2 step 1 relocation contact The rst step is to introduce you to your dedicated Move Manager. Your personal contact and support through-out the entire process. Your employer will contact Move Dynamics and advise details of your impending relocation. Please expect contact from your dedicated Move Dynamics Move Manager shortly. It is their role to verify your relocation timetable and discuss all aspects of your upcoming relocation with you. Move Dynamics must obtain authority from your employer for your removal and any additional services you request before we proceed with your relocation. Move Dynamics Move Manager is your personal contact and support throughout your relocation regardless of your final destination. Please do not hesitate to seek assistance from your Move Manager at any time. 2
3 step 2 Don't forget to record all items inside and outside your house on the inventory removal inventory You may complete your household inventory directly onto the website or print a blank copy of the Inventory and complete it as you move around your home. Take time to record all the household goods and effects that you wish to move, along with the nominated insurance value. If you do not have internet access we have included our inventory for your convenience. Please complete your inventory and return it to Move Dynamics within seven (7) days. 2 Removal Inventory and Insurance forms are available from our website move dynamics 3
4 step 3 Entering your inventory online Move Dynamics will your secure user name and password to you once your employer has confirmed your relocation details to us. 2 Open your internet browser and enter into the address line. refer sample (previous page) 3 Click onto Relocating Employee Access and enter your user name and password; click onto either Household Inventory or Car Transportation to access the specific inventory you require. refer sample 4 The Household Inventory will appear and you can enter details of your household and personal effects including insurance values, directly onto the inventory. You have the flexibility to Save any changes or go back to it before your submit it to Move Dynamics. refer sample 5 Upon finalisation of your inventory, please click SUBMIT to send these details to Move Dynamics. 4
5 If you have a motor vehicle to relocate please complete all the details on the website. Enter your user name and password through Relocating Employee Access and click onto Car Transportation. Complete all the elds on the website relating to the details of your motor vehicle and send these details to your Move Manager. Your Move Dynamics Move Manager will advise you if your employer will cover the insurance costs of your motor vehicle whilst it is in transit or when it is stored. Relocating your Motor Vehicle In cases where insurance is not paid by your employer the vehicle transport company can arrange insurance on your behalf. Your Move Manager will assist you in making these arrangements. Prepare your Motor Vehicle for Transportation Please ensure you remove all personal belongings from your vehicle because the vehicle transport company will not be responsible for any items that are left inside your vehicle or any damages they cause whilst in transit. Also ensure all non-permanent accessories are taken off your vehicle before it is picked up: sunvisors, extended exhaust pipes, louvers etc. The vehicle transport company may refuse to pick up your vehicle if there are items inside your vehicle and it has not been prepared to be transported. It is very important to make sure your vehicle is in a safe and driveable condition at uplift & delivery. Please check the following before it is picked up: Oil and Fuel levels (not over full but sufficient to drive on and off the conveying vehicle and get you where you want to go at destination) Brake systems Battery Tyre pressure When the vehicle transport company picks your vehicle up they will conduct a vehicle inspection report and ask you to sign it. This will state the condition of your vehicle prior to uplift. At delivery they will inspect your vehicle with you. It is important you note any changes in the condition of your vehicle when you receive it. Failure to note any loss or damages on delivery may prejudice your claim. Motorcycles must be crated prior to pick up. Your Move Manager will assist with this arrangement. move dynamics 5
6 step 4 Pre-removal survey It may not always be practical for the removal company to visit your home. In such circumstances the removal company will assess your requirements by telephone, fax or . Prior to your relocation the removal company who will be performing your removal, will conduct a Pre-Removal Survey of your goods at your home, where possible. Please assist the removal company representative by opening cupboards, drawers and cabinets as you move from room to room. This will enable them to accurately assess the number and type of purpose designed cartons to be supplied and packed. Please identify any high value or sentimental items, items that are not to be moved and offer any further information that may assist. Upon completion of the assessment, the removal company will request that you sign their Pre-Removal Survey report and a copy will be left with you. This is a procedural requirement under our partnership agreement with your employer. Can the removalist vehicle easily access your home? It is important you describe, to your best ability, the vehicle access to your home at both pick-up (uplift) and delivery. This information will assist Move Dynamics to determine if additional resources are required on the day of your removal. Please also enter these details into the Comments field on the inventory. 6
