3 1. Necessity This manual documents the relevant processes and standards for standardized and error-free processing of supplies for the Zollner Group of companies. Standard requirements on suppliers as well as product-specific standards (e.g.: requirements for traceability, packaging, etc.) require a high level of supply standard quality. With this manual, an unobstructed flow of material should be able to be achieved in the supply chain. The Logistics Manual applies to deliveries to the entire Zollner Group of companies. 2. Communication Standards Contacts regarding the supplier standards defined in the Logistics Manual are listed below. Responsible departments of the Zollner Group of companies are available to answer your questions. Procurement Transactions The following conditions are to be observed for deliveries to the Zollner Group of companies in regard to transport and the structuring of shipments: 3.1 Transport and shipment specifications for suppliers Currently applicable Zollner Group transport regulations for freight collect deliveries are defined in the Zollner Shipment Guidelines. You can obtain the defined, applicable documents by request to the Zollner Global Procurement Organization. In case of noncompliance with the Zollner Shipment Guidelines, the Zollner Group of companies will assume absolutely no additional freight and other additional costs. 3 of 13
4 3.2 Incoterms International regulations apply for the structure of commercial contract formats in foreign trade contracts (current Incoterms). 3.3 Transport documents Co-applicable documents regarding the Zollner Shipment Guideline are also to be obtained from the Zollner Global Procurement Organization. 3.4 Transport insurance The Zollner Group of companies is self-insured; additional transport insurance is only to be procured upon agreement with the ordering party. 4. Packaging 4.1 Area of application The Logistics Manual contains general packaging guidelines to be observed by both the Zollner Group of companies and the supplier. The responsible Zollner packaging planner and supplier finalize agreement on defined, product-specific packaging in the form of a packaging regulation. The generally applicable packaging regulations in the quality assurance agreement are supplemented by this Logistics Manual. 4.2 Explanation of terms and phrases Packed goods Packaging material Auxiliary packaging material One-way packaging Reusable packaging goods that are packaged container in which the packed goods (goods) are packaged materials that improve the stability of the packaging material: protective and insulating lid, inner protection: foam, styrofoam, etc. packaging planned for only one-time use (e.g.: cardboard boxes) packaging that can be utilized multiple times without adversely affecting protective, transport storage and cargo handling functions, and which can be utilized in public or private circulation 4 of 13
5 Returnable packaging Loading units Load securing reusable packaging that is exchanged with a partner and is indicated in a pool (e.g.: ESD cases, mesh boxes, Euro pallets) loading units are created for packaging that consists of multiple reusable components (pallets, bins, cover plates, etc.). serves to protect the loading units from various forms of stress: shifting, rolling, tipping, expansion (corrugated cardboard swelling, warping), moisture, contamination, etc. (e.g.: tape, pallet straps, antislip mats, edge protection, foils). 4.3 Basic rules of packaging The supplier is to observe the following basic rules of packaging: 1. Avoiding packaging Packaging cannot be larger or more complex than is absolutely necessary for protection of the goods (packed goods). 2. Maximum fill level Suppliers should always deliver containers with a maximum fill level. These maximum weights apply: GLT (large load carrier): max. 1,000 kg KLT (small load carrier): max. 15 kg 3. Dimensions Reusable packaging should have standard sizes. Local and standard sector rules apply for Euro pallets and wire mesh crates. If there is any doubt, the rules of the European Pallet Association apply. (Internet: Specific design, variant parameters and one-way packaging are only permitted if agreed upon in advance. 4. Packing materials When using one-way and reusable packaging, recyclable packing materials are to be utilized and marked in accordance with waste management specifications. Use single materials. Composite materials are not permitted. EU Guideline 94/62/EG are to be observed for packaging. Reusable packaging materials must be resistant to cleaning agents and heat. Local and standard sector regulations apply for packaging made of wood. 5 of 13
6 5. Packaging material preferences If one-way packaging and reusable packaging are equal in regard to economics and quality, reusable packaging is to be preferred. Reusable packaging that can be pooled (= returnable packaging: Euro pallet, Euro wire mesh box pallet, VDA-KLT, etc.) are to be preferred over those that cannot be pooled. For this reason, inserts (bubble wrap) are preferably to be defined as one-way packaging. 6. Stackability Packaging materials must be able to be stacked. 7. Cleanliness and damage Packaging must be provided clean and undamaged. Reusable packaging must be designed such that it can be completely emptied and is easy to clean and dry Packaging for components sensitive to ESD Handling and packaging ESD-sensitive components must be in accordance with IEC The following criteria must be observed when selecting the proper packaging type for form-fitting outer packaging: dissipative, conductive or shielding. Prescribed marking for packaging: *Identifying the main function S shielding against electrostatic discharges F shielding effect against electrostatic fields C electrostatically conductive D electrostatically dissipative Packaging dangerous goods Dangerous goods must be packaged in accordance with applicable and valid dangerous goods regulations. 6 of 13
