This manual is meant to help you reach your goal of creating dynamic PowerPoint presentations with How many times have you searched for the right way to illustrate a point? Have you been looking for something visually dramatic to grab your audience? Consider using a video clip. A 30- to 45-second video clip with sound can provide the perfect vehicle. By adding a video clip to a PowerPoint, you can add drama to an otherwise dull presentation, clearly illustrate a procedure, or accentuate a point. Video is definitely more exciting than a still image and now is the time to explore the world of computer video. In this tutorial, you will briefly learn about video creating, digitizing (capturing), with a focus on adding custom video clips to a PowerPoint presentation.

4 4 Equipment Needed In order to use video in a PowerPoint presentation, make sure you've got the right equipment. At minimum for this tutorial, you'll need a PowerPoint 97 or later version, a Windows 95- or Windows 98-compatible sound card installed, (so you can hear your presentation), and access to the proper video clips, which would be any standard AVI file. In most cases, you can use the Media Player, which comes with Windows 95 and later versions. Other good software programs include Pinnacle, or imovie if you have access to academic computers at a school or university. Although it will not be covered in detail in this tutorial, if you need to create your videos, you ll need both video and audio software to perform basic editing tasks on your videos and hardware which would include a digital video camera and a microphone if you wish to record sound. Testing Your Equipment You should test your equipment to be sure it is compatible. First, create a 30- to 45 -second video using your digital video camera to use as a test video clip. If your video recorder utilizes the USB (Universal Serial Bus) interface, you can simply plug the device into the back of a computer without having to purchase and install additional hardware, such as a video capture board. For these purposes, the USB port is superior to other port options because it allows for faster data transmission and the capability to plug various peripherals into a single port. Now that you've tested your video equipment, you're ready to create video to share the world in your PowerPoint presentation.

5 Video Creating Chapter 1: Video Creating Custom Videos Adding video clips to an ordinary presentation can make it extraordinary and it's so easy to do. In the past you may have come across video clips on the Internet or perhaps you've seen them used in a presentation before. Most likely these were built-in stock clips, clips on a CD-ROM, or the Web. However, with a digital video camera and video editing equipment or software, you can record and edit your own custom video clips to enhance your presentation with visuals you couldn't achieve otherwise. Custom video clips can add excitement to any presentation and drive a point home. For example, you can liven up a counseling class PowerPoint presentation with snippets of role-playing graduate students. Other ideas include, capturing video that demonstrates how to use a various counseling techniques or recording examples of patients discussing their problems for students to discuss in class. The ideas are endless. After you have created your works of art, the next step will be to add them to your PowerPoint presentation.

6 Video Creating 6 Recording Video Clips for Your Presentation Let's suppose you've been assigned the task of creating a training presentation to be used in next benefit s meeting for all new employees. Here your company's new employees will be able to look at how your company was created and the employee benefits offered to them. You've decided to create a brief slide show that explains the history of your company and their selection of benefits. But, how will you provide a visual demonstration of the advantages to go along with the explanations so that the employees are able to better understand each of the benefits they are offered? Fortunately, there's a simple solution - just record 30- to 40- second clips to accompany each benefit included in your presentation. That way, the employees will see it firsthand and be able to get a feel for the advantage of the benefits they are offered, while hopefully avoiding any misunderstandings. Recording your videos will take a while since you will need to decide the background, the costumes, and the narration. In addition, not every shot is perfect, so you may need to do several retakes. Once you've recorded a video, digitize (capture) it and then you can play back the video and save it at the desired size for your presentation. Keep in mind, the larger the finish size, the more computer disk space the file needs. To save the file, choose File/Save As, select the.avi file extension option, and then specify the location and the compression option. (See PowerPoint Formats) The next decision would be to decide where in your PowerPoint presentation you want to place your video clips. By embedding or linking your clips you can have your audience view specific examples of benefits and how they maybe beneficial to employee individual circumstances. The last thing you will want to do is customize your videos. Customizing your clips in PowerPoint allows you to choose when and how your video will start, the size of the video screen and other important options.

7 Video Creating 7 Chapter 2- Digitizing Video PowerPoint Video Formats There are various ways you can add video to your benefits presentation. Video can be embedded into the PowerPoint presentation, this means that it is actually a part of the presentation and is built into the slide you embed it into or you can also add video clips from other sources such as the Internet, a CD or another source on your computer. In order, to embed video within your PowerPoint presentation, the video clip must be a compatible format. More or less it must be a digital file, such as.mpeg or.avi. This may require digitizing your video using a video capture board. These are usually apart of a video software package. Many computers today have a simple video editing program included such as Windows Media Player.

