Granular Backup and Restre ffers full, incremental, and differential backup capabilities fr SharePint cntent, enabling the user t build backup plans and schedules that fcus n frequent backup f high pririty data, thereby imprving backup peratins and strage efficiency. 8 Befre Yu Begin Refer t the sectins fr system and farm requirements that must be in place prir t installing and using Granular Backup and Restre. AvePint s Testing Plicy and Envirnment Supprt Hardware AvePint is cmmitted t maintaining a hardware agnstic platfrm t ensure that DcAve perates n cmmn Windws file sharing and virtualizatin platfrms. T ensure that DcAve is hardware agnstic, AvePint tests hardware that is intended t supprt SharePint and DcAve infrastructure, strage targets, and hardware-based backup and recvery slutins, as supprted by AvePint s partnerships. AvePint directly integrates with the fllwing platfrms: any Net Share, IBM Strwize Family, FTP, Amazn S3, AT&T Synaptic, Caring Strage, Del DX Strage, EMC Centra, HDS Hitachi Cntent Platfrm, Rackspace Clud Files, TSM, and Windws Azure Strage. All ther hardware platfrms that supprt UNC addressable strage devices are supprted. *Nte: Mst f the hardware partnerships referenced in this guide are intended t make use f advanced functinality (such as snapsht mirrring, BLOB snapshts, indexing, lng-term strage, WORM strage, etc.), and are nt indicatins that any changes t the prduct are required fr basic supprt. In mst cases, hardware can be supprted with n change t the prduct. Backup and Recvery DcAve supprts BLOB backup strage accrding t the list f hardware platfrms abve. BLOB snapsht functinally, hwever, is currently nly supprted n OEM versins and NetApp hardware. DcAve supprts SQL cntent and Applicatin database backups via the SharePint Vlume Shadw Cpy Service (VSS) n all Windws and SQL server platfrms listed abve. DcAve als supprts snapsht-based SharePint VSS n all hardware listed abve where the hardware partner has certified supprt with Micrsft. DcAve supprts applicatin and cnfiguratin server backups fr all the supprted sftware envirnments listed abve. DcAve 6 supprts VM backup via Hyper-V/VMWare fr the fllwing perating systems: Windws Server 2008 R2, Windws Server 2012, Windws Server 2012 R2, and Micrsft Hyper V Server 2012 R2. 8

9 Cnfiguratin In rder t use Granular Backup and Restre, the DcAve 6 platfrm must be installed and cnfigured prperly n yur farm. Granular Backup and Restre will nt functin withut DcAve 6 present n the farm. Agents DcAve Agents are respnsible fr running DcAve jbs and interacting with the SharePint bject mdel. DcAve Agents enable DcAve Manager t cmmunicate with the respective servers, allwing fr Granular Backup and Restre cmmands t functin prperly. *Nte: The use f system resurces n a server increases when the installed agent is perfrming actins. This may affect server perfrmance. Hwever, if the agent installed n a server is nt being used, the use f system resurces is very lw; therefre, the effect n server perfrmance is negligible. Fr instructins n installing the DcAve Platfrm, DcAve Manager, and DcAve Agents, see the DcAve 6 Installatin Guide. Required Permissins Refer t the sectin belw fr the required permissins t use Granular Backup and Restre. Granular Backup and Restre fr SharePint On-Premises Permissins T install and use Granular Backup and Restre n the SharePint n-premises envirnment prperly, ensure that the agent accunt has the required permissins. 1. Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. If there are n strict limitatins within yur rganizatin n the permissins that can be applied, yu can simply add the DcAve Agent Accunt t the lcal Administratrs grup t apply all f the required permissins. 2. SharePint Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Granular Backup and Restre; they are nt autmatically cnfigured. User is a member f the Farm Administratrs grup. Since Administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. Full Cntrl t all znes f all Web applicatins via User Plicy fr Web Applicatins. *Nte: T restre the Micrfeed list, the Agent accunt must be granted Full Cntrl and accunt perates as system accunt fr all znes f all Web applicatins via User Plicy fr Web Applicatins. If the registered site cllectins are n-premises site cllectins, the Agent accunt is n the Agent machine that will run the Granular Backup and Restre jb. 2. (In the Office 365 SharePint admin center, navigate t user prfiles > Manage User Prperties. Select the prperty yu want t restre, and then select Edit frm the drp-dwn menu. Select the Allw users t edit values fr this prperty ptin in the Edit Settings field, and then click OK t save settings.) 