the floors. Clean counters, cabinets, oven, sinks, toilets, tub, windows and doors. We appreciate the time you take in helping keep our units clean and cared for! Scuffed Up Walls If you have taken the time to make your unit a home by hanging curtains or we ask that you please remove ALL hardware from the walls before you go! Please leave all patching for the professionals to repair. Replacements If necessary, we ask that tenants replace light bulbs, batteries, and blinds before move out. DRIP PANS are also tenant responsibility. Please be sure to purchase the drip pans that are GE compatible. If you purchase the wrong type, we will replace them at your cost. Missing Items & Damage All missing or damaged items will be noted on the move-out inspection. There is no standardized pricing guide for replacement and repairs. When the unit has been restored to the original condition, charges for replacements and repairs will be applied to your security deposit or security deposit insurance policy. Carpet Cleaning Tenants are required to have the carpets professionally cleaned upon move out. Please provide the receipt at the move-out inspection if you choose to do this yourself. To save time and money, request to have our carpet cleaners do this for you at Gwaltney Properties discounted rate. If you let your leasing agent know, we will schedule this after the move-out inspection. We will deduct the carpet cleaning charge from your security deposit and return the rest back to you.
