1 PowerPoint 2010 Cheat Sheet April 20, 2012 Toolbar customize click on arrow and then check the ones you want a shortcut for File Tab (has new, open save, print, and shows recent documents) Save, Open, New, Print File Tab Print Print Preview Do a print preview before printing and you can save paper Print shows print window before printing Page Setup For margins, landscape go to Page Layout ribbon 1

2 Home Ribbon Font, Size, Bold/Italic/Underline, Font Color, Text Alignment Fill bucket for shapes and objects (see Formatting section) New Slide (click on arrow for choices, otherwise you will get default of title) Find (finds text) Replace (finds and replaces text) Bullets and Numbering Click on numbers to get number bullets. Click on dots to get bullets. The numbering and bullets will start as soon as you start typing. If you want to change the numbering for an outline or change bullet type, click on Format Bullets and Numbering, and choose style. You can customize by clicking on customize. Choose type of bullet from list. You can make bullets like smiley faces, trademarks, stars, etc. Indent Bullets If you want to indent or backwards indent a bullet or numbering, Arrange: Rotate, Group, Layer, Alignment 2

3 Rotate or Flip Object Click on object. Click Rotate or flip, and choose what you want it do. If you want to move it manually, click on shape or object, click on green circle and rotate. Group To move pictures, text, objects at the same time. You can click on one item, hold the shift key and click on the rest (that will select all those objects at the same time). Click on Group. This will keep all those selected objects together as a group from now on. If you need to make a change, click on object (one click because all are grouped together) and click on Group and Ungroup. Layer Objects If you want one object, text, or picture to be on top of another and it isn t looking like you want. Click on the object. Click on Bring to Front. If it doesn t work, try Send to Back. Align Text Boxes or Objects - To make text boxes or pictures the same distance apart or make them even on the sides or on the top, click on the first object, hold down the shift key and click on the rest of the objects you want to align. The first one you click on will be the one the rest will be aligned to. Click on align. You can align them even with the top edges, side edges. You can put the same amount of space between them vertically or horizontally. The spaces will be evenly distributed between the first object you click on with the last object. Insert Ribbon WordArt (for short texts) and Text Box (for longer amounts of text) Shapes, Hyperlink, Header, Footer, Page Number Add a Graphic/Picture from a CD, Pictures folder, or USB drive You can add a graphic or picture from a CD or other storage device by clicking on Picture. Choose where you are getting the graphic (from a CD - for example Click on arrow next to My Pictures and choose CD Drive. Find the picture in the folders of the CD. Click on insert. 3

4 Add a Graphic from Clipart You can use the graphics that Microsoft provides by clicking on ClipArt. Choose what category and graphic. You can click on Microsoft Online to get more graphics and pictures. Shapes You can draw many different shapes by clicking on Shapes, then choosing shape, and then draw. Symbols Can insert symbols Word Art On Insert ribbon, click on blue A (good for titles and short phrases) Choose style and click OK (some fonts are all capitals) Type what you want Choose font by clicking on arrow next to font You can change size here or resize after done Insert a table Click on and drag your mouse across and down until the number of columns and rows you want are highlighted. Let go and you will have a table. You can type in the table. Sort the table Table tools (comes up after you make a table or click on a table). Click on Layout. Click on sort. Choose what columns to want to sort. If you have a heading on the table, click on header row. If there is no heading, click on no header row. Insert Chart or Graph Layout Table (Table Tools) Add or delete a column or row to a table. Format table (Table Tools) 4

5 Insert Hyperlink when you click on text or object, it will go to another place in the document, to another document, to a webpage, or to an address. Line Style If you draw a line or a shape like a rectangle on the Drawing Toolbar, you can choose a line style. Click on Shape Outline and then weight. Choose what type of line or thickness of line. Insert Photo Album Choose a file of photos and PowerPoint inserts one on each slide automatically for you. 5

