1 PEOPLESOFT PRESENTATION Completing the Citizenship/Passport & Visa/Permit Data Data Panels for Foreign Nationals April 2014 Signe Nakayama Director, Faculty & Scholar Immigration Services (FSIS) Physical Science Building About FSIS We assist hiring units by providing immigration services for international employees and scholars throughout the UH System. Our primary points of contact are the AOs and POs for the colleges, schools, and research units. We process: J-1 visas for visiting professors and researchers, lecturers, postdoctoral fellows, and other visiting colleagues. H-1B, O-1, TN, and E-3 visas for faculty and APTs. Permanent residence sponsorship in the EB-1, EB-2, and EB-3 categories for faculty, researchers, and APTs with tenure-track or permanent positions. FSIS maintains a database of UH-sponsored foreign nationals using fsaatlas and SEVIS. We don t track non-uh sponsored foreign nationals (e.g. B visitors, non-uh J-1s, etc.). PeopleSoft should be used for statistics on non-uh sponsored individuals. Interested in immigration training? Annual training sessions facilitated by Manoa HR and occasional sessions via HITS facilitated by OHR. 2 The Citizenship/Passport Data Panel Complete the following required fields: Field Country Citizenship Status Passport Number Issue Date Expiration Date Instructions For both Country fields, click on the magnifying glass to the right of each field to select the correct 3-digit code for the person s country of citizenship from a pull-down menu. Select from the pull-down menu. Enter the person s passport number. Enter the date the passport was issued in mm/dd/yyyy format. Enter the date the passport will expire in mm/dd/yyyy format. You can leave the rest of the fields blank.

4 The Visa/Permit Data Panel Complete the following required fields: Field Instructions Country Type Effective Date Click on the magnifying glass to the right of the field to select the correct 3-digit code for the person s country of citizenship from a pull-down menu. Click on the magnifying glass to select the visa type from the pull-down menu. Find the visa type on the I-94/other immigration document. Enter the effective date of the work authorization in mm/dd/yyyy format. Number Status Status Date Enter the 11-digit I-94 number if the person is not a U.S. permanent resident. If he/she is a permanent resident, leave field blank. Select from the pull-down menu: Applied, Granted, Renewal, Renewed. Update status after approval/extension document is issued. Enter the start date of the person s immigration status (mm/dd/yyyy). Date of Entry into Country Expiration Date Enter the date of U.S. admission from the I-94 (mm/dd/yyyy). Enter the end date of the person s immigration status (mm/dd/yyyy). EAD Number If applicable, enter the 9-digit USCIS # from the Employment Authorization Card (Form I-766) or Permanent Resident Card (Form I-551).
5 The Visa/Permit Data Panel These fields are optional: Field Duration Instructions Enter the # of months or years from the status date to the expiration date. Issuing Authority Issue Place Enter the agency that issued the relevant immigration document (e.g. USCIS for H-1B or O-1; DOS for J-1 or F-1; etc.) Leave blank. Arrival Date NTE Visa Date Health Insurance Visa Comments Enter the most recent date of arrival in the U.S. stated on the I-94. Leave blank if he/she is a U.S. permanent resident. Enter the date of the maximum length of stay allowed for the visa type: B-1 business visitor or B-2 tourist = 1 year CFA Fed. States of Micronesia, Marshall Isl., Palau citizen = leave blank F-1 student = I-20 or EAD expiration date J-1 professor/research scholar = 5 years J-1 short-term scholar = 6 months J-1 specialist = 1 year J-1 student = DS-2019 expiration date J-2 dependent = DS-2019 expiration date H-1B worker = 6 years O-1 worker = leave blank TN worker = leave blank U.S. permanent resident = leave blank Check the box if the person has health insurance. Enter information regarding pending visa applications, status of applications, I-9 expiration, visa reminders, dependents information, etc.
6 The Visa/Permit Data Panel H-1B Example #1: Person entered the U.S. in H-1B status Visa type on H-1B approval notice & I-94 Admission (I-94) record # on I-94 Date of 1 st U.S. entry in H-1B status Admit until date on I-94* Start date on H-1B approval notice Date of most recent U.S. entry The maximum allowable stay in the U.S. in H-1B status is 6 years. For H-1Bs, count 6 years from the status start date to determine the NTE visa date. Although the H-1B approval notice is valid from 08/01/2013, in this example, Emily was outside the U.S. until she entered on 08/12/2013 and began her H-1B status. In other words, she was not in H-1B status when she was not in the U.S. *If Emily resigns or is terminated before this date, her H-1B status automatically ends on her last day of employment.

9 The Visa/Permit Data Panel H-1B Example #2: Person changed status from F-1 to H-1B while in the U.S. Visa type on approval notice Admission (I-94) record # on I-94 Start date on H-1B approval notice Expiration date on H- 1B approval notice* Start date on H-1B approval notice Date of most recent U.S. entry Date of last U.S. entry before H-1B status began The maximum allowable stay in the U.S. in H-1B status is 6 years. For H- 1Bs, count 6 years from the status start date to determine the NTE visa date. In this scenario, the 6 years are counted from the effective date of Emily s change of status to H-1B in the U.S. Since she was already in the U.S. in F-1 status, the change of status to H-1B became effective on 08/01/2013. *If Emily resigns or is terminated before this date, her H-1B status automatically ends on her last day of employment.

For J-1 research scholars, count 5 years from the form DS-2019 start date to determine the NTE visa date. The maximum durations for other J categories are as follows: - J-1 professors = 5 years - J-1 short-term scholars = 6 months - J-1 specialists = 1 year - J-1 students = Form DS-2019 end date - J-2 dependents = Form DS-2019 end date
