2 JOB DESCRIPTION COMMERCIAL DIRECTOR REPORTING TO: DIRECT REPORTS: CHIEF EXECUTIVE HEAD OF OPERATIONS BACKGROUND TO THE ROLE: Bristol Old Vic, the oldest continuously working theatre in the country and an Arts Council National Portfolio Organisation has three main aims: To produce and present a pioneering range of work that creates national and international resonance To support the development of artistic talent from all genres To connect with audiences of all backgrounds across Bristol and the South West through its performance spaces and its range of acclaimed outreach programming. In 2012, Bristol Old Vic completed the first phase of a 24million redevelopment project. The beautiful Georgian theatre and backstage facilities were completely renovated, reinstating and revealing the heritage of this intimate and unique performance space. The organisation is now part way through the fundraising for the next phase of the project. Due for completion in Spring 2018, the transformation of its front of house spaces, Coopers Hall and Studio theatre alongside the development of a new heritage offer will be the final piece in creating an original, modern cultural facility that will have an important place in the city s infrastructure for decades to come. Purpose of Role: The Commercial Director is a new Senior Management position, charged with creating, developing and delivering against a long term Commercial Strategy for Bristol Old Vic. The post holder will be responsible for both existing and new lines of trading, setting and delivering against ambitious financial targets, maximizing the organisation s revenue generating opportunities, providing leadership for the Operations and Events teams and driving excellent customer service. The Commercial Director s remit will cover Bars & Catering, Conferences & Events, Retail & Merchandising and Front of House. In addition, as Bristol Old Vic develops its life as a heritage destination, the Commercial Director will have the opportunity to develop new lines of trading that will emerge. 2 P a g e

3 Bristol Old Vic s current capital project, the Anniversary Works, has a strong focus on building commercial opportunity, involving the complete re building of all front of house spaces and a major refurbishment to Coopers Hall, a beautiful 18 th Century Guildhall that forms a large part of the Front of House footprint. The organisation therefore anticipates a significantly expanded commercial operation by 2018, which will include a major new function suite in the centre of the refurbished Coopers Hall, and it will be the Commercial Director s responsibility to drive the planning for and delivery of this business. Department Structure: Bristol Old Vic s Organogram is included in the application pack. The Commercial Director will Line Manage the Head of Operations, who in turn line manages the Front of House Manager, the ICT Manager, and the Head of Maintenance. Building s maintenance (aside from technical maintenance of the theatre spaces) and ICT will fall under the Commercial Director s remit. Bristol Old Vic manages its own bars and catering, the kitchen and bar staff also report to the Head of Operations, although this structure will evolve as we close down the front of house to begin the final phase of capital works. Upon completion of the Anniversary Works, it is considered likely that Bristol Old Vic s bars and catering will be delivered by a franchise, overseen by the Commercial Director, who will be responsible for the development of this operational strategy. An Events Team will be put in place to procure and deliver a programme of commercial activity across our building, particularly in the refurbished Coopers Hall. Also, our growth as a heritage destination will necessitate a re think, and expansion, of front of house operations. The Commercial Director will have an opportunity to review all existing assumptions, and will be charged with developing a fit for purpose, target driven team. Senior Management Team and Governance: The Commercial Director plays an active role in the Senior Management Team, attending the regular weekly meetings as a matter of priority, and other ad hoc meetings when necessary. The Senior Management Team is responsible for the articulation and review of the organisation s strategic objectives, as laid out in the Business Plan. Each Director is asked to make a contribution to the full breadth of these objectives, albeit from their point of particular expertise. Each Director is also expected occasionally to initiate and chair discussions at Senior Management meetings on subjects of strategic significance to the organisation. Each Director attends meeting of and reports to the Board of Trustees. 3 P a g e

