3 Introduction This guide provides an overview of Glow Chat and its potential use in learning and teaching. The tutorials contain step-by-step instructions on setting up Glow Chat and exploring its functionality. Glow is web-based and can be used wherever users have access to an internet connection. Each Glow user has their own unique username and password, which gives access to information and resources appropriate to the user s role. A pupil s access to, and view of, Glow will therefore be different from that of a member of staff, and differences in what users will see or be able to do are highlighted throughout this guide. Prerequisites for using this guide To complete any of the tasks in this guide the user must be logged on to Glow as a user with the right to create a Glow Group and with the permission to use Glow Chat. These rights are set by the Glow Accounts and Services Manager (ASM) for your school or establishment if you have any queries regarding the permissions that have been set for you, please check with your ASM. All the screen shots in this booklet are based on Internet Explorer 6 and Glow theme 6. For more information on setting themes please refer to the Glow Portal Training Guide. What is Glow Chat? Glow Chat is a method of communicating in real time by sending text-only messages to other users. Glow Chat allows a more spontaneous and informal means for groups to communicate than online discussions or . Glow Chat takes place in a chat room - a virtual room set up within Glow. Permission to participate in a chat room can be given to individual users or to groups, such as teaching classes. A chat room can be moderated and users ejected or banned, if required. 4 Why use Glow Chat? Glow Chat can enhance and support learning and teaching in a variety of educational situations, such as: Thought shower sessions and problem-centred discussions Role games and simulations Debates and small-group panel discussions Tutoring and guidance group investigations Planning discussions for staff Fostering a sense of community between Glow Group members Extending the writing process Glow Chat in use Examples of chat rooms being used in educational contexts are widespread. One interesting example is in a Scottish local authority where schools are using chat rooms to develop online collaboration between pupils to create their own characters, interact with other characters and make up their own stories live online. It aims to channel young people s natural desire to chat, to explore creative writing in an online environment and to add a fun dimension to gaining an understanding of character, story, plot and theme. Elsewhere chat has been used with pupils to illustrate issues relating to online safety, sometimes in conjunction with other online resources, such as: Chat rooms have also been used to facilitate hi-tech pen pal schemes. These can allow the use of English and foreign language skills in real time with others of a similar age to help develop confidence and a wider knowledge of language and the lifestyles of the people they are interacting with. 5 Tutorial 1 Getting started The purpose of this tutorial is to demonstrate how to set up a Glow Group to contain the Glow Chat web part. In this tutorial you will: Log on to Glow Create a Glow Group Set access permissions for the Glow Group Logging on to Glow 1. Open your web browser and in the address bar enter the Glow web address: The Glow logon screen will appear. 2. Enter your username and password into the appropriate boxes. 3. Click on the arrow icon or press the Enter key to log in. 4. If this is the first time that you have logged into Glow, a list of terms and conditions will be displayed. Once you have read the terms click on Accept, if you wish to continue. If you have not logged on before you will need to change your password. Your new password must have a minimum of 8 characters and at least 1 non-alphanumeric character, such as a space. 5. Your Staff home page will open. 6. The screenshots in this guide use Glow theme 6. If you wish to change your Glow theme (the look and feel ) to match, then: Scroll down the home page until you can see Glow settings Click on Change Theme Author: Glow Team Page 5 of 30 Ref: GC260_v1.1
6 From the drop-down menu select Theme 6 Click on Apply. Creating a Glow Group To use Glow Chat, it must be created within a Glow Group. This may be either an existing Glow Group or a new Glow Group you are setting up. A Glow Group is an area within Glow that a user can create in order to communicate and collaborate with other users on topics of shared interest. Further information on Glow Groups can be found in the Glow Groups Training Guide. If you wish to add Glow Chat to an existing Glow Group (for which you have administrative rights), please proceed to Tutorial 2. Otherwise, follow the steps below to create a new Glow Group. 1. In the left-hand navigation bar click on the name of your school. Your school site will open. It will look similar to the screen below. left-hand navigation bar 2. Click the Glow Groups tab. 7 3. Click New Glow Group. 