3 DRUPAL DATABASE USER GUIDE FOR ROUNDTABLE ADMINISTRATORS User Guide Overview Welcome New CSCMP Roundtable Administrator! As a CSCMP Roundtable Administrator, you now have specific privileges with the Drupal database to perform tasks that are associated with your roundtable. Your Drupal management privileges provide you with access to run membership reports, view the membership status of CSCMP members, and create roundtable events. This guide will provide you with simple steps to assist with you managing your roundtable administration in a comprehensive and effective manner. Let s Get Started! User Name Your User Name or address can be used to login to the CSCMP web site and database. CSCMP Membership, Education, and Resources Toolbar The CSCMP toolbar tabs provide you with important information about CSCMP Membership, Education, Research, Career & Awards, Roundtable, Events, and Publications. View You have access to view the funding results for your roundtable. Edit You have access to change your address or password and this is where you can update your contact information. Purchased Courses You can view your purchase orders for online educational courses from CSCMP. Orders You can view the status of your orders (i.e., annual conference registration, roundtable events) Funding Report The Funding Report will provide you with a status of funding results from roundtable events or other related activities. 3

4 Member Profile Your member profile includes your CSCMP membership status, contact information, and roundtable affiliation. Member History Your member history includes your membership types and dates. People: Basic Search As a CSCMP Roundtable Administrator, you are now able to view basic member information. You can access the basic search tab in the black toolbar located at the top of the page on the left side. Simple Search Steps Go to the top of the page. Select People in the black toolbar on the left side of the page. Type in one of the following: User ID, Username, First Name/Last Name, or . Click Search button. A list of names or a name with their contact information will populate. As an administrator, you (only) have viewing privileges for the basic search. People: Advance Search People: Advanced Search Tab As an administrator, you now have privileges to run membership reports for your roundtable. Simple Search Steps: Under People, click the Advanced Search Go to Bad s field (CTRL and select Primary, Secondary, and Both) Go to Assigned Roundtable field ( Drop down and select your roundtable) Go to Correspondence Information field (CTRL and Highlight: Do not send any notifications and Do not send s about upcoming roundtable events.) Click Search 4

5 The query will populate. Click CSV (Scroll all the way to the bottom and it should be on your left). The excel spreadsheet will populate. 5

6 As a CSCMP Roundtable Administrator, you now have access to utilize the Add Content Tab in order to create roundtable events. The Add Content tab is in the black toolbar at the top of the page located at the far left. Go to Black toolbar at the top of the page. Click on Add Content and select Roundtable Event. Roundtable Event Name Enter the roundtable event name in this field (i.e., Hawaii Roundtable Event). Date: Enter the Begin date in this field (e.g., 06/07/2014). Time: Enter the Begin time in this field (e.g., 11:15 am). Date: Enter the end date in this field (e.g., 06/07/2014). Time: Enter the end time in this field (e.g., 11:15 am). Time Zone o Drop down arrow key and select your time zone. Roundtable Event Type o Select Nonstandard Event or Standard Event Standard Events: events with a subject matter expert (SME) presenter or panel discussion, such as a breakfast/lunch/dinner event and/or tour. Requires a 25% mark up over member rate for nonmember registrations. Nonstandard Events: seminars, golf tournaments, social/hospitality activities, and/or networking functions. Requires a 50% mark up over member rate for nonmember registrations. 6

7 Registration Deadline o Date: e.g., 06/07/2014 o Time: e.g., 11:15 am Time Zone o Drop down arrow key and select your time zone. Web Site o This field MUST ONLY be your roundtable web site, not the location site. o Enter in the URL for your web site. Please include the Description o Content is limited to 1,500 characters or less. Event Files o You can upload roundtable event agenda, registration forms, or waiver/release forms. 7

8 Location and Contact Information o All location information regarding the roundtable event are required. Contact o Title: Enter the person's name for Title. o URL: Enter your address (prepended with mailto :) for the URL. Roundtable Contact Number o Enter the phone number of the individual who can answer questions and address issues about the event. This information is not visible to anyone but CSCMP staff. Pricing Group o Use dates check the box. o Enter start date (when is this price valid from?). o Enter end date (when is this price valid to?). o Pricing group (Enter the price to charge the user. If you already have a price saved and wish to remove it, just clear out this field. Don t set it to zero.) Add Another Item o If you would like to add another item to your pricing group, select add another item under the box and a new pricing group will pop up. Tiered Pricing o You can add tiered pricing for members, nonmembers, and students by hitting the Add another product button. o Use the dropdown to select the type of seat you would like to sell. o Enter the appropriate pricing per seat. o Start and end date should overlap. If one tier ends on July 1, the next tier should start on July 1. 8

9 Stock o o In this field, you can add the number of attendees who are expected to attend the event. If your maximum number for attendance is 40, you should enter 40 as your stock number. Click on Save product to save the pricing information. Receipt Text o Enter the text that you would like to show up in the users receipt. In this field, you can also add additional information regarding the event, i.e., dress code, directions, thank you for attending. Preview o Selecting Preview will allow you to view the event that you created before it goes live. Save Who is Coming to Your Event Now that your event is set-up, it is important to be able to see who is coming to your event and also be able to download an attendee list for badges. Simple Steps: Click on Roundtable in the blue tool bar. Type in the name of your roundtable to see a list of events associated with your roundtable. Click on the title of the event. 9

10 You will see the tabs Who s attending and Attendance CSV Download. Click on Who s Attending to see a quick summary of those who are registered for your event. To download the list, click on the Attendance CSV Download. A file will open in Excel for you. 10
