5 Why we need you! WHY YOU NEED US! Raise all the money your Unit needs to fund their entire year with one product sale as their only fundraiser! Product sales returns 70% of the money raised to assist in support of your Pack, Troop, or Crew and the East Carolina Council! The Ideal Year of Scouting will help you achieve your Unit s dreams in Scouting and get more parents involved in the program Proven Product Quality with 2 out of 3 people buying when asked and 92% of customers saying they would buy again! 6 No More Excuses, We Take Cards and we have an APP You can still use the Square Readers and collect money directly into your unit account, but there is not a discount. The Trails End app will allow units to track sales and take payments directly. 6

10 Inventory, Returns and Payment Product Inventory All popcorn ordered from Trail s End cannot be returned so it becomes the property of the East Carolina Council. Returned popcorn is used to fill Take Orders. In order to maintain the current commission structure, we are asking for your help by limiting your returns to less than 25% of your original Show & Sell order. The steps below will help reduce the amount of returns: Order your popcorn based on last year s sale and changes on your Unit membership Look at your sales plan. Do you have more or less sale sites lined up than you had last year? Have a pickup/return and money turn in day to help you see who is selling and redistribute the popcorn to the families who are selling. Council s Return Policy and Procedures Show and Sale Return date is Monday, November 7th by noon NO LATE RETURNS ACCEPTED Show and Sale returns returned on or before November 11 th to Council Office or District Kernel No Exceptions ONLY FULL CASES WILL BE ACCEPTED. Returned product must be in its correct case and in SELLABLE condition. Damaged products not accepted. No more than 25% of original Show & Sale order can be returned. (extenuating circumstances will be reviewed on a case by case basis) Council Payment Policy & Procedures Print your Trail s End Unit invoice (available in the Popcorn System under reports) before you make a payment. Payment is due before or on December 9th. Review the Trail s End invoice completely including every line item to confirm that all of your orders/ returns are correct. Contact Julie Sanderson at Julie.sanderson@scouting.org immediately if you find a discrepancy. Credit card payments, multiple checks from your customers, or checks made payable to units cannot be accepted as payment for a unit s popcorn bill. Prize and incentive orders will not be released for shipping until the unit s invoice is paid in full and processed by the council. Invoices are due in full on or before December 9 th. If payment is not received before or on December 9 th there will be a 5% deduction in unit commission. 10
11 Do s and Don ts When Selling Scout Tips for a Successful Popcorn Sale in 2016 KNOW YOUR UNIT POPCORN GOAL AND CREATE YOUR PLAN TO ACHIEVE YOUR GOAL. SET UP YOUR ACCOUNT TO SELL POPCORN ONLINE. Verify your account information is linked to East Carolina Council and the correct District & Unit. Send requests to family and friends. Tip: Send the first to yourself, and then forward one you customize making sure it contains your link so they can buy from you. ALWAYS wear your uniform. Everybody loves to support a Scout in uniform. WEAR a smile and introduce yourself. ALWAYS act like a Scout and be polite and courteous. ALWAYS tell your customers why you are selling. ALWAYS sell in pairs or with an adult. NEVER sell after dark unless you are with an adult. ALWAYS walk on the sidewalk and driveway. NOT through the yard. WATCH for traffic. DON T carry large amounts of cash with you. NEVER enter anyone s house. REMEMBER to always have 2 pens with you and make sure you keep your Take-Order form as neat as possible. NOT every house will buy so do not become discouraged. KNOW all the different types of popcorn products you are selling. SUGGEST MILITARY DONATIONS. Remind individuals about military donations, especially if they state they have already purchased or not able to eat popcorn. KNOW the date when you will be delivering the popcorn to your customers. THE MORE PEOPLE YOU ASK - THE MORE PEOPLE WILL BUY. REMIND your parents, grandparents, aunts, uncles and neighbors what a great gift Trail s End Popcorn makes for teachers, friends, co-workers, etc. Also, let them know how quickly it runs out and to buy enough from you to last them until next year. ASK your friends at your place of worship if they would like to buy some Trail s End popcorn. WRITE a thank you note and place a copy of it on all the Trail s End popcorn you deliver and let everyone know how much you appreciate their support. (This will benefit you next year when you call on them.) Remember to say Thank You when you hand deliver it. KEEP your Take Order forms so you can call on these people again next year. People will remember how polite and courteous you were, the nice thank you note they received, and the Trail s End popcorn that they did not buy enough of! ALWAYS SAY THANK YOU! 11
12 Unit Commission Objective: It is the goal of the East Carolina Council to provide the most effective fundraising program to help units fund their entire annual program with just one fundraiser. We recognize there are other fundraising options, but nothing gives more back to Scouting than Trail s End Popcorn. Over 70% of the money raised stays locally within the East Carolina Council, helping our own youth with their ideal program. No other fundraiser can compare! Base Commission ALL units that sell popcorn this year earn 32% 3% Bonus Commission Option Units that reach there 2016 Unit Sales goal. (If you do not know your sales goal please contact your District Kernel) Unit sales goals are found by which ever is higher: A Units 2015 sale with a 6% increase in sells Or $125 per scout based on your June 30th 2016 numbers Online commission - 30% Commission for online sales. Online Sales can be viewed on your Trails End site and will be automatically deducted from your invoice. ***Please remember that if you do not pay your invoice on or before December 9th you Cash Donations will receive a 5% deduction in commission for your unit. *** Per BSA Policy on Fundraising, Units may not solicit cash donations for general use. However, while selling popcorn, cash donations are often received. Turn in donated cash in the form of Military Donation orders for every $30 received, report 1 thirty dollar Military Donation. WANT TO INCREASE YOUR INCOME & SUPPORT OUR TROOPS??? Put out a donation canister to collect change from purchases, loose change, and money from those not interested in buying popcorn. Most people will give to our soldiers even if they can t buy popcorn. 12