8 8 Video Creating Video Capture Boards When you capture a video clip, you are essentially downloading the video you have on your minidv tape onto your computer. You will need to choose the format when you edit, compress and save your video files. Which format is used will depend upon several factors, such as required quality; image size; length of sequence; available storage capacity; distribution media and cost. For this tutorial we will cover the procedures for adding.avi, MPEG, and QuickTime or.mov formatted videos to PowerPoint presentations. Video capture boards for Audio Video Interleave (.AVI) and QuickTime (QT) are relatively inexpensive, but MPEG video digitizing is still expensive and is not an option for most users. AVI is great for integrating video into PowerPoint presentations created on a Windows machine; however,.avi files are generally very large and interfere with output solutions if they are not compressed using compression software. In general,.avi files are very good for short video clips. They are inexpensive to produce and can be played easily by freely available software packages such as Window s Media Player or RealOne Player. If you are putting your presentation on the Web, QuickTime's superior compression may be a better option. But, QT, or.mov, videos must be either converted to a compatible format or linked to the presentation. The most common video formats supported by PowerPoint are: AVI (Audio Video Interleave): AVI is a native Windows format, not bad minimum file size (3.5 Mb/min) but reported problems synching video and audio. (It interleaves standard waveform audio and digital video frames (bitmaps) to provide reduced animation at 15 fps at 160x120x8 resolution. Audio is 11,025Hz, 8-bit samples.). They produce clips similar to what you see on television or at the movies and because of this, they tend to be large files. MOV (QuickTime or QT) native Mac format but with Windows plug-in. Good quality but large file size can be an issue (4 Mb/min). MPEG (Moving Picture Expert Group) Very small file size (2.8Mb/min), but digitizers are expensive. Once you have your chosen or created a digitized video and stored it on your hard drive, the process of adding a movie clip to a PowerPoint slide should be as familiar and easy as adding an image or sound file.

9 9 Video Creating Digitizing Video A digital video camera will automatically record your videos in a digital format and save them onto a minidv or a Digital 8 tape. FireWire camcorders connect directly to a port on the computer and transfer the video and sound in digital form to the hard drive -- no conversion from analogue to digital takes place. Most digital video cameras come with a Fire Wire (IEEE 1394) which will allow you to connect your camera to your computer to transfer your video stream. Note: Be sure you have the correct cable for your computer and camera. Most cameras have a 4-pin FireWire connection, whereas most computers have a 6-pin FireWire connection. A few laptop computers have a 4-pin FireWire connection. You will also need software to transfer you videos to your computer. This is referred to as digitizing or capturing your video. Most video digitizing boards come with their own software. Below is a list of some of the popular software that works with digital video: Macintosh Adobe Premiere - Final Cut Pro or Xpress - imovie - Windows Adobe Premiere - Dazzle - Pinnacle Studio Ulead VideoStudio http//: ulead.com Note: Since DV format uses a fixed size, you will not need to set options for the size and compression scheme used for capturing the video, as is the case with other types of video capture.

10 10 Video Creating Digitizing Video: Traditional Camcorders Generally, you will have a video tape recorder or camera attached to the video capture card of the computer. Depending on the application used, you will bring up a capture window on the computer and press a button on the screen to begin capturing video. Most video capture setups can also record video in a variety of formats and compression schemes for various purposes: Motion JPEG (MJPEG), often used for playback on television sets; QuickTime and Video 1 AVI, for computer multimedia applications; and many others. For the Web, the best results are obtained by initially capturing in the AVI format using Video 1 compression. After capturing the clips in AVI Video 1 format, you will need to convert the resulting file to the type of video format needed for playback with a Web page. You may wish to edit the file in some way (titles, transitions, trimming) with a program such as Adobe Premiere. Finally, the video file is converted, using Adobe Premiere or a stand-alone tool, to a format suitable for transmission through the Web.

