1 Time Collection Device (TCD) About the TCD For Employees that use a TCD device to check in and out for the day and for lunch, please review the following information. Employees will be assigned to specific TCDs on campus. o Employees will only be able to clock into the TCD devices in which they are registered. o Please contact your department for the locations of the TCD devices in which you are registered. Two prints will be taken for employees assigned to TCDs. o Two prints are taken in case one finger becomes injured. o Your fingerprints are only for the TCD system. They are only used by the University of Houston HR System by the TCD devices. o Your fingerprints are not released to outside parties and will not be able to be accessed by employees. o Once the fingerprint is taken, it is stored as an algorithm, or mathematical calculation. o No actual fingerprint will be on file.
2 TCD: Clocking In Employees clocking in via the TCD will need to select the type of punch (In, Out, Meal). A typical day would produce the following punches: In (when you arrive) Start Meal (when you leave for lunch) End Meal (when you return from lunch) Out (when you leave for the day)
3 After the punch is selected, the employee scans their thumb or finger to clock in and out to arrive and leave for the day and to take lunch. The TCD device will prompt the employee to present his/her finger. Prompt to present finger The employee should present one of the fingers that he/she enrolled with on the finger reader.
4 If you have only one Employee record, it will show as highlighted. Click ok to continue. If you have only 1 Empl Record, only one record will appear. Click OK
5 If you have multiple employee records, they will all appear. Select the correct employee record, and click ok to continue. It is the employee responsibility to know the correct Employee Record. Employees must clock in an out for each record. For example, if an employee works multiple jobs in one day, the employee will have to clock out of Empl Record 0 and clock into Empl record 1. If you have multiple Empl Records, select the correct Empl Record. Click OK
6 On a successful transaction attempt, the device will display a green banner with the employee s name and the Empl ID. This is how the employee will know that the punch is successful. *** Important *** The employee should confirm that his / her name and Empl ID appear on the green banner. In very rare situations, some people have finger attributes that are close enough for the device to think that its another employee and will display the other employee s name. If your name does not appear, please contact your manager or supervisor. The time is reported to the HR System and is reflected on the employee s timesheet. Confirmation with name and Empl ID
7 Exception Users Exception users are created when an employee goes to HR to scan their fingerprints into the system and the system is unable to read their scan and register them as a TCD user. HR will create a specialized account for the employee in order for them to punch in via TCD. The employee will be an Exception User. The employee will click on Exception User. This will enable the device to validate the employee by looking up the Empl ID instead of the fingerprint. Exception User Once the employee clicks Exception User, the TCD will prompt the employee to select a transaction. Click the type of punch (In, Start Meal, End Meal, Out)
8 Prompt for Punch Instead of prompting the employee for the fingerprint, the device will display a keyboard to the Exception User. The Exception User should key in their Empl ID and then click on the OK key. OK Key Keyboard
9 On a successful transaction attempt, the device will display a green banner with the employee s name and Empl ID. This is how the employee will know that the punch is successful. This time is reported to the HR System and is reflected on the employee s timesheet. Confirmation with name and Empl ID Troubleshooting If there are T. C. D Issues, contact the manager or supervisor in the department. If you forget to punch in or out, please notify your supervisor immediately. Your time approver will always be able to manually enter your time in the system. Please note, all of these manual entries will be documented.