13 Getting Started SharePint and the DcAve platfrm mdules have cmmn functinality. While sme f this shared functinality is cvered in this guide, the primary fcus f this dcument is the functinality that is specific t the DcAve mdule. Fr infrmatin n the shared functinality nt cvered in this dcument, refer t SharePint Help. Refer t the sectins belw fr imprtant infrmatin n getting started with Granular Backup and Restre. Launching Granular Backup and Restre T launch Granular Backup and Restre and access its functinality, fllw the steps belw: 1. Lg in t DcAve. If yu are already in the sftware, click the DcAve tab. The DcAve tab displays all mdules n the left side f the windw. 2. Frm the DcAve tab, click Data Prtectin t view the backup mdules. 3. Click Granular Backup & Restre t launch this mdule. 14 Navigating DcAve DcAve mimics the lk and feel f many Windws prducts, making fr an intuitive and familiar wrking envirnment. While there are many windws, pp-up displays, and messages within DcAve prducts, they share similar features and are navigated in the same ways. Belw is a sample windw in DcAve. It features a familiar, dynamic ribbn, and a searchable, cntent list view. Figure 2: Navigate DcAve. 1. Ribbn Tabs Allws users t navigate t the DcAve Welcme page and within the active mdule. 2. Ribbn Panes Allws users t access the functinality f the active DcAve mdule. 3. Manage clumns ( ) Allws users t manage which clumns are displayed in the list. Click the manage clumns ( ) buttn, and then select the checkbx next t the clumn name in the drp-dwn list. 4. Hide the clumn ( ) Allws users t hide the selected clumn. 5. Filter the clumn ( ) Allws users t filter the infrmatin in the List View. Click the filter the clumn ( ) buttn next t the clumn and then select the checkbx next t the clumn name. 6. Search Allws users t search the List View pane fr a keywrd r phrase. Yu can select Search all pages r Search current page t define the search scpe. *Nte: The search functin is nt case sensitive. 7. Management Pane Displays the actinable cntent f the DcAve mdule. 14

15 User Interface Overview The Granular Backup and Restre user interface launches with the Backup tab active. This tab displays yur farm envirnment and allws fr quick access t a list f Granular Backup and Restre features. 1. The Surce panel displays the SharePint tree, which shws all cntent within yur farms. Use this panel t select the cntent that yu want t perfrm actins n. Selecting cntent ften reveals new tab and functinality n the ribbn. The ribbn shws the available actins and wizards fr the selected ndes. This cntent is dynamic; it will ften change depending n what is selected in the SharePint tree. The wrkspace shws all frm-based cntent that is used during the cnfiguratin f actins perfrmed in DcAve prducts. Figure 3: Granular Backup and Restre user interface. Selecting Farms and Ndes T select farms and ndes, fllw the steps belw: 1. Frm the Surce panel n the left, select the farm that cntains the relevant SharePint cntent. 15

16 2. Click the checkbxes t the left f the ndes t select the relevant cntent yu want t wrk with. 3. After selecting cntent, yu will be able t perfrm the prcedures described thrughut this guide. Cnfiguring Devices and Setting Up Strage Plicies In rder t perfrm a backup jb using Granular Backup and Restre, it is necessary t first cnfigure ne r mre physical devices and then set up a strage plicy. When perfrming a backup jb, Granular Backup and Restre can write t: Net Share EMC Centera FTP HDS Hitachi Cntent Platfrm Amazn S3 IBM Strwize Family AT&T Synaptic Rackspace Clud File Caring Strage OneDrive Dell DX Strage TSM Drpbx Windws Azure Strage In additin, DcAve has the ability t treat multiple strage devices as a single lgical unit when saving backup data. This feature is especially useful fr very large backup plans, as many small drives can be cmbined. A lgical drive must be defined befre creating a backup plan. 17 Perfrming a Backup There are several ways t cnfigure and perfrm a granular backup. Once yu select the cntent yu want, yu can run backups using the fllwing methds: Using Ad