11 Video Creating 11 Once you have your software and FireWire connected you can capture your video. These utilities will bring up a small window that will show your video playing on your camcorder and a "Record" or "Capture" button that allows you to record a clip into your computer. 13 13 Video Creating Chapter 3 Embedding and Linking Video Now that you have created a few videos for your benefits meeting audience, you're ready to add your video clips to your created PowerPoint presentation. As you'll see, there's more than one way to add a clip to a slide. We will be discussing embedding and hyper linking your videos. Embedding a Video Clip Video can be embedded into a PowerPoint presentation. This means that it is actually a part of presentation and is built into the slide you embed it into. This is helpful since it means you will not forget to copy your video from your CD or log on to the Internet and realize your video is not playing until you are in the middle of your presentation. Remember, your video must be.mpeg or.avi to embed. To embed your video, follow the instructions below: Open up your PowerPoint story in slide view, display the slide you want to add sound or movie to. Go to the Insert menu click Insert. Choose Movies and Sounds from the cascading menu. You can either choose the Movie From Gallery option or the Movie From File option choose Movie from File. Select the file type:.avi?.

14 14 Video Creating It will then ask you where your movie is. Navigate through your files until you find the folder that contains the sound or the movie, and then double-click the movie you want. An icon will appear on the slide. PowerPoint will ask you if you want the movie to play automatically. If you want the movie or video clip to start playing when the slide comes up you will need to click Yes or No. If you select Yes it will play once you click to the slide in your presentation. If you select No then you can choose when you would like the video to play or you can manually click on the image for the video when you want it to start playing. If you insert more than one video clip on a slide and you said yes to play automatically the video clips will play in the order that you inserted them on the slide. The first frame of your movie will appear on your slide. The video clip icon, a blacked-out video screen, will appear on your slide. You will know that it is a movie because a movie strip symbol appears in the frame. There will also be a movie toolbar that you can use to look at your movie and make it loop. Remember that looking at your movie in the presentation format is different and is what people ultimately will see. Hyper Linking a Video Clip Create a hyperlink to a sound file you want to play. 1. Select the object you re linking to, and then choose Insert Hyperlink. 2. Click the Existing File or Web Page option at the left of the dialog box, then click the Browse for File button at the right. 3. Find the file you want to link, select it, and click OK. Note: Linked video clips are not part of the slide show, so you have to make sure the file is available (i.e., on your local hard drive) when you play the slide show.

15 Video Creating 15 Linking QuickTime/.MOV Clips If you are using QuickTime or.mov clips the process is a little different. Follow the instructions below: 1. Create a new slide that will allow you to insert contents other than text. 2. Click on Slide Show. 3. Select Action Buttons. 4. Click on the Movie icon (arrow). 5. With the cursor, draw the Action Button. (Action Buttons can be size and format like any other drawing object.) 6. In the Action Settings dialog box, select Run Program. 7. Click on Browse. (Both the Mouse Click and the Mouse Over tab have the same options. I suggest using the Mouse Over tab when you are outputting to the web or CD-ROM.) 8. Change the Files of type field select All Files using the dropdown arrow in the Select a Program window. 9. Browse and select the QuickTime clip. 10. Click OK. 11. View the slide in the slide show. 12. Click on the Action Button in the slide show. 13. The QuickTime player will appear on the screen. 14. Click on the play button to play the clip. 15. Click on the mouse to continue with the show. Note: If your output is CD-ROM, you might consider also burning a copy of the QuickTime application to ensure that your viewer will be able to see the clip. Also, QuickTime movies can only be inserted as linked files on a PC.; therefore, if you your presentation, publish it as a Web page, or copy it to a different location, you must make sure that you include the.mov file as well.

16 16 Video Creating PowerPoint Web Pages with QuickTime Movies As stated previously, QuickTime movies are not embedded in the PowerPoint presentation; rather, they are linked to the presentation. If you plan to publish your presentation as a Web Page, and it contains a QuickTime movie, you must complete the following tasks. 1. Click on File in the menu bar 2. Select Save As. 3. Select Web Page from the Save as type dropdown menu. 4. Make sure that your File name is appropriate for publishing to the Web. 5. Click on Save. 6. Minimize PowerPoint. 7. Open My Computer. 8. Browse for the QuickTime movie you linked to the Action button in your presentation. 9. Copy and paste the file into your presentation s Web page files (arrows). 10. Saving the QuickTime movie to the presentation s Web page files ensures that it will be properly published with the rest of your presentation. 11. Close My Computer. 12. Maximize PowerPoint. 13. Right click on the Action button to which you originally linked the QuickTime movie. 14. Select Action Settings. 15. Click on Hyperlink to in the Action Settings dialog box. 16. Select Other File from the dropdown menu. 17. Click on the QuickTime movie from your presentation Web page files folder. 18. Click on OK in the Hyperlink to Other File window. 19. Click on OK in the Action Settings dialog box. 20. Save your presentation as a Web page again. 21. Your QuickTime movie is now ready to play when you publish your Web page to the Internet.

