3 Weddings at the King Charles Hotel The Wedding Service Choice of licensed rooms or garden to hold your civil ceremony Up to a maximum of 150 guests (subject to room choice) Silk flower arrangements The Wedding Meal Whether you prefer a small, intimate meal or one for up to 200 guests, we have a room to suit your needs. We are delighted to suggest a variety of menus suitable for a wedding breakfast, however we are also happy to listen to your ideas and will work with you to design one of your choice. The Evening Reception Choice of 4 function rooms, catering from 10 to 250 guests Free function room hire (subject to minimum numbers of guests and/or staffing costs) Resident DJ and flexible evening buffet menus Don t Forget the Little Ones Children are just as important as the adults at a wedding and we like to look after them just as well. Booster seats and high chairs Activity packs for children over 3 years old with most wedding packages Special children s rates Exclusive mini buffet just for children
4 Special Extras White linen table cloths and napkins in your choice of colour (subject to availability) are included in all full day and buffet packages. To enhance your tables we also have the following table decorations available for hire: Table runners and chair covers with bows Gold or silver lamp candles Tea light candles Tall lily flowers in glass vases Small lily flowers in mirrored boxes Mirrored centrepiece plates Tall silver cathedral style candles Top table three piece candle Top table centrepiece flower display Top table pedestal flower display Engraved Cake Knife Cutting the cake together and sharing the first slice is a great wedding tradition. Take home the memory with an elegant cake knife, engraved with the newlywed s names and the date of the wedding. Disco and DJ For your evening celebration, we highly recommend our resident DJ who will provide you and your guests with an excellent selection of music to suit all ages. Entertainment Our wedding coordinators can offer advice on a variety of entertainment from table magicians and wedding casinos to great tribute acts such as the Blues Brothers and Abba. Master of Ceremonies We can arrange for the hire of a professional Master of Ceremonies to help with the organisation of your speeches. Please do not hesitate to ask for recommendations. Hotel Accommodation Why not house your guests all under one roof and offer the option of taking the lift up to bed? We can block book a selection of rooms for your guests and they can simply contact the hotel to book a room for the night. Two Night Break Turn your wedding day into a wedding break. We offer great two night packages for you and all your guests attending a full day wedding reception at the King Charles Hotel. Bridal Suites End the evening in style. Relax and unwind in the two person spa bath, collapse in bed and wake up refreshed to a champagne breakfast in bed. 8 The Wedding Buffet The Fork Buffet You may prefer a served buffet to a sit down meal. This buffet is merely a suggestion, please do not hesitate to offer your own ideas. This buffet can be included with any wedding package. These are served from 7.30pm onwards. Other buffet menus are available on request. We welcome any ideas you may have for your buffet and we are happy to arrange a menu to suit your requirements and budget on request. We can also supply a special children s buffet set at their own table. Please ask for details. 9 The Small Print 1. Confirmation of booking and deposits 1.1 All bookings will be made on a provisional basis and held for a maximum of 14 days until a non-refundable deposit of is received by the hotel. Bookings will be confirmed on receipt of the above deposit and signed terms and conditions. 1.2 All deposits are strictly non-refundable and non-transferable. 1.3 If the deposit is not received within this period, the hotel reserves the right to release this booking without notification. 2. Subsequent payments 2.1 A further payment will be required 6 months before your wedding date which will amount to 50% of the estimated final account. Your booking will be cancelled without notification if this payment is not received and your deposit forfeited. 2.2 Full payment of the final account must be paid no later than 4 weeks before the wedding. Your booking will be cancelled without notification if this payment is not received and all payments received will be forfeited. 3. Cancellations 3.1 Cancellation of a wedding less than 6 months before the date will incur a cancellation fee of 50% of the final balance. 3.2 Cancellation less than 4 weeks before the date will incur a fee of 100% of the final balance. 3.3 Any cancellations of individual guests, notified to us no less than 48 hours before the wedding, will be refunded in full after the event. This is subject to no more than 10% of the guests or at the discretion of the manager. 4. Quoted and agreed pricing 4.1 Any prices quoted are for the current year of that quote, valid at the date of printing. Prices are revised each January for the following year. 5. Food and beverage terms 5.1 The King Charles Hotel will provide all catering in the Pembroke Suite, Trafalgar Room and Cavalier Suite the only exceptions are baby food and celebration cakes. 5.2 Minimum numbers apply to all rooms. You have booked the. with a minimum of. adults chargeable. 5.3 One menu must be chosen for all guests with the exception of children and those with special dietary requirements. 5.4 Children eating from the children s menu must all have the same menu. 5.5 Under the Licensing Act, the King Charles Hotel is not permitted to serve anyone under the age of 18 with alcoholic beverages. The King Charles Hotel reserves the right to refuse any guest found to be supplying alcoholic drinks to those under the age of The King Charles Hotel does not allow any drinks to be brought onto the premises (no corkage allowed). The hotel reserves the right to confiscate any beverages brought onto the premises by guests or bridal parties. The hotel reserves the right to eject guests or close the function if this is not adhered to without any refund. 5.7 If you wish to keep any leftover pre-cut wedding cake, please ensure you speak to the function manager before the end of your wedding, otherwise it will be assumed that the cake is not wanted and will be disposed of. Any uncut wedding cake will be available for collection at reception the following day. The wedding co-ordinator will cut and wrap the cake, but we do not fill cake boxes. 6. General Terms 6.1 Evening functions can begin from 19:00 and must end by midnight. You are not responsible for the cleaning of the room; this is included in the room hire cost. 6.2 The King Charles Hotel accepts no responsibility for any items left after the function has closed. Any items, such as cake stands, suits etc, that need to be returned to suppliers must be collected from a prearranged address other than the hotel. 6.3 The room may be decorated with balloons or flowers on the day of the wedding access before this is not possible. The hotel does not allow anything to be stuck to walls, doors or windows. Confetti can only be used in the front car park and under no circumstances can be it thrown in either of the gardens. Confetti bombs are not permitted anywhere in the building or grounds. The King Charles Hotel reserves the right to release the booking without notice if this agreement has not been received, duly signed and dated, and returned 14 days after the provisional booking.
