3 This handbook is designed to outline the running of the Duke of Edinburgh s Award through Scouting within Staffordshire. It should be used to compliment all Scouting and DofE resources available. Many of the processes in this handbook are set out as a national process that can not be changed locally. This handbook merely fills in the details of how the processes are followed in Staffordshire. All queries should be directed to the County Adviser, who will in turn contact Gilwell if needed. 3

5 Staffordshire s Structure DofE Head Office NOA - DofE Manager - Gilwell County DofE Adviser (County Office) ACC Explorers District DofE Adviser/ Co-ordinator ACC Network DESC Explorer Leaders Network Leader Explorers Network The District DofE Adviser / Co-ordinator role may be part of another role in the District. This position is appointed by the DC in consultation with the County Adviser. 5

6 The District DofE Adviser Role To provide a central point of contact for the District, providing hands on practical help and advice to the Explorer and Network Leaders at a local level. They are also responsible for quality assurance within their District. They should complete the Intro to DofE course. They cannot and must not replace the role of the County Adviser. The role is responsible to the DC and the County Adviser. Responsibilities 6 Liaise with the County Adviser Launch and promote the Award Assist the County Adviser in the gathering and distributing of information and data Keep up-to-date on Award developments and share these with other Leaders Provide help and advice to Leaders and participants Notify the County Office of changes to participants and leaders membership Monitor and review the approval of edofe alerts by Leaders to ensure prompt and correct approvals or queries Ensure that suitable assessors are used Ensure that a suitable training programme is implemented for participants Ensure that the relevant forms are completed for expeditions and the correct permits are held Monitor, review and prevent queried Awards Ensure that sectional certificates and full Awards are presented at suitable occasions Understand the procedures and policies (including insurance) of The Scout Association (TSA) and DofE and that these are complied with within the District

7 The DofE Leader Role To provide the day to day running of the Award in the Unit or Network, providing support and guidance to Facilitate Success. They will also be approving what the young person does at each step along the way. The role is responsible to the District & County Adviser and the DESC for Explorer Leaders or the DC for Network Leaders Responsibilities Liaise with the District Adviser Launch and promote the Award Ensure young people are promptly registered for the Award Assist the District Adviser in the gathering and distributing of information and data Keep up-to-date on Award developments Notify the County Office of changes to participants membership Regularly login to edofe to monitor the Young Peoples progress, approving or querying approvals promptly and correctly. Ensure that suitable assessors are used Provide regular support & guidance to the young people Providing a suitable training programme for participants Completing the relevant forms for expeditions and ensuring the relevant permits are held/available Notify the County Adviser of all expeditions Arrange access to suitable equipment required to complete expeditions Promptly rectify queried Awards Present sectional certificates Understand and comply with the procedures and policies (including insurance) of TSA and DofE 7

8 Registering to Completion 1. Young person joins Explorers or Network They must be 14 (or nearly 14) to start the Award, other age restrictions apply for Silver and Gold. They must be a member of TSA for insurance purposes 2. Young person completes the Staffordshire Scout DofE enrolment form and returns it completed with the correct payment to the County Office (Available on County website) 3. Young person is created on edofe Login details will be ed directly to the young person Welcome pack sent via the Unit Leader or direct to Network members 4. Young person plans a programme of activities and logs this in edofe Programme planner is fully completed by the young person Programme planner is submitted to the leader via edofe for approval Each section doesn t have to be started at the same time 5. Submitted programme planners are approved or rejected by Leader Check correct section for activity Check suitable goal Check assessor is suitable (not related) & details included 6. Young person completes the activity, uploading evidence throughout where appropriate. Assessor s report should be marked as assessor s report Leader approves evidence as it is uploaded 7. Upon completion of each section, the young person submits the section to their Leader through edofe for approval 8

9 8. Leader checks the submitted section and approves or queries as appropriate. 9. Section certificate is awarded for the completed section 10. Once all sections are approved, the Leader submits the award for approval At Gold, inform the County Adviser by saying the award has been submitted 11. The award is checked and approved or queried by the County Adviser (Bronze & Silver) or DofE Manager at Gilwell (Gold) Queries will be sent via edofe to the participant and the leader Queries should be rectified and resubmitted asap 12. Once approved, a congratulation message is sent to the young person through edofe. They can now produce an achievement pack through edofe Bronze & Silver - certificate is produced by the County Office and posted along with a badge to the District s nominated person Gold - Badge only sent to County Adviser 13. The Award is presented at a suitable occasion by a Commissioner Bronze & Silver - District arranges suitable presentation Gold - County Commissioner to Award badge at a suitable occasion. Certificate presented at a Royal Palace, arranged by Gilwell 9

