1 SECTION I: GENERAL INFORMATION POSITION DESCRIPTION WILLMAR PUBLIC SCHOOLS Position Title: Facilities & Youth Recreation Coordinator Immediate Supervisor s Position Title: Community Education Director Job Summary: Department: Community Education FLSA Status: Under the direction of the Community Education Director, the Facilities & Youth Recreation Coordinator is responsible planning, organizing and implementing youth enrichment programs and recreational activities, classes and teams. The Facilities & Youth Recreation Coordinator supervises youth sports; promotes and advertises team sports, activities and youth programs being offered; assists youth recreation supervisors in developing team schedules, finding coaches, organizing and arranging meetings; and organizes special events. As facility manager staff coordinates all use of city and school facilities outside of the school day for community use. Staff works closely with custodial and public works staff to ensure the facilities is set up and ready for use as requested by the public. Staff works with administrative staff to ensure proper billing for use of facilities is completed and revenues collected for use of facilities. Staff brings to the CER Director recommendations for adjustments in fees for use of facilities. SECTION II: ESSENTIAL DUTIES AND RESPONSIBILITIES Plans, creates, promotes and implements youth enrichment programming in the areas of art, theatre, science or other after school, evening, or weekend enrichment activities. a) Promotes and informs the public regarding youth enrichment programming. b) Plans and makes arrangements for classrooms, gyms, transportation or other facilities needed for youth programs. c) Finds instructors and seeks additional resources in the community. d) Plans and makes arrangements for field trips. e) Makes sure programs and events have adequate participation, materials, and resources to make the program viable. Supervises youth sports/recreation programs. a) Observes coaches and provide assistance, if needed. b) Makes sure game officials, referees and umpires are available; locates substitutes or fills in, as needed. c) Ensures kids are supervised by coaches and parents. d) Organizes and assembles equipment bags for coaches, documents and inventories supplies/equipment and maintains storage room. e) Deals with conflicts and disagreements between coaches, parents or others. Organizes sport teams including t-ball, soccer, basketball, and football. a) Formulates team rosters and schedules b) Creates team brackets for intramural basketball and creates rules and guidelines for conduct. c) Informs parents and coaches of photo days, coaching meetings, volunteer obligations and game times. Plans and organizes youth camps including art, theatre, science, recreation, team sports or other camps. Locates instructors and organizations to hold these camps. Plans events and organizes staffing responsibilities, plans and Page 1

2 events/tournaments. Prepares playing fields for events including field maintenance, mowing grass, stripping field lines, setting up cones, moving nets. Delivers equipment for coaches including pitching machines, etension cords and field lighting. Recruits volunteers, chaperones and kids for various volunteer activities and to help with major events. Manages the scheduling of facility use for the district and city facilities, while working closely with staff to ensure proper set up of facility for the public. Works with administration to process proper billing procedures so fees are sent and collected for facility use. Performs other duties of a comparable level or type, as required. a) Provides professional epertise and assistance to individuals, other district staff and the community concerning areas of epertise/knowledge. b) Attends training sessions and conferences. SECTION III: WORK REQUIREMENTS AND CHARACTERISTICS EDUCATION/KNOWLEDGE REQUIREMENT: Minimum education required to perform adequately in position could reasonably be attained only by completing the following: REQUIRED EDUCATION/TRAINING (choose one) less than high school diploma High school diploma or GED. 1 year college 2 years college DEGREE INFORMATION: Type of degree: (B.S., M.A., etc.) Bachelor s Degree Major field of study or degree emphasis: Sports Management, Recreation, Leisure Services, Park and Recreation 3 years college 4 years college 1st year graduate level 2nd year graduate level Doctorate level Essential knowledge and specialized subject knowledge required to perform the essential functions of the job: Fundamentals of public relations theories and techniques in promoting, advertising, and/or informing the public of programs, services, courses or other events/projects. Basic knowledge concerning the use of computers and related software applications and general business equipment. Knowledge of the issues, needs, problems and concepts of addressing and incorporating youth enrichment and activities consistent with the district s curriculum. Knowledge of community resources and community organizations within the community. Knowledge of the theories, philosophy and approaches to youth enrichment and youth recreational programming, evaluation, and implementation. General knowledge of district administrative policies and procedures pertinent to the activities and programs of Community Education. Page 2

3 Required Work Eperience in Addition to Formal Education/Training: No previous recreational programming required. LICENSE/ CERTIFICATION Identify licenses/certification required upon hiring: Valid MN Driver s License or evidence of equivalent mobility. ESSENTIAL SKILLS REQUIRED TO PERFORM THE WORK Skilled in: Applying supervisory theories and practices in delegating, monitoring, evaluating and training contract and volunteer program personnel. Planning, implementing, coordinating and arranging for youth development, youth recreation, sport camps and enrichment activities and programs. Operating and using athletic field maintenance, grooming and stripping equipment. Prioritizing, organizing and managing time and project activities. Applying public relation theories and techniques in promoting, advertising and informing the community of programs and services. Applying judgment and discretion in handling problems and issues in accordance with the policies and procedures of the District, grants and the department. Using computers and related software applications and general office equipment, e.g., copiers, facsimiles and phones. Communication, interpersonal skills as applied to interaction with coworkers, supervisors, the general public, etc. sufficient to echange or convey information and to receive work direction.