7 4.4 Packaging circulation Packaging provision It is the supplier s responsibility to use properly adapted containers. If the supplier fails to request or procure the packaging on time, the supplier will be liable for any resulting additional costs (e.g.: freight costs, repackaging) Managing returnable packaging Ownership of containers is established through credits and/or debits in container accounts. The supplier is obligated to administer the container account. 5. Shipment Labeling In order to guarantee error-free and standardized information transfer for a delivered material, deliveries to the Zollner Group of companies are to be labeled in accordance with the following standards. The labeling must be unmistakable and visibly attached to the delivered goods. One particularity exists for labeling materials for products subject to traceability requirements. In addition to standard labeling (5.2 Standard labeling), labeling for products with trace obligation is also required (5.3 Labeling for trace obligation). The following process is decisive to implementation of the requirement. 5.1 Definition of terms and phrases Shipping unit (dispatch unit) Smallest packaging unit (PU): A unit of packages that makes up one delivery and represents a closed unit due to its fastening or packaging. The smallest packaging unit (or lot container), which represents a closed unit at the lowest level due to its fastening or packaging. Smallest packaging units do not contain inner packs. 5.2 Standard labeling Every shipping unit must be marked with an MAT label as its master label. The following data is mandatory information: Recipient (1) Shipping note (3) Purchase order number (3) 7 of 13
8 Part number (8) Quantity (9) Supplier/Shipper (15) The following illustration is an example of a standard label for marking a delivery: Recipient/Abb. Address Test supplier xy Anycity Illustration 1: Sample standard requirement MAT label as the master label for all deliveries (minimal properties) 5.3 Trace obligation labeling If traceability is required for a product, the MAT label is required for identification on the smallest packaging unit at the component level (MAT label as the single label). This label contains all information necessary for traceability in a compliant format. The content and layout of this label can be taken from the currently valid document (e.g.: MAT-Label_Requirements_on_Marking_of_Goods_Vers_2.5 ). This can be requested at this warenkennzeichnung@zollner.de. Attachment of the label is always on the smallest packaging unit. Examples are below: Reel goods A reel represents the smallest packaging unit to be marked with a label. Not only is the so-called pizza box to be labeled but also the subpackaging (the reel). 8 of 13
9 Goods in Dry-pack or protective sleeves In case of Dry-pack or protective foil, this is defined as the smallest packaging unit. The label must be able to be removed from the protective sleeve easily and intact. If tubes are bundled or wrapped, the bundle or protective packaging requires a label. Multiple sub-packages Each sub-package in one-way or reusable containers requires an individual label, if the packages: - are bundled - are individual closed packets or - are to be removed separately. Each bundle (e.g.: PCBs in pouches) has its own specific label, independent of the outer packaging (every packaging unit is to be labeled). With goods on a stick, every stick requires a label, if size permits (otherwise the next packaging unit). Jars, cans, etc. 9 of 13
10 Containers without sub-packaging: One-way and reusable containers that hold multiple tubes (stick goods), trays, etc., are to be marked on the exterior, if they are not bundled or packed in protective foil, rather are loose. The basic prerequisite is sorting and batch singularity. In this case, the outer label (on the next larger packaging unit) refers to the total number of parts inside. Containers without sub-packaging: One-way or reusable packaging is always defined as the smallest packaging unit, if the container or cardboard box has no separate sub-packaging, as described above. These containers must be labeled with a single label such that the label and the label code are accessible. A special agreement is required for this. 11 If a single batch packaging unit is guaranteed with multiple sub-packages, it can be agreed upon that the MAT label is also the master label. MAT label as the master label: Master label The MAT label, when functioning as the master label, offers a special option of being able to identify a complete unit (e.g.: a pallet) with one scan. Mixed units are not possible with a master label. Here, too, a special agreement is necessary. Recipient/Abb. Address Illustration 3: MAT label as the master label for trace obligation 5.4 Label generation with the Zollner internet platform Alongside generation of a MAT label with programs, the Zollner Group of companies offers the option of generating and printing labels for marking material deliveries according to specification via an internet portal. Electronic Business Data Transmission (EDI) Contact: Mr. Markus Bräu tel: In order to minimize the effort and associated proneness to error in the transmission of business data between the Zollner Group of companies and its suppliers, transmission of business data is offered via EDI (Electronic Data Interchange). Suppliers without an existing EDI connection to the Zollner Group of companies will be supported in their implementation efforts in accordance with coordinated process steps. Available notification formats and technical prerequisites are described in detail in the applicable Zollner EDI Guidelines. 6.1 EDI Standard Delivery call offs (LAB) The Zollner Group of companies transmits current delivery call offs to suppliers on a regular basis with each agreed-upon data horizon. An applicable agreement is to be in place in advance for this process.