17 Council Incentives Very Important Popcorn Seller Sell $1000 The first $1000 each scout sells earn 2 tickets to the private showing in Greenville on December 17, 2016 at 9:00 AM (tentative date) Each additional $1000 earns an additional ticket. Plus the Top Seller Pin for Galactic Collection Patch Top 3 sellers in each unit that sell at least $650 will receive For Cub Scouts 50% off Cub Scout Day Camp in 2017 or For Boy Scouts 50% off one of Camp Boddie Merit Badge Weekend in The Unit Kernal is responsible of sending the Top 3 sellers in their unit by December 1st NO EXCEPTIONS to julie.sanderson@scouting.org and a voucher will be mailed or ed to that scouts parent. 17
18 Council Incentives If a youth sells at least $650 in popcorn then they will receive The Seller Club rocker from the Galactic Collection Patch And choose between a: Light Saber Or Hammock *Pictures may not represent the final exact prize distributed* If a scout has $100 or more in Military Donations they will receive a free Military 18
19 Council Incentives If a youth fills an entire order form up they will receive 2 free tickets to Lions Water Adventure in Kinston 1 additional ticket for each form filled Turn forms in as soon as you fill them up by ing or faxing them to julie.sanderson@scouting.org Prizes earned based on individual sales. No combining of sales with other Scouts including other family members. Sales at a Show and Sale booth do not count towards individual scout sales. Take order and Show and Deliver sales are counted towards scout s sales to get a scouts total amount sold. All prizes will be shipped to your unit leader when a unit invoice is paid in full. If a prize is no longer available a substitute of equal or greater value will be shipped. All orders must be on Council Prize order form and information must be filled out in its entirety. Forms will NOT be entered with partial information including totals. All Council Prize forms are due on November 11, Any prizes ordered after December 1, 2016 will not honored. NO EXCEPTIONS!!!! All Prize forms are to be sent to Julie Sanderson, julie.sanderson@scouting.org or faxed, or dropped off at the council office. 19
20 High Adventure Program Boy Scouts and Venturers who participate in the High Adventure and Jamboree Program earn 50% commission. The money they raise can ONLY used for the Pamlico Sea Base, a BSA National High Adventure Base, or the National Jamboree. Scouts participating in this program will not be eligible for prizes. Scouts must submit their order separate from their Troop or Crew. At the completion of the sale, the Scout submits the full amount of their gross sales to the East Carolina Council. In turn the East Carolina Council will create a custodial account in the Scout s name and deposit the 50% commission at the council office. The unit will receive no commission if you choose to sell High Adventure Popcorn. At the direction of the Scout, funds in the account can be used for approved High Adventure or Jamboree expenses. Money can be deposited into the custodial account every year. Money in the High Adventure account is non-refundable, non-transferable, and becomes property of the East Carolina Council on the Scouts 18 th birthday, or when his or her membership is not renewed. When a scout is ready to use this account for a High Adventure Camp they will need to do one of the following, send in proof of payment of amount requested and a check will be mailed to the scout or we can send a check directly to the camp with your information. 20

22 Unit Kick Off Tips A successful popcorn kickoff is the single most important part of your popcorn sale! Here is a kickoff plan to get you started. Customize your kickoff to suit your Unit. Objective: Get scouts excited about what they can win. Get parents informed about why they should sell. Keep it fun! Keep it moving! Keep it short! Preparation: Have a display and samples available. Link into the theme of 2016 prize program. Have a laptop and/or projector to show portions of the Trail's End PowerPoint found on Trailsend.com (Leaders Section). List on a poster or board how the funds raised through the popcorn sale will be used to enhance the Unit program. Have a chart with each scout's name and the Unit popcorn sales goal. Keep the gathering upbeat, fun, and informative! Suggested Agenda: Opening: Serve some samples, give away some prizes, play a popcorn related game, or get ideas from the Trail's End website. Review your Unit's Ideal Year of Scouting: Explain the activities, the costs, and how they relate to the Per Scout Sales Goal. Explain the Key Dates: Review the sale period, show and sell events and sign-ups, weekly reporting, and money collection. Cover any special incentives your Unit might be using. Provide a popcorn sale fact sheet that includes key dates and locations for the sale. Scout Training: Watch the "5 Ways to Sell" video on the Trails End website. Practice door-todoor approaches and review proper manners in talking to adults. Make sure each scout knows his goal. Prizes or Incentive Plan: Review the Council s prize program and Trails End Prize Program. If using some other incentive plan that best meets your needs, cover how that will work. The Big Finish: The year's top sellers might throw cream pies at their leaders, shave the Cub/ Scoutmaster's head or some other fun, non-destructive exciting experience. Send the Scouts home eager to be successful! Thank the Scouts and Families for helping to make the Unit a success. But most importantly remind them to HAVE FUN and be successful so that everyone will have the best Scouting program year ever! 22
