2 All Exhibitors, please read the following information. 1. TIMES & FORMAT Monday 1 August Bump in time is Monday 1 August 10.00am and 4.00pm An indicative timetable for Bump In will be issued to all exhibitors. There are two loading docks, but it is vital that all stand holders unload and remove their vehicles as soon as possible. This year, we share the venue with the Cotton Australia conference, therefore the loading docks will be at capacity. Vehicles cannot be driven into the exhibition area. There is also no truck parking available on-site. Tuesday 2 August Green Expo Opening times Osmocote s 50th Birthday Drinks, sponsored by ICL Wednesday 3 August Meeting of Exhibitors Green Expo Opening times Bump Out is Wednesday 3 August 8.30am 6.00pm 4:00pm 6:00pm 8.00am 8.30am 8.30am 1.00pm 1.00pm 4.00pm Bump out must be completed by Wednesday 4:00pm - NO EXCEPTIONS 2. STANDS, PARTITIONING AND EXTRA REQUIREMENTS Two stand sizes are available with black Velcro compatible walls 2.4m high. Small - 2m deep x 3m frontage Large - 3m deep x 3m frontage Multiple stands are available, please use the booking form to indicate the quantity of stands required. Larger areas are available for heavy equipment suppliers, please contact NGIQ for information. If you require extras such as lighting or furniture on your stand you will need to contact Justine Ennor at Moreton Hire on phone and quote NGIQ s Green Expo. Please remember to book these extras early. There is plenty of space to design a spectacular display and work with your neighbouring stand holder. Together we can make this a great event! 3. FLOOR PLAN An indicative floor plan is attached. If you have a preferred position, and pay in full, this can be reserved subject to availability. You will be advised by telephone if the stand/s you want are unavailable. 4. CHARGES FOR POWER POINTS/ELECTRICAL TESTING One standard power point is included in your fee. Please indicate in advance if you need additional power on your stand. Any electrical appliance, lead or light must have a current certified tag affixed by an electrical contractor in the past six months. 5. PLASTIC UNDERLAY Plastic underlay is required on all stands with plants or pine bark. The fully carpeted floor surface must be protected, please ensure all your staff are aware of the need for care in this regard. Plastic will be available from the organisers on the day.

3 6. TROLLEYS/FORKLIFT Trolley, forklift and labour assistance will be available for Bump In and Bump Out. Priority must be given to loading and unloading vehicles as access is limited. They key is to unload and remove your vehicle. 7. PARKING There is ample undercover car/van/utility parking on site at a cost of approximately $10.00 per entry but the maximum vehicle height is 2.2m. There is no truck parking available on site. All trucks will need to unload and move offsite as soon as possible. Convention Centre security staff will be in charge of the loading dock. There will also be general labour and trolleys available to help unload vehicles. There may be some off-street parking available south of the Gold Coast Convention & Exhibition Centre/Conrad Jupiters/Pacific Fair. If you need to leave your truck for a few hours or the duration of Expo then parking is available at Plantmark Pty Ltd, 178 Gooding Drive, Merrimac, Plantmark accept no liability for any truck parked on their premises under this arrangement. 8. OFFICIAL OPENING AND AWARDS The Official Opening Ceremony will take place between 8.00am 8.30am on Tuesday 2 August. New Product and Stand Awards will be judged and announced at the Official Opening Ceremony. 9. ACCOMMODATION Special Green Expo accommodation rates are available from the following hotels/motels. NEW RELEASES/PRODUCTS GALLERY The New Releases/Products Gallery will be presented as part of Green Expo. The product must be new for Please tick the box on the Application to Exhibit form to receive entry details for the New Releases/Products. 11. EXPO BAG INSERTS The Expo bag will again be handed to all visitors attending. Fees for inserts is listed on the Application to Exhibit. We need to receive 900 copies of any material by Monday 1 August, 10.00am. Inserts must also be booked in advance & paid by 30 April FLOOR SIGNPOST DISPLAY Exhibitors can display company on a signpost strategically positioned on the floor of Green Expo, directing visitors to your stand. 