7 DATA EXPORT BASICS The Data Export utility lets you export raw data from the Store application into formats used by other data-centric software applications (e.g., Excel, Access, etc.). The Yardi Store account managers and project managers create Data Export reports, based on the needs of the customers. You can request custom Data Export reports that can be made available to you in as little as one day. The Data Export reports are designed to export unformatted data in the following formats: *.csv, *.txt and *.xml. Note. 8 About Data Export In Store, you can generate Data Export reports for your sites and organization, based on the data queries created by the Yardi Store account managers and project managers. The Data Export reports are designed to be exported into and utilized by your data-centric software applications (e.g., Excel, Access and XML). These reports provide the ability to modify and format the content in your 3rd party software application formats. Through the use of Data Export reports, you have, at your fingertips, the ability to create custom data. You can report on a single site or multi-sites, which allows you to review data on an organization level. Additionally, you can define specific date ranges including daily, weekly or monthly. Permissions can be granted to the Data Export utility just like the other features in Store. Data Export Interface There are three parts to the Data Export interface. The Data Selection group box lets you select a report to generate, including the sites and date range if required. The Export Options group box lets you select an export format. Finally, the Preview grid box lets you preview the data before exporting it into your 3 rd party software application formats. Data Export with feature callouts displayed. Yardi Systems, Inc

9 Real-time and Historical Data The Data Export reports can include real-time data, historical data or both, depending on the type of report that is being generated. Data Export reports that generate real-time data display data up to and including the moment that the report was generated. Data Export reports that generate historical data display data up to the end of day from the previous day's activities. Date Range Limitations Each Data Export report will have a limit on the number of days that can be queried by the user. The date range will not exceed one year s prior information. If the site was not created for part of the selected period, the date range will default to the first date the site ran nightly processing within the selected date range. Note. All column headings and descriptions are based on the default terms used by the Store application. Yardi Systems, Inc

10 Process a Data Export report There are several options available for processing Data Export reports. Because the Data Export utility is intended for use within your 3 rd party software applications, only the raw data will be exported in the format that you choose. However, you can choose to include the column headings as well. To process a Data Export report, 1. On the Reports tab, click. Data Export utility with preview data displayed. 2. At the top of the report, in the Data Selection group box, click the drop-down menu and select a report from the list. Note. The Description field displays a brief overview of the data to be generated. 3. From the Sites list, select the sites to extract the data from. 4. From the Date Range drop-down calendars, select the start and end dates for the data. 5. From the Export Options grid box, click the Format drop-down menu and select from the following: Comma Separated Value. Exports the data into a *.csv file format. Tab Separated Value. Exports the data into a *.txt file format. XML with Schema. Exports the data into a *.xml format that includes constraints on the structure and content of documents of that type. Yardi Systems, Inc

11 XML without Schema. Exports the data into a *.xml format that excludes all of the detail of the syntax used to describe it. 6. Check Include Column Headings to export the column headings with your data. 7. Click to display the data to be exported. Note. The Data Export utility does not provide column sorting, editing or formatting. Data Export utility with Preview data displayed. 8. Review the data to be exported. 9.
