1 POSITION: Site Manager REPORTS TO: Business Manager/ Head Of School GRADE: 4/5 (scp 21 to 28) Key Role/Functions The fundamental part of the role will be premises management of the school buildings and grounds. This entails the maintenance and security of the building and grounds, ensuring the cleanliness of the site as a welcoming, safe and secure environment for pupils, staff and visitors, and taking responsibility for ensuring full compliance with current health and safety legislation. You must also be willing to undertake routine maintenance, including painting and decorating, DIY and general repairs. There will be some later working for Governors' Meetings, special events and parents' evenings in which flexibility is essential. The Site Manager is expected to attend to emergencies outside of school hours, therefore a full driving licence is essential. You will be responsible for all record keeping in respect of maintenance and health & safety and therefore possess strong ICT, literacy and numeracy skills. Specific Duties and Responsibilities Compliance Assist with external audits, inspections and premises reviews and ensure relevant paperwork is in place and up-to-date Ensure all actions and requirements from inspections and audits are completed in a prompt manner
2 Ensure statutory servicing (of equipment) arrangements are in place with external contractors and are adhered to. Maintain schedule of servicing and maintenance for inspection by Business Manager. Plan preventative maintenance and ensure timescales are adhered to and documented Proactive monitoring of school buildings and equipment; plus full record-keeping of checks carried out Grounds and buildings management To be responsible for opening and closing the building and setting the school intruder alarm system (all year round including non-term time) To ensure as far as reasonably practicable identification of all persons entering the building To be responsible for the contents of the building, including maintaining inventory records To act as primary key holder and to attend the building outside normal working hours in the event of emergency call-out To ensure intruder and fire alarm systems are regularly tested and to liaise with external providers regarding annual contracts Supervision of external cleaning staff & regular liaison with cleaning contractors ensuring the contract is effective and well monitored To regularly remove litter and debris from around the school premises (including grounds), and effectively monitor grounds contactors
3 General Maintenance To carry out repairs within the building under the direction of the Head Of School and Business Manager To ensure the effective provision of heating and lighting to the school, including monitoring of consumption and cost. Advise staff and pupils on energy conservation methods. To be responsible for the periodic provision of maintenance services to the school for boilers, blending valves, water systems (legionella risk assessment), alarms, emergency lighting, fire extinguishers, P.E equipment, electronic equipment. To manage the Asbestos Register and the process of monitoring. To ensure drains and gullies are tidy and litter free. To remove snow and ice from entrances, pathways and playgrounds and ensure they are safe for pupils, parents, staff and visitors to access school. Stock management of caretaking consumables to ensure stocks are held securely for use in school, in line with COSHH regulations. Ordering of goods in line with agreed procurement policy Porterage of goods, equipment and furniture as directed by the Head Of School and ensuring general housekeeping within the buildings is at the required standards Health and safety To be responsible for compliance with relevant health & safety legislation, including fire safety and to attend relevant training where required To ensure policies and procedures as outlined by Trust management are adhered to
4 To ensure regular checks and maintenance of all electronic and plumbing equipment (including boiler room) and to keep full records of these checks To ensure COSHH records and risk assessments are maintained and updated, and relevant staff are made aware of restrictions To ensure any required repairs are carried out promptly and areas are made safe. Where necessary, to liaise with external contractors regarding these repairs in accordance with the Trust and Academy procurement policy Maintain schedule of risk assessments and chair regular Risk Assessment meetings To report to governing body via regular premises and health & safety reports and lead annual governor health & safety reviews Grounds maintenance Monitor the work of the school s grounds maintenance contract and ensure best value Ensure health and safety throughout the school grounds with daily safety walks Ensure the tree line is regularly monitored and issues acted upon promptly Customer care To treat pupils, parents, staff, visitors and contractors with care, consideration and courtesy in accordance with the academy s ethos and values
5 To manage a system of work to ensure issues reported by staff and management are remedies in a prompt manner keeping all parties informed of progress To present high standards of personal appearance in accordance with the academy s ethos and values. To promote a favourable image of Lime Tree Primary Academy to all building users in all aspects of the Site Manager role.
