2 Goals of this presentation Show you ways to save money by using Automated Mail. Give you some bulk mail regulations. Help you build an address database. Offer some mailer design tips. Help you with ordering success.

3 Ways to Save Money Plan ahead! Make informed choices about size, shape, and weight of mail pieces. Meter postage or use Permit #8. Use CASS certified addresses with barcodes. Presort mail pieces by ZIP codes. Use Printing & Mailing Services! The University of Maine holds permits and licenses to process and mail out at a greatly reduced price in postage. We encourage you to take advantage of this service.

4 Automated Mailing Automated mailing provides postage discounts and improved postal service. Automation eliminates manual mail processing resulting in greater reliability, maximum speed and significant postage discounts. Mail automation may save as much as 66% in postage costs.

5 Example of Savings An 11 x 17 newsletter folded to 5-1/2 x 8-1/2 and tabbed (regular first class, not bulk mail), costs 49 cents each to mail First Class. The same newsletter, CASS processed for automation and sent nonprofit bulk mail costs cents each cent per piece savings.

6 What is bulk mail? Any mail class is considered bulk mail when presented in sufficient quantity to qualify for bulk mail postage discounts. Required quantity for bulk mailing 200 pieces nonprofit 500 pieces first class

7 Standard Non-Profit Mailing must include at least 200 pieces. Each mail piece must be identical. Each mail piece must weigh less than 16 ounces. Mailing must be in ZIP code order.

8 First Class Automation Mailing must include at least 500 pieces. Each piece must be identical Mailing must be in ZIP code order. Must have Imb (Intelligent mail barcode)

9 Automated vs. Nonautomated Automated must have all addresses verified to qualify for the automated discounted rate. Must use an Imbc (Intelligent mail barcode) Ancillary Services may be used, but are not necessary. Postage price range for under 3.3 ounces is cents each. First class or Standard nonprofit Nonautomated is sent out in zip code order. Instead of having addresses verified, an ancillary service is required, such as RETURN SERVICE REQUESTED If a piece cannot be delivered, it will be returned and your department will be required to pay the first class rate. Postage for under 3.3 ounces is 19.1 cents each. (plus any returned pieces due to being undeliverable later on) First class or Standard nonprofit

10 If you prepare your own bulk mailing please remember to: Provide 2 samples identical to the rest of the mail pieces. Include your barcode or account number for postage. Keep in zip code order (low to high or high to low). Do NOT include campus or international pieces. Do NOT over stuff envelopes if you want us to seal the envelopes. Provide a contact person s info. Provide a piece count so we can calculate the postage.

11 USPS Requires for Bulk Mail: All addresses must be complete and include ZIP. Must conform with all USPS regulations. Contact Printing Services to set up your mailing with them at or Mailing Services if you wish to do your own printing and stuffing. Either way we will let you know what is needed from you.

12 Tips on Building an Address Database Make data entry consistent. All data fields must contain data. Avoid punctuation. Do not substitute the letter O for zero.

13 Excel Specific Info Do not use the name manager (aka stacked addresses). Do not create macros in the Excel file.

14 Domestic Addresses CASS certified layout for domestic mail provides 5 lines for the user: the name on Line 1, organization on Line 2, Street 2 on Line 3, Street 1 on Line 4, and City, State and Zip + 4 on Line 5.

15 Foreign Addresses Foreign addresses include 5 lines: the name on Line 1, organization on Line 2, Street or PO Box on Line 3, and City or Town, Province and area code on Line 4 and Country name in all CAPS on Line 5.

16 Permit Imprint and Intelligent Mail Barcode In the upper right corner, of this envelope you see what is called a permit imprint. In this case, the permit indicates this envelope was part of a nonprofit bulk mailing. The permit also indicates that the postage was paid and the mailing submitted in Orono, Maine using Permit Number 8. Notice that above the recipient address, you can see a barcode. This is called an intelligent mail barcode and includes barcode ID Service type ID, mailer ID, number, serial number, zip code, zip+4, and delivery point. To receive the greatest discount for your mail, you must have an intelligent mail barcode. We can also meter your bulk mailing at the correct rate.

17 Excel Spreadsheet For individuals or departments starting a mailing database from scratch or just looking or organize their old address spreadsheets, Printing and Mailing Services offers a free Excel spreadsheet template with the data categories pre-defined in a way they work well with Connect Right. Each data field must contain information with the exception Street 2 and Plus 4

18 Spreadsheet Fields Create column headers. Avoid punctuation. Avoid prefixes and suffixes. Place data in appropriate columns.

19 Hot Tip Combine title, first name and last name in a single field. If you don t know an individual name, you can substitute a title!

20 Street 1 & Street 2 Street 1 is the deliverable address. Street 2 is the secondary address. PO Box numbers should appear in Street 1.

21 Secondary Address The secondary address field (Street 2) is the only field that may be left blank. Note the order in which Street 2 appears on the mailing label.

22 City, State, ZIP Spell city names correctly and completely. Use USPS abbreviations for states. Do not abbreviate country names.

23 How to format ZIPS in Excel 1. Highlight your column. 2. Go to Format in the menu bar and select Cells. 3. In the Format Cells dialog box, click Number tab. 4. Select Special under Category. 5. Under Type select Zip Code.

24 Common Addressing Errors No good match for street name. Address undeliverable. House number not found. Street name not found.

25 Design Tips All mailers should be designed to allow a 4-3/4 inch x 5/8 inch space at the bottom for postal barcodes. Do not include content information in this area. The minimum size of a postcard address panel, typically located on the right-hand side of the back of a postcard, is 3-3/8 x 3 inches.
