2 Kia ora, Kiwi Link Greater China is a trade training event that provides the New Zealand industry with a unique opportunity to establish and educate staff of wholesale and retail travel companies and airlines selling New Zealand throughout China. Kiwi Link China provides the New Zealand industry with: A targeted audience of travel companies consisting of key wholesalers and retailers with varying skill levels An opportunity to increase the product knowledge of the audience An opportunity to instill a sense of confidence and the motivation to sell New Zealand and your product or region A further opportunity to meet with Product Managers as a follow up Depending on application numbers we may introduce a pre-scheduled appointment matching system (similar to TRENZ). This will allow you to select who you want to meet with but also means you may not meet with every buyer. On confirmation of a successful application for Kiwi Link Greater China, Tourism New Zealand will issue an event guide to all suppliers outlining the event schedule and preparation requirements. Tourism New Zealand will also undertake to secure industry support for airfares to China. This document contains valuable information about the event including objectives and format. Please take note of the critical dates as the success of Kiwi Link Greater China is dependent on meeting these deadlines. Final participation is at Tourism New Zealand s discretion and is subject to the guidelines outlined in the terms and conditions. Tourism New Zealand welcomes your registration. Please also note that following Kiwi Link, Tourism New Zealand is also holding the China Frontline Training Roadshow from 30 October 6 November. 4 PARTICIPATION FEES Delegate one: NZ $3, Delegate two: NZ $2, IMA Delegate one: NZ $1, IMA Delegate two: NZ $2, Booth Design (optional): NZ $ (pre-printed image on back of booth) Note: Delegate two will not have their own appointment schedule - they must work in-conjunction with Delegate one. This price includes: Participation for your company at the workshop events Contribution towards the event, venue hire and technical requirements etc. All refreshments and catering requirements for the travel agents who attend the workshops Design and distribution of all invitations Management of RSVPs Full database of all workshop attendees (upon completion the event) Tea breaks and lunches during the events, drinks and canapés at the networking Four nights accommodation in Beijing Scheduling software (if required) This price does not include: Domestic or international air travel arrangements and related expenses (such as travel insurance) AV hire from hotel such as projector Freight and customs duties for brochures Translator (but can be arranged if required) All additional arrangements and costs are the responsibility of the participant. IMA PARTICIPATION FEE As per the IMA Memorandum of Understanding TNZ has with RTONZ, Tourism New Zealand will waive the event registration fee for one representative per IMA. All travel arrangements; accommodation and meal costs for that person will remain the responsibility of the IMA. One additional representation per IMA can participate at the additional delegate fee, but will be required to share the allotted appointment schedule. The IMA representative subsidized by Tourism New Zealand will be responsible for representing all regions within their IMA whilst at the events. Kiwi Link Greater China

5 PAYMENT AND CANCELLATION POLICIES Registration documentation is due no later than 26 June. Tourism New Zealand will confirm participation by 10 July. Payment is due no later than 31 July Cancellation Fees Cancellation by Tourism New Zealand: If, at any time following acceptance of your application but prior to the Event: Tourism New Zealand considers that you cease to satisfy any of the criteria or have otherwise breached these terms and conditions; Tourism New Zealand reasonably considers that it is no longer appropriate for you to participate in the event; or you fail to pay the participation fee to Tourism New Zealand by the due date for payment specified by Tourism New Zealand, Tourism New Zealand may, in its sole discretion, by notice in writing, withdraw its acceptance of your application and cancel your right to participate in the event without incurring any liability to you or any third party. Cancellation of your participation in the event by Tourism New Zealand will have immediate effect on receipt of such notice. Cancellation by you: Please refer to the critical dates for cancellation timings. All cancellations must be made in writing. SELECTION CRITERIA AND PROCESS There will be a limited number of places available for New Zealand companies. Applications to attend are due by 26 June however we encourage you to apply as soon as possible as a first come first served basis may apply for acceptance (presuming all conditions of the TNZ participation criteria are met). This event is suited to companies that: offer wholesale commission rates have participated in TRENZ have established in-market relationships have products already sold/brochured by Chinese wholesalers Participation criteria - You may only apply to participate at this Event if: a your Product/Service falls into one of the following Qualmark categories and evidence can be shown that such Product/Service has achieved Qualmark accreditation: o Star Graded Accommodation; o Star Graded Venue; o Endorsed Visitor Activity; o Endorsed Visitor Transport; o Endorsed Visitor Service; o Endorsed Inbound Tour Operator; o Endorsed Visitor Information Centre; or Kiwi Link Greater China

