3 Procedures for U.S. Suppliers Shipping to SII-BT U.S. Branches This procedure applies to all supplier shipments of U.S. origin going to Siemens Industry Inc - Building Technologies Branch (field office) locations in the U.S. This procedure does not apply to Canadian Branch SOP orders or shipments to Siemens Industry, Inc. - Building Technologies in Buffalo Grove, IL (factory) which is covered by separate procedures. The following freight instructions must be adhered to: Suppliers must only use Siemens designated carriers (detailed on following pages). Additional costs incurred by Siemens due to the use of non-designated or non-siemens approved carriers by a supplier may be charged back to the supplier. *With the exception of priority overnight and/or expedited truck or air; which may only be used with prior Siemens approval. Freight charges to SII-BT Branch locations are to be COLLECT. Freight charges to SII-BT Branch drop ship locations (job sites, other suppliers or sub-contractors, etc.) THIRD PARTY COLLECT charging the branch. Freight charges cannot be prepaid and added to the material invoice(s) or separate invoice. Contact Siemens representative for appropriate account number. All shipments must indicate in the first reference field of all waybills the Siemens Purchase Order (PO) number as provided by your Siemens contact or receipt of PO and followed by Siemens Work Breakdown Structure (WBS) element number, Job Number, Service Order (SO) number, or Cost Center (CC) number as provided by your Siemens Branch contact.. Additional costs incurred by Siemens due to the entry of noncompliant data in the first reference field of any waybill by a supplier may be charged back to the supplier. 4 Small Package (less than 150 lbs) Siemens Approved Small Package (less than 150 lbs) Carriers Preferred Carrier for Air (Priority Overnight & 2 Day Air) and Ground Shipments The following carrier has been approved for all small package Air and Ground shipments: *Branch FedEx account number shall be provided by your Branch contact. If not, please contact them prior to shipment scheduling. UPS* Alternate Carrier for Air (Priority Overnight & 2 Day Air) and Ground Shipments The following carrier has been approved as our alternate carrier for small package Air and Ground shipments: FedEx (Federal Express)* *Branch UPS account number shall be provided by your Branch contact. If not, please contact them prior to shipment scheduling. Small Packages (less than 150 lbs) Shipping Instructions: FedEx or UPS Air (Next Day and 2 Day) and Ground Shipments on Collect or Third Party Collect basis: Use FedEx form, available from FedEx by calling , or online at Note, you must be a registered user to access website shipping features. FedEx electronic shipping system is preferred over manual shipping forms. OR Use UPS electronic shipping system generated shipping forms (WorldShip, CampusShip or InternetShip), or ship from a UPS Store where paper shipping forms are available. Paper forms for shipping UPS ground are generally no longer available to the public or shippers and are generally only available for shipments made from a UPS Store. UPS electronic shipping system is preferred over manual shipping forms In the appropriate box on the paper form, or data entry field on the electronic form, check the box labeled "Bill to Recipient or "Collect" (i.e. collect) when shipping to the branch; or check the box labeled Bill to Third Party (i.e. collect third-party) when shipping to a location other than the branch s own address (i.e. a drop-ship ), and write/type the Siemens Branch account number in the appropriate field. This account number shall be provided by your Siemens contact. The use of a Siemens account number other than the account number provided by your Siemens Branch contact is not permitted; and any additional costs incurred by Siemens due to the nonconformance of this rule may be charged back to the supplier. (Unauthorized use of Siemens Carrier account numbers for other purposes is illegal). In the first Your Internal Billing Reference or Reference Number field (the actual form that the shipper uses may vary and have more than one reference field) only enter the Siemens Work Breakdown Structure (WBS) element number, Job Number, Purchase Order (PO), Service Order (SO) number, or Cost Center (CC) number as provided by your Siemens Branch contact. Note: The remainder of the form should be completed accordingly Siemens Industry, Inc - Building Technologies Page 4 of 6

5 LTL Truck Shipments LTL shipments must be on pallets. Single cartons may be strapped to the pallet, but multiple cartons should be shrinkwrapped, then strapped. The use of corner-boards or other means to protect the carton(s) from the stress of the strapping is highly advised. Your bill of lading should clearly state the number of cartons on the pallet, and where multiple pallets are tendered to the carrier, the bill of lading should also note the pallet number, the weight of each pallet, in addition to the number of cartons on each pallet. The pallets themselves should be likewise marked (easy to do if corner-boards are used!). This will protect you the shipper in case of a short delivery for which you may have to file a claim. To ship Freight Collect use the following instructions: On the Bill of Lading: (see Figure A for generic sample Bill of Lading form) - In the Purchaser s Order No. field, write the Siemens Reference #: Purchase Order (PO) number - In the Freight Charges field, check the box labeled Collect. - In the body of the document, write Note: 3rd Party Billing c/o CASS. (see page 3 for complete address) PACKAGING SPECIFICATIONS: Complete instructions: LBL-0101: Incoming Shipment Material Bar Coding, Labeling and Palletizing Requirements Siemens Approved LTL Carriers: Siemens request suppliers to utilize the Logistics Planning Services (LPS) tool for routing all US/CAN palletized freight prior to shipment. Please be sure to communicate the new process and tool to your shipping, customer service and order processing departments to ensure compliance. The URL address and Passcode listed will provide access to all users that require routing instruction. Palletized shipments URL: Passcode: shipbtorders1! Non palletized shipments should be shipped with UPS as preferred or FedEx as secondary; account numbers will be listed on the purchase order. If you do not have a system generated bill of ladings for palletized shipments, you shall use the bill of lading generated by LPS. YOU MUST REFERENCE THE PURCHASE ORDER # ON THE BOL or 44OP# if available!!! The carrier may decline to make delivery of this shipment without payment of freight and all other lawful charges.