Hc Backup Using the Plan Builder (Using Wizard Mde r Using Frm Mde) Fr mre infrmatin regarding backup and recvery, refer t the Micrsft TechNet article Backup and recvery best practices (SharePint Server 2010) and Backup and Restre (SharePint 2013). Overview f Backup Types When cnfiguring a backup plan with the Using the Plan Builder r Predefined Schemes, there are three backup types yu can chse frm t perfrm a backup jb: Full, Incremental, r Differential. The Full ptin backs up all f the selected data each time a backup is perfrmed. This ptin requires the mst strage space because, depending upn the size f yur SharePint envirnment, each backup file can be substantial in size. Unlike incremental and differential backups, all full backup files are independent f ne anther and d nt have any dependencies n ther back up data files. Additinally, since each f the backups is cmprehensive, full backup jbs take the lngest t cmplete f the three available ptins. The Incremental ptin backs up nly the cntent that has been updated since the last backup, drastically reducing the size f the backup file created. The mst cmmn ptin, this backup requires less strage than a full r differential backup. Incremental backups reduce executin time, thereby allwing fr shrter backup windws. It is imprtant t nte, hwever, that in rder t recver all f the mst recent SharePint data frm an incremental backup, all f the backup files must be available. Cnsider each incremental backup file as a piece f the whle SharePint envirnment. If ne f these files is nt available, the full SharePint envirnment cannt be restred. Fr example, the fllwing fur cylinders represent fur backups and they are perfrmed in this rder Full Backup, Incremental Backup, Incremental Backup, Incremental Backup: Figure 4: One Full backup fllwed by three Incremental backups. The first Incremental Backup backs up the newly added data in the blue perid. The secnd Incremental Backup backs up the newly added data in the green perid. The third Incremental Backup backs up the newly added data in the range perid. The Differential ptin backs up all cntent that has been updated since the last full backup. These backup files are larger in size than incremental files, but smaller than full backup files. In 17

18 rder t recver all f the mst recent SharePint cntent, the first full backup file and latest differential backup file are required. The third Differential Backup backs up the newly added data in the range perid. *Nte: Due t SharePint API limitatins, when yu run an incremental r a differential backup at the site cllectin level using the same plan, the Apps and AppData in the site cllectin that was backed up in the previus full backup jb will als be fully backed up. Unsupprted Elements in SharePint 2013 The fllwing elements in SharePint 2013, including SharePint bjects, settings, data, etc. are nt supprted t be backed up by Granular Backup and Restre: Element Access AppData Descriptin Granular Backup and Restre des nt supprt backing up and restring the Access AppData with the Access App in SharePint 2013 n-premises envirnment. Access App has an Access Service database t stre its wn data. Hwever, DcAve cannt access the database t btain the app data. Only the Access App can be backed up and restred t the destinatin. Selecting Cntent t Back Up There are tw ptins t select the cntent t back up: Brwse and Search. T select the cntent t back up, refer t the sectins belw. *Nte: If the cntent is stub cntent, DcAve nly backs up real files f thse stubs generated by EBS and RBS. In additin, Granular Backup jbs will nt capture linked cntent. Selecting Cntent by Search Fr a large envirnment, use the search functin t quickly lcate the target cntent. T use the search functin, cmplete the fllwing steps: 18