4. The Create Glow Group screen will appear. 5. Enter a name for the Glow Group. A description can be entered this is not mandatory, but can be useful to explain the purpose of the Glow Group to other users. 6. Leave the other settings as shown. Do not tick the Use the same members as this site box. Further information on these settings can be found in the Glow Groups Training Guide. 7. 8 Members link You now need to set the permissions to give other users access to your Glow Group, for example other staff and pupils in your school. Setting access permissions for the Glow Group 1. Click the Members link at the top of the Glow Group window. The Members screen will open. 2. The Groups tab will be displayed by default. Here you can select members by type (e.g. Pupil) or by year group (e.g. P6) or class (e.g. 6B) the groups displayed will differ from those in the screenshot, and will reflect the structure in your own school or establishment. 9 3. Decide which groups will have access to your Glow Group and what level of permissions they will have. The levels are: Reader: the user can view items in the Glow Group (e.g. read news items in the News web part) and can download files from the Documents web part. Reader with Discussions: as Reader, and in addition the user can: add new items to the Discussions web part; edit or delete items they have added to this web part, but not those added by other users. Contributor: as Reader with Discussions, and in addition the user can: add new items to the News, What s on and Web links web parts; edit or delete items they have added to these web parts and items added by other users. upload files to the Documents web part; edit or delete these documents and those added by other users; modify their Personal View of the Glow Group by closing, moving or adding web parts. Any such changes to the layout are seen only by the individual user. Web Designer: as Contributor, and in addition the user can: upload a graphic to the Image web part; modify the Shared View of the Glow Group by adding, moving or closing web parts. Changes are seen by all members of the Group. Administrator: as Web Designer, and in addition the user can: create new web parts for the Glow Group; add, rename and remove pages; control the membership of the Glow Group and set appropriate access permissions for members; create sub-groups within the Glow Group. Tick in the box on the appropriate row and column to select the group and set their level of access permissions. 10 4. If you want to add individual members rather than groups, click on the Users tab. To search for specific users in your own establishment: In the Find User(s) field enter the user s surname, select an appropriate group from the in drop-down menu, then click Go. Alternatively select a group from the in drop-down menu and click Go. To search for specific users in other establishments: First select the establishment from the drop-down menu, then enter the user s surname and select an appropriate group, then click Go. Once the users names have been found, tick in the appropriate box to set the level of access permissions. Only one level should be selected for an individual; if more than one is selected, the highest level will apply. Click Save. 5. Click the Back to link in the top left hand corner of the screen to return to your Glow Group. The permissions you have set up will allow the chosen groups or individuals to access your Glow Group. For users within your school, the Glow Group can be accessed by clicking on My Glow groups on the left-hand navigation bar. If the Glow Group includes a user from outwith your own school they will not see the Glow Group listed in the My Glow groups link. the URL (web address) of the Glow Group to the user; clicking the URL will take the user directly to the Glow Group. The URL could then be stored in the Web links web part in My Glow for ease of access in future. Currently the Glow Group contains no information. The Glow Groups Training Guide explains in detail how to use a Glow Group for example to add news, web links, discussions, images and documents appropriate for a learning and teaching context. 11 Tutorial 2 Setting up Glow Chat The purpose of this tutorial is to demonstrate how to add the Glow Chat web part to your Glow Group and how to configure it. In this tutorial you will: Add the Glow Chat web part to a Glow Group Create a chat room Set user roles in the chat room Adding the Glow Chat web part 1. Log on to Glow and in the left-hand navigation bar click on My Glow groups. 2. Click on the name of the Glow Group you created in Tutorial Once you have selected an appropriate page within your Glow Group, at the right hand side of the page click on Modify Shared Page. 4. Click on Add Web Parts then on Browse. 5. The Add Web Parts menu will appear. Click on Virtual Server Gallery. Author: Glow Team Page 11 of 30 Ref: GC260_v1.1
