1 University of Birmingham Goethe Universität Frankfurt Joint Research Workshops Call for Proposals With the goal of facilitating research cooperation, the University of Birmingham and Goethe Universität Frankfurt have established a joint funding scheme to support joint research workshops. The joint research workshops allow researchers who have identified research areas of joint interest - in any field of research - to come together and discuss opportunities for future joint research projects. Researchers are free to define the format of the joint workshops. Workshops can last up to three days and can take place at either university. Workshops can be held in 2017, but have to end not later than 31st July. Funding is available for two workshops during this period of time. Key requirements: The deadline for submission is: 30 th November 2016 Workshops must have a clearly defined research focus. Workshops should be used as a catalyst for the development of new research projects, to be subsequently funded through UK and German domestic research funders or other sources such as domestic funding or Horizon Workshops can involve up to 8 participants (4 from each university) Workshops should involve both established and early career researchers. Scholars of any career stage, from junior to senior, are eligible to apply as the lead person if they are PhD holders and employed at UoB or GU. 2 A. Submission of proposals A.1. Proposals are invited to follow the following headings and requirements: Application narrative In English, using A4, Arial size 11, 2cm margins, page numbered as X of Y. The headings are: 1 Title of the joint workshop 2 Dates when the workshop will take place 3 At which University will the workshop take place 4 Abstract (100 words) 5 Lead applicant at the University of Birmingham (include: name, position, school and contact details) 6 Lead applicant Goethe Universität Frankfurt (include: name, position, school and contact details) 7 List of participants, including lead applicants (include: name, position and school) 8 Indicate if this is a new or existing collaboration 9 Main goal and objectives of the workshop 10 What concrete plans and joint proposal(s) are expected to be achieved following the workshop (incl. timeframe and information on funding programme(s) and steps for developing a joint proposal) 11 What is the proposed programme of activities 12 Budget Academic CVs Applicants are requested to submit up-to-date academic CVs of the researchers involved (up to 4 CVs per institution). CVs do not need to be formatted in any particular way but they need to be in English. Approval letter Applicants are requested to submit confirmation from their institutions that the joint application is in the interest of the respective Colleges and Institute For Birmingham applicants: Written note or letter from the College Research Director. For GU applicants: Statement of support by the respective GU/TAU institute/department. 3 B. Budgeting The budget for the call will fund costs related to transport, workshop and associated networking. Generally speaking the visitors pay for their transportation while the hosts will cover accommodation and meals. In order to provide value for money, it is expected that the workshop would use rooms that are available free of charge. It is also anticipated that delegates use university accommodation or hotels that have similar daily rates. Costs above this would need to be borne by the participants and their Institute/Colleges. For workshops taking place at Goethe Universität Frankfurt: Cost of flights for Birmingham staff are covered by Birmingham central funds. A per diem of 89 for a maximum of 5 days (3 days workshop + if necessary one day for arrival and departure) covered by DAAD or GU central funds is granted for UoB visiting academic staff, UoB visiting students will receive a per diem of 50. In case the participating student is employed as scientific staff by the University of Birmingham the per diem will be 89. If expenses for accommodation or meals are higher than the said amount, the additional cost cannot be covered by DAAD or GU central funds but have to be shouldered by the hosting department in Frankfurt. Per diems for UoB visitors will be reimbursed to bank accounts once all receipts and the first report of the workshop have been submitted. Cost for the workshops and additional meals e.g. reception dinner have to be borne by the hosting department in GU. For workshops taking place at Birmingham Cost of travel is covered according to BRKG for those participants who work for Goethe University as academic staff, e.g. Junior Professors, Privatdozenten, APL Professors and emeritus professors. GU students receive a lump sum of 125. However, if they are employed by Goethe University as academic staff (e.g. a PhD candidate who is a Wissenschaftlicher Mitarbeiter at the same time), their cost of travel is covered according to BRKG. Cost of hotels (Venue Birmingham or equivalent) for GU delegates will be covered by University of Birmingham s GU Fund. Cost related to