19 1. Lcate the Surce panel n the left-hand side f the screen. 2. In the search field at the tp f the Surce tab, enter the keywrds frm the SharePint bject URL r name yu want t search fr. 3. Click the magnifying glass ( ) t start the search r wait a mment fr it t start autmatically. When the search is running, yu can click the stp buttn ( ) t stp the search, if needed. 4. Select the relevant bjects that yu want t back up by clicking the checkbxes t the left f the bjects. Yu can select bjects in ne farm. *Nte: When yu use the Select All nde t select all f the child ndes under yur selected nde, the Include New functin takes effect autmatically fr this plan/jb. Even a SharePint bject that is created in the selected scpe after the plan is saved can be backed up autmatically by the backup jb. If yu directly select the Select All ptin, the current ndes and the new ndes created after the backup plan is saved will be backed up in the backup jb. If yu manually selected all f the ndes ne by ne, the Select All ptin will be autmatically selected, but the new ndes created after the backup plan is saved will nt be backed up in the backup jb. 5. After selecting cntent, chse t perfrm either a backup using the Using Ad Hc Backup r a backup using the Using the Plan Builder. Selecting Cntent by Brwse T brwse thrugh the SharePint farm bjects, cmplete the fllwing steps: 1. Frm the Surce panel n the left, duble-click the farm that cntains the relevant SharePint cntent. A list f bjects appears beneath the farm entry. 2. Select the relevant bjects that yu want t back up by clicking the checkbxes t the left f the bject. Yu can select bjects in ne farm. *Nte: When yu use the Select All nde t select all f the child ndes under yur selected nde, the Include New functin takes effect autmatically fr this plan/jb. Even a SharePint bject is created in the selected scpe after the plan is saved, the cntent under the nde can be backed up autmatically by the backup jb. If yu directly select the Select All ptin, the current ndes and the new ndes created after the backup plan is saved will be backed up in the backup jb. If yu manually selected all f the ndes ne by ne, the Select All ptin will be autmatically selected, but the new ndes created after the backup plan is saved will nt be backed up in the backup jb. 3. After selecting cntent, chse t perfrm either a backup using the Using Ad Hc Backup r a backup using the Using the Plan Builder. See the apprpriate sectin belw. 19

20 Abut Ad Hc Backup An Ad Hc Backup backs up the selected cntent immediately (withut setting up a schedule) using the default settings, which need t be cnfigured prir t running the backup. *Nte: An Ad Hc backup is a back-end prcess, meaning that the jb runs in the backgrund. The user can cntinue t navigate thrugh the user interface withut having t first terminate the running jb. T use Ad Hc Backup, yu must first define the default settings, as described belw. Cnfiguring Default Settings T use Ad Hc Backup, it is necessary t first cnfigure the default settings. T cnfigure default backup settings, cmplete the fllwing steps: 1. After Selecting Cntent t Back Up, click Ad Hc Backup n the ribbn f the Backup tab. 2. Select Default Settings frm the drp-dwn list. The Default Settings page appears. 3. Strage Plicy Select the strage plicy fr the backup data, r create a new strage plicy in the Specify a strage plicy drp-dwn list. A strage plicy is used t cnfigure a set f rules fr string backed up data. It als supprts the fllwing functins: Pruning the data backed up by Granular Backup and Restre and delete r mve the pruned backup data. When yu add mre than ne Media services in a strage plicy, it supprts the autmatic failver that causes anther Media service in the strage plicy t take ver the rle f the Media service that is dwn during the backup jb. Filter Plicy Select a filter plicy r create a new ne t limit the scpe f the backup jb by making a selectin frm the drp-dwn list in the Filter Plicy field. A filter plicy sets up filter rules t cntrl what bjects will be backed up. Fr mre infrmatin n wrking with filter plicies, refer t the DcAve 6 Cntrl Panel Reference Guide. *Nte: When using the filter plicy fr backing up data stred in SharePint Online, the Created By criterin is nt supprted. The jb using the Created By criterin will have a Failed status. The infrmatin will be recrded in the jb reprt. *Nte: The bjects filtered ut frm the backup jb will be displayed in the Jb Details with the Filtered Out checkbx selected. 5. User Prfile Select whether r nt t Include user prfile. This ptin decides if user prfiles are ging t be backed up with the security. 6. Wrkflw Select hw yu want t manage the wrkflw in the surce. Include wrkflw definitin Backs up nly the definitin f existing surce wrkflws. 20