12 Expedition Checklist & Hints Check the 20 conditions Nights Away permit must cover lightweight expeditions If everyone is over 18, a Nights Away permit is not required Complete the relevant expedition forms Red for the Peak District Green for Wild Country Blue for abroad All expeditions must be notified to the County Adviser NAN form sent Expedition forms approved before sent off to panel Assessor arranged well in advance so plans can be discussed Apply for any variations early on via the County Adviser Remember the expedition belongs to the young people Teams of 4 are risky, if one drops out the expedition must stop! Multiple teams must plan independently. The same start, finish and campsites must be the only identical parts. Try working as a District or with another District; a team of leaders makes life much easier Ensure the assessor s report has the assessor s accreditation number on it Ask others how they run the expedition section Plan for progression Look through the Expedition guide, it s full of useful tips. 12

13 Frequent Award Queries Selected assessor s report isn t the assessor s report The marked assessor s report must be a comment showing the young person has completed the activity and their goal and should be signed. The assessor or leader approving items is related to the young person A relative must not assess, approve or sign off any of the young person s Award. There is no Assessor Accreditation number for the expedition assessor Condition 9: Assessment must be by an approved accredited assessor. This number proves this. Volunteering within Scouting as a Leader has no evidence of the required training A young leader must complete module A An adult leader must complete the getting started modules At each level at least 2 hours of additional training is required This must be evidenced on edofe, a comment from a Leader is sufficient. See opportunities within Scouting under programme, volunteering at Evidence image is poor quality and can not be read Dates on evidence are not suitable Volunteering is with a profit making organisation Volunteering must not be done for a business but can be undertaken for a charity or not-for-profit organisation. 13

14 14 Things We Sometimes Miss Sectional Certificates These should be awarded on the completion of every section for recognition along the way. These can be ordered through the County Office. You will require a pack for each section. They are not level specific. Achievement Packs Young people can create an achievement pack once they have achieved their Award. It can only contain evidence from edofe, so make sure plenty has been uploaded prior to submitting the section. A PDF version is free or a professionally produced version is available to purchase. Each District has a sample copy. Next Level Once a section has been completed, the young person can start that section on the next level if their age allows. They will need to register for the next level through the County Office. Only 2 consecutive levels can be active at one time. Explorers to Network At 18, a young person must be moved from their Explorer Unit to their Scout Network on edofe. The ACC Network should be notified and will move them. They must register with a Scout Network to continue to work on their DofE Award through Scouting.

15 Leader Training 3 courses and an online e-induction are available to Leaders. Online e-induction - A basic introduction to the DofE Award, strongly recommended and a prerequisite for the Intro & Expedition Supervisor s courses. Intro to the DofE - A one day optional course that covers the mission & principles of the DofE as well as providing an excellent overview of levels, sections and timescales of the Award. A nationally recognised certificate. Expedition Supervisor - A one day optional training course to help leaders understand their role and tasks, manage risk and provide the best quality expedition experience possible for all young people. Expedition Assessor Accreditation - A compulsory course for those wishing to be an expedition assessor. More detail can be found under the DofE training section at Training is not compulsory to run the Award but it is recommend. Training dates are available at County can request to run extra courses locally if required. The Funding can be applied for from Gilwell to support training. 15

16 Expedition Guide 16 Useful Resources The Handbook for DofE Leaders A must for all Units & Networks! The County has supplied every District with a copy of the 7th Edition. A copy is also supplied with every Intro to DofE course. Copies are available from the DofE shop. A useful reference guide for the expedition section. A copy for each District would be useful. Full of tips from experienced leaders and assessors. Copies are available from the DofE shop. Leaflets There is a wide range of leaflets available from the DofE shop. These cover each section, promotional leaflets for young people & volunteers and a parent s overview leaflet. The Scout specific leaflet is available to print from the DofE & Scout websites or available to order for free from ScoutShops. The DofE website is full of useful resources including many downloadable guides, forms, log books, certificate templates and lots more. Supplies many promotional materials, resources to help run the Award, gifts, clothing and expedition assessment vouchers. Some areas of the shop require a log in, please contact the County Office regards purchases from these areas.

Programmes Pack A box full of bright, visual resources to help inspire the choice of activities for each section. Available from the DofE shop. DofE on A large selection of videos are available on YouTube promoting the Award and tutorials on how to use edofe. The DofE Magazine This is published 3 times a year and is packed full of news, updates and info. It is intended for those involved in delivering the DofE programme. It is posted out to all leaders registered on edofe. Ensure you have selected to receive this. Newsletter The DofE send out a monthly newsletter - DofE news - to all those involved in the delivery of the DofE programme and who are registered on edofe. Ensure you have selected to receive this.
