1 Instructions for Oral presentation 1. Time Time reserved for each presentation is: General Session: 7 minutes 5 minutes for speech and 2 minutes for Q&A Symposium: time changes depend on number of s in the session. Please see the chart in the bottom. It is suggested that you time the length of your speech beforehand. All s are kindly requested to strictly observe their allotted presentation time. The chair will open, time and close sessions. Speakers are requested to follow the chairs lead. You are requested to be seated in a chair labeled Next Speaker, during the presentation in prior to your own. 2. Language English 3. OS: Windows 7 or later Applications: PowerPoint 2003 or later *Please make sure that it works with Windows (Windows 7 or later) in advance, if you prepare your data using a Mac OS (recommended Mac OS or later) If your presentation contains any audio or video, please inform the operator. You cannot modify your presentation data after registration. Make your presentation using the mouse provided on the lectern.

2 It is not permitted to use the Views during the session because it might disturb the flow of the program. If you would like to have an manuscript with you, please print out in advance. Your presentation data will be deleted immediately after the end of the meeting <Important notes when creating presentation data> Use the above mentioned operating system s standard fonts Because the screen resolution of PC at the conference room is set to XGA ( ), please check your presentation data at the same screen solution. Name your file Number _ Speaker s Name If your presentation contains linked audio or movie files, please save all the files in the same folder. All movie data should be playable by Windows Media Player 12 on Windows7 without any extension. If not, please bring your own laptop. After creating your presentation data, please make sure that it also works on other PCs. [For the Speaker who bring their own laptop] If your presentation data cannot be brought on a USB memory stick, you must bring your own laptop. Visit the PC Data Desk at least 30 minutes prior to your session to verify the correct output to the equipment provided. Bring your own AC adapter. Speakers MUST HAVE a laptop with a VGA D-Sub 15-pin output connection. The VGA D-sub 15-pin female output connection is used to connect the laptop to an external monitor and data projector. Some laptop require a special video output cable that is compatible with the laptop, in order to be connected to D-sub 15-pin; if your do not bring this cable, we will not be able to connect your laptop to the data projector.. Other device such as HDMI and Mini DisplayPort will not be accepted. D-sub15-pin Example of special adapters

3 The following operating systems are acceptable. Windows: Windows 7 or later Macintosh: Mac OS X or later If your presentation contains any sound or video, please inform the operators. After you finish checking your presentation, please come to the operator s desk in each conference room 15 minutes prior to your presentation. The operator s desk is located near the podium. Make your presentation by using the mouse provided on the lectern. You cannot modify your presentation data at the conference room. It is not permitted to use the Views during the session because it might disturb the flow of the program. If you would like to have an manuscript with you, please print out in advance. Please make sure to cancel your setting in advance such as Screen saver, virus check system and a power-saving mode setting. (If you bring Macintosh computer, it will be included Mac Hot Corners.) If these systems would not be cancelled, they might be appeared on the screen automatically during your presentation. After your presentation, please remember to stop by the operator s desk to pick up your laptop. <Important notes when creating presentation data> Make sure that your laptop is set to produce the correct output signals. Save your presentation data on the desktop of your laptop with an easily recognizable file name. We recommend naming your file as Number Speaker s Name. A screen resolution of XGA ( ) is recommended. If your resolution is lower than XGA, image distortion may occur. Deactivate the screen-saver and power-saving mode of your laptop. If your laptop requires a password for rebooting, please unlock it in advance. Bring a back-up of your data just in case.

4 Instructions for Poster There is no Registration desk for Speakers of Poster s. Please find your poster panel with your poster number, and put up your poster within the Installation time shown below. The presentation number will be put on poster panels. How to prepare a poster Make your poster so that it fits into the poster panel. Poster number will be prepared by secretariat. For the size of the poster panel, refer to the figure on the right. The main contents of the poster should be in the upper part where it is easily visible. Pins for putting up posters are provided at each poster panel. Posters must be prepared in English. During the free discussion time, please wear the ribbon provided at your poster panel so that you can be identified.
