1 Network Scanner Setup and File Uploader Configuration

2 Overview This document will provide the guidelines for setting up a network scanner/multi-function device to integrate with Docupace. There are two main sections: 1. Network Scanner Setup 2. File Uploader Service (utility) Setup Note: If you outsource your network scanner setup, please provided this as a guide for their use. 3 NETWORK SCANNER SETUP USERS If more than one user will be scanning into Docupace you will need to: 1. Identify the number of users that will be scanning 2. Gather the Docupace userids of each user that will be scanning CREATE SCANNING FOLDER(S) STRUCTURE You will need to build a folder tree on the network drive as part of the configuration. 1. Create a folder on the server called Docupace 2. Create a subfolder called Quarantine 3. Create an additional subfolder called Scanning Within the Scanning folder, create subfolders for EACH user. The name of the subfolder should be the same as the user id (as per the userids gathered from above) 4. The folder structure should look like Figure 1: Folder Structure: FIGURE 1: FOLDER STRUCTURE NETWORK SCANNER/MFD DEVICE SETUP You will need to create individual scan profiles on the network scanner so each user can scan to their own Docupace/scanning folder (created above). Note: You may need to consult with the company that supports the scanner/multi-function device (IT or Vendor itself) to configure the scanner correctly. 1. Setup profiles for each user based on the following Table 1: Specifications: 3

4 TABLE 1: SPECIFICATIONS 2. Scan to File: Each job should route documents to their designated subfolder. Once configured, validate that the scanned images are being sent to the individual user s scanning subfolder Test: Once scanned images are routed to the local folder(s), the scanner function is complete. You will now need to configure Docupace to remove the files locally and upload them into the system. FILE UPLOADER SETUP If you would prefer to have the Docupace Uploader engage automatically each time you start your computer, this means that you will not be required to engage the Manual Uploader. PREREQUISITES Windows XP, 7 or 8, 2003 and 2008 You must be logged in to the computer as the local Administrator to ensure the Uploader runs automatically. Also, the file uploader client must be configured (as described above). You must use a dedicated Windows account with a static password. Do NOT use default accounts, e.g., User, Guest. The account must be a member of the local Administrators group. If uploader is searching for Network Folders, the user must be an Active Directory (AD) user with full network rights on the subfolder, and can NOT use the default local or Administrator user. You must ONLY install the 32-bit version of the latest Java 7. 4

5 TO RUN THE FILE UPLOADER AS A SERVICE 1. Access the File Uploader by first logging into your Docupace site, then: Click the Administration icon. Click the File Uploader Service Installer link within the Utilities box. 2. You will be asked to Save File to your local desktop, as shown in Figure 2: Installing the File Uploader as a Service. FIGURE 2: INSTALLING THE FILE UPLOADER AS A SERVICE 3. Once the application uploaderlauncherinstall.exe has been saved locally, double click on the file to run. 6 4. Select Next and you will be directed to the username/password screen. 5. Select the username/password that will be used to log into the computer to perform Docupace functions as shown in Figure 4: Uploader Service Access Screen. FIGURE 4: UPLOADER SERVICE ACCESS SCREEN 6. Select Next to continue the process. A new screen will pop up requesting a URL show below in Figure 5: Request for URL. FIGURE 5: REQUEST FOR URL 6

7 7. Toggle back to the Docupace Administration and select the File Uploader Service URL, as shown below in Figure 6: Docupace File Uploader - File Uploader Service URL. FIGURE 6: DOCUPACE FILE UPLOADER - FILE UPLOADER SERVICE URL 8. Copy the URL from the screen, as shown in Figure 7: File Uploader Service URL. You can then close the window and you will be directed back to the Uploader Service Setup Screen. FIGURE 7: FILE UPLOADER SERVICE URL 7

8 9. Paste the URL in the box and select Install. The utility will run and you will get the message that the service is completed, shown below in Figure 8: File Uploader Service Setup: Completed. Once you restart, the service will now be configured to start when the computer starts and will stay on as long as the computer is. Notes: Once you ve installed the Uploader As A Service, and it s running, you cannot manually turn on/off the Uploader Client. If you wish to revert back to the manual method of using the Client Uploader, you must stop the service and then uninstall the Uploader Service first. 8

9 VERIFY THE SERVICE IS RUNNING In order to verify that the service is running correctly, you will need to retrieve the information in the Services link within the system. The simplest way is: 1. From your Start button, type in Services in the search box. 2. Select the Services program. Scroll down the list of services until you find Docupace Uploader Service. 3. With the Docupace Upoader set up to run automatically, as a service, it will show Status: Started and Startup: Automatic. This will show that the uploader is on and will automatically start when the computer/server is started (should it be restarted). If the Docupace Uploader is set up to run manually, it will show Startup: Manual. 9