6 Insert Video Click on Insert video from file and find it. Choose Hide While Not Playing if you want the icon not to show up. Loop until stopped if you need it to play over. Choose when to start, when you click, automatically, or across the slides (plays on all) Choice with fading and volume. Video Tools - Playback Insert Audio Click on Insert music from file and find it. Choose Hide During Show if you want the icon not to show up. Loop until stopped if you need it to play over. Choose when to start, when you click, automatically, or across the slides (plays on all) Choice with fading and volume. Audio Tools - Playback You can record your voice. Choose Record Voice under Insert Audio. Click on red circle to talk. Click on blue square to stop Click on blue triangle to play and listen. Click OK. 6

7 Audio Tools Playback Same as for music. See above. Design Ribbon Portrait/Landscape, Design of Slide, Slide Background If you choose Theme, all slides will be the same. Click on the arrow next to Background to make your own design on the slides. Close equals just that slide. Apply to all will be all. You can still change them. Solid color Gradient Picture Texture Pattern 7 Gradient See Formatting Section

8 Transition Ribbon Transitions put a movement between slides. There are more choices with arrow. When you hover your mouse you will see the transition. You can use all the same or different ones for each slide. Apply to all puts on all slides. Decide on how to go to next slide. Mouse click you have to click the mouse to go to next slide. Automatically choose the time in the after box. You can have first slide on mouse click and the rest automatically. You can choose a sound for transitions and also a duration. Animations Ribbon Similar to transitions except the movement is on an object, picture, or text. Choose what you want to animate. There are more choices with arrow. You can choose Add Animation, also. When you hover your mouse you will see the animation. You can use all the same or different ones for each slide. Apply to all puts on all slides. Decide on how to go to next slide. Mouse click you have to click the mouse to go to next slide. Automatically choose the time in the after box. You can change the animation order with the Reorder Animation. Slide Show Ribbon Choices where to start slide show and setting up. You can also start by clicking on this icon at the bottom of the window. It starts with the slide you are currently on. 8

9 Review Ribbon : Spelling and Grammar Thesaurus Translate (from one language to another) Track Changes (share documents with others and have them add changes) View Ribbon Slide Show views Normal shows slide and all slides on left Slide sorter allows you to rearrange the slides Notes page shows notes Ruler If you want the rulers to show on the left and top edges Zoom in on page, 100%, one page (shows whole page at one time) Notes Master Slide Master 9

10 Formatting: Picture Tools Corrections (brightness and contrast), color (color tone), artistic effects Frame around picture, shape, and object Picture border (color, weight, no color) Picture effects and layout Crop to cut out part of the picture Your mouse will change to the crop shape in the drop down menu. Put mouse on black dash edge in the middle of the sides, click and move and it will delete that section. Click away from your picture to get the cropped picture. Formatting: Drawing Tools (for objects that are drawn) Shape Shape Shape Shape Styles Fill (choose a color or no fill) Outline (color, no line, weight of line) Effects Bring Forward or to front and Send Backward or to back (layers objects on top of each other) 10

11 Shape Colors Solid color Picture Gradients Textures Gradients More gradients Resize Objects, WordArt, Pictures Click on white square in a corner of the object, don t let go of mouse, and drag to size you want - if you want to resize object proportionally. If you want to make it wider, click on middle white square on left or right side and then follow same directions to resize. If you want to make it taller, click on middle white square on top or bottom and then follow the same directions. If the object (especially pictures) doesn t move, click on object. Click on Format, Text Wrap and then on In Front of Text). Move Objects, WordArt, Pictures Move mouse on object to get a cross with arrows. Click and don t let go of the mouse and move to where you want it.. PowerPoint Options (Option under File) to customize PowerPoint. You can change options on the display, save, proofing, and more. Check it out. Save Save early and often! You never know when the computer may freeze, crash, or go down. SAVE, SAVE, SAVE! You will be glad you did! You can click on Help to get help for what you need. Have fun with PowerPoint! There are unlimited projects you can do with it. Experiment with the other commands and icons that I did not cover in this cheat sheet. 11