4 Bristol Old Vic wholly owns a subsidiary company, Bristol Old Vic Trading, which operates with its own board. The Commercial Director s activity falls mainly within the remit of Bristol Old Vic Trading and, as such, a direct relationship with and report to this board will be essential. Furthermore, the Commercial Director will attend and report to the board s Finance and General Purposes Committee, and Capital Project Committee. Main Responsibilities : To develop and implement a Commercial Strategy, maximizing profitable earned income through the proactive development, promotion and delivery of appropriate and high quality trading activity. The role will identify and deliver new opportunities and will maximize the commercial potential of the Theatre s property and assets by liaising very closely with colleagues in key areas such as Marketing and Programming. To drive commercial development as an integral aspect of the Anniversary Works, ensuring that the resulting building and business plan work to the best of the organisation s commercial ambitions. BARS AND CATERING To oversee the promotion and management of the current Bars & Catering operation, ensuring the delivery of agreed financial targets To oversee the planning and delivery of a temporary Bars & limited Catering operation for the period of the Anniversary Works construction phase To structure and lead the tender process for the Bars & Catering franchise for the re opened front of house To bed in and manage the relationship with the successful franchisee, and oversee the ongoing successful performance of the business, against appropriate milestones and review points CONFERENCES AND EVENTS To oversee the promotion and management of the current Conferences & Events operation, ensuring the delivery of agreed financial targets To establish a sales strategy that will develop and drive the Conferences & Events business in anticipation of the completed Anniversary Works, with particular reference to the opportunity of the refurbished Coopers Hall To bed in and oversee the resulting business, ensuring its successful strategic development for the long term 4 P a g e

5 RETAIL AND MERCHANDISING To review and improve current opportunities for front of house and online Retail & Merchandising, delivering any resulting strategy To assess and plan for long term opportunities in front of house and online Retail & Merchandising To develop relationships with suppliers and partners, both to deliver purchasing efficiencies and to open opportunities for sponsorship and branding FRONT OF HOUSE To oversee the delivery of a professional and welcoming front of house, which excels in customer service, and is responsive to all aspects of the building s activity To provide a coherent overview of front of house throughout the Anniversary Works, ensuring that the infrastructure and business opportunity presented by the scheme is to the best of Bristol Old Vic s commercial advantage HERITAGE To join the organisation s Heritage Steering Committee, which oversees the development and delivery of Bristol Old Vic s Heritage Project To help to identify and drive the commercial aspects of the Heritage Project, including tours and day time visitor numbers. 5 P a g e

6 PERSON SPECIFICATION Essential Knowledge and Experience Significant relevant experience at a senior level in destination venue management Experience of managing, maximising and developing trading activities, including catering and retail, with a proven track record of success. Experience of driving a customer care strategy. Proven experience of managing, developing and motivating a multi-disciplinary team. Experience of overseeing a catering contract. Knowledge and experience of the organisational demands of a busy building-based organisation serving a broad range of audiences and visitors. An understanding of the issues regarding maintenance and development of a heritage building. Ability to think strategically in planning operational improvements and efficiencies. Ability to influence at a senior level both externally and externally A positive and creative approach to problem-solving. Commercially astute with strong budgetary skills and financial analysis. Excellent communication skills with internal and external stakeholders. Knowledge and experience of responding to Local Authority processes and requirements with regard to operational issues such as Licensing, Child Protection and Health & Safety. Flexible attitude to be able to deal with day-to-day demands. Direct experience of Health & Safety Management. Essential Skills Good IT skills, including Microsoft Office (Word, Excel, Outlook, Powerpoint) Excellent communication skills with internal and external stakeholders Excellent proven negotiating skills and experience of negotiating, drafting, letting and managing a variety of contracted services. 7 TERMS AND CONDITIONS Salary: Terms: Hours: Up to 45,000 per annum dependent upon experience This is a permanent post Although based on 35 hours per week, Monday to Friday, the post holder will be expected to work some evenings / weekends if necessary to fulfil the role. Annual Leave: 5.6 weeks per annum including bank/holidays (28 days) rising to 6.6 weeks (33 days) following one year of employment Pension: Notice period: Eligible employees will be automatically enrolled in the National Employment Savings Trust (NEST) in accordance with the company s obligations under the Pensions Act Following the end of the three month probationary period, three months notice on each side. Prior to successful completion of the probationary period, one week s notice on each side. Conditional Offer of Appointment: Pre-Appointment Checks Any offer to a successful candidate will be conditional upon: Receipt of at least two references which are satisfactory to Bristol Old Vic.