7 Your preparation checklist step 5 You should allow sufcient time to prepare your household goods for relocation prior to moving day. Please contact your personal Move Manager if assistance is required. Washing Machines Check with manufacturer and ensure your washing machine bowl and motor is secured ready for transport by a qualified technician. Failure to do so may result in damage to your machine. Insurance does not cover damage caused as a result of improper or poor premove preparation. Refrigerators / Freezers Defrost and leave refrigerator and freezer doors open at least twelve hours prior to moving. Ensure all moisture and food particles are completely removed by using a towel to thoroughly dry inside. If you do not prepare the internal areas of your white goods prior to transport, they may arrive at your new home emitting unpleasant odours or with mould coverage. Insurance does not cover damage caused by mould. Stereo/CD/DVD Systems Check that all CD s and DVD's have been removed from their machines and placed in their protective cases. Failure to do so may cause serious damage to the machine, which will not be covered by insurance. Disconnect all wires and leads from the machines. It is a good idea to clearly label each lead and tape together for safe transportation. Computer / Printer / Fax Consult manufacturer's handbook for transport preparation advice. Back-up all hardware and computer hard drives. Disconnect all devices connected to the system including; modem, printer, scanners, etc. Disconnect all leads and power cords, label and tape together. move dynamics 7
8 Your preparation checklist Computer Desks Prefabricated (flat-pack kit form) computer desks should be dismantled, as these items generally disintegrate in transit due to the unreliable locking mechanisms holding them together and movements during transport may cause the locks to loosen. Water Beds Drain and dismantle bed according to manufacturers instructions or consult a professional waterbed company for expert assistance. Built-in Fixtures / Fittings If they are to be relocated please arrange for the item/s to be removed or dismantled prior to moving day. Outdoor Items Dismantle swings, play-gyms, barbecues, cubby houses, trampolines etc. Remove TV antenna and separate pole, prior to transport. Lawn Mower Due to fire hazards it is critical that you empty petrol and oil from lawn mowers. Petrol-driven equipment Empty all fuel, petrol, oil etc. from brush cutter, whipper snipper, motorbikes and any petroldriven equipment. Rubbish / Compost Bins Empty, hose out and leave bins open for at least 24 hours prior to moving day. This will help prevent unpleasant odours permeating through your household goods whilst in the removal vehicle or storage. Personal Items Keep all valuable jewellery, passports, money, important documentation, travel related documents, etc. with you as these cannot travel with the removalist and cannot be insured. Pack any private or personal items into boxes, label and seal tightly. Garage / Workshop Pack any loose nails, nuts & bolts, odds & ends etc. into boxes. Cleaned jars, tins or milk cartons are handy for storing these smaller items. Hose all garden tools, wheelbarrows etc. to remove any mud or dirt. Items not to be moved: Place all small items that you do not wish to be packed or moved, into one area of your home to avoid accidental collection. Clearly label large items that are not to be moved. 8
9 Packing Your Clothing The removalist is required to pack all your belongings, except personal clothing, which you must pack. If you choose to pack anything else, as 'packed by owner'(pbo), you may not be covered by insurance for any loss or damage. Create a separate list of all cartons you have self-packed and list the contents. For example; Carton 1 John s clothing, Carton 2 Billy s toys, etc'. Attach this list to your removal inventory. Gas Bottles and Cylinders The Dangerous Goods Regulations states that gas cylinders must not be transported in an enclosed freight container, enclosed vehicle or compartment of a vehicle unless the vehicle is ventilated to prevent build up of vapours that are likely to increase risk. Despite this warning under the Australian Dangerous Goods Code, a gas cylinder may be transported ONLY if the cylinder is empty, and a certificate has been issued from a Gas Cylinder Test Station certified by Standards Australia stating the same. Details of your nearest Test Stations can be obtained from the Yellow Pages or check with Standards Australia on telephone number * Removalist cannot carry gas cylinders that do not have the correct documentation and are not correctly purged. move dynamics 9

