1 JOB DESCRIPTION Human Resources Business Partner Norwest Head Office RESPONSIBLE TO: BASIC RESPONSIBILITY: Head of People, Culture & Performance with day to day accountability to the Manager (People, Culture & Performance) Responsible for partnering with Managers to support them in key HR function areas and provide assistance to the People, Culture and Performance team with administrative and projects as required DUTIES: 1. Provision of support to Managers in the areas of: a. Recruitment and Selection, including, but not limited to: monitoring and responding to applicant enquiries and ensuring candidates receive timely communication in regards to their application managing job advertisements, application processes and Manager approvals for advertising costs reporting on recruitment activities resourcing Managers with required documentation managing applications within the TALEO system, including uploading applications manually, recording start dates, managing eligibility lists and mailing lists and tracking recruitment expenses to vacancies participating in recruitment panels organising relevant pre-employment checks, including the preparation of paperwork and tracking the confirmation of clearances developing employment letters and forwarding new employee payroll packs advising relevant teams of the details of the new appointment forwarding Tax File Number declarations to the ATO b. On-boarding of New Employees, including, but not limited to: resourcing Managers with required documentation for inductions and probation reviews supporting new employees in your role as a HR Buddy supporting new employees and managers through the probation review cycle; from initiation of the multi rater process to sign off of the review form, followed by the provision of a congratulatory card marking completion of probation

2 seeking, collating and providing to the Manager the multi rater feedback monitoring and tracking completion of reviews and paperwork c. Performance Review, including, but not limited to: resourcing managers with documentation required for the annual review process, and Learning and Development Plans review process monitoring and tracking completion of reviews and paperwork d. Document Control and Records Management, including, but not limited to: Electronic and hard copy filing of documents related to employee files, recruitment processes, WHS records Maintenance of employee personnel files, including the setting up of new employee files e. Work Health and Safety, including, but not limited to: monitoring, tracking and filing paperwork for workplace accidents, incidents and hazards; motor vehicle audits; workplace site audits tracking, following up, and reporting on any corrective actions resourcing WHS Committee Members with documentation required for WHS inductions and tracking the completion and return of paperwork supporting Managers in regards to WHS training needs, Wardens and First Aid Officers and maintaining related training records preparation of a regular WHS themed staff newsletter data entry as required to assist in the maintenance of a WHS database to support the report function of the Unit supporting WHS Committee meetings through agenda preparation, minute taking and presentations f. Employee Services, including, but not limited to: creating Letters of Variation and sending a notification to relevant teams to confirm the details of the change in employment responding to questions from employees and managers in regards to employee entitlements, policy direction and organisational practise g. Reporting, including, but not limited to: undertaking regular data entry and maintenance of a HR Employee Database

3 collating data as required out of the relevant database, register or other as requested (e.g. surveys, reports, attendance list for training) h. Employee Separation, including but not limited to: sending a notification , and related forms, to relevant teams to confirm the employee separating inviting separating employees to participate in and facilitate an exit interview as relevant the preparation of separation documentation and sending to separating employee 2. Provision of support to the People, Culture and Performance Business Unit through: the provision of administration support for Unit programs, such as the Employee Benefits and Rewards Program and Emerging Leaders Program, to name a few undertaking workplace projects assisting with the coordination staff events & functions coordinating contributions for staff newsletters on behalf of the Unit the development and maintenance of forms, procedures, policies and other documents as required undertaking receptionist duties for Head Office including answering phones representing the Organisation by attending Career Expos and other industry events as requested travel to regional centres as required attending meetings and taking minutes as required 3. Responsible for working in collaboration, and networking with, key stakeholders and the wider community 4. Understand and comply with all policies and procedures pertaining to the organisation 5. Demonstrate an awareness and commitment to the organisation s values, purpose, child focused policy, corporate branding and Code of Conduct, and communicate these to staff, consumers and stakeholders 6. Actively and consistently uphold the Organisation s strength based philosophy and culture in all interactions with clients and each other 7. Perform other duties consistent with the responsibilities of the position as required by Management

4 8. Employees are responsible for: a. Following WHS policies and procedures b. Ensuring that their conduct does not endanger others c. Carrying out their duties in a manner which does not adversely affect their own health and safety or that of others d. Cooperating with measures introduced in the interest of workplace health and safety e. Undertaking any training provided in relation to WHS f. Immediately reporting any matters which may affect workplace health and safety to their Line Manager g. Correctly using any information, training, personal protective equipment and safety devices provided h. Refraining from intentionally misusing or recklessly interfering with anything that has been provided for health and safety reasons, and i. Undertaking only those tasks for which they have authorisation and/ or the necessary training, and for which all necessary safety arrangements are in place j. Observing anything in the workplace that may pose a hazard or potential risk and notifying the WHS representative k. Notifying the Area Manager immediately of any conditions which may place a staff member or service user at risk of significant harm l. Ensuring clients and course participants are aware of WHS hazards and risks within the work space, and of related fire, evacuation and emergency response procedures

5 SELECTION CRITERIA Qualifications in Human Resource Management or related discipline Demonstrated experience working within a HR environment in a similar role (preferably with some project work experience) Strong interpersonal and communication skills Skills in Microsoft Office products (Word, Excel, PowerPoint, Outlook) Strong skills in attention to detail Strong organisation and time management skills, with the ability to monitor and track projects and targets, multi task, juggle competing deadlines and work under tight deadlines The ability to handle all duties with a high degree of integrity, professionalism and confidentiality Ability to act in a discreet and sensitive manner when required Strong team player with a friendly, approachable and positive nature Knowledge and understanding of, and respect for, relevant legislation and their principles such as the Fair Work Act, Equal Employment Opportunity and Work Health & Safety Current drivers licence Permission to work in Australia Willingness to undergo, and satisfactory completion, of an Australian National Police Check and Qualifications Verification Check
