1 I n t e r m e d i a t e M i c r o s o f t P o w e r P o i n t Inserting a Video To Insert a Video: Click on the insert tab and click the video option. If you choose video from a file, a dialogue box will open allowing you to browse your computer for the video file. If you choose video from website, the dialogue box pictured below will appear. If you choose clip art video, the clip art search function will appear and allow you to search for videos. When inserting a video from a website, you need to copy the embed code and paste it into this box. To embed from YouTube, click on the embed tab below the video and copy the code. If you have successfully inserted a video whether by embedding or choosing a video/clipart file, your video will appear in your slide as either a blank screen or have a preview of the video as shown to the right.

2 Inserting Audio To Insert Audio: Click on the insert tab and click the audio option. If you choose audio from a file, a dialogue box will open allowing you to browse your computer for the file. If you choose record audio, the dialogue box pictured below will appear. If you choose clip art video, the clip art search function will appear and allow you to search for videos. To record sound: Click the red record button. Click the stop button to stop recording. Click the play button to hear what you recorded. Name your sound. Click OK to finish the process. Once you have inserted audio: the image below will appear. If you select the audio icon, the playback options below it appear. If you deselect the audio icon, the options disappear and you only see the icon. Use the options bar to play, pause, fast forward/ rewind the sound, and to change the volume. Video/Audio Tools When you insert and select a video/audio file, you will see the video/audio tools tab. Video Tools and Audio Tools have two tabs. 1. The Format Tab is almost completely identical to the Picture Tools Tab that is explained in the City of Parkland s Microsoft 2010 Suite Essentials Guide. The only difference is that in the Video /AudioTools Format Tab there is a play button on the left. 2. The Playback Tab has many options for formatting the way your video or audio will play in your presentation. The Video and Audio Playback Tools are almost exactly the same.

3 Video/Audio Tools Video Tools: Playback Tab Audio Tools: Playback Tab Note: If the buttons on the ribbon are not clickable (shown in the video tools playback tab) it means those options are not available at the moment. Notice the minor differences in the video and audio tools playback bar: Video Playback Audio Playback Trim video Trim audio Play full screen No full screen option Hide while not playing Hide during show

4 1 Adding and Removing Bookmarks You can add bookmarks to indicate time points of interest in a video or audio clip. Use bookmarks as a way to trigger animations or to jump to a specific location in a video. Bookmarks are useful when, while delivering a presentation, you can use them to help you find specific points in a video (or audio clip) quickly. Add a Bookmark: Insert a video or audio clip to a slide In the audio or video controls below the audio or video clip, press play To indicate a point of interest, do one of the following: If you are working with a video clip, under Video Tools on the Playback tab, click Add Bookmark If you are working with an audio clip, under Audio Tools on the Playback Tab, click Add Bookmark Remove a Bookmark: In the time line, locate and click the bookmark you want to remove. Do one of the following: If you are working with a video clip, under Video Tools on the Playback tab, click Remove Bookmark If you are working with an audio clip, under Audio Tools on the Playback Tab, click Remove Bookmark

5 2 Trimming Video/Audio. To trim audio: After you watch your video clips or listen to your audio clips you might notice that there are parts you want to remove. Maybe you were shaking the camera or laughing at the beginning. 1. Select the audio file you want to trim. You cannot do this with embedded videos. 2. Under the Playback tab for Audio Tools, click Trim Audio To trim the beginning of the clip, click the start point (shown in the image below as a green marker, on the far left). When you see the twoheaded arrow, drag the arrow to the desired starting position for the audio clip. To trim the end of the clip, click the end point (shown in the image below as a red marker, on the right). When you see the two-headed arrow, drag the arrow to the desired ending position for the audio clip. To Trim Video Select the video file you want to trim Under the Playback tab for Audio Tools, click Trim Audio To trim the beginning of the clip, click the start point (shown in the image below as a green marker, on the far left). When you see the two -headed arrow, drag the arrow to the desired starting position for the video. To trim the end of the clip, click the end point (shown in the image below as a red marker, on the right). When you see the two-headed arrow, drag the arrow to the desired ending position for the video.

