3 About Burnaby Hospital Burnaby Hospital is a 319-bed acute care, community hospital serving people who live and work in Burnaby, East Vancouver and beyond. From diagnostic and medical procedures to life-saving surgeries, Burnaby Hospital cares for over 200,000 patients each year and serves a population of half a million people. QUICK FACTS Burnaby Hospital s Emergency Department is one of the busiest in the Fraser Health Authority with 80,000 patient visits each year More knee and hip surgeries are done at Burnaby Hospital than any other hospital in the health authority. Each year at Burnaby Hospital more than: 15,000 surgeries are performed. 1,800 babies are welcomed. 12,000 people are served by the hospital s Oncology Department. 3

4 About Burnaby Hospital Foundation Established in 1982, Burnaby Hospital Foundation s role is to inspire investment in Burnaby Hospital. As the official charitable organization for the Hospital, the Foundation is dedicated to creating community partnerships that support the purchase vital medical equipment and technology, improve patient care, and support innovative and educational community programs that improve your health. We believe that a community hospital should support the overall health and community vibrancy of the area it serves and the people who live within it. The Foundation also supports the following initiatives through its new Health and Wellness grant program: Partners in Senior Wellness, with the City of Burnaby. Burnaby Task Force on Homelessness, with Burnaby Community Services. Outreach Health, with Burnaby Food First. Burnaby Healthier Community Partnership, with the City of Burnaby, SD 41 and Fraser Health. FITT Cardiac Association, with the Hospital s Healthy Heart program. Fall and Injury Reduction in Seniors through Technology, with Simon Fraser University. 4

5 Getting Started Step 1: Choose an Event If you need some inspiration, here are a few fundraising ideas to get you started: Movie Night Trivia Night Bake Sale Garage Sale Arts and Crafts Sale Loonie or Toonie Drive Bottle Drive Raffle or Auction Fashion Show Car or Pet Wash BBQ or Dinner Party Breakfast by Donation Block Party Casino Night Casual Day at the Office Athons Sports Tournaments Proceeds from Retail Sales Holiday Parties Special Occasion Fundraisers When it comes to sporting tournaments, there is no shortage of options including baseball, football, golf, tennis, fishing, poker, billiards, darts and more, so if sports is your thing, take your pick! There are also many activities that lend themselves well to the athon pledge model such as marathons, walk-athons, bike-athons, swim-athons, skate-athons, dance-athons, Zumba-athons and more. If you want to keep it simple, piggybacking is a sure fire way to make things easy basically you tag your fundraising efforts onto something that is already happening. If you own a business, for example, a portion of sales from a specific product or day can be donated. If you work for a retailer, you can ask your employer to consider doing the same. Holiday parties are another good example of the piggybacking strategy. Whether a personal or company holiday party, consider asking people to make a donation in lieu of Secret Santa gifts. Special occasion celebrations such as birthdays, anniversaries and retirements are also great opportunities to ask guests to consider making a donation instead of bringing a gift. Step 2: Set a Fundraising Goal Set a fundraising goal that you feel is attainable given your budget and expenses. Step 3: Plan your Event As with most things, preparation and organization are the keys to success. To help make the planning and execution of your fundraiser as effortless as possible, we have developed an Event Planning Checklist of things to consider (See Schedule A in Appendix). Step 4: Start Fundraising! You may want to set up an online fundraising page where you will be able to send requests for donations by , track your fundraising progress and collect donations electronically. 6 Our Top 10 Tips 1. Set a realistic goal. 2. Choose a fundraiser that is in keeping with your interests. For instance, if you like to cycle, organize a bike-athon. If you re passionate about something, you re sure to be successful! 3. Start planning as early as possible. A full scale golf tournament, for example, can take six months or more to organize. 4. Keep your costs as low as possible. 5. Seek sponsorship from local caring companies it s a great way to offset any expenses arising from your fundraiser and increase the net amount donated to the Foundation. 6. Approach your company about their matching gift policy and encourage your fundraiser s participants to do the same. Many companies will consider matching a portion of donations made by employees. 7. Ask family, friends, neighbours and co-workers to get involved. Also, take advantage of any existing community connections. (e.g. clubs and organizations etc.) 8. Spread the word use traditional media, social media, posters, brochures and other means to generate word of mouth about your fundraiser. 9. Take lots of photos and share them with participants, sponsors & volunteers following your fundraiser. 10. Always thank participants, sponsors, donors and volunteers for their support. 6

