1 Job Description Job title: Digitisation Project Coordinator (0.5 FTE, 2 years) Department/School: Library Grade: 6 Location: Archives & Research Collection, Room 4.13, Library Job purpose The post-holder will be responsible for the management, administration and delivery of the University of Bath Film Archive Digitisation Project digitising and cataloguing a collection of over 1,200 institutional films to facilitate ease of access and ensure longterm preservation. Through effective collaboration with internal stakeholders and external service providers the post-holder will develop and implement strategies to maximise the efficacy of the film archive as a resource for the University community into the future. Source and nature of management provided University Archivist and Records Manager Staff management responsibility Occasional Erasmus or work placement students/volunteers. Career and Professional Development Activities From time to time you may be asked to assist in the facilitation of CPD activities. This will form part of your substantive role and you will not receive additional payment for these activities. Special conditions This role may entail work with heavy/cumbersome archival materials requiring moderate lifting ability. 1

2 Main duties and responsibilities To take overall responsibility for the running of the project, developing the efficient workflow of various project processes, managing budgetary requirements and producing progress reports for the University Archivist and Records Manager and the Deputy Vice-Chancellor as required. To use previous project management expertise to develop a project plan, schedule and appropriate procedures. To develop and implement a preservation strategy for the archive, engaging with relevant stakeholders and working to identify and manage risk appropriately. To liaise with commercial digitisation service providers and institute quality control monitoring at all stages of the project. To apply knowledge of internationally recognised technical and archival standards, including ISAD(G), to produce an accessible, reliable and accurate catalogue of the University s film archive. To design and use suitable metadata and classification schemes for the project that are based on current best practices. To apply professional expertise to appraise and select material for digitisation and carry out appropriate checks as to the material s potential sensitivity, acting on defined and agreed project guidelines. To liaise with IT staff in relation to technical procedures and the acquisition and maintenance of equipment, software and storage. To participate regularly in group meetings and prepare and deliver presentations to internal and external audiences. To keep up to date with new developments in relevant techniques, equipment and standards and to develop links with other archives and professional groups, representing the University in these forums. To undertake other duties of a similar nature as reasonably required by the University Archivist and Records Manager. 2

3 Person Specification Criteria Essential Desirable Assessed by Qualifications Experience/Knowledge Skills Attributes Postgraduate degree in archive administration or other relevant subject area or equivalent experience Demonstrated depth and breadth of specialist archival or library cataloguing and metadata knowledge Experience managing similar projects and delivering high quality outputs on time and within budget Significant professional relevant experience of working with digital material in an archive repository, library or records centre Strong IT skills and technical competence in using standard PC applications including Access databases Excellent verbal, interpersonal and written communication skills Ability to organise own workloads and work independently towards the completion of tasks and to meet deadlines Familiarity with the organisation and history of the University A/F I/T R Demonstrable research skills Ability to follow and apply professional and local procedures and guidelines Ability to operate effectively in a busy environment and work co-operatively in a team and collaboratively across the wider community Display a versatile, adaptable and enthusiastic attitude Ability to adopt a flexible approach and adapt to new working practices as necessary High level of accuracy and attention to detail 3
