2 ROLE PROFILE Job Title: EBP Lead consultant Grade Range: Grade 10 Hours: Location: Reports to: Responsible for: Role Purpose and Role Dimensions: 36 hours weekly Clock Tower HR Lead Manager The leadership and management of Octavo s EBP team. As a traded service of Octavo Partnership the post holder will lead the mutual company s delivery of Careers Education & Guidance, Work Experience and Employability Programmes for Schools, Academies and Colleges. Direct line management of 4 Work Experience and Work Related consultants (F/T & P/T) and engagement of 4 Pre- Placement Visitors (specialist engagements payroll) as required. Promote a strategic approach to collaborative, partnership working within the EBP team and The Octavo Partnership across schools, colleges, academies, training providers and academies. Ensure robust business and financial planning, rigorous quality assurance arrangements in the delivery of a high quality service. Review service delivery, with reference to charging, commissioning, brokering and procuring. Innovate and develop the use of information management systems to enable an efficient quality service including updating and maintaining the team s website, Veryan WorkPlace database and WebView portal. Provide reports on programmes for the Octavo Partnership Board of Directors or senior management, external agencies and partners when required. Implementing careers and work experience quality standards, through: workshops, briefings and presentations for students, teachers and employers managed meetings and conferences for careers and work experience coordinators and employers review meetings with senior management and Careers/WEX co- ordinators in schools visits to employers including pre-placement visit checks production and publication of quality resource materials eg student WEX logbooks 2

3 Key External Contacts: Students, employers and business volunteers Secondary schools, academies, federations and colleges Pupil referral units Suppliers, contractors Parents Outside agencies and authorities Other Education- Business link providers Council Staff Financial Dimensions: Octavo s careers education & guidance and centralised work experience programmes are sold services governed by contracts with individual educational establishments within the borough of Croydon and external boroughs Establish and sustain a pricing structure for a self-financing sold service to schools. Manage the administration and finance for programme expenditure Monitor external careers education & guidance, work experience programmes to ensure competitive pricing and delivery of high quality products and services Contract with other organisations and consultants as appropriate, in pursuit of Octavo s business objectives Identify opportunities for increasing Octavo s business and income to ensure a cost efficient service within the company Key Areas for Decision Making: The post involves managing and marketing careers education & guidance, work experience and employability programmes to schools, colleges and businesses. The post holder is ultimately responsible for ensuring that programmes are appropriately resourced to deliver a competitive service that is cost efficient and self- financing Responsible for the ongoing recruitment and maintenance of quality business volunteers and placements for students to satisfy the commitments and provisions outlined in Octavo s contracts with schools and colleges. Other Considerations: The team s remit is to broker education-business links and support the development of employability skills in young people. This is achieved through the delivery of a variety of programmes which develop young people s understanding of the world of work. The team s programmes are delivered with the support of the business community with whom we have a very positive relationship. Ability to travel within the borough to education locations / events and business premises. 3

4 Key Accountabilities and Result Areas: Key Elements: Lead and manage effectively Octavo s careers education & guidance, work experience & employability programmes Providing high quality service meeting the needs of customers and extending service options Line management of the Octavo EBP team, establishing a culture of high expectations and performance Provision of an effective organisational and administrative service for Octavo s EBP programmes, as appropriate Preparation and maintenance of an annual business plan with clear targets and performance indicators, reviewing progress Provision of a responsive service to customers, dealing with queries and enquiries which may not be straightforward; assessing and responding to the customer needs Ensuring appropriate data retrieval and reporting systems are in place Through reading, research and training events keeping up to date in the current developments of careers and work-related learning Visiting and liaising with employers to complete pre-placement Work Experience checks fulfilling requirements with reference to legislative guidelines Liaise with internal and external partners and provide expert support and guidance to schools and employers to support young people participating in careers education & guidance, work experience and employability programmes Working in partnership with all stakeholders, manage and delegate areas of responsibility to team members Liaison with external agencies, business and the wider community and actively participate in local and national networks to inform business planning Leading regular team meetings with colleagues, contribute ideas and make recommendations for improvements in existing procedures and policies Working collaboratively with team members and external clients Advising and training new and existing colleagues in any specialist activities undertaken/areas of expertise in order to help grow a multi skilled team Chairing and managing Careers & Work Experience co-ordinator s meetings for schools twice yearly Understand and meet quality service standards Managing effective administrative and information management systems, in order to support the work of Octavo Partnership Proof-reading, cross-checking and editing own work to produce a very high level of accuracy and quality Managing and reviewing the use of Veryan Workplace database and WebView portal to ensure a highly efficient service for customers Providing support to colleagues and resolve queries relating to specific systems Maintaining policies, quality standards and practice for staff development meeting the criteria required for the CEI Work Experience Organiser s Standard or equivalent Work effectively and respond constructively in changing circumstances to promote a culture of excellence and improvement Keeping up to date with national developments in careers and work-related learning through reading, research and training events and implications for Octavo s programmes Being flexible and proactive in suggesting changes Assisting colleagues and providing emergency cover as required eg arranging meetings at short notice Actively promoting new ways of working to improve team delivery 4

6 Job Title: Essential knowledge: PERSON SPECIFICATION EBP Lead Consultant Evidence of graduate or comparable advanced qualification/experience of work Qualification in Careers Guidance (QCG). Knowledge of how schools and industry operate in general terms. Working knowledge of education and business sectors. Up to date knowledge and understanding of Health & Safety issues for young people undertaking work experience including risk assessment and legal requirements as laid down by statutory legislation and advice provided by the Health & Safety Executive and other authoritative organisations. Current knowledge of statutory requirements for careers education and guidance Current knowledge of the framework for work experience for young people and in particular the operation of a centrally managed service in the context of Croydon schools and colleges and South London Competent IT skills with experience of Access management information database systems and WordPress based websites Essential skills and abilities: Excellent written and oral communication and presentation skills, demonstrating the ability to communicate to a wide range of audiences in a variety of settings Excellent IT skills, including MS Office programmes and knowledge and experience of developing resources Commitment to the aims and purpose of The Octavo Partnership Proficient project management skills including work planning, target setting and objective achievement to strict deadlines Commitment to high quality outcomes and delivery Ability to maintain a high degree of confidentiality and to use discretion in dealing with sensitive information Commitment to maintaining and complying with Health and Safety regulations. Excellent interpersonal management and team-working skills with ability to support others Ability to build and sustain positive and harmonious relationships with a diverse range of partners including senior leaders and employers Ability to demonstrate knowledge, proficient and accurate application of ICT skills using word processing, spreadsheet, database, DTP and applications. Willingness and ability to share specialist knowledge with or train colleagues. Essential experience: Experience of working in business and/or schools with leadership responsibilities Experience in business of development planning, working to well defined targets and time scales Competent in Information Technology, especially in database, word processing, spreadsheet and presentation applications Special conditions: Institute of Occupational Safety & Health (IOSH) certification (or a willingness to undertake training) The job requires the manager to travel, within Croydon and beyond, visiting schools/colleges and employers. The post-holder is required to manage this efficiently. To attend evening functions related to the work experience team s business eg school parent briefing meetings 6
