2 Visio Fundamental Concepts This book will cover fundamental skills as well as how to create several types of diagrams using Microsoft Office Visio Professional. This will include Stencils, drawing commands, alignment/arrangement, shape formatting, line tools, text formatting, and page formatting to add background images. Students will create basic flow diagrams, complicated flow logic diagrams, directional maps, work flow diagrams, conference floor plans, Phase diagrams, cross-functional flowcharts, and organizational charts. As students create these drawings, they will also learn techniques to drag and manipulate Visio master shapes, create connections between shapes, and apply styles to shapes, text, and pages. Shortcuts will also be learned to enhance productivity and unique tools designed for each type of drawing will be introduced. When students have completed the course, they will have a firm grasp of all of the skills needed to create any kind of diagram using Visio. Although we are only offering the fundamentals course at this time, advanced topics will be provided in the class. Hopefully, once students understand the style of the program, they will be able to continue the learning process on their own. This book is designed in conjunction with an Online-Instructor-Led course (for more information see: Unlike other manuals, you will not need to review lengthy procedures in order to learn a topic. All you will need are the brief statements and command paths located within the book to show you how to use a concept. Furthermore, you will find that this book is often used as a reference to help comprehend a concept quickly, and an index is provided on the last page of the book to reference pages as needed. If more detail is needed, you can always use the Internet to search a concept. If your skills are weak due to lack of use, you can refresh your memory quickly by visually scanning the concepts needed and then testing them out using the application. Table of Contents 1. Understanding these tools will make Visio easier to use. - The Pointer tool is used to select objects. - The Drawing tools are used to draw Lines, Ellipse, Rectangle, Arc, Pencil, and Eccentric handles. - The Connector tool is used to draw connecter lines between objects. The Connection Point tool is used to add and move connection points on objects. Use the Ctrl Click to add a connection point. The Text tool is used to add text to objects, lines and free floating. - The Text Block tool is used to modify and move text blocks Shapes Group Some of the most common formatting feature are contained here: Home Shapes ribbon group Zooming Zoom In - Ctrl+Shift left mouse button. Zoom Out - Ctrl+Shift right mouse button. Zoom in Rectangle box Hold the Ctrl+Shift key down, draw a rectangle using the left mouse button. Zoom Slider Version 2010+: Located in the lower right corner Task Pane Actions Zoom Percent - View ribbon tab Zoom. 2007: View Menu Zoom Fit to Window: Ctrl+Shift W View ribbon tab Task Pane Size & Position. Autohide Click the pin to Autohide the pane. Float Grab the gray title and drag it out to the middle of the screen. Anchor Grab the gray bar and carefully drag it to the edge of the screen. To maintain uniformity across all diagrams, it s better to create a Visio template containing header, footer backgrounds, designs, styles and watermark etc. Practice Exercise 1 File tab New Flowchart Basic Flow Chart. Save Template: File tab Save As Save As Type: Template (*.vst) File Name: My Template Save Redefine 0,0 Point If you need to redefine the X and Y coordinates to an object in the middle of your document, drag the guide holding the (Ctrl) key to redefine the 0,0 point. Double click in the Ruler (upper/left corner) to reset to 0,0. Student Project A - Draw the following: File tab New Flowchart Basic Flowchart. Use the basic flowchart shapes to draw the objects, the Connector tool to draw the lines, the Text tool to add text, the Text Block tool to move the text blocks, and the Pointer tool to move things around. Flowchart 1 Flowchart 2 Flowchart 3 2. Stencil / Library Shapes Stencils are the library shapes or the building blocks used to create drawings. You can search or add additional Stencil libraries when new objects are needed. 2.1 Shapes A shape is a component inside the stencil. It is also called a part or object. 2.2 More Shapes This will allow you to add additional Stencils Feature: This will list the standard Shapes/Stencil available. 2007: File menu Shapes New Stencil. 2.3 Search Search for the keyword on top of the Stencil panel. 2.4 My Shapes Save a new stencil. 2007: File Menu Shapes MyShapes. 2.5 Collapse/ Click on the Stencil labels to Collapse and Expand the libraries. 