Seek advice from the manufacturers of your washing machine, fridge, freezer and other appliances, as to whether they require attention prior to transportation. Sell or dispose of any furniture that you are not taking with you. Arrange for somebody to mind your children on packing and uplif t days, if possible. Collect your family s dental and medical records. If renting, advise your landlord as soon as possible. Take time to accurately calculate your insurance value and complete your Move Dynamics Insurance Declaration Form. Backup your computer hard disk. Ensure printer, scanner etc. is prepared for transport. Seek manufacturer's advice if you are unsure. Drain waterbeds ready for transport. If special tools are required, disassemble the bed frame ready for transport. Disassemble any built-in fixtures and fittings, ready for transport. Disassemble outdoor items i.e. swing sets, cubby houses etc. and place all bolts, screws in an envelope for safekeeping. Dismantle all prefabricated furniture ready for transport, particularly computer desks, we know it's a bother, but they disintegrate in transit. Place nails, screws etc. in a clearly marked, sealed envelope. Return any Video/DVD rentals. Don t forget to cancel newspapers, cleaning, gardening, pet grooming and other local services. Tasks to perform the day before your move If packing yourself, ensure all cartons are packed, sealed and clearly labelled ready for collection. Keep all valuable jewellery, passports, important documentation, money, tickets etc. with you, as this cannot travel with Move Dynamics and cannot be insured. Have your pets ready for collection. Remember to send a familiar toy along for company and reassurance during the trip. Empty and hose all rubbish bins and compost bins. Collect any dry-cleaning or laundry. Ensure all accommodation and travel arrangements are booked and confirmed. If paying for the removal yourself, have a bank cheque or correct money ready for collection by the removal crew. Ensure any gas cylinders have been emptied and certified by an authorised gas cylinder test station. Ensure fuel is drained from fuel driven appliances such as lawn mowers and whipper snippers. Empty, defrost and thoroughly towel dry your fridge and freezer. Quickly wipe over the inside using vanilla essence, this will assist in the prevention of odours. Drain washing machine hoses and leave to dry overnight. Disconnect stereo system and computer equipment. Tape all wires and leads together. Remember to remove all CDs and tapes prior to transport. Please arrange to be at your home on both packing and uplift days. If you cannot attend, please have someone you trust to attend and act as your representative. Get a good nights' sleep and leave the rest to Move Dynamics. 10
11 Quarantine In the event you require any further information concerning shipping goods into Western Australia or Tasmania please call Australian Quarantine Inspection Service Free-call: MOVING TO WESTERN AUSTRALIA Important Quarantine Requirements. Customs and Quarantine requirements for goods entering Western Australia. The Western Australian Quarantine and Inspection Service (WAQIS) has the power to detain and inspect any goods entering the state to prevent the introduction of pests, and diseases and weeds not present in Western Australia. Anyone shipping freight to Western Australia should provide their removal company with a description of the goods to be transported. This information makes it possible for the transport removal company to advise WAQIS what they are carrying. Where a removal company documents satisfy WAQIS that the consignment does not pose a quarantine risk, the goods will not be detained for inspection. Your Move Manager will supply you with the appropriate WAQIS Unaccompanied Personal Effects Declaration to complete, or refer to our web site and download this form yourself. Please ensure you hand your declaration to the removal company prior to your shipment leaving your place of origin. MOVING TO TASMANIA Important Quarantine Requirements. Tasmania s Quarantine laws are intended to protect primary industries and the unique environment of the state from unwanted pests, diseases and weeds. Under the Plant Quarantine Act 1997, the Animal Health Act 1995 and the Inland Fisheries Act 1995 certain goods imported into Tasmania from mainland states are subject to import conditions under these Acts. Your Move Manager will supply you with the appropriate Declaration for the Movement of Unaccompanied Personal Effects into Tasmania to complete, or refer to our web site and download this form yourself to complete. Please ensure you hand your declaration to the removal company prior to your shipment leaving your place of origin. Please note: Fumigation may be required if you have not cleaned your personal items thoroughly. In the event this situation occurs, Fumigation costs will be passed on to you to pay. move dynamics 11
