3 WELCOME TO KIDS CLUB Dear Parents/Carers As a family new to using Holy Cross Kids Club for out of school care provision, the staff and Directors would like to extend a warm welcome to you. We hope that this will be the start of a long and supportive partnership, based on trust between parent(s)/carer(s), their children, our staff in Kids Club and the Directors. We aim to provide high quality wrap around provision for before and after school care for children attending Holy Cross School. We would like to start as we mean to go on, by providing the best possible high quality information at all times about the Club. We would welcome your suggestions/views on how to improve the information that we currently offer to our parents. 4 Brief Background Kids Club has been open since It offers a good quality provision for up to 50 children with our current staffing allowing a maximum of 48 children per session. We were last independently inspected by Ofsted in September 2006 that stated our provision was overall Good. We were inspected with the school in 2010 and OFSTED commented that Kids Club: provides a safe, happy and stimulating environment for pupils of all ages before and after school. very good links are established with the schools and kids club which ensure continuity of learning for reception children. Kids Club became the first out of school club in Birmingham to achieve the Quality in Play national award from Play England in Kids Club has also completed the Go Play Programme (2012) in conjunction with Birmingham Play Care Network and Birmingham Local Authority s own quality award of Quality Together (2011). Kids Club delivers aspects of the Forest School Programme in small groups at various times throughout the term. 3 P a g e

5 Mission Statement The Kids Club is open to children aged between 3-11 years of age attending Holy Cross Catholic School and Nursery during term time only. The vision of the club is to provide a safe, stimulating and culturally enriched play to enable children to learn, develop socially, physically, intellectually, creatively, spiritually and emotionally through play activities. This statement outlines the services that children, parents/carers and the community can expect from our Club, and the values that inform our work: Our Club aims to: Provide a happy, safe, warm and stimulating environment for all children to play, learn and develop freely. Help children to develop responsibility for themselves and their actions and to become competent, confident, independent and co-operative individuals. Encourage children to have a positive attitude and respect for both themselves and other people. To promote community cohesion by developing the children s appreciation of our various communities needs, including our local community, national and international that embraces different cultures, nurturing respect and understanding. Promote a positive relationship with parents/carers and work in partnership with them to provide high quality play and care for their children. Offer inclusive services that are accessible to all children in the community. Undergo regular monitoring of our services to ensure that the Club continues to meet the needs of children and parents/carers. 4 P a g e

6 Our Club is committed to meeting the needs of children by: To ensure the children are safe and happy at all times. Letting the children have ownership and choice about daily the activities. To listen and respond to their ideas and suggestions to improve our provision. To treat all children with equal opportunities and with fairness at all times. To promote their individuality celebrating their different cultural backgrounds and uniqueness, developing self confidence. To liaise with school staff each day to secure a smooth transition to after school care and how we can meet each child s needs every day. Our Key Worker for EYFS ensures excellent communication between Reception Staff to build on what the children have experienced, offering continuity to meet the children s needs. Our Club is committed to meeting the needs of parents and carers by: Listening and responding to their views and concerns. Keeping them informed of our policies and procedures, including opening times, fees and charges, and programmes of activities. Sharing and discussing their child s achievements, experiences, progress and friendships, along with any difficulties that may arise. Regular consultation about our provision to assist our self evaluation of our provision to achieve the best quality provision at all times. Our Club is committed to providing; Care and activities that put the needs and safety of the children first. Activities that promote each child s social, physical, moral and intellectual development. Access to a variety of facilities and equipment under safe and supervised conditions. A staff team that is experienced, well trained and properly supported. Services that meet the conditions of the Children s Act 1989 and all other relevant childcare legislation, wherever they apply. An environment where no child is bullied or suffers discrimination in any form. 5 P a g e

7 Management and running of the Club: The club is run by paid staff headed by the Club s Manager; Mrs Karen Gordon who leads the staff team. The staff team are made up of: A Deputy Manager and Play Co-ordinators. All staff have the NVQ level III Play Worker s qualification with one member of staff working towards an NVQ qualification. The staff team is responsible for the planning, delivery and running of activities and as a staff team for ensuring that the policies and procedures are put into practice. The Club Manager is accountable to the Directors of Holy Cross Pre School Nursery Ltd. In the Manager s absence the Deputy Manager leads the team. The Directors are responsible for decision making about the overall running of the Club. This includes financial management, review and monitoring of provision, policies and procedures, staff recruitment and development, health and safety including building and site, ensuring that the national Standards are being met at all times. Director Meetings The Directors will meet regularly, being provided with appropriate reports from the LA and/or with the Manager of the Club. Reports are often presented to the Directors from the Manager who may attend when needed to give a report and advise on practical matters. Club accounts are audited each year and regular reports will be presented to the governor committee meetings at appropriate intervals throughout the year. These are completed with consultation with the Directors and Manager. 10 Our Charging Policy and other important policies: Charging Policy: All payments must be made within 2 weeks from invoice. Invoices are issued the first week of each half term. Extra sessions must be paid at the end of the session or by the latest at the end of the week taken in. Late payment is not acceptable and may compromise your child s place at Kids Club. Let the Kids Club Manager know immediately if you will for any reason be delayed in making your payments. Please pay by cheque or the correct cash amount, we do not hold any cash on the premises to give change. All cheques should be made payable to Holy Cross Pre School Nursery Ltd. We charge for a half term in advance. If your child does not attend sessions for any reason, the session[s] are still charged. This includes if your child attends a club/activity within school. Any permanent changes require a full half terms notice. 11 The National Standards: All out of school care provision has to conform to the national standards and meet a series of regulations set out by Ofsted Early Years Directorate (part of the Department for Education and Skills). This is achieved by ensuring that all such facilities register with Ofsted to prove that they have been set up in accordance with the guidelines. Ofsted inspect all settings once they are in operation. The National standards cover the following areas: Suitable people (to run the Club) Organisation (of the Club) Care, learning and play Physical environment Equipment Safety Health Food and drink Equal opportunities Additional (special) needs Behaviour Working in partnership with parents and carers Child protection Holy Cross Kids Club aims at all times to meet all these National standards and has termly visits from our local authority Early Years advisor to ensure our provision is of a high quality inline with government expectations which is reported to our governors each term. 10 P a g e

