SSL All network traffic to the Activ Absence Control servers is encrypted with a GlobalSign High Grade SSL certificate with a AES bit key. Page 2 of 4

4 2. Clustered Servers There are two main servers hosting the Activ Absence Control application databases. These are fronted by and internet cluster manager(icm). The ICM constantly monitors the availability and performance of the servers in the cluster. When a user accesses the ICM it automatically routes them to the best performing server. If a server in the cluster fails the user failover to the other server. Data is synchronised between the clustered servers in real time. The ICM is addressed at 3. Direct Server Access Each of the servers in the cluster can be reached directly. If the ICM was to fail then the user could open the application using the direct server address. The clustered servers are addressed Reserve server A reserve server is maintained and synchronised with the server cluster on a 30 minute schedule. If all servers in the cluster fail the reserve server is available at 2 Backups Codel Software utilises two methods of backup Server Snapshot this service takes a snapshot of the server every hour and maintains copies of the snapshot for seven days. This would allow the complete server to be restored to a previous state in case of a total server failure Data Backups The application data and configurations are backed up each night and maintained for seven days. Prior to any application upgrades of data imports the client dataset is backed up to a permanent archive. 3 Server Agility Each of the clustered servers is hosted by a virtual cluster. This provides dynamic capacity and performance management Each of the servers is monitored and the server processors, memory and disc capacity are tuned to ensure optimal performance. Page 3 of 4

5 4 Physical Location To provide a physical disaster contingency, the servers within the cluster are placed with different hosting providers to provide a suitable level of resilience against business failure Servers are located in different physical and global locations. Since (01/01/2010) the cluster servers are placed with the following hosting providers: ICM Fasthosts Virtual Server - (located in London, UK) Secure2 Fasthosts Virtual Server - (located in London, UK) Secure3 1&1 Virtual Server - (located in Germany) Secure Fasthosts Dedicated Server - (located in Gloucester, UK) 5 Server Monitoring Each server is monitored for performance and availability If a servers performance falls below a defined threshold, an warning is sent to the Codel Software support team If a server becomes unavailable an and text message alert is sent to the Codel Software support team the Technical Director and the Manager of the support team.
