2 Rental Information Whether you are planning a wedding reception, corporate meeting, fundraiser, or something unique, the Center s sleek, modern facility is a great fit. Our hourly rental fees are all-inclusive, so all furniture and technology we offer is available at no extra cost. And with two in-house caterers, you can be sure to find just the right culinary creations for your event. Our LEED Gold certified rental facility is one of Philadelphia s greenest - with dimmable fluorescent and low-voltage lighting, sustainably salvaged interiors, and highly efficient environmental control systems. Facilities Full Facility capacity: up to 225 All of the Center s spaces are interconnected and can be rented together to accommodate large groups or display large exhibits. Rental of our facility includes the use of any A/V we have on hand. Main Hall capacity: up to 150 The Center s signature presentation and exhibition hall is a dramatic and flexible space. High ceilings, a built-in projector, sound system, and screen make this spacious hall a perfect fit for symposia, lectures, films, and receptions. It is outfitted with state-of-the-art technology systems and modern furnishings. General Building Contractors Association Conference Room capacity: up to 30 This handsome space provides a professional setting for your meetings or classes. A glasspaneled garage door allows natural light into the room, providing a sense of spaciousness, while the included digital white board, built-in projector, conference table, and executive chairs provide function and sleek design. Small Conference Room capacity: up to 12 Our Small Conference Room is perfectly suited for small informal meetings or classes. A glasspaneled garage door looks out over our exhibition hall, making our most affordable meeting space feel larger than its 18 person capacity. The room comes standard with a digital whiteboard, built-in projector with speakers, conference table, and executive chairs. Capacity, wall and floor space are subject to change due to installed exhibitions, events, or daily office activity. Exhibitions are not to be removed or altered when setting up for an event without the written approval of the Center and assistance from Center staff. 5 Center for Architecture Rental Rates The Base Rate is charged for each event. Rentals which last more than 4 hours are charged additional time by the hour. Daytime Evening Weekend Mon-Fri Mon-Thu, after 5pm Fri eve - Sun Small Conference Room Seats 8-12 conference style. Includes digital white board w/ speaker, built-in projector, executive seating. Includes digital white board, built-in projector, executive seating. Main Hall Seats up to 120 theater style or 150 for a standing reception. Includes use of all three spaces: Main Hall, Large Conference Room, & Small Conference Room. 6 Rental Checklist This sheet is for your personal use - to make sure you don t miss any steps in the rental process! Check online if preferred rental date(s) and time(s) are available using the link on our webpage: If date/time is available you can either: Book + pay for the space online immediately using a credit card Please reserve enough time for setup and cleanup of your event. We charge for ALL time spent on site. Check with caterer to be sure setup time is adequate. Place a 14-day hold on the space for free by ing or calling Juli Kuebler at juli@aiaphila.org or x101 Make sure to let us know within 14 days if you want to confirm your rental or extend the hold. To confirm rental, we will need a signed copy of the Rental Agreement. Holds expire automatically after 14 days. If you need an invoice, please request when confirming rental Rental Date(s) and Time(s) Complete, sign, and mail/fax/ the following forms to juli@aiaphila.org: Rental Agreement Fill out Special Accommodations section for any setup requirements or to request amenities. If you do not already have an insurance provider, is an inexpensive solution If paying by invoice: mail, call-in, or hand-deliver the required minimum deposit to confirm rental or simply include your credit card info on the last page of the Rental Agreement. CONDITIONS: 1. The organization or individual renting facilities at the Center for Architecture shall be referred to as the lessee in this Rental Agreement. The Philadelphia Center for Architecture may be referred to as Center or Center for Architecture. 2. In conjunction with the execution of this agreement, the lessee must submit to the Center the following documents and payments before setup for the event(s) may begin: a. The Hold Harmless agreement, signed by the lessee b. A Certificate of Insurance issued by an insurance company which confirms coverage of at least $1 million in general liability for the date of the rental and listing the Center for Architecture as an additional insured. c. A required deposit of 50% is due at the time of booking, with the remaining balance due 3 days prior to event. Payment may optionally be made in full at time of booking. Rentals will not be made official until the required deposit and all of the above documents have been received. Make checks payable to Center for Architecture... The Center for Architecture s responsibilities are limited to opening the facilities, having a representative of the Center on site during the event(s), and performing reasonable setup and cleanup assistance. Unless listed in the Special Accommodations section below (section 16), no other accommodations will be made by the Center for Architecture... Lessee is responsible for setting up before and cleaning up after their event(s), including arranging furniture, decorating, and putting out catering. All surfaces must be fully protected against damage. Lessee must return facilities to Standard Setup before departing. Optionally, you may hire the Center to Pre-Set/Reset the space for a flat fee of $100. a. A cleaning fee of $30 will be assessed for every 15 minutes of cleanup/resetting required by Center staff after lessee s official Cleanup Departure time; in addition to any Over-Time fees (see condition 5). 