1 POST TITLE: Facilities Property Management Assistant Surveyor SALARY: 18,159-21,949 (Band 5/6) DEPARTMENT: RESPONSIBLE TO; Property Services Facilities Property Management Team Leader PURPOSE OF THE JOB To provide a first class Facilities Property Management Service ensuring all Trust properties are maintained in a good condition to provide lettable homes that satisfy customer s aspirations and preserve its asset value. DUTIES AND RESPONSIBILITIES Risk Management To provide technical guidance or support relating to specialist equipment and risk management. Undertake regular scheme audits to ensure the completion fire and property log books. Undertake regular risk assessments under guidance and support in line with LHT policy in relation to fire, asbestos, legionella etc (where relevant) and implement any recommendations, monitoring Fire Emergency Plans on a regular basis. To identify repairs/improvements. Undertake disabled access audits to communal area buildings. Provide support to Building Managers and coordinate Fire Safety, including emergency evacuations and disaster recovery plans. Management of Communal Areas, including inspections, standards etc. Monitor general Health and Safety for all supported, sheltered and commercial properties within the business.

2 Programme Coordination Assist in the development of contract delivery programme for each contract with contractors based on risk priorities. Communicate programme delivery with relevant stakeholders. Provide an accurate list of works and addresses to update Risk action plans. Contract Administration Assist in the tender process, including contractor selection, preparation of tender documents and contractor appointment and updating contracts register. Monitor and control supervision of work in progress. Ensure all contract files, electronic and hard copy, are regularly reviewed and kept up to date including relevant certificates and an end of project review to confidently close down the contract and prepare for archive. Issuing orders to contractors including prioritising, cost-coding and estimating. Ensure all work is of an acceptable or desirable standard, monitor and control supervision of work in progress. Agree variations to work which are cost efficient in accordance with contract requirements. Develop and maintain LHT s Orchard data handling systems ensuring accuracy and timeliness of data inputting and data analysis. In particular relating to completions of works orders, risk assessments, and planned events. Undertake analysis and interrogation of the Orchard, Keystone and Attributes system (where applicable) including the use of the data warehouse and general Orchard reports. Assist in the development of data management, certificate management and monitoring/auditing of risk assessment compliance. Contractor Management Provide support to the Surveyors and Team Leader delivering the contractor induction programme and introduction (delivery of training and presentations) Manage all contractor queries relating to the delivery of the contract. Customer Focus Manage CRM queries and customer queries through contract s Support the Team Leader investigate and respond to complaints in line with our complaints policy.

3 Performance Management Analyse and discuss with contractors, including developing action plans monthly performance report for each contract giving including Performance Indicators, Costs, Satisfaction Surveys, Complaints and complements. Monitoring all contracts in accordance with agreed key performance indicators ensuring the delivery of continuous improvement. Collection and presentation of all Contractor Performance Management Data Management of Monthly contractor performance meetings Financial Control Assist in development of annual budget setting and service charge setting and consultation for new installations. Monitoring spends against budgets, reporting any important differences and take action to keep spend within budget. Agree regular valuations/payments and authorise of payment requests to contractors and suppliers. Authorisation of expenditure for individual area (within procurement policy limits) General Duties and Responsibilities Liaison with internal and external clients, regular meetings, assist in the development of service plans etc. Undertake regular property inspections and report any repairs/risks identified. To contribute to the development of strategy and policy using knowledge of individual area. Monitor, evaluate and make proposals to continually improve services provided. Provide guidance and support to Facilities Property Management assistants and facilities assistants. Coordinate any administration support required from the support team. To carry out all tasks as directed by the line manager which can reasonably be connected to the post commensurate with band, authority and ability.