12 insurance Property Covered Household goods and personal effects, antiques and fine arts as declared and valued on your inventory for removal are covered by your insurance. Please check with your employer on the maximum insurance amount they will cover for you. In the event where your insured value is more than your allowance, ask your Move Manager to arrange Top-Up insurance for you. This will give you comfort and peace of mind your total shipment is insured. When does my insurance cover take effect? Your insurance cover commences when your possessions pass in to our care, in other words when the removal company, packers or removal crew actually lay hands on the items to commence packing, loading or generally handling the items to be moved. The insurance cover ceases when items are delivered to you or someone acting on your behalf. If you choose to unpack yourself items which were previously packed by the removal company personnel, the insurance cover will cease when you take delivery of the cartons containing those packed items. How do I determine my insurance value for my goods? It is essential that the goods are insured for their full value. Full value is to be GST inclusive. If the goods are under-valued any claims will be treated on the basis of average, which means that any payment is adjusted in the proportions as the declared value bears to 80% of the actual market or replacement value of the goods. Indemnity: In the event of damage to an item that is repairable the cost of repairs of that item, up to the insured value declared on your inventory, is covered. Where the repair cost exceeds the insured value, compensation is based upon the insured value. In the case of loss, the compensation paid is based upon the market value of the item or its insured value, whichever is the lesser. High Value Items Unless the following items are listed separately and individually valued, they have a limited liability of $500.00: Furs Collections such as stamps, coins, medals or other kinds Works of art, curios and pictures 12
13 Please note that we cannot insure the following items in any event and you are advised to make alternative insurance arrangements: Items of jewellery, including but not limited to, watches and precious stones Cash, bank notes and securities of every description, valuable or negotiable documents, deeds and titles, drawings, plans, designs and manuscripts Animals, pets and livestock Motor vehicles, motor cycles, trailers and caravans Water craft Food stuff Keys Exclusion and Limitations Whilst every effort is made to have your valuable possessions relocated without loss or damage, there are circumstances which Move Dynamics may not be liable to make good any loss or damaged item suffered by you. There are certain important limitations and exclusions we want you to be aware of and these are set out as follows: Items not packed by the removal company Liability is not accepted in respect of damage to loss of goods packed by you unless; the carton or container concerned has been verified by the removal company employee to have been damaged or opened during transit or storage. The carton or container is not delivered Please note that any claim for the TOTAL loss of any container not packed by the removal company, is limited to a maximum of $ (GST inclusive) unless an itemised valued list of the contents is supplied prior to the commencement of transit. Items susceptible to damage or deterioration Some items by their very nature are susceptible to damage during normal handling, transit and storage activities. Furthermore, they may have an inherent vice, that is to say they spoil or deteriorate with the passage of time, or they may be brittle or have a defect of some type. No liability can be accepted for damage or deterioration which occurs as a result of these characteristics. Some examples of inherent vice are: Food, drinks and similar perishables Terracotta pots Dried flower arrangements Marble tops, unless crated Waterbed bladders Previously repaired items Items not in a fit condition to withstand transportation Other items can be affected by temperature and humidity fluctuations in their environment, for example: laminates peeling, chip board drying out and musical instruments going out of tune. Some items may oxidize (rust), mildew or discolour as a result of such changes. move dynamics 13
14 Move Dynamics cannot be held liable in any event for loss or damage resulting from these causes. The following examples do not constitute a comprehensive list and should you have any doubts or queries, please contact your Move Manager for clarification. Malfunction of electric, electronic and mechanical items During normal handling, transit and storage activities the internal components of some items may become displaced or affected in such a way that the item will not function correctly. Unless such items bear signs of physical external damage witnessed by the employee of the removal company, no liability for the malfunction can be accepted. Some example of items falling into this category are listed below, again this is not a complete list and we can clarify any queries you may have on specific items; Washing machines, refrigerators, freezers Televisions receivers, stereo equipment Musical instruments Computer equipment It is also brought to your notice that, prior to transport, it is the responsibility of the owner to prepare certain items for the journey; some of the more common items and the action to be taken follows. This list is not exhaustive and if you have any doubts or queries please contact us for assistance. Owner s operating manuals and manufacturers or service centers are also a good source of advice on these matters. It should be noted by owners that if damage occurs to items in this category as a direct result of inadequate preparations, no liability will be accepted by Move Dynamics. Clean and dry Motor mowers and other garden motorised equipment Drain fuel and oil tanks Computer Secure hard drives Consequential loss Move Dynamics will not be liable for any consequential or indirect loss whatsoever. Some examples of consequential loss include: Loss of profits, markets and opportunities and loss of use of any property Loss resulting from actions of governments and legal authorities Move Dynamics will not be held liable for any delays, damages or losses When your possessions are ultimately delivered, you should check their condition and note any discrepancies on the inventory and condition report carried by the delivering removal crew. FAILURE TO DO THIS MAY PREJUDICE ANY CLAIM YOU SUBSEQUENTLY MAKE. 14