12 Links with Holy Cross Catholic School: Kids Club has strong links with Holy Cross School. Kids Club supports the school s extended services by offering provision for the children and our families who attend Holy Cross School. Our wrap around care begins at 750am, breakfast is provided as an optional extra at an additional cost of 40p per day, our morning session is until 840am when the children are escorted by Kids Club staff to KS1 and KS2 playgrounds where they remain under the supervision of the Staff on duty until the beginning of the school day. At 3.30pm the children are collected by Kids Club staff, each member of staff collects the same two year groups every day and escorts the children into the Kid s Club. Children in the EYFS are collected by the Kid s Club Key worker. Children can stay for one or two sessions 3.30pm-4.30pm and 4.30pm-5.30pm. There is a charge for the before and after school care, details can be found on page 6. Kids Club staff communicate daily with teaching staff through a communication book to ensure that daily information from the end of the school day is passed on to parents/carers. Children in the EYFS have their own Key worker in Kids Club who has close daily contact with the EYFS teaching staff and is the point of contact for our Early Years children throughout all of the sessions. Kids Club fully plans its provision to support and provide for our EYFS children providing suitable activities and play opportunities in all sessions. All Kids Club staff are recruited in line with Holy Cross Pre School Nursery s rigorous safe guarding recruitment guidelines. This includes DBS clearance on all staff and volunteers, proof of qualifications and references. The Kids Club Manager and in her absence, the Deputy Manager reports to Directors. We will support at all times the School s Mission Statement: We share in Christ s life so He can guide our thoughts, words and actions. 11 P a g e

14 Holy Cross Kids Club Policies and Procedures: This is a list of the policies and procedures providing a framework for the operation of Holy Cross Kids Club. They are required by DFES. They have been drawn up in line with national and local policies and with the help from the Early Years and Childcare Team. They are accepted as appropriate for an Out of School Care facility by Ofsted. These are all available to read in Kid s Club. You can request a copy of any or all of our policies. 15 Club Agreement This agreement between Holy Cross Kids Club and Parent(s) / Carer(s) will clarify what we expect from you, and what you can expect from the Club. Kids Club aims to provide: A variety of appropriate activities for the children. A safe, caring and stimulating environment for all the children to play and learn in both structured and unstructured play settings. A high standard of qualified and experienced staff and volunteers. A commitment to equal opportunities. A secure environment. All is our equipment is checked regularly and meets health and safety standards. Copies within the Club of all club policies and procedures available to parents/carers to access. Should a copy be required please contact the Manager. A small healthy snack after school. Drinks when required and always available. Compliance with OFSTED registration and inspection requirements. The Club expects from Parents/Carers: To complete a parent contract, along with personal and medical details, and consent forms. To become familiar with the Kids Club rules and behaviour policy. To collect your child by 5.30pm, otherwise you will be charged a fee of 5 for every 15 minutes (or part of) that you are late collecting your child ( 5 fee for each child). If the situation arises more than 3 times in one term, your child s place at Kids Club may be withdrawn which the Manager will decide keeping the Directors informed. You are asked to ring the club to advise of 14 P a g e

16 any delays in collecting your child/ren, this is to enable staff to explain to your child/ren of your delay and to reassure them. To book Sessions for the academic school year, any changes must be put in writing. Permanent cancellations/amendments to booked sessions require a half terms notice. Extra sessions may be available on a daily basis although this cannot be guaranteed and you are advised to book with as much notice as possible. If your child/ren is ill or will be absent from the Club, you must inform the Club. There are NO refunds once you have booked a session as it will not be available to any other child so you will still have to pay for that session missed by your child. There will be no access to any belongings in your child/ren s classroom, should they require items during their time in Kids Club. To make the Club aware of any special requirements your child may have. To sign your child in/out of arriving/leaving the Kids Club. To inform the Club of any changes in the details given on forms completed such as emergency contacts and persons authorised to collect your child/ren. Not to allow access to any other adults when entering or leaving the building. To pay any outstanding fees, inline with our charges policy to secure and keep your child s[rens] place in Kids Club.
