3 Welcome To EC&O Venues The EC&O Venues Marketing and Communications team are on hand to provide you with all the support you need. We have a wide selection of tools and services to complement your existing campaigns. The team is broken down into three sections: Digital Marketing, Offline Marketing and PR & Communications with a dedicated member of our team assigned to each area. This brochure is designed to highlight how you can utilise each one to supplement your event marketing. 4 Website The Figures The EC&O Venues website receives an average of 65,545 unique visitors every month. That s almost 2,000 visitors a day. Each visitor spends an average of 8 minutes on the site. Visitors hit the site, throughout the day, from 8am to 11pm. Opportunities Show listings, including your event logo, details, ticket information, links to your website and more Home page lozenge, with image and details, linked through to your listing, subject to space availability Event name and description streamed in respective RSS feeds Showcasting and banner advertising on home page. See page 7 for more information. Additional Resources The following features can be essential for your customers. 5 The EC&O Venues What s On newsletter is sent every fortnight to specific sections of our database of over 50,000 customers. Additionally we offer a targeted dedicated to your event. We believe in timely, relevant and accurate e-marketing so you can be sure your messages are going to the right people. Opportunities Listing in the fortnightly What s On newsletter with logo, brief copy and links Targeted s to database segments with multiple images and extended copy Research s linked back to surveys on the EC&O Venues website. 6 Surveys and Competitions The EC&O Venues website can host surveys and competitions to help you increase visitor numbers and gather quantitative and qualitative data from website visitors and newsletter subscribers. Survey Format Surveys can prove to be especially valuable for generating media coverage and increased awareness of your event We will work with you to design a short questionnaire, based around your event s content, with the option of single or multiple choice and free text answers Responses are accessible in real-time through downloaded spreadsheets. The most successful surveys use ticket or merchandise giveaways as incentives that, in turn, increase the level of feedback you receive Research The survey tool can also be used to carry out pre and post event research giving you access to feedback throughout the year. You can obtain invaluable information that could help shape and optimise your strategy; before you begin your campaign. Competitions Competitions and ticket promotions are a great way to gain additional visitors. 7 Showcasting Advertising Showcasting is the new name for audio and video content that is hosted on our website. Content can be uploaded to our website, highlighted in your listing, added to our subscriber showcast and made downloadable in multiple user-friendly formats. This is a great way to engage new customers, pre-promote your event and build on evidence of success in previous years. Our website now has 468x60 banner placements available on our homepage and 184x184 placements available elsewhere in the site. We can host a variety of formats so that you can see your creative as it s meant to be. 8 Event Promotion All consumer events are listed in our offline collateral. Your event will have a description, dates and booking details. What s On Posters Prominent poster sites around Earls Court and Olympia display the What s On posters, which are produced every 6 to 8 weeks. Every one of the 2.3 million visitors to EC&O Venues sees a What s On poster. What s On Leaflets What s On leaflets reflect the posters but also include logos. Over 20,000 copies are distributed throughout 300 popular visitor locations across London, including restaurants, theatres and art centres. A further 10,000 are sent to customers who book car parking at EC&O Venues. Further Opportunities Distributing your own leaflets outside the venues can be arranged for pre and post show (costs and logistics are available on request). 9 Venue Advertising There are a number of externally managed advertising sites in and around Earls Court and Olympia. Our organisers and exhibitors are given priority to hire them. In addition to the visitors passing through the venues, these sites also allow you to reach the millions of people using the rail and underground stations at Earls Court, West Brompton and Olympia. There are a variety of options. There are large scale outdoor sites with both print and digital formats. Within the venues there are a wide array of positions in foyers and on escalators. 10 Business Partnerships We are continuously looking at ways to extend our portfolio of partnerships with the thousands of brands, businesses and organisations in the West London area and further afield. These partnerships may be able to provide you with alternative channels to promote your event, through: Displaying leaflets and POS material Reciprocal promotion opportunities Exposure on leisure/tourism websites Exposure on intranets Chambers of Commerce contacts Our partners include Tesco, Visit London, National Rail, Time Out, National Express and the following Chambers of Commerce; Hammersmith & Fulham, Kensington & Chelsea, Ealing, Chiswick and Hounslow. We will endeavour to provide you with the most suitable partners and subsequent promotional benefits; however all subject to agreement from the partner. Media Partnerships London supports a vast array of media reaching audiences of all ages, interests and social profiles. In keeping with this, and the similarly varied shows we host and support, where possible we can help to put organisers in touch with the appropriate partners in an effort to promote events. These deals can range from full digital media partnerships to special ticket offers and smaller sponsorship opportunities. All are subject to agreement from the partner. 11 Resources Image Library A comprehensive image library including internal and external pictures of the venues and previous events in all our spaces, for use in pre-event publicity Our logos can be supplied as jpg. pdf. or eps. files Copy checking service to ensure EC&O Venues information and picture captions are correct for visitors and exhibitors Local Area Hundreds of bars and restaurants are in the immediate vicinity of Earls Court and Olympia - the West End is only 15 minutes away by tube. 12 Public and Media Relations EC&O Venues has a good network of local and trade media contacts and offers public and media relations support to complement customer media campaigns. Press and Planning Press release writing and campaign planning advice Pre and post show press release to trade media bulletin to listings / press contacts Free access to a media contact database. This can be tailored to your specific area of interest and can aid the targeting of your press releases and/or mailers. EC&O Venues boilerplate copy, historical information, image and logo library Press liaison support on the opening day of the event Photography Photocall / photoshoot planning assistance and advice Photographer recommendation and event photography advice Surveys News hooks and stories can be generated from surveys on Surveys can be a great way of getting media coverage but it s important to ask the right questions in order to create a story the media deem newsworthy. 13 Corporate Social Responsibility CSR is a business prerequisite for many companies and venues need to be in line with those CSR policies. We strive to exceed your expectations in this area. EC&O Venues lead the way in terms of event sustainability and we have already won two AEO (Association of Event Organisers) Excellence Awards for our sustainability initiatives. Over the last year EC&O has continued to take great steps forward in the areas of energy efficiency, recycling and waste management. So much so that we represented UK venues on the committee which developed BS 8901 the British Standard for sustainable event management that was launched in November We publish an annual Social, Ethical and Environmental Report (SEER) which is available to download at The SEER report includes the following: EC&O s Sustainability Development Policy Information on EC&O s Sustainability Advisor. 15 Exhibitor Support We are members of the AEV (Association of Event Venues), part of the EIA (Events Industry Alliance), which also includes AEO (Assocaition of Event Organisers). Valuable educational information on how to exhibit is available on the association s website aeo.org.uk Events need to deliver ROI to exhibitors - whether through sales, or sampling, or awareness, or research, or reputation Encourage your exhibitiors to visit leading events at Earls Court and Olympia Help exhibitors to help themselves with exhibiting workshops and training sessions EC&O Venues works closely with leading training providers and can arrange trainers and facilities (price on request) Opportunities Access the visitor guide which features a large selection of local amenities.