12 6. Scroll through the menu and select Glow Chat. Drag it into one of the marked areas of the page outlined in grey (either an empty area or an area which already holds web parts). 7. Click on the cross to close the Add Web Part menu. The Glow Chat web part will appear on the Glow Group page. Creating the chat room 1. In the Glow Chat web part click Manage Chat Rooms. 2. 13 3. Enter a name for the chat room. 4. Add a description this is not mandatory, but can be useful for members to understand the purpose of the chat room. 5. The Max Message Length is set by default at 500 and can be altered to suit. 6. Decide whether the chat room should be moderated. The options are either: Click on the box next to Messages sent to this Chat Room must be moderated : this creates a moderated chat room, where a moderator can control when users have access to a chat room and how they use it. Details on different levels of moderation are given in Tutorials 3 and 4. Alternatively, leave the box blank: this will create an unmoderated chat room. No one person will be in control of the chat room and users will be able to access the chat room at any time. Further detail on unmoderated chat rooms is given in Tutorial Click Save and Close. 14 Setting users roles in the chat room 1. Listed in the Manage Users screen are the groups and individuals who belong to the Glow Group with the Glow Group itself appearing first in the list. Each can be given a role in the chat room. The options are: No role: this option can be set for individuals or groups. Users remain members of the Glow Group but do not have access to the chat room. Inherit most powerful from groups: this option is only available for named individuals. The user will inherit the highest role set for any group(s) they belong to within the chat room. Contributing user: this option can be set for individuals or groups. Users can take part in the chat room. Read-only user: this option can be set for individuals or groups. Users can only read the content of the chat room. Moderator: this option can be set for individuals or groups (although only one user can act as the moderator in a room at any one time). Users can moderate the contents of the chat room. If you have created a moderated room, then you must select at least one user to act as the moderator. Click on the down arrow in the Role in Room column and set the appropriate role for each group or individual. Then click Save and Close. 2. Click on the Back to link at the top left hand corner of the screen. You have now created and configured a chat room within your Glow Group and it is ready to use with the allocated members. It is possible to have more than one chat room set up within a single Glow Group, so that members can participate in a number of chat rooms, perhaps on different themes. If you want to add further chat rooms to your Glow Group, simply repeat the instructions in Creating the chat room and Setting users roles in the chat room in this tutorial. It is possible at any stage to make changes to the set up of the chat room, for example to modify the name or description, the moderation option or users roles. 15 Modifying the set up of a chat room 1. From the Glow Chat web part in the Glow Group click Manage Chat Rooms. To change the name, description or whether the chat room is moderated, click on the icon in the Configure column. This will return you to the Configure Chat Room screen, as described earlier in this tutorial. After you have made any changes to the chat room click Save and Close. This will return you to the Manage Chat Rooms screen. To change users roles, click on the icon in the Users column. This will return you to the Manage Users screen, as described earlier in this tutorial. After you have made any changes to the members role in the room click Save and Close. This will return you to the Manage Chat Rooms screen again. Please note that if you make any changes whilst the user is participating in a chat session then this will not take effect until they have left this session and re-entered. If you wish to delete the chat room, click on the icon in the Delete column, click in the checkbox and then click Delete Chat Room. Click the Back to link to return to the Glow Group. 16 Tutorial 3 Basic moderation The purpose of this tutorial is to demonstrate the functionality of Glow Chat to prepare you for using it with other Glow users. In this tutorial you will: Join a Glow Chat session Send a message Moderate Glow Chat, including ejecting and banning users Leave a Glow Chat Session Before using this tutorial ensure that you have created a moderated chat room (see Tutorial 2, if necessary). Moderating a Glow Chat session 1. Log on to Glow and in the left-hand navigation bar click on My Glow groups. 2. Select the Glow Group in which you have set up a chat room. 3. From the Glow Chat web part click Join Chat. 4. In the list of chat room(s) click on the appropriate icon in the Join column. 5. After a short pause the chat room window will open (if a security message is shown, click Run). If the chat room has been created as a moderated room and you have moderator rights, then the following options will be displayed at the bottom of the screen. If several users have been allocated the role of moderator then whoever accepts first will be the moderator for that session. Select Basic Moderation, then click Accept Moderation. 