By implementing these three basic steps (prepare, deploy and evaluate), you ll be well on your way to healthier employees, which means fewer illnesses and higher productivity. 3 Prepare for the Challenge Spend the time to properly plan and lay the foundation for your wellness challenge, and you ll see a positive impact on the level of employee and staff buy-in. Get Leadership Commitment and Demonstrated Support Support from upper management is a crucial first step to the overall success of your wellness challenge. When employees see department heads and executives rallying behind them, they ll feel comfortable participating and become highly motivated to do so. 4 Build a Committee Once you have the support you need, assign each of the below tasks to someone responsible for carrying it out. LEADER/VISIONARY: Creates the ideas, determines what the program will look like and identifies what elements to include. DAY-TO-DAY ADMIN: Handles overall tracking, coordinates with providers and maintains communications with team members. BUDGET AND NEGOTIATIONS: Keeps track of the budget and handles provider contracts and payments. LEGAL COORDINATION AND DOCUMENTS: Creates necessary forms and waivers that are HIPAA compliant. PARTICIPANT ENGAGEMENT: Boosts engagement, handles check-ins and promotes team spirit. BUILD IT Create a committee to design and carry out the challenges. Determine the Type of Challenge and Establish an Itemized Budget Identify the type of challenge you d like to hold by defining the areas of wellness you want to incorporate. Dimensions of wellness typically include emotional, intellectual, physical, social, environmental and occupational. Decide how your challenge will address some or all of these, then prepare an itemized budget allocating funds to each area of wellness. Create a Timeline Develop a timeline for administrative tasks and include things like reaching out to gyms, generating forms and materials, and anything else relevant to the areas of wellness chosen for your challenge. 5 Deploy the Challenge Now that the foundation has been laid, it s time to execute your plan. Distribute Applications and Meet with Chosen Participants Get the word out by ing your employees an online application. This can easily be sent via a link within the being distributed. Once employees have completed and submitted their applications, reach out to their supervisors to ensure that each employee has permission to participate. This will guarantee that applications from staff involved in a disciplinary program are set aside, for example. After finalists have been selected, meet with them one-on-one to explain next steps. Set realistic expectations and get them excited about participating! It s important to be vocal about your support from the start. You ll also want to ask candidates questions concerning their schedules, available transportation and overall commitment to the challenge to help you determine whether or not they will be able to see the program through. Paperwork Once you ve selected your final participants, have them sign liability waivers and a challenge agreement defining the ramifications of dropping out. It s also necessary for them to sign a physician s consent form to verify they ve completed a biometric screening with their doctor. If you can, create handbooks with information about the challenge and an FAQ section with tips that will help guide them through the program. The more educational materials you can provide participants, the better. Orientation Hold an orientation for all participants and have upper management (or your CEO ideally) offer an inspirational message to get things started. Explain tips on how to get the most out of the program and have participating staff (e.g., personal trainers, nutritionists, etc.) speak about their respective roles and set expectations on what they will be providing. Celebrate After the challenge is over, celebrate! Invite the entire company (if you can) to come out and share in their coworkers success. Host a party with music, food and rewards. Get coworkers and senior management involved to share in participants success, too. Make sure to have each team or individual s final results tabulated prior to the celebration so all participants can be appropriately rewarded. 6 Evaluate the Challenge Determine the success of your program by: Conducting a Survey Participants and providers can offer invaluable insight into what worked and what improvements are worth making. Conduct a survey for general information and meet with a handful of participants to learn their thoughts firsthand. Reporting Results Prepare a presentation with your results and deliver it to upper management. This will go a long way in gaining their support for future wellness activities. It s best to provide the report shortly after the celebration to ride the emotional momentum. When reporting results, make visual comparisons that resonate with people. For example, instead of reporting a total of 100,000 pounds lost, try something like, Our participants lost 100,000 pounds that s a total of 10 T.rex dinosaurs! Once you ve given your presentation to senior staff, send an with your fun facts to the entire company. This is a great way to get others excited about your next challenge.
