1 Using SharePoint to Create Web Pages Signing In 1. Open Internet Explorer 2. Type in the school URL: or teacher sub-site URL 3. Select Sign In 4. Sign in using your windows user name and password 5. Click OK 6. The template for your school website will open and is ready for editing Edit Page 1. Select the Site Actions button 2. Choose Edit Page 3. We will work with the Page Content Web Part, so single click Edit Content 4. Use the Text Editor to edit the content of the Web Part 5. Use the Text Editor to format font, add images, hyperlink, add tables, etc. to the Content Area 6. The 4-headed arrow moves the Text Editor around on the page as needed 7. Left click any place on the page to hide the text editor 1

2 Note: Editing the font color is a little odd 1. Select the Edit HTML Button 2. When that window opens, click the Edit HTML button again 3. A new window opens ~ highlight the text and select the Text Color button 4. Continue working on the content Web part in this window 5. Select the Save button or OK when editing is complete Publish/Save Publishing Content for the World to See 1. When ready for changes on the page to become public, select Publish and Check in 2. This is now published to the web 3. To continue editing this page, select Site Actions > Edit Page 4. When complete and ready to publish, select Publish and Check In Save the Content without Publishing 1. The content can be saved without publishing so you can continue working at a later time. 2. Instead of selecting Publish and Check in, select Page > Save and continue to work OR select Page > Save and Stop Editing 3. Notice the Discard and Check Out option. This will throw away all changes. To Do this Save the page and continue to edit it. Save the page, but do not allow others to edit it. Save the page and allow others to edit it. Save the page and check it in for review. Discard all of the changes that were made since the last time the page was checked out. On the Page Editing toolbar, click Page, and then click Save. On the Page Editing toolbar, click Page, and then click Save and Stop Editing. On the Page Editing toolbar, click Check In to Share Draft. On the Page Editing toolbar, click Submit for Approval. Click Page and then click Discard Check Out 2

3 Create New Pages 1. Click the Site Actions button 2. Select Create Page 3. Type in a title for the page 4. A description of the page can be included (not required) 5. Click the URL Name box and the title name will appear for different wording for the URL, change the title name now. 6. Choose the desired Page Layout Style (if you have two Welcome Page Blank Web Part Page choices, choose the second one). You can click on the choices to see a sample page and a description of what will be on the page. 7. Click the Create button 8. Publish and Check in the page once the content is added for it to show on the published web site Creating and Uploading PDFs Creating a PDF from MS Word Open MS Word Create your document or open an existing Word document that you want to convert to a.pdf file for the web 3. If the file is located in the user s Home Folder, locate that folder by selecting the File Explorer located on the bottom left of the taskbar, then locate the drive with your username 4. Locate the file and open 3

4 5. Once your document is ready, from the Menu Bar (in Word), select File > Save As 6. Navigate to the location you want to save the document 7. Name the document (make it simple and easy to recognize) 8. Click the Save as Type drop down arrow 9. Select PDF 10. Select Save Upload the PDF to SharePoint A PDF is uploaded to the Documents Folder 1. Select Site Actions 2. Select View All Site Content 3. Select the Documents Folder 4. Select Upload, then Upload Document 5. Select Browse and navigate to the file that is to be uploaded 6. Select Open; then OK 7. Be sure to Check in the document The file is now uploaded to the Documents folder 4

5 Link Files Using the Text Editor in the Page Content Web Part 1. Navigate to the page from which the file is to be linked 2. Select Site Actions > Edit Page 3. Select Edit Content 4. Click the Edit HTML button, then click it again 5. Type the text for the hyperlink 6. Highlight the text 7. Select the Hyperlink button 8. Select Browse to locate the file (we put the PDF in the Documents folder, so double click Documents) 9. Select the file 10. Click OK 11. The text should now be a hyperlink Remember to Save or Publish your changes Create a Document Library 1. Click the tab named Site Actions 2. In the navigation pane, select View All Site Content 3. Click Create in the top of the window 4. Click Document Library under the Libraries column 5. Name the folder and be sure NO is selected beside the Navigation row for quick launch on the display list 6. Click Create 7. Be sure you saved your document, PowerPoint, or SMART board file as a PDF 8. Select Upload, the upload your document 5