17 Video Creating 17 Chapter 4 Customizing Videos in PowerPoint Playing the Video in Your Presentation By default, the video runs when you click on it during a slide show. You may not want this; therefore, after you've inserted the video on the desired slide, while still in slide view, you need to set the options for the video to play during the slide show. To do so, follow these steps: 1. Select the video icon and choose Slide Show/Custom Animation to open the Custom Animation dialog box (or right-click to access the shortcut menu). 2. Click on the Play Settings tab and select the options you want. 3. For additional choices, click the More Options button. For example, you might choose the Play Using Animation Order and Pause Slide Show (while playing) options. You can also click the More Options button and select Rewind Movie When Done Playing from the Movie And Sound Options panel in the Play Options dialog box. 4. Click OK. How to have video play when it uploads (web resources) 1. After you have inserted a video in a slide 2. Select the video. 3. Select Tools Interactive settings Play Options. 4. Click on play upon load.

18 Video Creating 18 How to have a video play on a mouse click You can set your movie to play on a mouse click or automatically. To set this up, go back to the Slide Show menu. 1. Choose Custom Animation. 2. Choose between on Mouse Click or Automatically in the Timing Menu. How to have a video disappear after playing You may want your movie to disappear after it has finished playing. 1. Go to the Slide Show menu 2. Choose Custom Animation. 3. Choose the Effects menu. 4. Choose Hide After Animation.

19 19 Video Creating How to add an animation effect and animation order to the video screen icon Although it's not necessary to give the icon an animation effect to make it play automatically, the Slide Show looks better when the video screen makes an entrance. To set up the video clip so that it plays automatically, follow these steps: 1. In Slide View, click the video screen icon to select it. 2. Click the Slide Show menu, and then click Custom Animation. 3. Select the video clip in the Animation order list. 4. Click the Multimedia Settings tab, and then click the check box beside Play using animation order. Warwick elab Adding Video May 19, Click the Effects tab. 6. In the Effects drop-down list, choose an effect. For example, crawl from Top. 7. Click OK to close the Custom Animation dialog box. The video clip will start once the animation stops.

20 Video Creating 20 How to adjust the size of the video If you want to adjust the size of the video, you can resize it as you would any other PowerPoint object. 1. While in Slide view, click the video to select it. 2. Choose Format. 3. Choose Picture. 4. Next, click on the Size tab. 5. Select the Best Scale For Slide Show option, and then click OK. When you select this check box, it prevents the video from skipping while playing. You can also adjust the size of the video manually. Simply select it and drag one of the sizing handles (your insertion point changes to a double arrow) and pull it in the desired direction. If you want the video to take up the entire slide, drag the sizing handles accordingly.

21 21 Recommendations before you start When making your PowerPoint, use only content that is necessary and supports the presentation. Excessive multimedia elements may entertain your audience briefly, but they do not communicate your main points. When adding your videos, plan to spend time making sure your multimedia elements work the way you want them to. The small things count. Effects as size of the media file (large files load slowly), volume control, etc., can make or break your presentation. Check out the hardware and software ahead of time. Make sure that the computer you plan to present your slide show on works as you expect it to. Each audio and video clip requires special players, as well as sound hardware (sound card, speakers, etc.). All of the required components must be working for you to successfully play a media clip. Always plan ahead. Have a backup plan in case your media does not work as expected.

22 22 Rules for Video in PowerPoint To maximize the visual effect of your video clips: Colors in your slides -Use an absolute minimum of colors in slides containing videos. Once more, your background shouldn t distract your audience from the main message contained in the foreground. Simply, keep the backgrounds as simple as possible. Remember to embed - AVI files are not automatically embedded in the PowerPoint presentation..avi file size -.AVI files are large in size, they should be kept to a minimum. If the PowerPoint presentation is transferred to a different machine the AVI file must be copied on the drive of that file. Using removable media - If you are using video from a removable media source, such as you re A: drive or your CD drive make sure the removable media is in the drive when you start the show. Don t forget the video file - If you copy your PowerPoint to a disc, be sure to copy the video file also. Working with sound? To maximize the audio-visual impact of embedded movies and sounds, there are two important rules. o To ensure PowerPoint will always find your sound files Make sure the sound clips in your presentation are store in the same folder with your current presentation. If they aren't in the same folder, copy or move them into this folder. PowerPoint imperatively needs a copy of these files to play them. o To speed up the loading process of your sound files Both your presentation and the sound clips should be inside the PowerPoint folder: \MSoffice\Powerpnt
