Introduction The City of Victor Harbor can now share their desktop during a meeting with anyone thanks to a grant under the Australian Government s Digital Local Government Program (DGLP). The aim of this grant is for Local Council s to engage with their communities and other organisations they regularly undertake business with in innovative and practical ways using the National Broadband Network (NBN). Please visit the Australian Government s Department of Communications website for more information :- The grant covered a significant Information Technology Infrastructure upgrade including new network switches, firewalls, video telephone system, unified communications system, and video conferencing with the City of Victor Harbor providing both a cash and in-kind contribution towards the project. 1

2 2. Receiving the Lync Meeting appointment The City of Victor Harbor has employed Microsoft Lync Software (Skype for Business) which enables desktop sharing with anyone during a remote meeting. NOTE: To join a Lync meeting, you need to have received a Lync Meeting request via . If you don t have the desktop version of Skype for Business (Lync), or don t have a Skype for Business (Lync) account, you can use Skype for Business (Lync) Web App to join a Skype for Business (Lync) Meeting from your browser. NOTE : You don t need to install Skype for Business (Lync) Web App. It opens automatically in your browser if you don't have Skype for Business (Lync) installed. Just click the meeting link in your invitation and follow the instructions on the page to join. Go to Outlook > Calendar, open the Skype for Business (Lync) Meeting request, and select Join Skype for Business (Lync) Meeting NOTE: If you receive an error when clicking Join Lync Meeting, browse to and download the Microsoft Lync VDI 2013 plugin (32 bit). Once installed try clicking Join Lync Meeting again. 2

3 Type your name Tick the box to install the Lync Web App plug-in. and then select Join the meeting. Tip: If you re having trouble joining the meeting, open an InPrivate Browsing session in Internet Explorer and try joining the meeting again. You will arrive at the meeting lobby. Wait to be invited in by the organiser. 3

4 3. Installing the Skype for Business (Lync) Web App plug-in The Skype for Business (Lync) Web App plug-in is required for audio, video, and screen sharing. You only need to install it once. Follow your browser s instructions for downloading and installing the plug in. For example, in Internet Explorer, select Run when you see the alert at the bottom of the browser window.. In the Skype for Business (Lync) Web App plug-in security alert, select Allow. 4

5 You will arrive at the meeting lobby. Wait to be invited in by the organiser. NOTE: In the Windows Firewall security alert, it s OK to select Cancel if you don t have administrator privileges on your computer. Important Install the plug in even if you plan to call in to the meeting by phone. The plug-in is also required for video and screen sharing. 4. Toubleshooting the Web App plug-in Make sure your browser is set up to allow downloads, and the downloading of encrypted files. To allow downloads in Internet Explorer: 1. Click Tools > Internet Options. 2. Click the Security tab > Custom Level. 3. Scroll down to Downloads and click Enable for File download. 4. Re-join the meeting. The plug-in should download without errors. To allow the downloading of encrypted files in Internet Explorer: 1. Go to Tools > Internet Options > Advanced. 2. Scroll down to the Security section. 3. Clear Do not save encrypted pages to disk and click OK. 4. Re-join the meeting. The plug-in should download without errors. Plug-in wont install If you receive an error when clicking Join Lync Meeting, 1. Browse to 5

6 2. Download the Microsoft Lync VDI 2013 plugin (32 bit). 3. Once installed try clicking Join Lync Meeting again. Plug-in file moved or deleted If you receive the error message LwaPluginInstaller32.msi has been moved or deleted, follow these steps to resolve the issue: 1. Exit the meeting and re-join it. A dialog box displays with options to save the plug-in file or run it. 2. Click Save. 3. Specify a location on your computer to save the file, and then click Save. 4. Locate the saved plug-in file on your computer and double-click to run it. Plug-in isn t detected after installation If you get the notification to install the plug-in even after installing it, restart your browser. If you re running Windows 8 on your PC, make sure that you re running the version of the browser for the desktop. This issue can also occur if you ve launched your browser with the Run As Administrator option. Skype for Business (Lync) Web App is not supported in this environment. To use Skype for Business (Lync) Web App, launch your browser as a standard user. Plug-in installed but unable to use audio, video and sharing You may need to change your browser settings to allow ActiveX controls. Important If you're unable to change ActiveX settings, you might not have permission to and you should check with your workplace technical support. To turn off ActiveX filtering for a single session in Internet Explorer: Tap or click the Filter button in the address bar, and then tap or click Turn off ActiveX Filtering. If the Filter button doesn't appear in the address bar, no ActiveX content is being filtered on the site. To adjust ActiveX control settings in Internet Explorer: 1. Tap or click the Tools button, and then tap or click Internet options. 2. On the Security tab, tap or click Custom level, and then under ActiveX controls and plug-ins, review these settings: o o Allow Automatic prompting for ActiveX controls by tapping or clicking Enable. Allow Internet Explorer to Display video and animation on a webpage that doesn't use external media player by tapping or clicking Enable. 6

7 o Allow Internet Explorer to Download signed ActiveX controls by tapping or clicking Enable, or Prompt if you want to be notified each time this happens. o Allow Internet Explorer to Run ActiveX controls and plug-ins by tapping or clicking Enable, or Prompt if you want to be notified each time this happens. o Allow Internet Explorer to Script ActiveX controls marked safe for scripting by tapping or clicking Enable, or Prompt if you want to be notified each time this happens. 3. Tap or click OK, and then tap or click OK again. Firewall warning when joining a meeting from Skype for Business (Lync) Web App In the Windows Firewall security alert, it s OK to select Cancel if you don t have administrator privileges on your computer. Change the plug-in s default domain trust setting When installing the plug-in, you re given the option to trust the domain that loads the plug-in. If you selected Always allow the plug-in for this domain but want to change that option, follow these steps: On Windows Operating Systems 1. Select Microsoft Skype for Business (Lync) Web App Plug-in from the list of installed programs in Control Panel, and click Uninstall. 2. The next time you join a meeting with Skype for Business (Lync) Web App, select Allow to trust the plug-in domain for just that meeting. On Macintosh Operating Systems 1. Open ~\Library\Preferences\rtcpal_registry.reg in the text editor. 2. Navigate to [HKEY_CURRENT_USER\SOFTWARE\MICROSOFT\LWA\X86\15.1\ALLOWEDDOMAINS] 3. Delete the line for the domain you want to stop trusting. For example, to stop trusting the domain Contoso.com, delete the line "Lync.Contoso.com"="" 4. The next time you join a meeting with Skype for Business (Lync) Web App, select Allow to trust the plug-in domain for just that meeting. 7