6 b your Product/Service has achieved, and you can show evidence of, an independent accreditation under a third party quality rating system for your Product/Service which: i has an appropriately documented assessment framework; and ii is recognised nationally and/or internationally; and iii has a robust and frequent assessment process that is provided by a third party accreditation provider; or you are an International Marketing Alliance (IMA), touring route, Regional Tourism Organisation (RTO), other marketing group or national association; or you are an airline with established routes to New Zealand. HOW DO I REGISTER? Please complete and submit the online application form. On submission, you will receive an automated confirming your application has been received. If you do not receive this , please contact Tania Stevenson, Trade Events Manager at tania.stevenson@tnz.govt.nz Note: You must confirm that you have read and agree to the Tourism New Zealand event terms and conditions by ticking the box at the bottom of the online event registration form. Acceptance: Consideration and acceptance of your application to participate at the event is at the sole discretion of Tourism New Zealand. Tourism New Zealand is under no obligation to provide you with any reasons for their acceptance or rejection of your application. Selection criteria: Without limiting the preceding paragraph entitled Acceptance, your application to participate at the Event will be assessed using one or more of the following criteria: the consistency of your application and your Product/Service with the objectives of the Event and Tourism New Zealand the consistency of your application and Product/Service with Tourism New Zealand s Event objectives and statutory obligations the need to have an appropriately diverse selection of Products at the Event the order in which your application is received within the application timeframe eg: first come first served evidence of an independent accreditation under a third party quality rating system, which is widely recognised nationally and/or internationally for its robust assessment process, for example Qualmark the availability of information about your Product/Service over the Internet and by and the quality of such information where relevant, the ability of your Product/Service to be booked and commission paid in respect of your Product/Service at the appropriate industry levels and relevant to the distribution system used your involvement with Tourism New Zealand s marketing programmes, including but not limited to the international media programme evidence of international marketing of your Product/Service in relevant markets by you or via offshore travel sellers Kiwi Link Greater China

7 the availability of the relevant retail and wholesale rates for your Product/Service at the start of the Event your financial and industry performance any other criteria that Tourism New Zealand considers relevant to the selection of Product/Services for participation at the Event. FORMAT AND LOCATION Format Each New Zealand company will have the opportunity to meet one-on-one with representatives from the key travel companies in the marketplace (i.e. your company and one China, Hong Kong or Taiwan company at a time). Each New Zealand seller will have their own booth. Travel sellers will rotate between the booths on a pre scheduled appointment basis. It is anticipated that you will meet with up to 90 companies over three days. There is the option to have an image pre-printed on your booth. If you would like this option, please indicate at the time of registration. The cost will be NZ$ Further information will be provided to successful applicants. Should there be such a high demand of delegates for this event we will look into an appointment system. This will allow you to select who you want to meet with and also means you may not meet with every buyer. If you plan to participate in the Frontline Training, please note that you need to apply separately by completing a separate application form. If you would like to arrive early or extend your stay in Beijing at the China World Hotel, please contact reservation at China World Hotel reservations.cwh@shangri-la.com and let them know you are in the TNZ group booking. Please note any additional nights accommodation will need to be settled upon check out. INTERNATIONAL FLIGHTS Tourism New Zealand will seek industry airfare support for this event. Booking information will be sent to all confirmed participants as soon as these become available. VISA FEES Visas are the responsibility of the participants attending the event. Participants should confirm their individual visa requirements for each country prior to departure. Kiwi Link Greater China