6 Adding the Document Library to a Page 1. Navigate to the page where the Document Library should be placed 2. Click the Site Actions button 3. Select Edit Page 4. In any section on the page, click Add Web Part 5. Under the List and Libraries, locate the Document Library created and place a check in the box on the left and click Add Modify the Appearance of Web Parts Edit the Title of the Web Part 1. From the page you want to edit, click the tab named Site Actions 2. Select Edit Page 3. In the web part section that is to be edited, click the edit drop down arrow 4. Select Modify Shared Web Part 5. In the Modify Shared Web Part section, select the + sign to the left of Appearance to expand the selections 6. Under Appearance, change the Title by highlighting the contents of the box and type the preferred text. Edit the Chrome Type This allows users to set the appearance of a specific web part to have Title Only, Border Only, Title and Border or None. The default setting is Title Only. To change the default setting, select the drop down arrow below Chrome Type and select a different setting. (The choice NONE, removes the heading when published). Uploading additional items to a Document Library folder 1. Click the tab named Site Actions 2. In the navigation pane, select View All Site Content 3. Select the Document Library folder you created 4. Choose Upload to upload other documents to this folder 5. The documents will automatically appear in the web part once it has been created 6

7 Link to Files Using the Summary Links Web Part The summary links web part allows you to create a list of links that can be grouped exactly the way you want it. You can also add a description of the link so visitors to your site know precisely where each link leads. One way to work with Summary Links is to change the page layout to Welcome Page with Summary Links. (Site Actions > Edit Page > Page button> Page Settings> Under Page layout, click the drop down and select Welcome Page with Summary Links) Another way is to Add a Web Part (Page > Add Web Part Browse from the Web part list, choose Summary Link Web Part) To Work with the Summary Links Web Part 1. Click New Link 2. The Title is the text that will be hyperlinked for example use the name of the web site 3. The Description lets the viewer know where the link will lead them 4. Link URL is the web address. Instead of trying to type in the URL, go to the web site and copy the URL from the address box and past it in the Link URL window. 5. Select OK and a hyperlink is added in the Summary Links Web Part 6. Additional links can be added in the same manner. You can also create links to the documents you have uploaded to your document folder. Remember to save or publish you changes! Delete Documents, Pages and Images 1. Click Site Actions 2. Select View All Content 3. Select the a. Documents folder for documents b. Images folder for images c. Pages folder for web pages 4. Hover the mouse over the file name and select the drop down menu 5. Select Delete 7

8 Uploading Images to SharePoint Note: You will upload images only after you have compressed the image using GIMP or any other image modification program. Uploading Single Images 1. Open the SharePoint site with your name 2. Enter your username and password when prompted 3. Click the tab named Site Actions 4. Click View All Site Content 5. Single click the Images folder 6. Select Upload 7. The Upload Images window opens 8. Click the Browse button to locate an image to add to the Image library 9. Navigate to the folder where the image is located (home folder, flash drive, desktop, Google docs, etc) 10. Select the image 11. Click OK 12. Click Check In 13. The image will now appear in the Image Library Note: Multiple images can be uploaded as well, but make sure you compress the images prior to the upload. It will be easier if you create an image file on your desktop and save your compressed images in that folder. This will make it easier to navigate to the images when uploading multiple images at the same time. Uploading Multiple Images 1. Open the SharePoint site with your name 2. Enter your username and password when prompted 3. Click the tab named Site Actions 4. Click View All Site Content 5. Single click the Images folder 6. Click Upload then click the Upload Multiple Files link OR 8

9 7. click the Upload down arrow and select Upload Multiple Documents 8. The Upload Document: Images window will open. 9. As you can see, you will need to drag your compressed images into the window to upload them 10. Resize the window so that you can still see part of your desktop 11. Locate and open the folder with the compressed images and hold the Ctrl key and click each image you want to upload 12. When all images needed are highlighted, single click one of the selected images and hold the left mouse button. Drag the images into the space provided. 13. Click OK 14. Click Done 15. Notice the images are still checked out 9

10 16. Hover over the name of the file, click the drop-down arrow and select Check In Inserting Pictures/Images in SharePoint 1. Create a page in SharePoint by selecting Site Actions > Create Page or navigate to a previously created page 2. In the Page Content Web Part, select Edit Content 3. The editing toolbar will open 4. Click the Edit HTML Source button then click it again 5. Select the Insert Image button 6. The insert image window will open 7. Browse to find your image 8. You can change the layout and size 9. Click OK when done 10. If you want to insert more images, repeat steps