7 How Burnaby Hospital Foundation Can Help The Role of the Community Fundraiser Organizer All aspects of Community Fundraisers are managed by the volunteer organizer. The organizer is also responsible for all expenses related to the fundraiser. The Role of the Foundation Recognizing the importance of Community Fundraisers, the Foundation is pleased to provide organizers with tools and support to help ensure their success. Once a Registration Form has been approved, the Foundation will: Provide one on one event planning support by way of phone or ; Provide Burnaby Hospital Foundation s in support of logo; Provide Foundation materials for display at Community Fundraisers Provide a letter, upon request, validating the authenticity of an Community Fundraiser for the purposes of soliciting sponsors, prizes and auction items; Include Community Fundraisers in the Foundation s online event calendar; Help promote Community Fundraisers through its social media; Provide tax receipts for eligible donations. For a variety of reasons, the Foundation is not able to provide assistance in certain areas; please know that this is not a reflection of the importance or value placed on Community Fundraisers, but rather due to limited resources and governing policies. As a result, Burnaby Hospital Foundation is unable to: X Provide access to its donors or mailing list; X Reimburse expenses associated with Community Fundraisers; X Arrange insurance coverage for Community Fundraisers; X Arrange for any necessary licences or permits; X Provide assistance with ticket sales; X Provide assistance with securing sponsorship, prizes or auction items; X Arrange advertising for Community Fundraisers; X Provide volunteers; X Guarantee staff attendance. While the Foundation is incredibly grateful to be the beneficiary of Community Fundraisers, due to limited resources we are unable to participate in each one. 7

8 Finding Sponsors for your Event Sponsorship is a wonderful way to offset fundraising costs and increase the net dollars raised. Sponsorship can take the form of cash or donated goods and services (gifts-in-kind). 10 Tips to Help Secure Sponsorship 1. Decide on the sponsorship levels for cash sponsors (e.g. bronze, silver, gold) and the price for each. 2. Determine what benefits (visibility and recognition) each sponsorship level will receive e.g. company logo on a poster or advertisement or recognition by the emcee at the event. 3. Look at your budget and determine if there are any expenses that can be offset by donated goods or services (e.g. printing, food and beverage) 4. Make a list of who you are going to target for sponsorship. Before approaching any potential sponsors, however, please forward your prospect list to the Foundation for review. 5. Develop a quality sponsorship package that includes a cover letter and a proposal. The proposal should outline sponsorship opportunities and benefits according to sponsorship level, and it should also include information on the Foundation, as the beneficiary of proceeds. 6. Approach sponsors early. Mail or a sponsorship package along with a personalized cover letter, and follow up with a face-to-face meeting whenever possible. 7. Ask the Foundation to provide a letter of support which can be presented to potential sponsors to validate the authenticity of your fundraiser. 8. Once a company has agreed to sponsor your fundraiser, you may want to have the sponsor produce a letter or confirmation. 9. Invite sponsors to your fundraiser! This may seem obvious, but believe it or not, this important step is sometimes overlooked. 10. Say thank you. It is important before, during and after your fundraiser, to say thank you and get feedback from your sponsors. Following the fundraiser, provide sponsors with photos and copies of event collateral in which their name and/or logo appeared such as programs and posters etc. 8

9 Promoting Your Fundraiser Promotional Materials Create a Visible Presence Whether it s a poster, banner, brochure or advertisement, all promotional materials provide a visible presence for your fundraiser, helping to establish its identity and create awareness about it. Promotional materials bearing the Foundation s in support of logo must be forwarded to the Foundation for review prior to printing or distribution. Social Media It s Free and Effective Create a Facebook event page for your fundraiser and link it to Burnaby Hospital Foundation s Facebook page (facebook.com/burnaby-hospital-foundation). Remember to update your event page often, especially as the date of your fundraiser gets closer. If you use Twitter, tweet the details of your fundraiser to followers, and let us know you re tweeting so we can help you spread the word by re-tweeting Using Media Vehicles to Reach the Masses Submit a news release to your local newspaper; if your fundraiser is unique or particularly touching you could get your story in the paper. News releases should be ed to the appropriate newspaper reporter approximately three weeks before your fundraiser. To receive a news release template, please contact the Foundation. Use community calendars to let people know about your fundraiser. A sentence or two is required about the event including details such as the name, date, time and location of the fundraiser, who the proceeds will benefit and your contact information. Newspapers and TV stations often offer community calendars. Contact your local media outlets for deadlines. Popular community calendars include: Burnaby Now ( Global News ( Tourism Burnaby ( Metro Vancouver ( ) Radio stations often announce upcoming fundraisers and events benefitting charities. Approach local stations and ask them to consider airing a public service announcement (PSA) about your fundraiser. a short description of your fundraiser to the radio station three weeks in advance, and it may get picked up. Other Ideas for Promoting your Event If you have a newsletter or notice board at work, at your local community centre or church submit information regarding your fundraiser. 6 9

