RECITAL INFORMATION PACKET 2016 Welcome to Las Vegas Dear parents, The information you are about to read in this packet is very important. It contains detailed information you will need regarding costumes, dress rehearsals, recital, tickets, pictures, etc. Please read this packet carefully and mark your calendars with important dates and times. If you have any additional questions, please feel free to contact us Although this large production may seem a bit overwhelming at first, please trust that is well worth the time and effort. It is a wonderful experience for TDA students and their families! And finally, as we approach recital, we would like to thank each of you for your efforts, patience, and support over this past year! We are excited to have you a part of our recital and sincerely thank you for yet another wonderful year we have had! 2 STAGE MOM / VOLUNTEER SIGN-UP During each recital performance we need numerous volunteers to make our shows a success! Please consider volunteering and receiving perks for doing so! J Stage Moms will be required to sit in assigned row with dancers at dress rehearsal and stay backstage with dancers for the duration of the show. There will be games and coloring books to keep dancers occupied. Parents of other dancers in your assigned class will be checking their children in and out with you. Stage moms have assigned front row seating so you will not need to purchase a recital ticket for the performance(s) you are helping with. Front of House Volunteers will be needed to help the hour prior to each recital. We will need volunteers to monitor the auditorium doors, hand out programs, assist people to their seats, hand out pre-ordered flowers and sell remaining flowers, and run our Vegas stations. If you volunteer, you will get pre-sale recital ticket codes to use. Since all ticket purchases are first come, first served you will get the chance to have first choice at seats! We will have a mandatory stage mom / volunteer meeting Wednesday, May 18 th, 2016 at 6:00pm. At this meeting, we will distribute stage mom assignments, sign-in/out sheets, parent information, and discuss specific duties. All volunteers will receive complimentary recital t-shirts to wear while helping. We will be sending out a Sign-Up Genius via on Saturday, April 9 th at 11:00am. Again, this is first come, first served. If interested, be sure to log on right away. RECITAL PROGRAM ADS Souvenir recital programs will be available again this year. They include the order of dances, student s names listed by each dance, business ads, message ads, acknowledgments and other memorable information. If you attend the 1pm show and are returning to the 6pm show, we ask you bring your program with you, as they are the same for each show. Personal Message Ads DUE APRIL 30: Family members and friends can place message ads and/or pictures in the program for their special dancers. You can do a one-line shout out wishing your dancer luck or reserve a ¼ page spot and include a dance picture and personalized message! These make great scrapbook additions! Order forms are available on our website (under Recital Information). Business Ads DUE APRIL 30: Business ads can also be purchased for the souvenir program. Please note, our studio staff is not responsible for editing or designing business ads, so please make sure ads are the correct size (sizes are listed on the order form). Order forms are available on our website (under Recital Information). RECITAL PROGRAM / PARENT INFORMATION Review the class information sheet that is currently being passed around. Please do the following: 1) Check the spelling of your dancer s name. This is how it will look in the program. If it IS correct, please initial next to their name. If it is NOT correct, or you would like to see it listed differently, please cross their name out and write the corrected spelling next to it. 2) Write the size you would like for your dancer s recital t-shirt. 3) Check the parent name and phone number that is listed. Update if need be. This information is in case of emergency on show day. RECITAL T-SHIRTS A recital t-shirt is included with each paid recital fee. For families with more than three dancers, extra t-shirts are available for $15 each. Please fill out the order form tonight to ensure timely delivery. T-shirts will be handed out at the dress rehearsals to all accounts with a zero balance. 2

RECITAL VIDEOS Professional videos of each recital are available for purchase. Order forms are available on our website (under Recital Information) and will be ed out later this week. You can turn these in at the front desk or on either dress rehearsal evening (there will be a TDA staff table in the back of the auditorium). Videos are delivered to the studio mid-summer. We will you when we receive the videos and they are available for pick up. RECITAL FLOWERS Last year s recital flowers were a hit! This year we will offer one special recital bouquet for our dancers! Each Recital Bouquet includes three long stem glitter red roses, baby s breath, and leather leaf arranged in a classic plastic sleeve. Preorder your flowers by Saturday, May 7 th and they will be waiting for you in the commons area of Ralston High School on show day! One less thing for you to worry about and something so special for your dancer! Order forms are available on our website (under Recital Information). RECITAL TICKETS Tickets are sold through an online dance ticket site called TutuTix. This system gives our families the opportunity to reserve seats prior to show day which allows for a much more seamless seating process. All tickets cost $10 and are reserved seats. With each show your dancer is in, you will receive two half-price ticket codes or essentially one free ticket. Seating availability is not guaranteed until tickets have been purchased. Specific recital ticket information and ticket codes will be ed to families with a zero-balance by Saturday, April 16 th. Pre-sale Recital tickets will go on sale Friday, April 29 th at 10am. Recital tickets will then go on sale to the entire studio and general public Monday, May 2 nd at 10am. Based on availability, you will be able to purchase as many tickets as you d like and then use your half-price ticket codes at checkout. You will need SEPARATE tickets for EACH recital you attend. Anyone occupying a seat (anyone over the age of 4) must have a ticket. Those audience members age 4 and under will only need a ticket if they are not sitting on a lap. Dancers must remain backstage for the duration of their show they will NOT need a ticket for their assigned show. If dancers attend a different show that they are not performing in they WILL need a ticket. COSTUME CARE Please take good care for your child s costumes. Do not let your children wear the costumes prior to our shows, as we want the costumes to look new for both picture day and recital day. Please write student s name in his or her costume(s), shoes, and accessories. We recommend you store your costumes in garment bags and use gallon-size plastic bags to store tights and accessories for each costume. TDA garment bags are available in the TDA Bowtique for $10. **TIPS** For the performance: Please do not wear underwear under tights. Remove all nail polish. No jewelry is to be worn. If your child s costumes require two different color tights, please follow the example below. This will make changing costumes on show night much easier. Ex. Their ballet dance that requires pink tights is first and their tap dance that requires tan tights is last. Please put the tan tights on first and the pink tights over their tan tights. COSTUME ALTERATIONS Most of our costumes come fully sewn; however, there are a few costumes that may need some slight alterations and/or attachments added which would require some light sewing. This is the responsibility of the parents. If you need assistance 3

