3 Welcome! Thanks to each of you for all the hard work you put into this year s games. This year will be another great Spring Games for the athletes of Buncombe County. Please feel free to contact us with any questions or concerns. If you require assistance in meeting the deadline please contact me. No forms will be accepted after the deadline. Be sure all information is accurate and complete. Remember to enter measurements in METERS. Forms will be returned if not filled out correctly. ENTRY FORMS CAN BE FAXED TO (828) or ed to specialolympics@buncombecounty.org Each athlete can enter up to 2 events. Only those competing in a relay may enter 3 events. Please remember that athletes should compete in events that exhibit their maximum potential. Be sure your athletes are competing in events that are challenging. Please have athletes stay in their categories, Developmental, Traditional, Lead up and Wheel Chair - NO CROSSOVERS will be accepted. In case of crossover, the event on highest level will be accepted and the lowest one removed. NO EXCEPTIONS. Forms are located in the back section of this handbook. 5 ATHLETE PARTICIPATION FORMS/PHYSICAL All forms and physicals are due by FRIDAY, FEBRUARY 26 TH, Complete all information blanks and sign and date the forms. ATHLETES MAY NOT ENTER ANY EVENT THE DAY OF SPRING GAMES. TRAINING Training is very important and you can start anytime! Every athlete competing must be actively training for at least eight weeks prior to the event. Please be sure that all athletes know the proper way to participate in their events. The shot put has been added this year for athletes age 12 and older. Proper technique is a must in this sport. The Adapted P.E. teacher or PE Teacher in your school may be able to assist the classes with training. This will help to make sure that all entry forms are completed correctly using meters not inches or feet*. It is the responsibility of the teacher to ensure that all entry forms are accurate and submitted by FRIDAY, FEBRUARY 26 TH, * Feet to meter conversion sheet is provided. T SHIRT ORDER Please turn in all t-shirt order forms for athletes no later than THURSDAY, JANUARY 29 TH, Shirts for teachers and volunteers will be provided free of charge. Family members may purchase a t-shirt for $15.00 each. Shirt orders for teachers, volunteers and family members must be turned in no later than THURSDAY, APRIL 7 TH, Payments must be submitted with family order t-shirts at the time of submission. All shirts will have the same design. Please check sizes when picking up shirts. No exchanges after shirts are picked up will be permitted. If you are not sure of a size, order a size up. Forms are located in the back section of the handbook. Keep a copy for your records. Please make checks payable to: Buncombe County Special Olympics TRACK & FIELD FORMS The forms required for each Track and Field athlete are located in the back section of this handbook. Please make sure that you record the required time and distances for each event that the athlete is entering. Please make sure that a form is turned in for each athlete. Make sure on the day of the event that the ATHLETE tag is in place with their events ON THE BACK of their T-Shirt. No Tag - No event. Keep a copy of all forms for your records. FINAL INFORMATION PACKETS & T SHIRT PICK UP This year you will be able to pick up your Tee-Shirts and packages at your district library. Please check page 6 for time and location of pick-up. If you cannot pick up please have someone available to do so. If arrangements need to be made to pick up on another date and at a different library please feel free to contact US. 6 Things to remember for Spring Games 2016 NEW FOR 2016: T-Shirt orders will be due early this year in an effort to have a more accurate count of sizes. Athlete T-Shirt orders must be submitted by January 29, All other T-Shirt orders must be submitted by April 7 th, All paper work is due to Buncombe County Special Olympics by FEBRUARY 26 TH, Forms may be e- mailed to: specialolympics@buncombecounty.org or faxed to If you wish to use postal mail, please send to: Buncombe County Special Olympics Attn: Recreation Services 67 Haywood St. Asheville, NC NO crossovers will be allowed this year. With the exception of a relay, all the events entered must be on the same event page. If a crossover has been entered the highest level will be accepted and the lowest dropped. Please encourage your athletes to try their best. Check the dates that we will be at the library in your school district to pass out T-Shirts and information packages Remember that Softball Throw, Shot-Put and all jump events are open pit format. That means that I will send you the ribbons for the event. ALL OTHER EVENTS need to pick up their ribbons right after the race. This is the teacher s and the athlete s buddy responsibility. Please see all of the other sports that Special Olympics hosts throughout the year for athletes eight years of age and up. 7 Pick up Dates, Times for T-Shirts and Game Day Packets For the 2016 season either a volunteer will be at each school district s library with t- shirts and packages. With the help of the Buncombe County Library System, we will be in each school district library for two afternoons. If you are unable to attend during one of these designated pick up times, please specialolympics@buncombecounty.org to make other arrangements. ATHLETES THAT ARE IN a Traditional event cannot be entered in Lead-up or Development events. The lowest event will be dropped. ATHLETES MAY ENTER TWO (2) EVENTS PLUS ONE (1) RELAY Encourage your athletes to GRADUATE to more demanding events! NO CROSSOVER S WILL BE ALLOWED Event Time Location 4 x 100 meter relay 10:00 Home side of the track end of the straightaway 400 meter dash 10:30 Home side of the track end of the straightaway 50 meter dash 10:50 Home side of the track start of the straightaway 100 meter walk 10:50 Visitor side of the track start of the straightaway 50 meter walk 11:20 Home side of the track start of the straightaway 100 meter run 11:20 Visitor side of the track start of the straightaway 25 meter walk 11:45 Home side of the track start of the straightaway All events will be held in order of the youngest age grouping to the oldest. Developmental events will be staged in the turn on the flagpole side of the track. 25 and 50 meter events will start on the home straightaway. 100 meter events will start on the visitor straightaway. Field events will be held in an open pit format; athletes have until 11:15 a.m. to complete their attempts. A sign in area will be set up near each starting line. Check in will begin 15 minutes in advance of the start. Call for events will be made over the Public Address System (PA), and the schedule will be posted in several locations around the stadium. 20 Buncombe County Spring Games 2016 Lunch Ticket School Teacher Rep. Teacher Cell Phone (Day of Event) Number of Athletes Number of Teachers Number of Student Volunteers (Number of students you are bringing to help with your group of Athletes) Total Lunches Requested ALL lunches may be picked up beginning at 11:30 a.m. You will need to present your lunch ticket in order to pick up your lunches. Double check your lunches before leaving. Due to time constraints we are not able to separate lunches by grades within the school group. Changes to lunch number request need to be submitted in writing (fax) no later than Noon on FRIDAY, April 15, We will not be able to make changes to the counts after this date. Trash bags will be distributed with each lunch order. Please be responsible and collect your trash and drop off at the entry to the fields for clean up at end of day.