10 Post-Fundraiser Procedures At the end of your fundraiser, don t forget to celebrate! It is important to thank everyone that was involved and share results and photos. Special notes to your top fundraisers are always well received. We also suggest that you send thank you letters or cards within one week of your fundraiser. Presenting Event Proceeds to the Foundation As Burnaby Hospital Foundation has lent its name to your fundraiser and people have been made aware that it is the beneficiary of your event, it is important that the Foundation receives donations in a timely manner. All proceeds from your fundraiser must be submitted to the Foundation within 30 days of its conclusion. The following documents should accompany the proceeds: 1. A completed Pledge Form (if receipts are being issued for donations). The form identifies donor name, address, telephone number and/or and contribution amount for each donation. This information is used by the Foundation to process donations and issue tax receipts. 2. Financial Summary Report Sharing Information and Photos with the Foundation The Foundation is honoured to be the beneficiary of Community Fundraisers, and proud to share the work of the people who make them happen. Following your fundraiser, we would welcome a brief write up and a few photos, so we can post them on our website and social media platforms and include them in other Foundation publications as appropriate. 10

11 Recognition for Community Fundraisers and their Organizers We are immensely grateful to all who give their time and talent to further the mission of Burnaby Hospital, and we believe strongly that these efforts should be recognized. To this end, we are pleased to acknowledge Community Fundraisers in the following ways: A cheque presentation photo opportunity; A letter from Burnaby Hospital Foundation s President & CEO verifying your Community Fundraiser and sharing how it has made a difference for Burnaby Hospital patients and health care staff; A certificate of appreciation. In addition, where proceeds from Community Fundraisers are $5,000 or more, the name of (the Community Fundraiser and/or its Organizer) will be listed on the Foundation s Donor Recognition Wall located within the Hospital. 11

12 Frequently Asked Questions I want to hold a fundraiser in support of Burnaby Hospital Foundation, where do I start? Contact the Burnaby Hospital Foundation office and tell us about your event. Review the Community Fundraiser Guidelines, submit a Community Fundraiser Registration Form and sign a Community Fundraiser Agreement. Your event must be approved by the Foundation before you advertise it as the beneficiary of your fundraiser. Will the Foundation pay for expenses associated with my fundraiser? No, Burnaby Hospital Foundation does not reimburse any expenses related to Community Fundraisers. Budget carefully for your fundraiser, and consider asking local businesses to become a cash sponsor or donate goods or services to help offset costs. Can I use Burnaby Hospital Foundation s logo on promotional materials? Yes, once a Community Fundraiser Registration Form has been accepted, the Foundation will provide you with its in support of logo for use on your fundraiser s marketing materials. All materials bearing this logo need to be approved by the Foundation before they are printed or published. Does the Foundation have promotional materials available for my fundraiser? Yes, the Foundation can provide a banner, brochures, a donation box and balloons. Can I request that a Foundation representative attend my fundraiser? Yes, you can request that a Foundation representative attend your event, but we cannot guarantee that we can meet your request. The Foundation is extremely grateful to all organizers of Community Fundraisers, but we are unable to participate in each one due to limited resources. Can the Foundation provide volunteers for my fundraiser? No, the Foundation is unable to provide volunteers for Community Fundraisers. Can the Foundation promote my fundraiser? Yes, we can post your fundraiser on the Foundation s online calendar and promote it through our social media platforms. Can you let the Foundation s donors know about my fundraiser? Due to privacy legislation we are unable to promote your fundraiser to our donors and database. Can the Foundation send out a news release for my event? No, the Foundation is unable to contact the media on your behalf. Upon request, however, we can provide you with a news release template and tips that will help guide you in promoting your fundraiser. Can I get a photo taken with a big cheque? Yes, absolutely. We would be happy to organize a cheque presentation at the hospital during business hours (Monday through Friday between 8:30 am and 4:30 pm). 12

