1 Let s Try It! In working through the following brief tutorial on Microsoft PowerPoint you will learn the following: How to open PowerPoint and choose a project template How to format a template How to add text and graphics How to add hyperlinks How to build transitions between slides 1. Launch PowerPoint Once you have acquired a copy of Microsoft PowerPoint or have downloaded a trial version of it, open PowerPoint. 1.1 Open PowerPoint and view the Project Gallery. The first screen that you see should look similar to the one shown here. (Some versions of PowerPoint may not open with a Project Gallery. If so, Choose File > New> Form Design Template and proceed to step 2.) 1.2 If the Project Gallery does not appear, open it by clicking on Project Gallery found under the File menu.

2 2. Choose a design template 2.1 Choose Designs under the Presentations menu at the left edge of the screen. Click on Designs under the Presentations menu. At this point you could take a moment to scroll through and examine the various templates, choosing the one that you would like to use. Keep in mind that it is best to have a solid color background, preferably in a dark color with light text. 2.2 Choose Shimmer, a template with a dark background and click Open. Choose Shimmer (On some versions of PowerPoint the template names appear as pop-ups as you mouse over them.) Click Open After you have chosen the template, this screen will appear.

3 2.3 Select Slide Layout from the Format menu. Click on Slide Layout under the Format menu. 2.4 Choose the Bulleted List layout and then click on the Apply button. Click on Bulleted List (In the future you may want to begin your presentations by choosing Title Slide). Click on Apply This screen will now appear. Note all of the different menus in this figure. If all of these horizontal and vertical menus (called toolbars) do not appear, access them by selecting Toolbar under the View menu at the top of the screen. Click on the Standard, Formatting, and Drawing toolbars. As you drag your pointer over each icon on the toolbars, a brief explanation will appear. (Toolbars may differ on different versions of PowerPoint.)

4 Warning! Before you click in the boxes and add information, you must first reformat the text defaults. A number of PowerPoint defaults are not good examples of proper graphic technique! The title color is too dark (not enough contrast with background) and the text box contains a font that is too hard to read. It is (1) too small, (2) not bold, and (3) a serif typeface. 3. Format your template 3.1 From the View menu, move down to Master and over to Slide Master. This screen now appears. Changing a format on this slide will change the format (font, font size, font and background color, text location on slide, footer, etc.) on all of the regular slides using this format in the presentation except the title slide. It is quite easy to change the format by treating it as a word processing document. Highlight the words or sections you want to change on the slide master and use the Formatting toolbar, second toolbar from the top (directly over the screen), to make changes.

5 Make the following changes. 3.2 Click on the top line which is the Title box (Click to edit Master title style) and choose the font Arial, 48 point, bold, italic. To make make it really stand out choose a font color of yellow. 3.3 Click on the box below which is the Text box (Click to edit Master text styles ) and choose the font Arial, 36 point, bold. 3.4 While the Text box is selected, choose Format>>Bullets and Numbering. 3.5 Choose the fifth set of bullets and choose yellow for the color. Choose this set of bullets Choose the color yellow Click OK While you are still in the Slide Master, take a look at the three boxes labeled Date Area, Footer Area, and Number Area along the bottom of the window. If you enter something in these boxes (including an image), it will appear on all the regular slides. If you add an image of your school mascot the Fighting Bear to the Slide Master it will appear on each regular slide except the title slide. If you teach in the Polar Bear Block, how would you make that appear on all of your slides? You are right if you said that it would be to type Polar Bear Block into the footer box. 3.6 Choose Normal from the View menu.

6 3.7 Click in the Title box and type in the text Roger Stern s Resume. 3.8 Click in the Text box and type in the text My Teaching Philosophy. Press Return (Enter) between each line and continue to type in the text as in this illustration. You have another task to do. You would not want all five bulleted lines of information to appear on the screen at the outset, but would rather have one line of information revealed one at a time with each mouse click. In this manner you control the presentation and only have information disclosed when you are ready to discuss it. Each one of these bulleted lines of information is often called either a build or a disclosure. Just to confuse the issue, PowerPoint calls them Animations or Animation Schemes! The most efficient way to add these to your presentation is from the Slide Master screen. Return to the Master Slide screen from the View menu 3.9 First, highlight all of the text in the Text box, then select Custom Animation from the Slide Show menu. Do not use the selection presented in the Slide Show >> Preset Animations menu. Most of those also have a sound with it that may be distracting to your students A Custom Animation window will open. Click on Add Effect at the top right of the window.