the workshop including catering will be covered by the University of Birmingham s GU Fund. Claiming expenses For expenses covered by Goethe University all relevant receipts have to be collected by the applicants after the workshop, itemized in a list with relevant bank account indications and sent to Ms Anne Le Duigou (leduigou@em.uni-frankfurt.de). Only complete sets of receipts can be accepted for reimbursement. For expenses covered by Birmingham, claims for expenses need to follow normal accounting procedures. A grant will be given to successful applicants in advance of the activities. In all cases, the submission of the first report about the workshop is a prerequisite for the reimbursement/claims of expenses. Students participating in the workshop may not receive the same kind of reimbursement, depending on his/her individual affiliation to the university (with or without working contract, see details below) Page 3 of 6

4 C. Frequently Asked Questions I am interested and would like to apply but do not know researchers at the other University. Can somebody help? Yes there is help. At Birmingham, please contact Xavier Rodde or Sally Wiley (GUFrankfurt@lists.bham.ac.uk). At GU, please contact Mathias Diederich (m.diederich@em.uni-frankfurt.de) or Anne Le Duigou Bernig (Leduigou@em.unifrankfurt.de). Workshops can take place in What is the earliest date? What is the latest date? You can host a workshop from January 2017 onwards at the earliest. Applicants will be notified of the outcome of their bids by mid December You can host a workshop up to the end of July Workshops should involve both experienced and early career researchers. What does this mean? Each institution can send up to 4 PhD students, post-docs, lecturers, senior professors, and applicants on both side should aim to involve both experienced and early career researchers. The lead person on each side needs to be a PhD holder Can the workshop involve more than 8 participants? Yes, it can but note that funding is only offered for the cost of 8 participants. Applicants will need to secure funding from other sources to open participation to additional people. Can the workshop involve people from outside University of Birmingham Goethe Universität Frankfurt? Yes, but there is no funding for them and the number of Birmingham and GU people has to exceed the number of other participants. What does the funding cover? For the sending institution: costs of travel (see details on page 3-4). For the hosting institution: accommodation costs of the researchers visiting the host, Cost of catering (see important details on page 3-4). Expenses other than those related directly to the activities of the workshop will not be covered. How do I access the funding? For Birmingham researchers: When hosting: booking of the catering for the workshop will be covered from the call funds. Cost of the hotel rooms for the GU delegates will also be covered from the call fund. Sally Wiley in RIS will provide help with the bookings and recording of expenses. When visiting: cost of the flight and group transfer only will be covered from the call fund. Flights will be booked centrally, using Key Travel. Sally Wiley will help with this where appropriate. The workshops should aim to foster collaboration between researchers from both institutions. The goal is that each of the workshops will involve discussion for joint research activities and in particular joint research projects. Those research projects should be of sufficient ambition and quality that they can be submitted for funding to domestic or other funders such as domestic funding and Horizon 2020, where researchers from each institutions would receive funding (direct funding or sub-award) and academic recognition. Can future research involve researchers from other institutions? It is recognized that some research ideas and projects may need to involve additional researchers from other universities or people from non-academic organisations such as companies, local authorities, hospitals or museums. As such, future projects are not restricted to bilateral collaboration only and can involve multilateral collaboration. However, note that an y research project should in priority consolidate links between the University of Birmingham and Goethe Universität Frankfurt. Who can apply? 6 E. Delivery Holding the event on the given date Change in the date of the workshop has to be announced in due time and may lead to cancellation of the grant due to budget restrictions. Organisation No central clerical support is provided for the organisation of the event. However, organisers are requested to liaise with, at Birmingham: Xavier Rodde and Sally Wiley at GU, Anne Le Duigou Bernig to discuss financial arrangements and bookings. For expenses covered by Goethe University all relevant receipts have to be collected by the applicants after the workshop, itemized in a list with relevant bank account indications and sent to Ms Anne Le Duigou (leduigou@em.uni-frankfurt.de) Only complete sets of receipts can be accepted for reimbursement.
