Explorers Club Breakfast and After School Care WELCOME PACK Welcome to the Explorers Club! Explorers Club is committed to working with parents and carers to provide safe, stimulating and enjoyable childcare for children in years 1-6 who attend Epsom Primary School. We aim to help parents to balance work commitments and family life by providing convenient, affordable and high quality breakfast and after school care during school term time. Our two clubs are known as Early Explorers for Breakfast and Late Explorers After School Club. NEW from September 2013: Early Explorers offers a new healthy breakfast menu. Late Explorers provides a home-cooked meal at 4.45pm, as well as a healthy snack on arrival. Children will be able to choose a fresh, healthy meal on a daily basis.

Location: The club is held onsite at school, in the Explorers Room. Explorers Room is self contained room with kitchen and toilet facilities. We have use of the main hall and also the outside school playground. We are located next to the staff car park. The entrance to the club is via the gate by the car park. Please press the intercom button for attention and we will answer as soon as possible. If there is no reply it may be that we are in another part of the school i.e. using the hall or out on the field if this is the case please call our mobile no which is Club opening times: The club is open Monday to Friday during school term times, except for INSET days when the club will be closed. The Early Explorers Club (Breakfast) runs from 7.30am until 8.35am. The Late Explorers Club (Afterschool) runs from 3.15 until 6.00pm. Who can attend? The club is open to children aged 5-11 years old (school years 1-6) that attend Epsom Primary School. Places are allocated in line with our admissions policy. If there is a greater demand for places than those available, a waiting list will be operated. We currently have 24 places at both breakfast and afterschool club. Booking arrangements Before you can book a place at the club you must register your child by completing a registration form. Please state at the time of completing these forms which days you would like your child to attend.

Subject to availability, you can also book extra / occasional / one-off sessions. This must be done by contacting the club and speaking to a member of staff who will confirm if a place is available for that session. You can also leave a message on our club phone and we will contact you back. If you request an occasional session and then do not use it you will still be expected to pay for it. Ideally payment for extra / occasional sessions should be made at the time of booking or at the very latest when your child attends the session. Giving Notice: If you no longer require a place for your child at either of the Explorers clubs, you must give one months notice in writing and fees will be payable during this notice period whether or not your child still attends. Fees and payment: Early Explorers: 4.00 per session. Late Explorers: per session for 1 hour session If your child is attending either Late or Early Explorers Club on regular days each week then please pay monthly. An invoice will be issued the 3 rd week in the month to you. If your child attends both clubs you will receive one invoice for both clubs. Full payment should be made By the end of that month. Cheques made payable to Epsom Primary School or you can use Childcare Vouchers. If your child is absent from the club for any reason on the days they are booked in for, you will still be charged for those days. We do not charge for INSET days Late collection fee at Late Explorers Club: A late collection fee will be charged if you are regularly late to pick up your child after 6pm. 5 will be charged for every 5 minutes you are late. This will be added to your invoice for the following month.

Please can parents/carers make a point of picking up their children on time. It is upsetting for the child if you are late and also puts the staff at the club in a difficult situation. If you know you are running late please inform staff by ringing the club no Complaints: We hope that you will be happy with the service that we provide. However, should you wish to make a complaint, a copy of our complaints policy is displayed in the club. Our policy follows a simple process. In the first instance we encourage you to discuss your complaint with the club manager who should be able to respond to your concerns. If you are not happy then we would like you to put your complaint in writing. We will acknowledge your complaint as soon as possible. The complaint will be fully investigated within 14 days. If you are not satisfied with the outcome the club manager will pass the matter to senior management. As a last resort you can submit your complaint to OFSTED who will investigate it as the regulator for childcare provision. Activities: We offer a varied programme of activities including: Creative activities Construction activities Videos and computer Cooking Gardening/picnics Role play area Indoor and outdoor physical play Quiet corner/books Themed activities Organised activities will be on offer but the emphasis is on childcentred and self-directed play. Children can choose their own resources/equipment to play with from our easy access storage system. At both Late and Early Explorers club children have the opportunity to do any homework from school, if they so wish to.

Staying Safe Accidents and emergencies: If your child becomes ill during a club session, every attempt will be made to contact one of the people listed on the registration form to arrange for your child to be collected. Your child will be cared for until someone collects them. In the case of a minor accident, basic first aid will be administered. In the case of an accident requiring more than first aid, every attempt will be made to contact you to discuss the course of action to be taken. All accidents and emergencies are entered in the Accident Book/Incident Book. Supervision and collection: Children are supervised by staff at all times during club hours, until they are collected by you ( or named substitute ). The ratio of staff to children complies with Ofsted regulations. You must give written permission if you wish a child to go home unaccompanied ( Y6 children only ) The infants are supervised on their way from club to school or school to club. The Juniors make their own way to the club/school. Your child is welcome to join a session after they have attended clubs/after school activities. In such cases, the whole session fee will be charged as we have to staff the whole session even though your child only attends the latter part. Please notify staff in advance if anyone different is collecting your child, even if they are a relative. You will need to write this in our parent diary. The club has a password system. If someone other than a parent/carer collects your child you will have to let them know the password. The password will be told to you when you register your child.

The Explorers Club Aims The aims of the Explorers Club at Epsom Primary School are: To provide all parents with children aged 5 to 11 years of age the opportunity of attending the Breakfast and Afterschool Club. To provide a happy and welcoming environment. To provide a high standard of care. To provide fun, stimulating and exciting activities for all children attending the club. To provide a quiet place for those pupils who want to do homework. To encourage and improve social interaction at mealtimes. To encourage children to understand the importance of eating healthy foods. To encourage the children to be responsible and helpful. To encourage positive behaviour, concentration, and a feeling of well being. To provide a positive start and end to the school day. To provide a service for the community. A copy of our policies and procedures is available at the club for you to read or refer to