5. Lessee must provide Setup Start and Cleanup Departure times for their use of the facilities. There is a minimum rental time of 4 hours, whether or not the full time is used by the lessee. The lessee or the lessee s representatives (including party planners, caterers, beverage distributors, party suppliers, etc.) may not arrive or drop off supplies before the contracted Setup Start Time without prior written approval by the Center. a. An Over-Time fee will be assessed at double the standard hourly rate for any time used beyond the contracted Cleanup Departure time, beginning 15 minutes after your contracted Cleanup Departure time. Please keep in mind that other lessees may have rented the space immediately before and/or after you be sure to reserve enough time to allow for your setup and cleanup needs. 6. If the lessee cancels their event, the following fees will be retained or billed by the Center: a. More than 8 weeks notice: $0 b. 8 weeks notice or less: 25% of full rental fee c. 4 weeks notice or less: 50% of full rental fee d. 2 weeks notice or less: 100% of full rental fee 7. Damages to the Center for Architecture s facilities, property, equipment, or exhibited materials (whether owned by, rented to, or loaned to the Center) occurring due to the activities of the lessee, anyone under the lessee s supervision (volunteers, caterers, DJ s, etc), or anyone in attendance at the lessee s event, are the sole financial and legal responsibility of the lessee. The lessee is responsible for the conduct of all persons in attendance at the event(s). 8. The lessee acknowledges that capacity, wall and floor space are subject to change due to installed exhibitions, events, or daily office activity. While every attempt will be made to accommodate the lessee, certain aspects of the lessee s setup may need to be adjusted to fit the Center s facilities as they exist on the day of the event. Exhibitions are not to be moved, removed, or altered when setting up for an event without the written approval of the Center and assistance from a Center employee. 9. The lessee acknowledges that the Center for Architecture is a functioning office, gallery, rental hall, and store and that employees, visitors, other lessees, and/or the public may occasionally walk through, by, or near the rented facilities and that occasional noise may enter the rented facilities due to the normal, daily operations of the Center for Architecture. 10. The use of the Center for Architecture s facilities does not imply endorsement or sponsorship of the event by the Center. Therefore, publicity shall be designed in such a way that no suggestion of endorsement and/or sponsorship is implied. 11. The Center for Architecture assumes no responsibility for property brought into the facilities. 12. Smoking is not allowed inside the Center for Architecture or within 20 feet of it entrances. 13. Admission fees shall not be charged unless Lessee indicates those fees in the Special Accommodations section below (see condition 16).

9 3 of Alcohol is not to be served unless Lessee indicates alcohol use in the Special Accommodations section below (see condition 16). Liability related to the serving or consumption of alcohol at the Center rests solely with the Lessee, who is required have proper coverage added to their Certificate of Insurance [see Condition 2b] to cover such liability. The Center strongly recommends that a licensed, insured bartender be hired to serve alcohol at the Lessee s event. 15. Lessee is invited to submit public events to AIA Philadelphia s online calendar for potential inclusion by filling out the online form at: Special Accomodations (Caterer name and contact info, Alcohol use, Admission Fees, Decorations/Displays, Special Requests, etc) AMENITIES REQUESTS Not all amenities may be available for your event. Please indicate the requested quantity on the line in front of each amenity. Total available quantity indicated in parenthesis. 10 4 of 4 Hold Harmless Agreement (Name of Lessee): hereby assumes entire responsibility and liability for any and all damage or injury of any kind or nature to persons, whether employees, guests, or otherwise, and to property, real or personal (including adjoining property) caused by or resulting from the use by the lessee of the Center for Architecture facilities and agrees to indemnify, defend, and hold harmless the Center for Architecture, its agents and/or its employees from and against any and all claims, suits, actions, liability, loss, expense, damage, or injury to persons or to property caused directly or indirectly by the above named lessee, its agents, its members or employees, its property or equipment, or any and all persons acting on the lessee s behalf or under their supervision or control, whether direct or indirect.