13 Will the Foundation issue tax receipts? The decision to issue tax receipts is at the discretion of the Foundation. When deemed appropriate, tax receipts may be issued for donations of $20 and over. In order for the Foundation to process donations, organizers of Community Fundraisers must complete a Pledge Form identifying the donor s name, address, telephone number and contribution amount for each donation. The form gets submitted to the Foundation, along with the donated funds, following the event. The Foundation will process donations and mail tax receipts directly to eligible donors listed on the form. For further information, please see the Guidelines for Issuing Tax Receipts. How do I submit the proceeds from my fundraiser? Proceeds from a Community Fundraiser must be submitted within 30 days of its conclusion. They can be submitted in person Monday through Friday between the hours of 8:30 am and 4:30 pm at the following address: Burnaby Hospital Foundation 3935 Kincaid Street (3 rd floor) Burnaby, BC V5G 2X6 Proceeds can also be submitted by mail to the attention of Database/Systems Administrator at the above address. When mailing proceeds, please: Make sure cheques are not missing any information and that they are made payable to Burnaby Hospital Foundation. Do not mail cash. Ensure a Pledge Form is submitted with your donations so we may issue tax receipts Can I choose where I want my donation to go? Yes, you can specify which area of the hospital you would like the proceeds of your fundraiser to benefit (e.g. a specific department etc.). We do, however, encourage donations to support greatest need. This type of funding is highly desirable because its flexible nature allows us to respond to the hospital s most urgent needs as they arise. Can I provide alcoholic beverages at my fundraiser? Yes, but further consideration may be required on the part of the Foundation. If you plan on serving alcohol at your fundraiser, please provide details on the Community Fundraiser Registration Form. If your proposal is accepted by the Foundation, please be aware that in order to serve liquor in a public place or sell liquor anywhere, you will need to obtain a liquor licence. A government issued gaming licence is required if you are planning to have a raffle, 50/50 draw or any kind of gaming activity at your fundraiser. 21 Schedule G Burnaby Hospital Foundation Guidelines for Logo Usage - Community Fundraisers A logo represents much more than an organization s brand; it is a symbol of its mission and the trust it has earned from its stakeholders and supporters over the years. It is important that Burnaby Hospital Foundation s logo is not used in ways that may be detrimental to its identity or reputation. With this in mind, the following guidelines have been developed to govern its use. Guidelines We are pleased to provide Burnaby Hospital Foundation s in support of logo (below) for approved Community Fundraisers. This is the only logo that may be used on your fundraiser s promotions and materials. We ask that you read the following guidelines and follow them carefully when using our in support of logo: Logo Presentation Please do not alter the Foundation s logo in any way. If you wish to use the Foundation s logo with yours, ensure a key line separates the two logos (see example below). Your Logo The Foundation s logo must be no smaller than 1-inch wide. Also, please take care not to crowd it and surround it by as much white space as possible. Colour The Foundation s in support of logo can be used in the colour version provided; please do not alter the colours in any way. Approval If you are developing promotional materials with Burnaby Hospital Foundation s logo, please submit copy to the Foundation for review and approval before printing and publishing. 21

22 Schedule H Burnaby Hospital Foundation Guidelines for Issuing Tax Receipts The decision to issue official tax receipts for Community Fundraisers is at the discretion of Burnaby Hospital Foundation. The Foundation must pre-approve tax receipts before commitments are made to supporters of your fundraiser. Official tax receipts may be issued for monetary donations of $20 or more from an identifiable donor. All tax receipts will be generated in accordance with Canada Revenue Agency rules and regulations. Official tax receipts will be processed by the Foundation and mailed directly donors upon receipt of donations and donation processing information. Please note that donations cannot be used to offset event expenses; the total amount donated must be forwarded to the Foundation in order for it to issue an official tax receipt in full. Official tax receipts will not be issued for: Sponsorships (as sponsors receive the benefit of exposure) Purchase of event tickets Purchase of lottery, raffle or 50/50 tickets Donated or purchased prizes or auction items Donated services or advertising Loose cash or coins where donors and corresponding donation amounts cannot be identified. Silent auction bids We are also unable to issue tax receipts in the name of the event organizer for donations that are collected from the public. Business receipts can be issued upon request for contributions than are not eligible for an official tax receipt. A business receipt is an acknowledgement of a contribution only, and cannot be used for income tax purposes. 22