9 TRANSFERS Tourism New Zealand will confirm airport/hotel transfers for participants arriving into Beijing closer to the event. Please note transfers will only be provided for specific flight arrivals i.e. not all arrival will be met. ACCOMMODATION China World Hotel No.1 Jianguomenwai Avenue Beijing China Four nights accommodation (26/27/28/29 October 2015) are included in your registration fee. There is no reduction in your registration fee if you choose to stay elsewhere. If you are arriving early or staying later you will need to contact the hotel directly to book additional nights. MATERIALS REQUIRED It is suggested that you bring: Minimum of 100 brochures* Ample supply of business cards * Surplus material will be taken by Tourism New Zealand in Shanghai. New Zealand participants can present their product in any format they wish, however there are a number of points to consider when developing your presentation. Keep it simple. Remember that travel trade representatives will see up to numerous products/suppliers each day, so attempt to make your content dynamic, interesting, relevant and new. Display units or pull up banners to dress your booth. Most venues do not allow posters to be put up on walls. TRANSLATOR SERVICE While a level of English is spoken and understood, having your collateral available in Chinese will be a big plus and well received. If you do not speak Chinese it is recommended that you have a translator. For those who indicated they would like a Chinese translator at the time of registration, we will coordinate this for you and provide you with your allocated translators contact details by 12 October. Please send your presentation material to your translator so they can gain some basic knowledge about your product beforehand. A translator will cost approximately NZD $600 for three day services and payment made directly to your translator. Please have cash prepared. Kiwi Link Greater China

10 PRIZES AND GAMES At previous trade events New Zealand tourism providers have shown their appreciation and support of the China market by offering product as a prize. If you wish to contribute a prize for the prize draw, please supply ONE entitlement letter as follows: Descriptions of actual prize How to redeem the prize Terms and Conditions Each letter must be in a separate envelope on company letterhead Each envelope must clearly state what the prize is and who it is from BROCHURE SHIPMENT Tourism New Zealand will not coordinate or subsidise collateral shipment for this event. We recommend Gateway Express International from New Zealand to China. It is at your discretion whether you choose to utilise this service or make independent arrangements, however should you choose to do so, please contact Pete at Gateway Express International Ltd (pete@gatewayexpress.co.nz or ) to obtain the correct custom documentation to complete prior to sending your items to them. The deadline for collateral to arrive at Gateway distribution house is Friday 18 September This allows for the freighting time and the clearing of customs on arrival. Gateway Express will consolidate all New Zealand Industry brochures to make the best use of air freight opportunities. You will be invoiced separately for your portion of the freighting cost and for customs duties and clearance charges in China. This will be based on the total weight of your shipment. 11 Please do not send any soft toys, CD or DVDs in your package as it is highly possible that goods will be confiscated and delay the clearing process. Goods should also be marked Promotional brochures only, free distribution - Not for Resale If you wish to ship your brochures independently to Shanghai, please ensure that they arrive by 30 September at the latest (allow a potential of one month in Customs). For brochures arriving independently please contact Tourism New Zealand to advise us to expect your material. Tourism New Zealand will arrange the onward shipping from Shanghai to Beijing. YOUR QUESTIONS ANSWERED Can we make appointments to see wholesalers / retailers pre or post Kiwi Link Greater China 2015? Yes. You have the option of arriving earlier into or leaving later from China giving you additional time to meet with current contacts you may have, or with Product Planners from the wholesalers / retailers that you meet during Kiwi Link Greater China Should you need assistance in arranging appointments, please contact Emily Lin. Those New Zealand delegates who plan to arrive early or stay on after Kiwi Link Greater China 2015 must make their own accommodation/transportation arrangements. HELPFUL HINTS AND ADDITIONAL INFORMATION The following are some ideas you may want to keep in mind when planning your trip. Key executive gifts: Small gifts/merchandising for each key executive i.e. pens, branded merchandising. But you will have to carry them with you rather than courier out as it is highly possible that goods will be confiscated and delay the clearing process. Money: It is recommended that participants travel with US Dollars and exchange these into RMB once in Beijing. It is recommended that all currency exchanges are completed at the airport or at any of the metropolitan banks. Always check commission rates in hotels before exchanging money. Credit Cards: All major Credit Cards are accepted in China. It is recommended that either Visa or MasterCard be carried, sometimes, American Express may not be accepted in some places. Please ensure that all limits have been confirmed prior to departure from New Zealand to avoid the possibility of problems occurring. Meals and Incidentals: All meals and incidentals will be the responsibility of each delegate. It would be recommended that you budget approximately US$50 per day. Tipping: Tips are not included in your participation fee. Telephone calls: Telephone calls from your hotel room are very expensive. Hotel charges for direct calls to New Zealand can be up to US$10 per minute. Cell Phones: Vodafone (021) mobile phones DO work in China Weather: Temperatures in October in Beijing could be low. Tourism New Zealand does not provide for any indemnity for loss or injury suffered by participants while in China. We recommend that you purchase a comprehensive medical and travel insurance policy prior to departure.