21 Include wrkflw instance Backs up the state, histry, and tasks f each item. This ptin is available after selecting Include wrkflw definitin. 7. Data Cmpressin Select an ptinal data cmpressin setting. Select the Cmpressin checkbx t enable data cmpressin, and then chse a cmpressin level using the slider. 28 Managing Plans Granular backup plans can be managed with the Plan Manager. After launching the Granular Backup and Restre interface, click Plan Manager next t the Restre tab. In the Plan Manager interface, all f the previusly created plans are displayed in the main display pane. In this interface, yu can change the number f plans displayed per page. T change the number f the plans displayed per page, select the desired number frm the Shw rws drp-dwn menu in the lwer right-hand crner. T srt the plans, click the clumn heading such as Plan Name, Farm, Restre Granularity Level, Plan Grup, and Last Mdified Time. Perfrm the fllwing actins in the Plan Manager interface: View Details Select a plan and click View Details. The backup scpe and the plan settings are displayed n the View Details interface. When yu want t change the ndes yu selected r want t mdify the migratin settings, click Edit n the ribbn. Edit Select a plan and click Edit n the ribbn t change the cnfiguratins fr the selected plan. Yu can change the ndes yu selected and mdify the Granular Backup plan settings. Delete Select the plans that yu want t delete and click Delete n the ribbn. A cnfirmatin windw will pp up and ask whether yu are sure that yu want t prceed with the deletin. Click OK t delete the selected plans, r click Cancel t return t the Plan Manager interface withut deleting the selected plans. Test Run Click Test Run t perfrm a test run jb that simulates a real granular backup jb. By viewing the jb reprt f the test run, yu can find whether the surce cntents can be backed up successfully, and then adjust the plans r ptimize the settings. Time-Based Restre The Time-based restre is designed t find the backed-up jbs first, and then select the bjects t restre the backed-up data. Cmplete the fllwing steps t cnfigure a time-based restre: 1. On the Restre tab in Granular Backup and Restre, click Restre n the ribbn. The Restre Methd page appears. 2. Yu can als cnfigure settings in the Set Filter field t limit the scpe f the backup jb. Filter by Plan Filter the backup jb by plan infrmatin. Yu can filter the backup data in the Filter by Plan area by farm, plan name, and restre granularity level f the plan by 31

32 selecting crrespnding checkbx in the drp-dwn list. The lgical relatinship between the filter rules is AND. By default, all jbs are displayed. Filter by Jb Filter the backup jb by jb infrmatin. Select the backup data in the Filter by Jb area. If yu check the Include jb(s) with nly partial backup data checkbx, any backup jbs that are stpped prir t cmpletin are included in the backup. By default, All Types is selected. Filter by Time Range Filter the backup data by jb cmpleted time range. The All jbs selectin lists all backup jbs whenever the jb cmpleted, while Jbs finished within filters the backup jbs which are cmpleted in the specified time range. By default, Jbs finished within This Mnth is selected. After yu finish cnfiguring the Set Filter drp-dwn lists, click Filter. All the backup jbs that meet the filter rules are listed in the calendar. Click Reset, and then the jbs with a Full backup type that have been cmpleted within this mnth are available in the calendar. When yu are finished, click Next. The Data Selectin page appears. 4. When restring t a file system, Granular Backup and Restre can write t the Net Share device. T restre t a file system, cmplete the fllwing steps: 1. If a site cllectin has Read-nly (blcks additins, updates, and deletins) selected in the Lck status fr this site settings (SharePint Central Administratin > Site Cllectin Qutas and Lcks > Site Lck Infrmatin), the end-user can nly view the site cntent and des nt have Full Cntrl, Design, r Cntribute permissin level. Therefre, the end-user cannt perfrm a search r restre peratins at the specified site cllectin. c. Cnflict Reslutin Define the cnflict reslutin behavir. Temp Lcatin Stres temprary data when yur users dwnlad backup data in SharePint. Yu can chse t Use default temp lcatin r Use custmized temp lcatin. If the default temp lcatin has limited space, custmizing a temp lcatin is strngly recmmended t guarantee a successful dwnlad. If yu skip this setting, the parent nde's temp lcatin settings will be inherited. 3. Click OK t save the settings. Yu can als click Cancel t cancel the settings.