6 3 Fade Duration.. You can start or end your video or audio file with a fade effect for a certain number of seconds. Select the video or audio on the slide. Under the Video Tools or Audio Tools, on the Playback tab under Fade Duration, do one or both of the following: To add a timed fade at the beginning of your video or audio, in the Fade In box, click the up and down arrows to increase the Fade In time. To add a timed fade to the end of your video or audio, in the Fade Out box, click the up and down arrows to increase the Fade Out time. 4 Set the Volume... You can set the volume of video and audio to make it louder or quieter. Under the Video Tools or Audio Tools Playback tab, click on the volume icon Select Low, Medium, High, or Mute 5 More Video/Audio Options.. You can change when your video or audio starts playing by clicking in the box next to Start. Select Automatically to play it when you start that slide,, On Click to play it when you click on it, or Play Across Slides to play it continuously over many slides. Play Full Screen: click to play your video full screen Hide While Not Playing: click to hide your video when it is not playing Hide During Show: click to hide your audio icon during your slide show.

7 Inserting Hyperlinks and Actions In PowerPoint, a hyperlink can be a connection from one slide to another slide in the same presentation or to a slide in another presentation, an address, a Web page, or a file. You can create a hyperlink from text or from an object, such as a picture, graph, shape, or WordArt To insert a hyperlink 1. Click on the object or text you want to make into a hyperlink 2. Click on the Insert Tab and then the Hyperlink button. 3. Follow the dialogue box instructions for inserting a hyperlink. Click to insert a file from your computer or a web address Click to insert a link to a slide Click to insert a link to a new document Click to insert a link to an address Type in the web address You can assign actions to clip art, pictures, or to the text in a SmartArt graphic. The idea is that when you deliver your presentation, you can click or mouse over an action button to go to a different slide, run a program, run a macro, or play an audio clip. To insert an action:.. 1. Click on the object or text you want to make into a hyperlink 2. Click on the Insert Tab and then the Action button. 3. Select the mouse click or mouse over tab to begin the action on a click or when you mouse over it. 4. Select the action you want to happen.

8 Custom Animations and Transitions Customize an Animation.. Start on Click: click to select if your animation starts on click, with previous (animation), or after previous (animation). Duration: Click to select how long the animation lasts. If it s too quick, make it longer, or vice versa! Delay: click to delay the animation so it starts a bit later. Animation Pane: Click to view and manage all of the effects that are on the slide. You can modify and reorder effects directly from here, which is very useful when you have many effects. Trigger: click to set a special start condition for an animation. You can set the animation to start after you click a shape or when media playback reaches a bookmark. Reorder animation: click move earlier or move later to change the order of when your animations start. Effect Options: click to change the animation effects, like the direction in which the animation moves. Customize a Transition.. Sound: click to add a sound to the transition Duration: click to make the transition last more or less time Apply to All: click to apply the transition options to all your transitions. Advance Slide On Mouse Click: click so that you can control when to change slides by clicking your mouse during your slideshow Advance Slide After: click to choose how long you want your slide to appear during your slide show and it will change automatically when the time is up. Effect Options: click to change the transition effects, like the direction in which the transition moves.

9 Presenting options Click to begin slideshow from beginning Click to begin slideshow from slide you are currently viewing This icon is at the bottom of the window next to the zoom bar. Click it to start your slide show from the slide you are currently viewing. Click to rehearse your slideshow. The amount of time you spend on each slide is recorded so you can run your slideshow automatically in the future. Pointer Options While Presenting... Arrow: Click to make your pointer a normal arrow Pen: click to turn your pointer into a pen. You will be able to write on your slides by clicking and dragging your mouse around the screen Highlighter: click to turn your pointer into a highlighter. You will be able to highlight on your slides by clicking and dragging your mouse around the screen. Ink Color: change your pen/highlighter color. Eraser: click to turn your pointer into an eraser to erase any marks you made with the pen or highlighter. Erase All Ink on Slides: click to erase all pen and highlighter marks on all your slides. Arrow Options: click to make your arrow visible or hidden during the show. You can save any pen/highlighter marks you make to keep for future presentations Turn Your Mouse into a Laser Pointer Press and hold the CTRL key while simultaneously left-clicking and holding your mouse. An red pointer will appear on the screen.
