1 Poster & Student Poster Instructions Handbook American Planning Association 2016 National Planning Conference Phoenix, AZ Saturday, April 2 - Tuesday, April 5, 2016
2 Introduction Thank you for taking part in a poster session at the APA National Planning Conference. Posters are exhibited Sunday through Tuesday at noon. Important Information All posters must be put up on Saturday, April 2 before 4 pm. All poster displays are in the Planning Expo, which is located in room 300 North-B&C of the Phoenix Convention Center. Poster presenters must be at their posters on Monday, April 4, 2016 from 1:45 to 2:45 p.m. Posters must be removed on Tuesday, April 5 th no later than 12:00 p.m., or they will be discarded when the exhibit hall tears down. Conference Speaker Policies Every session, workshop, or poster MUST include at least one APA member who is a paid conference registrant. All moderators and speakers must be registered for the conference using one of the three options listed below. Speakers are allowed to speak in a maximum of two sessions. A session is defined as a general session, a division session, a local host committee session, a poster session, a fast and funny session or a deep dive. o A speaker may also participate in one additional learning theater presentation or facilitated discussion. o GIS workshop, training workshop, clinic, and mobile workshop speakers are exempt from this policy. Any deviation from this policy is at the sole discretion of the Director of Education. 2
3 Handouts March 23, 2016 Presenters may produce handouts for their poster, but are not required. Hand them out during the discussion time or attach them to the poster exhibit. There is no table on which to place handouts. APA does not reproduce handouts, nor does the Speaker Preview Room have a copier. Submit handouts by March 23, 2016 to speakerinfo@planning.org to have APA post your handouts on our website. You are strongly encouraged to post your handouts as a convenience for conference attendees. Communicating with APA Contact APA at speakerinfo@planning.org with any questions or concerns. Please make sure your spam filter accepts s from speakerinfo@planning.org. Copyright Compliance All presenters are responsible for abiding by copyright laws. APA is not responsible for material used in presentations which is in copyright violation. 1. You need permission to use others work and you must credit them. This includes photographs; diagrams; video clips; excerpted pages from codes or zoning regulations; any image found online; pictures; cartoons; product images; scanned copies or screen captures of printed materials; and any other image or document that has been created by someone other than you. This also pertains to conference handouts. Do not distribute written materials for which you have not obtained permission. 2. If you find an image or document that you would like to use, contact the creator or author! Because you are using the material for educational purposes, most people and organizations will not charge you for use of their intellectual property. 3. If you have been granted permission to use another's work, credit the author or creator using a text box in your presentation or on the handout. Include the author/creator's name and organization and be sure to note that the material is "used with permission." 4. 4 Creating a Successful Poster A successful poster provides a two-dimensional display that is visually engaging enough to stand on its own by incorporating images (graphs, maps, or other illustrations) with concise textual support. Poster Session Discussion Period Monday, April 4, 2016, 1:45 2:45 p.m. During the discussion period, presenters flesh out the visual aspect of the poster and engage attendees by answering questions and holding a dialogue. Poster sessions provide a more intimate forum for discussion and exchange than traditional sessions. Your poster should focus on planning issues, projects, plans, tools and techniques, research, or emerging issues that are relevant to the practicing planners and planning enthusiasts that attend the conference. Set Up and Tear Down Set Up 8:00 a.m. 4:00 p.m., Saturday, April 2, 2016 The poster display must be up by 9:00 a.m. on Sunday, April 3, 2016 Tear Down No later than 12:00 p.m. on Tuesday, April 5, 2016 You will be responsible for taking down your presentation by noon, if you wish to keep any part of it. Otherwise, it will be cleared and thrown out promptly at 12:00 p.m. Poster Display Basics Posters should be self-explanatory for viewing when you are not present. Your discussion during the poster session should focus on further amplification or explanation of the core ideas. Use lightweight, flexible poster board and laminate your finished product. We recommend that you have your poster laminated by a printing service so that you can roll it and carry it with you. Carry your poster in a poster tube. If you ship your poster, you must ship to the hotel in which you are staying. No shipments to the Georgia World Congress Center will be accepted. You will need to bring pushpins to attach your poster to the poster stand. Size of Poster Display Your poster should be 3 feet high by 7 feet, 6 inches wide. You can create your poster as one piece, using the 3 x 7 6 format (see example layout below). You can create your poster in three segments, each segment being 3 x 2 6 (see example layout below). The combined size of these segments cannot exceed 3 x 7 6. This option may reduce your poster production costs. Student poster exhibits may use one, two, or three segments of 3 x 2 6, but the combined size of these segments cannot exceed 3 x
5 Making Your Poster Create your poster digitally or in hard copy. Digital posters can be created using software such as PageMaker or Publisher. Alternatively, create your poster on poster board. Do not use originals of any graphics on this poster use copies that can be affixed to the poster. In all cases, you must have permission to use graphics that are not your own. Your poster must have the title, function code, and your name displayed. Title Place along the top edge of the poster and include the function code. Use font size or at least ¾ 1 in height. Name, Affiliation, and Contact Information Display your contact information for conference attendees interested in the materials presented in your poster but unable to come during your poster presentation. Place below the title and to the left side. Use font size 28 or at least ¼ in height. Your poster may contain the following information: Abstract The abstract should be 50 words or less. You may use the abstract you created for your proposal. Place in the upper left corner of your poster and use Abstract as the heading for this portion of your poster. Use 26-point font for the heading. Use font size 22 for the text or at least ¼ to 1/6 in height. Key Points Prepare 6-10 key points from your proposal and highlight them. This section can be straight text that expands upon the abstract or an outline of the major points you are going to make in your presentation. Use font size 26 for title, and font size 22 for text. Use Key Points for the heading of this section. Graphics Use graphics to illustrate your poster. Consider the illustrations you might use to help explain ideas, concepts, or plans. Caption each graphic. Captions should be font size 22. Graphics may include photographs, site plans, charts, or maps. References (optional) Use font size 22 or ¼ in height. Acknowledgments (optional) Use font size 22 or ¼ in height. 5
6 Tips Bear in mind that your poster and the illustrations will be viewed from a distance of 3 feet or more. Provide a clear sequence for viewing the information. Use numbers or arrows.