17 Note that while other users may enter a moderated chat room without a moderator being present they will be unable to post messages until a moderator joins. This is a very useful feature for controlling when a chat room is used. 18 Sending a message: 1. Type a message in the message window and then click Send Message. The message will appear on your screen and on the screens of all other participants currently in the chat room. Please note, that unsuitable words in a message will cause the message to be rejected within a chat room according to the level of banned word filtering that was originally set when the Glow Group was created. Sending a private message to another user: Only the moderator has the ability to send private messages to other users. 1. On the left-hand side of the chat screen click the Users tab and then on the name of the user you want to send a message to. 2. Click on Private Message. A Send Private Message window will appear. 3. Type a message in the Send Private Message window and then click Send Private. 4. The private message appears only on the screen of the moderator and the intended recipient, but is not displayed to any other users. Finding information about chat room users: 1. On the left-hand side of the chat screen click the Users tab. 2. Click on the name of the user and then click on Info. 3. The user s profile will be displayed in a separate window. Close the window to return to the Chat screen. Ejecting a user: 1. On the left-hand side of the chat screen click the Users tab. 2. Click on the name of the user you want to eject. 3. A message that the user has been ejected is displayed on all users screens. 4. The user may immediately re-join the room, by clicking on the Join button on the left-hand side of the Chat screen. Banning a user: 1. On the left-hand side of the chat screen click the Users tab. 2. Click on the name of the user you want to ban. 3. Click on Ban from the bottom of the screen. 19 4. A message that the user has been banned is displayed on all users screens. The user can not re-join, until you as moderator allow. Permitting a banned user to re-join the chat room: There are two methods of permitting a banned user to rejoin the chat room. You need to exit from the chat room in order to re-instate a banned user. Either: 1. From the Glow Chat web part on the Glow Group page click Join Chat. 2. Click on view/remove user bans. 3. A list of users currently banned from the chat room is displayed. Click on the tick next to a user s name in order to remove the ban. 4. Click Save and Close. or: 1. From the Glow Chat web part on the Glow Group click on Manage Chat Rooms. 2. Click on Users. 3. Remove the tick from the Banned check box. 4. Click Save and Close. Switching between chat rooms: If more than one chat room has been created within the same Glow Group it is possible for users to switch between the different rooms. If a moderator switches chat rooms the participants of the original chat room will not be able to chat until a moderator is present. 1. On the left-hand side of the Chat screen click the Chat Rooms tab. 2. From the list of chat rooms click on the name of the room you want to join. 3. Click on the Join button at the bottom of the screen. Stopping moderation: A moderator can choose to stop moderating a room at any time. Other users will be able to remain in the chat room but will be unable to post any new messages until the moderator starts moderating again, or a new moderator enters the room and takes over the role. 20 1. At the bottom of the chat screen click Stop Moderation. A message will be displayed to all users in the room. Leaving a chat room When the moderator leaves a moderated chat room other users can remain in the chat room to read messages but will not be able to post any further messages until a moderator returns. 1. On the left-hand side of the Chat screen click the Chat Rooms tab. 2. 21 Tutorial 4 Full moderation The purpose of this tutorial is to demonstrate full moderation mode in Glow Chat. In this tutorial you will: Join a Glow Chat session Send a message Moderate Glow Chat, including accepting and rejecting messages Leave a Glow Chat Session. Before using this tutorial ensure that you have created a moderated chat room (see Tutorial 2, if necessary). Moderating a Glow Chat session 1. Log on to Glow and in the left-hand navigation bar click on My Glow groups. 2. Select the Glow Group in which you have set up a chat room. 3. From the Glow Chat web part click Join Chat. 4. In the list of chat room(s) click on the appropriate icon in the Join column. 5. The chat room window will open. If the chat room has been created as a moderated room and you have moderator rights, then the following options will be displayed at the bottom of the screen. Select Full Moderation, then click Accept Moderation. The chat room is now active until the moderator leaves the room or stops moderating. Accepting and rejecting messages: When users send messages they will initially be displayed only to the moderator, who can then choose either to accept or reject them. 1. Messages from other users will appear in the bottom section of the moderator s screen. To approve a message click on the message and then click Accept Message. The message will then be visible to all other users in the chat room. 2. To reject a user s message click on the message and then click on Reject Message. The message will then be returned to the user with the comment that it has been rejected. 