8 Visio 2010 Fundamental Concepts 2.6 Rename New Stencil When a new blank stencil is created it uses a default name. You then need to rename it to the desired name. R-Click on the Title Properties Title: Enter name. Student Project B - Directional Map File tab New Maps and Floor Plans Directional Map. Additional resources may be needed Maps and Floor Plans Maps Landmark Shapes / Transportation Shapes / Road Shapes / Directional Map Shapes (3D). Search for Bridge shape, Park, and north for the compass. The following commands will be needed: Text tool, and Freeform tool. Note: You may need to redraw the river using the Freeform tool several times until it takes shape. Also click the left mouse button to create the corners at the end of the river. 9 3. Drawing Commands This chapter will discuss the most commonly used commands to create a drawing. Excel Networks 3.1 Pointer Tool Commonly used to select objects and shapes. Click Select/Deselect shapes, (Shift/Ctrl) multiple shapes. Ctrl A or 2007: Edit menu Select All. Lasso Select: Draw a rectangle around multiple shapes. When you select multiple shapes, they can be rotated or scaled as a group D Shape A 1D shape is a Line. Use Shift to draw at 45 Degrees, move the endpoints to stretch or move position, and attach connection lines to the connection points D Shapes A 2D shape is a box. Use the Shift key to force the 2D object to be proportional, use Rotational handle to rotate, use the Control Handles to move or stretch the 2D object, and add Connection lines to the connection Points D shapes A 3D shape adds shadows to 2D shape. Home ribbon tab Shape group Shadow. 2007: Format menu Fill Shadow. 3.5 Drawing Rectangle tool Use the Shift key to rotate the then shape and toolbar use the resizing handles. Ellipse tool Use the Shift key to draw a perfect circle. Line tool Use the Shift key to draw 45 degree angles. Freeform tool Draws freehand. Arc tool Draws arcs and lines. Pencil tool Use the Pencil tool to draw both lines and arcs. 3.6 Control Located on the upper corner and the sides of every object. Handles 3.7 Corner rounding Home ribbon tab Line Line Options. Practice Exercise 2 Test Commands Test out pointer tool, connection tool, text tool, connector point, and text block. Practice Exercise 3 - Open file DrawingExercise.vsd. Student Project C - Workflow Diagram File ribbon tab New General Basic Diagram. You may need a Stencil from the Flowchart Department, Work Flow Objects, and Work Flow Steps. The standard drawing tools will be needed to complete the drawing. Page 8

Arrangement / Manipulation Tools After shapes are placed, they may need to be moved, adjusted, and arranged to obtain the desired result. 4.1 Grouping When grouped, both objects can move together when one is selected. If you click twice on the grouped object, then you can move them independently. Use the Shift/Ctrl keys to select multiple objects Right-Click Group 2007: Use the Shift/Ctrl keys to select multiple objects Right-Click Shape Group. 4.2 Shape This allows you to align several selected objects. Home ribbon tab Position Shape Spaces Distribute. 2007: Shape Distribute.?? 4.4 Flip Shape This flips a picture or shape so the image is completely opposite. Select Shape Rotate Text handle, Home ribbon tab Position Rotate Shapes. 2007: Shape Rotate or Flip Flip. 4.5 Rotate This allows you to rotate a shape. Select Shape Rotate Text handle, Home ribbon tab Position Rotate Shapes. 2007: Select Shape Rotate Text handle, Shape Rotate or Flip Rotate.?? 4.6 Stacking Order This is the order when objects are placed on top of each other. R-Click Bring to Front, Home ribbon tab Bring to Front. 2007: R-Click Shape, Shape Order. 4.7 Copy Object This is an alternative to Copy and Paste: Ctrl Drag & Drop. 4.8 Repeat Copy This will repeat and copy the specified distance: Ctrl Drag & Drop then press F Nudge This will move the shape a smaller distance compared to pressing the Arrow keys. Holding the Shift key with an arrow is called a Nudge. Optional Topics 4.10 Duplicate Quick Access More Commands All Commands Duplicate. Object Select Image Duplicate. 2007: Edit menu Duplicate Scroll Lock Scroll Lock Key will switch between moving the page and object. Key 4.12 Stamp Quick Access More Commands All Commands Stamp. Ctrl to Select then Ctrl Drag n Drop, stamp, stamp, stamp. Note: If the shape size changed after it was placed, the stamp tool will copy the original image and it will stamp the latest object added from the stencil library. Format Shapes These are formatting commands that will change the look and layout of shapes. 5.1 Shadow Fill styles Creates shadows behind shapes. Home ribbon tab Fill Shadow Styles. 2007: Format menu Shadows. 5.2 Transparency See through an image (invisible). Home ribbon tab Fill Transparency. 5.3 Fills Make the image a solid color. Home ribbon tab Fill Fill Color. 5.4 Fill patterns Add a predefined pattern to the shape. Home ribbon tab Fill Pattern. 5.5 Format Painter Use the Format Painter to copy a format of a shape: select object 1 Click the Format Painter Select object 2. Note: If you double click on the Format Painter, you can format multiple objects. 26 Visio 2010 Fundamental Concepts 10. Cross Functional Diagrams Cross-Functional diagrams are used for phase or time intervals. They can also be used to define major processing groups. 27 11. Workflow Diagrams A workflow diagram can show people and how they fit into the flow or process.