with your costume alterations, please contact the TDA office and we ll put you in touch with a seamstress who can help at a very reasonable price. SHOE BRAND / STYLES REVOLUTION SHOES AVAILABLE THROUGH TDA Pink Ballet Shoes Tan Jazz Shoes Tan Tap Shoes (Rising) Tan Tap Shoes (Stars) Revolution leather split-sole Revolution slip-on Revolution buckle Revolution premium stretch TIGHTS BRAND / STYLES REVOLUTION TIGHTS AVAILABLE THROUGH TDA Revolution Brand* Ballet Pink, Tan *Bobby s Dancewear does not sell this brand. All shoe and tight orders must be placed by Saturday, April 30 th in order to ensure timely delivery. Please do not wear or wash tights prior to picture day or recital day. All children must wear same shoes / tights for uniformity on stage. MAKE-UP All dancers will need dark brown eye shadow, black mascara, black eye liner, powder, rose/mocha colored blush and lipstick. Use base foundation as needed. Face make-up gives dancers an even skin tone while defining their facial features. It also adds healthy color so they aren t washed out from the stage lights. Eye and lip make-up gives depth and dimension while defining their eyes. HAIR All hair MUST be pulled back in a high bun for rehearsal AND recital, unless otherwise noted. Hair must be secured away from face, as hair can cause shadows on the dancers faces from the stage lights. PICTURE DAY Modern Images will take professional photographs of dancers in their costumes. Picture Day is Saturday, May 14 th and all pictures are taken at TDA. A photo of each group dance is provided to TDA by Modern Images commemorating our annual recital. We hope to see everyone at picture day to complete each class picture. These pictures hang in the studio for years to come. If you cannot make it to picture day for any reason, please let the front desk know by Friday, May 13 th so that we can plan accordingly. We take one group photo in one costume per class. However, you will be able to take individual pictures in each costume (for classes with more than one dance). If you wish to have individual pictures taken in your other costume, please change into that costume, tell a TDA staff member you would like an individual picture taken and we will get it taken as soon as we can. All pictures will be taken in Studio C. Female dancers, please use Studios A and B (available after regular classes are finished) to change, curtains will be drawn. Males please use the men s restroom. Only dancers and TDA Staff are allowed into Studio C while pictures are in session. Modern Images and TDA Staff will make sure all dancers are posed and smiling for the camera. We thank you in advance for following and enforcing this policy. 4