3. Messages can be accepted and rejected in any order. Accepted messages will be displayed in the order in which they were accepted. Sending a private message to another user: Only the moderator has the ability to send private messages to other users. 1. On the left-hand side of the chat screen click the Users tab and then on the name of the user you want to send a message to. 2. Click on Private Message. A Send Private Message window will appear. 3. Type a message in the Send Private Message window and then click Send Private. 4. The private message appears on the moderator s and recipient s screens in blue, but is not displayed to any other users. Finding information about chat room users: 1. On the left-hand side of the chat screen click the Users tab. 2. Click on the name of the user and then click on Info. 3. The user s profile will be displayed in a separate window. 26 Tutorial 5 Unmoderated chat The purpose of this tutorial is to demonstrate the working of an unmoderated chat room. In this tutorial you will: Join a Glow Chat session Send a message Leave a Glow Chat Session. Before using this tutorial ensure that you have created an unmoderated chat room (see page 13, if necessary). Participating in an unmoderated chat session 1. Log on to Glow and in the left-hand navigation bar click on My Glow groups. 2. Select the Glow Group in which you have set up a chat room. 3. From the Glow Chat web part click Join Chat. 4. In the list of chat room(s) click on the appropriate icon in the Join column. 5. The chat room window will open. Note that in an unmoderated chat room no user is in charge. Any user may enter at any time and no moderation facilities, such as ejecting or banning users, are available. However, messages are recorded and can be viewed or saved, if required. 28 Leaving a chat room: Note that leaving an unmoderated chat room has no effect on other users, as occurs when a moderator leaves a moderated room. Users may continue to read and post messages. 1. On the left-hand side of the Chat screen click the Chat Rooms tab. 2. Click the Leave button at the bottom of the screen, then click the Back to link at the top left corner of the screen to return to the Glow Group. Please note, if you want to prevent users having access to an unmoderated chat room outside of the times you are running a session you could change it to be moderated using the Manage Chat Rooms link. 29 Tutorial 6 Viewing and saving transcripts The purpose of this tutorial is to demonstrate how to view and save a transcript from a chat room session. Please note only an administrator of the Glow Group in which the chat room has been created can view the transcript. In this tutorial you will: View a transcript for a chat room Save a transcript for a chat room All chat room sessions are recorded and the transcripts are kept for a period of seven days. These can be viewed onscreen or saved for future reference. Viewing and saving a chat room transcript 1. Log on to Glow and in the left-hand navigation bar click on My Glow groups. 2. Select the Glow Group in which you have set up a chat room. 3. From the Glow Chat web part click Join Chat. 4. In the list of chat room(s) click the icon in the Transcripts column. 30 5. In the Transcript Date field enter the date for which you want to view the transcript; alternatively, click the calendar icon, select the date and click OK. 6. In the Start time and End time fields use the drop-down menus to set the times. Keep the time interval for the transcript as short as possible to reduce the time needed to create the transcript. 7. Click either on View Transcript or Save Transcript 8. If you chose to view the transcript click the Back to link at the top-left hand corner of the screen to return to the Glow Group page. 9. If you chose to save the transcript, click Save on the File Download window, navigate to a suitable location to save the file and then click Save. Click Close if a Download complete message is displayed and finally click on the Back to link at the top-left hand corner of the screen to return to the Glow Group page. Summary Having completed the tutorials in this guide you have learnt to use Glow Chat. You are now able to: Add and configure the Glow Chat web part Create the Glow Chat room Set users roles within the room Participate in unmoderated chat Moderate a Glow Chat session at both basic and full levels Eject and ban users from chat rooms View and save transcripts of chat sessions For additional information see Glow help, which can be accessed by clicking the link at the bottom of most screens within Glow, or by clicking Help on the dropdown menu on individual web parts.