15 resulting from industrial disputes or from the actions of governments, courts or other legally authorised bodies. Examples include the seizure, detention or destruction or property by customs, quarantine or police authorities. These actions are beyond the control of Move Dynamics and any loss or damage resulting is not a matter for which we can be responsible. Loss or damage arising from armed conflict, terrorism, radiation or nuclear explosion. These events are also clearly beyond the control of Move Dynamics and similarly, we cannot be held responsible for any loss or damage occasioned under such circumstances. Loss of electronic data software Move Dynamics liability for any loss or damages will in any event be limited to the reinstatement value of the computer hardware and commercial software packages. Loss or damage to pairs, sets and combinations of items Where any insured items include articles in a pair or set, Move Dynamics shall not pay more than the value of any particular part or parts which may be lost or damaged, without reference to any special value which such article or articles may have as a part of such pair or set; nor more than a proportionate part of the insured value of the pair or set. move dynamics 15
16 Making A Claim Claim for loss will not be recognised unless the loss was recorded on the inventory and condition report at delivery. The removal crew will in any event ask you to sign this inventory and condition report to provide Move Dynamics/Removal Company with an acknowledgement or receipt for the items that have been delivered. CLAIMS NOTIFICATION FOR DOMESTIC REMOVALS Claims for loss must be notified to Move Dynamics on the day which the missing item would have been delivered; this may be a verbal notification. Claims from damage must be notified to Move Dynamics within three working days of the delivery date; this may be verbal notification. All verbal notification for loss or damage must then be confirmed in writing within seven days. Any claims not so notified may not be considered. It is important to notify Move Dynamics of any loss promptly and with a full description of the missing item(s) to assist in the tracing and location of those items. You can access Move Dynamics claim form directly from our website or contact your Move Manager and they will send a claim form to you. Please note that any claim for the TOTAL loss of any container not packed by the removal company, is limited to a maximum of $ (GST inclusive) unless an itemised valued list of the contents is supplied prior to the commencement of transit. 16
17 Claim Notication for International Consignments In the event of loss or damage which may give rise to a claim, notice should be given to Move Dynamics within thirty days after delivery date, or within thirty days after the scheduled delivery date, in the event of non-delivery. It is important that at the time of notification, full details of any losses and / or damages are provided. Following your initial notification, you are allowed a further sixty days to forward documentation in support of your claim. You can access Move Dynamics claim form directly from our website or contact your Move Manager and they will send a claim form to you. 18 packing day Depending on the size and location of the move often the majority of personal effects are packed by the moving company on the day prior to removal. Your Move Manager will discuss these options with you. Please ensure all items you do not want packed are segregated into one room. It is a requirement under the terms of the Move Dynamics contract that you or a representative is present at all times whilst the packer is in the home. If you are not available or have to leave the home please arrange for a responsible person empowered with your complete authority to be present. Our packer will be vigilant but cannot take responsibility for the security of your home and contents if you leave the premises. Normally, on average size moves, one packer will be assigned the task of packing the contents of your home the day prior to removal. An average size home will require the packer to be there all day so that as much as possible is packed in readiness for the following day. Should you elect to sleep in your home that night bedding and essential items will be left and packed on the removal day. Packing day is also the trigger for you to defrost your refrigerator and freezer. Please ensure the inside top, sides and bottom have had food particles removed and are perfectly dry before removal. 18
