1 Spring 2015 TIDE for Online Administrations Tasks for District Test Coordinators District test coordinators will use TIDE for online administrations to complete administrative tasks for the Spring 2015 Alternate Assessment for Students with Significant Cognitive Disabilities (AASCD) and the Spring 2015 Ohio Science and Social Studies Tests. The Science and Social Studies tasks are available under the Ohio Computer Based Assessment (OCBA) administrations in TIDE. When district test coordinators log into TIDE for online administrations, TIDE will prompt them to select either AASCD Spring 2015 or OCBA Spring 2015 from the dropdown menu. When the on-time order window opens for the end-of-year tests in Feb., a third administration option will be available: OCBA Spring 2015-EOY Orders. Although common tasks are available under each separate administration, the administrations share the same database for Manage Users, Student Information, Rosters and Test Status Requests. This means student information uploaded into AASCD Spring 2015 will be visible in the View/Edit task of OCBA Spring 2015, for example. District test coordinators should refer to the table below for guidance on which tasks they must complete for each test. Please refer to the TIDE User Guide and other resources located on the portals for more information ( Test Window Feb. 23-April 17, 2015 Performance-Based Assessment (PBA): Mar. 2-13, 2015 End-of-Year Test (EOY): May 4-15, 2015 High School Block Schedule Test Window Contact Info The Contact Info task is required for AASCD. Districts must verify their contact information to access the Orders task. District test coordinators must verify contact information during the on-time order window: Dec The test coordinator contact information listed in TIDE under Contact Info should reflect the primary point of contact for the AASCD. The shipping address reflects the location to which the test contractor will deliver AASCD test materials. Performance-Based Assessment (PBA): Mar. 30-Apr. 10, 2015 End-of-Year Test (EOY): May 11-22, 2015 The Contact Info task is required for districts that are administering science and social studies tests on paper. Districts must verify their contact information to access the Orders task. District test coordinators with students who are testing on paper must verify contact information during the on-time order window: Oct. 27-Nov. 7. The test coordinator contact information listed in TIDE under Contact Info should reflect the primary point of contact for the science and social studies tests. The shipping address reflects the location to which the test contractor will deliver paper materials. 2 Participation Orders To update the shipping address information, contact the Ohio Help Desk at The Participation task is required for AASCD. Districts must confirm participation to receive AASCD materials. If administering the AASCD, select Yes from the drop-down menu and click [Save]. The Orders task is required for AASCD. District test coordinators can place ontime (initial) orders for Test Administration Kits Dec TIDE is pre-loaded with kit quantities based on a ratio derived from the number of students reported by school and grade band for the spring 2014 administration. You can order additional Test Administration Kits during the additional order window: Feb. 9-April 15. Test Administration Kit orders may be subject to Department approval. district does not administer that test, the Ohio Graduation Test shipping address will be listed. Districts must select one address for receiving all science and social studies materials. To update the shipping address information, contact the Ohio Help Desk at PBA: There is no Participation task for the PBA. EOY: TIDE for the end-of-year tests will be pre-loaded with on-time order counts from the performancebased assessment. Districts are required to confirm participation in TIDE Feb in order to access the Orders task and receive end-of-year test materials. If you confirm participation, but do not visit the Orders task, you will receive the same quantities for the EOY that were shipped for the PBA on-time orders. PBA: The performance-based assessment on-time order window for paper materials was Oct. 27-Nov. 7. EOY: TIDE for the end-of-year tests will be pre-loaded with on-time order counts from the performancebased assessment. Districts are required to confirm participation in TIDE Feb in order to access the Orders task and receive end-of-year test materials. District test coordinators may place orders for additional materials during the Additional Order Windows in TIDE: PBA (Part 1) Feb. 17-Mar. 11, 2015 EOY (Part 2) Apr. 20-May 13, 2015 The Additional Order Windows for approved high schools on a block schedule that are testing during the block schedule test windows are: PBA (Part 1) Feb. 17-Apr. 8, 2015 EOY (Part 2) Apr. 20-May 20, 2015 NOTE: When the on-time order window opens for the end-of-year tests, a third administration option will be available in TIDE. Select the OCBA Spring EOY Orders administration from the drop-down menu to place orders for paper end-of-year test materials. 