4 GREEN EXPO 2016 RULES 1. EVENT DESCRIPTION This event is known as Green Expo EXHIBITORS STANDS a) SIZE - Stands will be offered in different sizes as per the application form. However, NGIQ may vary the size of any stand to suit the overall layout. No Standholder shall be allowed multi-corner stands without adjacent stands. When notifying each Standholder of their stand allocation, NGIQ shall also advise the size of the stand allocated. Stands must be constructed to the size notified. NGIQ has the authority to evict any Standholder and/or remove any stand where, in NGIQ's opinion, this Rule has been abused. b) CONSTRUCTION - Each stand will be constructed by the Standholder in a workmanlike manner and in accordance with normal safety precautions. Standholders must remove or cover all unsightly packing containers, wrapping paper etc, from the area and not store these on the displays. NGIQ has the responsibility to ensure that all stands have been constructed in a safe manner. NGIQ's decision on these matters will be final. 3. RESPONSIBILITY FOR DAMAGE Standholders understand and agree that neither NGIQ nor the participating venue will assume responsibility for loss, theft or damage to property of standholders, exhibitors, their agents or employees. Standholders further agree to indemnify and hold harmless NGIQ and the participating venue from any and all claims, damage and liability of any kind, whether for injury to persons or damage to property arising directly or indirectly out of the Standholder's use and occupancy at the Venue. Standholders must effect their own public liability cover for their stands. 4. AISLE SPACE All aisle space is under the control of NGIQ and must not be blocked or used in any way for exhibit space. 5. SETTING UP/PULLING DOWN Standholders will set up between 10.00am and 4.00pm on Monday 1 August Standholders may re enter the Expo after 8.00am Tuesday 2 August and Wednesday 3 August All stock must remain on stand until 1.00pm Wednesday 3 August. Buyers may remove stock from 1.00pm. Standholders will not dismantle their stands before 1.00pm or when Buyers have departed. All displays must be dismantled on Wednesday 3 August An indicative bump in roster will be prepared and advised to standholders prior to 22 July POWER AND LIGHTING General lighting will be provided by the venue at the discretion of NGIQ and one standard power point is included in each stand. Requests for additional power points must be made to NGIQ. Every endeavour will be made to comply with these requests but, depending on the amount of power available, limitations may have to be enforced. 7. GOODS EXHIBITED NGIQ reserves the right to have any Standholder remove any product or display item which, in NGIQ's opinion, is inappropriate to display or advertise. NGIQ will have the discretion to preserve a ratio of nurseries to allied traders. Standholders may not sell product or distribute material including price lists or business cards on behalf of other business not exhibiting separately at Green Expo without written permission from NGIQ. Except with the permission of NGIQ, exhibited stock may not for any reason, be removed from Green Expo during the period commencing 8.30am on Tuesday 2 August 2016 and concluding at 1.00pm on Wednesday 3 August PROCEDURE FOR ALLOCATION OF STANDS Priority will be given to 2015 green Expo Exhibitors, other NGIQ members, Affiliate Industry members, and finally non-members. NGIQ reserves the right to decide all allocations of stands. 9. REGISTRATIONS Standholders will receive a Registration form to complete with the names of people manning the stands. This must be returned to NGIQ by 11 July Special name tags for those people so nominated will entitle the wearer to unlimited entry to Spring Green Expo during opening hours. 10. WITHDRAWALS & CANCELLATION If NGIQ agrees to release a Standholder from their obligations under these Rules in exceptional circumstances then, in that event, the Standholder will be liable to pay $300 administration costs. This special provision will lapse if less than three (3) weeks remain before the opening of Green Expo 2016 whereupon all moneys due to NGIQ will become payable forthwith upon demand. 11. INSURANCE Standholders must provide a Certificate of Currency to NGIQ 3 months prior to the Exhibition. This certificate must show insurance cover including public liability to suit their individual requirements as NGIQ and the Venue accepts no responsibility in respect to individual stands (this can often be done as an extension of your existing public liability policy). 12. DATES AND TIMES OPEN Open from Tuesday 2 August 8.30am to 6.00pm & Wednesday 3 August 8.30am to 1.00pm VENUE: Gold Coast Convention & Exhibition Centre, Gold Coast Highway, Broadbeach.