19 On arrival, our packer will request you to show them through each room and cupboard in your home (similar to the Removal Survey) and will ask that you point out any items that you do not want packed. If you are concerned about the packaging of any particular precious item please mention this to the packer and they will be happy to discuss their methods with you to meet your satisfaction. This viewing with you allows our packer to plan the process and sequence of rooms to pack so that we minimise disruption to you. Most people are surprised at how quickly the packers work. This is because of their experience and that they are exclusively focused on the job to be done and do not have the constant interruptions such as telephones, family needs etc. that occur if you were to pack everything yourself. Crockery, china, glassware, paintings and like fragile items take the longest to pack because of the protective care needed. Therefore you will find our packer will take some time to complete the kitchen, lounge and dining rooms but hall cupboards and bedrooms will be completed quite quickly. Throughout the day the packer will reconfirm certain items to be packed with you. For example, a set of keys may be found in a drawer so it is best to check if they are required to be packed or not. Each carton packed will be labelled with a brief description of its contents or the name of the room from which its contents came. This allows easy and efficient distribution to the correct room at final delivery. move dynamics 19
20 Depending on the difficulty of access to your residence, and the quantity of items to be moved, your removal team will consist of two to three people taking an average of six to eight hours to complete loading. removal day Please ensure all items you do not want moved are labelled. It is a requirement under the terms of the contract that you or a representative is present at all times whilst the removal team are in your home. If you are not available or have to leave the home please arrange for a responsible person empowered with your complete authority to be present. Our removal teams will be vigilant but cannot take responsibility for the security of your home and contents if you leave the premises. On arrival, the removal team will request you show them through each room of your home and will ask that you point out any items which are not to be moved. 20
21 The removalists will make an inventory of all items to be moved. The inventory is used in our quality checking process and records any pre-existing damage to household effects, show cartons uplifted by room, noting clearly whether they are packed by removalist - PBR or packed by owner - PBO. Be sure you agree with these notations before you sign the inventory. When the inventory is completed you will be requested to sign and date each page of the inventory. A copy of each page will be provided to you. The inherent nature of carefully protecting and stowing furniture into a confined space requires experience, time and thought. The loading process is like completing a giant jig-saw puzzle and that is why selection of items to be loaded are from different rooms throughout the house. Each item loaded is selected according to its fragility, strength, weight and dimension in relation to the available space and other items already loaded in the vehicle. This is why the loading process takes time and the otherwise logical steps of loading contents of one room after another is not practical. It is your responsibility to ensure that all items to be moved have been taken and no items are left behind or taken in error. All cupboards, drawers, (particularly bathroom cabinets) and outside areas should be checked before our team leaves to ensure nothing has been left behind. move dynamics 21
22 The moving company will contact and advise you of the estimated time of arrival of your consignment and delivery team. delivery day It is a requirement under the terms of the contract that you or a representative is present at all times during delivery and unpacking of contents in your home. If you are not available or have to leave the home please arrange for a responsible person empowered with your complete authority to be present. Our removal teams will be vigilant but cannot take responsibility for the security of your home and contents if you leave the premises. On arrival our delivery team will request you show them each room of the house as well as outdoor areas so that they can familiarise themselves for the placement of furniture and effects. 22
23 Please be accessible at the front entrance of your new home during unloading so that the delivery team may ask you where you require specific items to be placed as they carry them into the house. When unloading has been completed the delivery team will request you accompany them through each room and outside areas as they verify all items are present in accordance with the inventory. It is very important that any loss or damage caused during transit MUST be noted on the inventory otherwise any subsequent claim for obvious loss or damage will not be recognised by the Removalist. You will be requested to sign and date each page of the removal inventory on completion. The delivery team will then assemble beds and any other items dismantled by the moving company at uplift. Unpacking of all boxes that were packed by the moving company will be unpacked by the delivery team and contents placed on bench tops and tables so that any item broken or damaged is clearly visible. Please ensure any item noted as broken or damaged is clearly noted on the moving company's copy of the removal inventory.