We run ON TIME, sometimes even a few minutes early. Please be at studio, dressed in your assigned group costume with hair and make-up done 30 MINUTES PRIOR TO YOUR PICTURE TIME. We will not wait for missing students. If you happen to miss the group picture time, you will still be able to take an individual photo, if you choose. DRESS REHEARSAL 1pm show Thursday, May 19 th 4:45-9pm 6pm show Friday, May 20 th 4:45-9pm Dress rehearsals are mandatory for all performers, volunteers, and production staff. If you are in both shows, you will need to attend BOTH rehearsals. Rehearsals are necessary to ensure a well run, organized, and professional show. They run in a very similar manner to show day to ensure the readiness and safety for all performers and production staff. To keep dress rehearsals less chaotic and the recital a surprise for everyone, please limit attendees to your dancer and one guardian. To familiarize yourself with the arrival process for Show Day, when you arrive at your rehearsal, please enter through the rear doors near the loading area and proceed to the auditorium. There will be designated seating areas for each class. Signs will be posted with your class day, time and teacher. Dancers will sit with their class and assigned stage moms until it is their turn to perform. After they rehearse they will be accompanied back to their assigned row until they Final Bows. Students are dismissed after their last dance has been rehearsed OR after our all-studio Final Bows rehearsal, whichever is later. These are full dress rehearsals so dancers should be in full costume, tights, dance shoes, make-up and hair. Please arrive with first costume on. If your dancer has more than once dance you can them change them into their next costume after their first dance has rehearsed. Please use the cafeteria (signs will be posted) for costume changes. Boys can use men s restroom as a dressing room. We run ON TIME, sometimes even a few minutes early. Please arrive 30 MINUTES PRIOR TO YOUR REHEARSAL TIME in your first costume with stage hair and make up done. Out of respect to all participants and production staff, dances will be performed in the specific order and time they are assigned. We are unable to wait for missing and / or late students, and cannot alter the order in which numbers are rehearsed. DRESS REHEARSAL REMINDERS: Dancers must sit together as a class with stage moms so our staff members can easily locate each class at its appropriate rehearsal time. Dancers and families must stay seated and quiet while in the auditorium. Running up and down the aisles will not be permitted. Final Bow Rehearsal: At each dress rehearsal we will practice our final bows mid-evening, as a convenience to our families. On Show Day dancer s are to wear their recital t-shirt and either jean shorts, black shorts or black leggings. Parents may videotape and take pictures at any time during the dress rehearsal. Reminder, there is NO videotaping or flash photography at recital. Food and drink will be sold both Thursday and Friday evenings and is to be consumed at the tables in the commons area ONLY. We will be offering hamburgers, hot dogs, chips, baked beans, cookies and chill cups. All food and drink proceeds benefit TDA Company Fundraising. Please DO NOT have dancers eat in costumes. There is no food or drink allowed in the auditorium at ANY time. Please keep snacks and drinks in the commons area or dressing room. If Ralston or TDA staff members see any, it will be confiscated. We will be selling TDA water bottles at each rehearsal again this year. With the purchase of a water bottle, you will receive FREE Gatorade refills ALL weekend! 5

SHOW DAY We split our studio dances into two shows in order to keep each production time reasonable. Each show is approximately 2 hours and 15 minutes long. Reminder, arrival time for dancers is one hour prior to each show, with the auditorium doors opening one ½ hour before each show. Because of the limited dressing room space, only stage moms and dancers are allowed in the dressing room and backstage for the duration of the show. If you wish to stay with your child during the show (which includes being in the dressing room or backstage), please volunteer to be a stage mom. There is reserved front row seating for all stage moms. Please have your child arrive in their first costume with stage hair and make-up done. Dancers and one female guardian are asked to enter through the rear door next to the loading dock. Please go into the dressing room and find your child s classes designated area and check-in your child with their assigned stage mom. If your child is in a combo class and an additional class (ex. Shining Stars and Triple Threat), please have them sit with their combo class. After you have checked your child in, you may join the rest of your family out front in the commons area until the auditorium doors open. If your dancer will be arriving without a female parent/guardian/helper, please let our office know beforehand and we can arrange for a TDA staff member to escort your child from the rear entrance to their dressing room and check them in. Dancers are to remain backstage for the duration of the show. We will have activities and games available for all children so they are occupied at all times. All students will be under the supervision of responsible adults and will be safe for the length of the performance. We want parents to enjoy the show! If your child has more than one dance in the show and requires a costume change: Moms are invited back to the dressing room one number following their child s performance and have three numbers to change their child into their next costume. This will limit the number of people in the dressing room at any given time and ensure there s a steady flow of moms coming in and out of the dressing room. For safety and organizational purposes, children will not be released to parents until the conclusion of each show. Following our finale, they will be walked back to the dressing room by their assigned TDA Company helpers. Moms or female guardians, please meet your child in the dressing room. You must then checkout your child with their class stage mom before they can leave the dressing room. Stage moms will have a contact name and phone number for each dancer in their class. If you are needed during the show for any reason, a text or phone call will be made to you. ADDITIONAL RECITAL INFORMATION The dancers are working hard on their recital dances and want to make them the best they can be. Please make every effort to have regular class attendance through recital! Please be respectful to our volunteers, stage moms, TDA staff members and Ralston staff members. They have a big job and we couldn t run a smooth show without them! Video and still photography are allowed at rehearsals ONLY. Flash photography and video are strictly prohibited on show nights, as it is a distraction and safety concern to our performers. There is absolutely NO food or drink allowed in the auditorium. I would like Ralston High School to think fondly of TDA and our dance families and invite us back in the future. Please be respectful of their space. We hope you will not need to leave the auditorium once the show has begun; however, if you find it necessary to leave, please exit and enter the auditorium between dances, as the outside lighting is a distraction to the dancers on stage. Programs are the same for each show. We ask that you please keep your program if you plan to return to the evening show, as quantities are limited. 6

Final Bows every TDA dancer is to wear their Welcome to Las Vegas t-shirts with jeans, black leggings, or black shorts. All order forms and detailed recital information can be found at: And don t forget to make sure your dancer s HAVE FUN!! This is such an awesome experience for everyone involved! Thank you for your cooperation. We hope you enjoy the show!