7 3.11 An Animation Effects window will appear. Click on Fly In then OK. Click on Fly In Close the Custom Animation window by clicking on the OK button. You may later want to experiment with the various animations. The unusual ones may be fun to look at but they may be distracting to your students. After completing this first slide, Roger Stern s Resume, you will add six additional slides to your presentation Return to Normal from the View menu To add a slide, choose the Insert > New Slide menu. Type My Teaching Philosophy in the Title box. Follow the procedure just described to continue adding slides, titling each one according to Roger Stern s Resume: Program and Courses Teaching Standards Matrix Recommendations Watch Me Teach a Lesson Math Department Web Page Let s add an image to a slide. You must first be on the slide to which you want to add an image. Return to the first slide, Roger Stern s Resume Select Insert >> Picture >> Clip Art This will open the PowerPoint Clip Art folder. This is usually the same folder as the Microsoft Office Clip Art folder. In the Academic category, choose Classroom, the third item on the top row.

8 3.15 Click on Classroom and then on the Insert button. Click on Classroom Click on Insert Now positon and resize the image if necessary on the slide. Make sure it does not conflict with any text. If you have an image that you use often, say the Fighting Bear mascot image, you can add it to this clip art folder by using the Import button on the lower left of the Clip Gallery screen. If you have any images (clip art, scanned images, digital photographs, etc.) that are not in the PowerPoint Clip Art folder, you would choose the Insert > Picture > From File option. Use this to locate the image you want on your computer or flash drive. When you find it, select it and press the Insert button. The title of this chapter is Learning with Multimedia Tools and a simple linear presentation is not multimedia. So, let s change this linear presentation into a multimedia one by adding some sounds and movies.

9 3.16 Return to the Insert menu, move down to Movies and Sounds and select Movie from Gallery to add movies stored in the PowerPoint movies folder or Sounds from Gallery to add sounds from the PowerPoint sounds folder. If you have sounds or a movies that are not in this folder, just access them by clicking on the Movie from File... or the Sound from File... menu item. Important note: Movies and sounds DO NOT become parts of the PowerPoint presentation file as an image does. You are simply adding a pointer to the movie or sound file. Because of this, you must always keep your PowerPoint file, sound files, and movie files together. If you just move your PowerPoint file (perhaps to give it to your instructor to correct) and don t move the sounds and movies with it, the pointers will be on your PowerPoint but they will not work because they have nothing to point to! You have added sounds and movies so you now have a multimedia presentation. Let s turn it into a hypermedia presentation. You do this by changing words or images into true hypermedia links, just like on a web page! You can have links move us to at least three different locations: (1) You can move to a different slide in the same PowerPoint presentation; (2) you can open up a web page; (3) or you can open up another application (e.g., a document in Microsoft Word) On Roger Stern s Resume, highlight the word Philosophy to make into a link. Now choose Insert > Hyperlink.

10 3.18 Type in the Link to: box and click the OK button. Now, when you click on the word Philosophy in the PowerPoint presentation, your web browser will open and the web page will be displayed. As said earlier, you can also link to another file or another slide in the same presentation. Let us say that you wanted to link the word Philosophy to a Microsoft Word document. Highlight the word Philosophy and select Insert > Hyperlink. Click on the Remove Link button Select Insert > Hyperlink again but this time click on the Document tab near the middle of the page and click on the Select button. Now, select the file you want to open. If the Philosophy paper was a Microsoft Word document, you just have to find that and click on the OK button. Now, when you click on the word Philosophy in your presentation, Microsoft Word will open up and display the document! You can use the same menu to make a link back to another slide in your presentation. Hint: By placing #x. (where x is the PowerPoint slide number) in the Link to: box, you will go directly to the slide you selected. We have one last thing to do: Put transitions between the slides. Transitions are how one slide moves into another.

11 3.20 Choose View > Slide Sorter View and select slides 2 through In the pull-down menu near the top of the screen, replace No Transition with Cover Right-Down. Pull-down menu Select Cover Right-Down Select View Show from the Slide Show menu and sit back, relax, and admire your handiwork as you view your presentation. Now you are on your own! Remember, if you want to insert something, just click on Insert on the top menu bar. PowerPoint is very intuitive and the toolbars are similar to the ones found in Microsoft Word. Experiment with the Drawing toolbar. See what you can do with the PowerPoint WordArt TM feature accessed by clicking the slanted A on the drawing toolbar. Have some fun!
