1 Microsoft s Live Meeting How to Schedule a Live Meeting Step-by-Step Prerequisite: To host a new Live Meeting, you must have an active Live Meeting Organizer account. If you do not have one, please contact the IT Services Helpdesk on ext Participants in Live Meeting sessions DO NOT require user accounts. PC users must use the Internet Explorer browser and Macs the Safari browser. Other browsers (i.e. Firefox, Chrome) are not supported. To schedule a new Live Meeting Session, go to: Enter: User your Live Meeting login ID and password Click: Login 1

2 Click Schedule Meeting Enter the details for your meeting. Items with an asterisk are required fields. 2

3 Click the button next to Send Invitations using your client Click Send Invitations If a window opens with the message below, you must install an ActiveX Control. Click "OK" to install. 3

4 If you were required to install the ActiveX Control in the previous step, Click "Update Meeting" in the right column. If not, skip this step. Click the button next to Send Invitations using your client Click Send Invitations 4

5 Copy & Paste the information below from the Send Invitations window into your invite (covered in the next step). Assuming that you are the one presenting, please use the information for the Invite Attendees window. If there is more than one presenter, use this information also for the Invite Presenters window. Note: If you have arranged a corresponding AT&T Teleconference, please include this information. 5

6 Open your Outlook Mail client and select the time and day for your meeting. Click "Meeting Request" 6

7 From your address book or other list, add attendees, the Subject of the meeting and paste the meeting information from Live Meeting (don t forget the additional AT&T Teleconference details, if required) into the message body field. Recheck the invite details, then Click Send to deliver the invitations. 7

8 When you're ready to start your meeting, click on My Home and then the meeting that you had set up previously. 8

9 From the right column, click Join As Presenter to begin your meeting. Join the AT&T Teleconference call, if applicable. This progress window will appear as the connection is established to Live Meeting. 9

10 Once connected select Content, Share and Share Your Desktop which allows attendees to see everything on your desktop. You can also choose to share only a specific application by selecting Share A Program. Note: The best, and most universally utilized, screen resolution is 1024 x 768. Using higher resolutions may prevent participants from being able to view content correctly. This control bar will remain on the top of your screen while Live Meeting is running. You can hide it by scrolling over the thumb tack on the right. 10

11 When finished, log off and end meeting by clicking on Meeting, >>, Exit, and Exit and End Meeting. Additional Notes: 1. Presenters must have a preexisting Live Meeting account in order to schedule meetings. If you need an account, please contact the IT Services Help Desk on ext ( ). 2. ALL questions, problems, etc. must be resolved by the Live Meeting Help Desk on or by ing 3. AT&T Teleconference accounts can be arranged through Office Services on ext Participants may be prompted to install Live Meeting on their computers if they have never used it before. This is very simple and takes about 3 minutes. 5. Live Meeting works on both PC & MAC OSX platforms for Attendee s, but Presenter s have some limitations on the Mac. See this link for specific information relating to Macs: 6. If you need to show video content, linking out to the web on the presentation computer can look problematic to attendees. It is recommended that videos be pre-loaded on computer hard drives, or provide participants with a URL that they can access the video themselves. 11