3 Manage Users Student Information: Pre- ID and Test Eligibility The Manage Users task is required for AASCD. District test coordinators are responsible for creating (or delegating the creation of) accounts for users in their district and schools in advance of the test window. Please refer to the TIDE User Management Guidance Document, located on the portal, for more information. The Student Information task is required for AASCD. Districts must pre-identify all students taking the Alternate Assessment. The Pre-ID window for the Alternate Assessment opens on Oct. 27. Districts (or their Information Technology Centers) must pre-identify students using the new Ohio Science and Social Studies and Ohio Alternate Assessment pre-id file layout. The layout includes fields that designate which students are eligible for the Alternate Assessment. A copy of the layout and additional guidance is available on the AASCD portal resource pages (search: pre-id). Test administrators, teachers and second raters are able to enter scores only for students who are pre-identified in TIDE. Districts (or their Information Technology Centers) must pre-identify students who will take the AASCD in TIDE by Jan. 23 in order to receive second rater assignments in advance of the test window. Second rater assignments will be available in TIDE Feb. 2. Authorized users can add new students and update student Pre-ID information until April 17. The Manage Users task is required for districts administering the science and social studies tests online. Districts must preidentify all students who are taking a science or social studies test. The Pre-ID window for science and social studies tests opens on Oct. 27. Districts (or their Information Technology Centers) must pre-identify students using the new Ohio Science and Social Studies and Ohio Alternate Assessment pre-id file layout. The layout includes fields that designate which test(s) students are eligible for and whether students taking science and social studies tests will test online or will need Pre-ID labels to apply to paper booklets. A copy of the layout and additional guidance is available on the OCBA portal resource pages (search: pre-id). Students who are testing online will not be able to access the Student Testing Site unless they have been pre-identified. Districts will be able to Pre-ID through May 22. For districts with students who are taking the science and social studies tests on paper, the deadline for submitting Pre-ID data to ensure receipt of Pre-ID labels is Jan. 23. Data submitted by this date will be used to generate Pre-ID labels for both the performance-based assessments and end-of-year tests. Districts that do not submit their data by the deadline can Pre-ID students who are testing on paper through May 22. Note that the deadline has been extended to accommodate the test window for approved high schools on block schedules. Although late sets of Pre-ID labels will not be printed, pre-identification ensures that the test contractor can merge students performancebased assessment and end-of-year test data. 4 Student Information: Student Settings Download Voice Pack Answer Document Tracking Test Status Requests Test status requests, such as resets and invalidations, are available under the Test Status Requests tab. District test coordinators should access this task as needed. Please see the AASCD Test Coordinator s Manual, which is available on the Portal, for guidance. All test status requests are subject to Department approval. District test coordinators can submit test status requests throughout the test window. There are several optional features available in the online Student Testing Site that need to be activated prior to the test administration in order for a student to receive the support. Authorized users can upload a file to TIDE or manually edit student records in TIDE in order to activate these features for online testing students who need them. (If accessibility features are not marked in TIDE, teachers and test administrators can enable the supports when approving students to test in the Test Administrator Interface on test day.) Authorized users can download voice packs onto supported Windows devices from this task. These voice packs provide recommended voices to use with the text-to-speech feature, but are not required if districts prefer alternate voice packs. After both the performance-based assessment and end-of-year test windows, the Answer Document Tracking task in TIDE will list all scorable documents that the test contractor shipped to the district and each document s return status. District test coordinators with paper testers should access this task to verify the return of their district s scorable documents for science and social studies. Test status requests, such as grace period extensions and invalidations, are available under the Test Status Requests tab. District test coordinators should access this task as needed. Please see the Ohio Science and Social Studies Test Coordinator s Manual for guidance (to be published by January 2015). All test status requests are subject to Department approval. 5 Rosters The Rosters task is optional for AASCD. Rosters are for internal district use. Authorized users can create student rosters for AASCD in TIDE beginning Oct. 27. Rosters allow users to organize students into groups to track their testing progress and performance. When score data is available, authorized users can use rosters to organize students into groups to analyze test performance. Additional information about using rosters can be found in the Online Reporting System User Guide, located on the AASCD portal resource page (search: ORS). The Rosters task is optional for science and social studies tests. Rosters are for internal district use. Authorized users can create student rosters for the science and social studies tests in TIDE beginning Oct. 27. When score data is released in fall 2015, authorized users can use rosters to organize students into groups to analyze test performance. NOTE: The rosters created in TIDE are for use with the Online Reporting System only. The Test Administrator Interface does not require or use rosters for online test administrations.
