3 Call the Apprenticeship Team NOW for more information on (01793) or Introduction This booklet is a guide to finding an employer for your Apprenticeship if you are reaching the end of your full time education or college course. Each section deals with different aspects of the job search process. The first section gives you ideas of where to look for jobs and how to get started. The next section contains examples of application letters which you can adapt to your own needs, how to answer an advertisement and what to say when you are phoning an employer. The last sections contain information on how to write a curriculum vitae (CV), complete application forms, how to conduct yourself at an interview, job search planning materials and sample interview questions. Plan your future Set yourself target dates for contacting employers or organisations, make an action plan and set aside time each week to look through job and agency adverts Keep checking apprenticeships.org.uk for details of latest apprenticeship vacancies Keep in touch with your local careers centre where vacancies are advertised Register with your local Job Centre Plus and check regularly for new advertisements Register with local employment agencies who deal in the area of your chosen career path Always check the employment pages of the local newspapers for suitable vacancies. Also try trade magazines, as advertisements for specialist jobs are often placed in these Always try applying to firms in the industries that you are interested in, even if they are not currently advertising. This approach can be more rewarding than waiting for advertisements. Many jobs are never advertised and are filled by word of mouth. Some employers may not be considering taking on help until someone contacts them and puts the idea in their head. Others prefer the personal approach as it shows initiative and that the applicant is keen. Look in the phone book for suitable firms and set some time aside to approach them directly and ask who you need to talk to about any vacancies It is worth remembering that you will not always receive replies to letters that you have sent, and even when you do the response will not always give a reason for unsuccessful application Keep trying - persistence pays off! 3

4 at Hunting for Information 1. Go to apprenticeships.org.uk and click search for apprenticeship vacancies 2 Register your details. Create a user name and password, you will receive an telling you to activate your account. Click the link and you will be taken to your home page 3. Create your home page. This is your own space to search for vacancies, manage your applications, set up alerts 4. Search for your match. You can search for vacancies by job role, employer, keyword, learning provider, location/postcode 5. Browse your results. Click on one of the vacancies, each listing gives you detailed information about the job including the employer, training, pay and the qualifications you will be working towards. You can save your search results 6. Manage your future. When you have found a job you like you can apply. The application is straight forward, you can also save the form so you can use it again. Contacting a company by telephone This is the best approach in job searching, it gives you an indication of which companies may be considering taking on apprentices or if they are willing to allow you to do work experience. Doing work experience within a company is a good way of showing what you have to offer, they may decide to employ you as an apprentice. When you call the company, it is important that you identify the person that you need to speak to. If it is a small company you may be speaking to the correct person who owns or runs the company. Introduce yourself and give the reason you are calling. It is a good idea to write down the questions you want to ask before you pick up the phone so that you don't forget anything. If you feel nervous at first, speak to the receptionist about the company, get the company s full address and the name of the person that you need to speak to. 4 Sample phone conversation: You Hello, is that Jerry s Plumbing? Jerry s Plumbing Yes You Can I speak to the manager please? Jerry s Plumbing I am Jerry the manager, how can I help? You My name is Joe Bloggs, I am calling to ask about the possibility of a placement or employment as an apprentice plumber with your company Jerry s Plumbing Do you have any experience? You I am just finishing my GCSEs but I have had some work experience whilst at school and I have been attending Swindon College one day a week doing plumbing Jerry s Plumbing Can you please send me your CV and I will get back to you? You Yes, OK thank you Jerry s Plumbing Bye.

What types of jobs do you mostly recruit for? What other jobs do you recruit for? Are you likely to be recruiting for these jobs in the near future? What particular skills are you looking for? If you are recruiting, when will the recruitment campaign begin? Do you recruit yourself or do you use an agency? Which employment agencies do you use? Would you be prepared to take someone on a work experience basis? Remember to have all your information to hand when contacting a company. They may want to know things like: GCSE grades or predicted grades When you left school/when you are leaving school When you are available for an interview Your address Your age Previous employment history Previous experience. Don t overload the letter with information that is on your CV. 8 at How to write your CV Your CV is a way of listing the main facts about yourself to a prospective employer. It is an important document and must be properly presented and in a standard format. Job advertisements often ask for a CV to accompany your application letter. When writing your CV remember: The employer needs to be able to see all of your details clearly The CV must look good Try to get it typed Use plain white A4 paper Make sure it has a clean and attractive layout. Points to cover on your CV: Your name Your address, telephone number and address Your age Your current job Your work experience to date, start with your most recent job and work backwards Your school/college/training/qualifications in date order with the most recent at the top Your interest and hobbies. This lets the employer know something about your character Any other information that you think may be of interest to the employer i.e. first aid qualifications, charity involvement, driving licence etc. The names and addresses of two people who will be willing to act as referees on your behalf (check with them first). It is important that you keep your CV up to date, add any further qualifications as you achieve them and any changes to work experience. Things to think about What does your address say about you? If you have a funny address that makes your friends laugh, employers may not find this funny. Set up an address specifically for job hunting i.e. What does your voic say about you? Make sure your hobbies are real, the employer may ask you about them, for example if you say reading books make sure you have recently read a book and can confidently recall parts of it. 8

It should be a statement about what you have achieved and any personal and professional attributes that will benefit the employer if they give you the job. Do Read the job description to find out what the job is about Research the company - find out who their customers are, what their objectives are, what they want from you Link what you have got to what they want Keep each sentence short and make each one a selling point. Example As an experienced Retail Assistant, my customer service skills could help your company achieve its sales goals. Customers will be impressed with my individual service and attention to detail, building long term relationships to help repeat business. If you are looking for someone to play a key role within your warehouse, my organisational skills will improve the running of your operation. My flexibility and commitment will result in timely orders and satisfied customers. 9

10 at An example of a curriculum vitae (CV) This section is not just about facts and figures, use it to show off how your past employment or experiences will bring value to the job you are applying for. Start with your most recent job first - Include: Job Title, Company Name, Location, Dates of employment, Key Achievements If you have been out of work for a while or this is your first job show what experience and skills you have that are relevant to the job you are applying for now Provide details of the skills and experience you have gained State your key achievements, provide a list of achievements you have made in your previous jobs or activities, not just what you were responsible for Provide enough information Paul Apprentice 21 Waterside Road,, WS14 7RT Telephone no: Age 16 address: Profile: this should be a brief description of you, your experience and your aims I am enthusiastic and hard working and have a keen interest in a career in plumbing. I am a team player - Everybody says this! You need to explain why, have you worked within a team to achieve a specific goal? What was your role? Good communication skills - This is just a fancy way of saying that you can talk. Employers want to know what you have done, have you spoken to customers? Do you communicate on the phone, face-to-face, have you done a presentation to a group at school or college? 10

Include your key skills - These are relevant training and qualifications that you have, i.e. first aid or any computer software that you have used or relevant training courses. Include your personal skills - Include some of your main attributes which are vital to the role. Look at the job description and identify what is required and match these to skills that you have got. Don't lie! You should be able to provide examples of everything that you list. List the last school you attended (do not include your primary or infant and junior school) and give your grades or expected grades. This section should let the employer know what motivates you and what you could potentially bring to the work environment. Do: Be honest Don t: Exaggerate your hobbies Read the job description, decide on the attributes needed and match your hobbies. List everything you have ever done. 11

Employers won t refuse your application just because you have been out of work for a while. Remember to mention any work experience or voluntary work. The employer may ask you to explain what you were doing during this time. The employer also needs to know that you aren't just looking for any job, you want the job they are offering. Tailor your CV and cover letter for the job you are applying for, always read what essential and desirable skills the employer is looking for, if they are looking for certain skills make sure you have those skills, if they are looking for someone who works well as part of a team you could mention any team sports you are involved in. You think you're good enough, the employer thinks you re good enough, the reference could seal the deal! Make sure you have asked the referee s permission If you have a previous employer use them, if not, use a course tutor or an organisation leader Try to avoid personal references as they are biased. 12

13 Call the Apprenticeship Team NOW for more information on (01793) or What to do at an interview You have got as far as an interview, that means the employer is very interested in you - you would not be there otherwise. This is your chance to impress and convince the employer that you are the best person for the job. First impressions count at this stage. Not all interviews are with just one person, sometimes there is a panel of two or more people. Remember to answer directly to the panel member who asks the question and use plenty of eye contact with them. Before the interview Find out about the company, what it does and how many people work there - this shows that you are interested in working for them Think very carefully about your appearance - a clean, smart appearance will impress Prepare a list of questions to take with you, and refer to it during the interview Try to rehearse possible questions that may be asked Be punctual and arrive early in order to compose yourself before the interview Make sure you take everything you were asked too, such as references, exam certificates etc. Don t leave anything to the last minute. On arrival Make sure the receptionist or interviewer knows you are there If you have to wait, run over your questions in your mind Chat to other people, it will help you to relax Remember you are also checking out the company, you want to know if it is a good place to work Being nervous is a good thing. Everyone gets nervous, even the interviewers. The interview Enter the room confidently but not over-confidently Smile, shake hands and look directly at the interviewer Listen carefully to the questions, ask for clarification if you are unsure of the question and answer confidently Don t let the interviewer rush you, talk at your own pace Sell yourself, emphasise your strong points and avoid weaknesses Ask how and when you will be informed if you are successful. 13

14 at Do not Slouch Appear aggressive or sit down without being asked Mutter or put on a false voice Be sarcastic Answer abruptly and try to avoid yes or no answers so that the conversation flows Smoke, eat or drink unless offered a drink by the interviewer Chew gum Swear - not even mildly Criticise your past or present employer or placement provider. At the end of the interview you may be asked if you have any questions. Do not just say No, say No thank you, I think you have covered everything that I needed to know. Example Interview Questions During the interview you will may be asked questions about your past jobs or what you have been doing at school or college. They may refer to things that are written in your application or CV and ask you to elaborate on them. Common interview questions Why have you applied for the job? Why are you interested in doing an apprenticeship in this area? What skills and experience do you feel you have that are relevant to this apprenticeship? What are your main strengths and areas where you need to improve? What do you like to do in your spare time? Why should we employ you? You may be asked scenario-based questions like describe a time when you contributed as part of a team Also you will often be asked specific questions on what you know about the actual type of job you are applying for. And finally... make sure you turn your mobile phone off. Good luck! 14
