1 PowerPoint Tutorial Overview Microsoft PowerPoint offers tools to assist in content presentation, lecture notes and/or outlines. Students may access PowerPoint presentations for course review of information and evidence of learning. The following information is designed to assist you as the instructor. The information is also helpful to your students as they prepare assignments. The following tutorial is designed to enable you to: Create basic PowerPoint presentations; Post PowerPoint presentations for student access; Explore print options to assist students; Consider student applications. Create basic presentations 2 PowerPoint is an application that allows you to enhance the presentation of content to your students. PowerPoint can be used to show the main ideas or important information in your presentation. Each slide (information presented on the screen) should contain text that is concise and meaningful. The graphics, sounds, or movie clips should augment the content, not distract from the learning process. Presentation Transition Animation Saving/Viewing Presentation As you begin, plan the information you will present to your class. Create an outline of the main ideas or major information. This may include text, graphics, sounds or movie clips. When the planning phase of your presentation is complete, you are ready to begin creation of the PowerPoint presentation! 1. 2 Option 1: Blank presentation-opens a blank presentation Option 2: Design Template-Provides choices for backgrounds and color schemes Option 3: AutoContent Wizard-Leads you through a series of questions and directs you to create a fill-in-theblank type presentation. Option 4: Open an existing presentation-opens a presentation previously developed to allow for editing or viewing Note: Option 1 was selected for this tutorial. 2. Select a Slide Layout from the right side of the screen. The layout will determine the placement of text, images, charts and data. 3. Insert text (if place holder is not available), from the Menu Bar, Select Insert>Text Box. Use the handles to adjust the size of the Text Box and then enter text. 4. Insert images, from the Menu Bar, Select Insert>Picture. Select location of image type. Image types include, clip art, files stored on the computer, scanned/camera images, autoshapes or wordart. 5. 3 Slide Transitions PowerPoint has the capability to produce engaging effects within a presentation as the slides transition from one to another. From the Menu Bar, Select Slide Show>Slide Transition. 1. From the transitions work area (right of the screen), select the transition effects. 2. Select speed of the effect. 3. You may include sound with the transition, if sound enhances the presentation. 4. Advance the transition on mouse click or timer. 5. Apply transitions to all slides, if desired. Back to Top Custom Animation The Custom Animation feature applies animation effects to the items on a single slide. 4 1. With the cursor, click on an item displayed on a slide. The work area (right of the screen) will appear and provide several animation options. 2. Select "Add Affect" button and choose an animation from the drop down list. 3. Designate how the animation will begin, the direction and speed of the animation. 4. Finally, reorder the animation (if necessary) and preview. Back to Top Saving the Presentation When the presentation is complete, From the Menu Bar, Select>File>Save As and save to your H drive. 5 Post PowerPoint Presentations for Student Access 3 Students may access the PowerPoint presentations you create for your course in one of two formats. Post the presentation in the initial PowerPoint format or as a Web-Based presentation. Post PowerPoint Presentation on Your Faculty Web Page You may post the PowerPoint presentations on the Internet for student access retaining the original PowerPoint format. 1. Place a hyperlink on your faculty web page and reference the PowerPoint file. 2. Depending on the student s computer configuration, the presentation will either open in the PowerPoint application or prompt the student to save the file. 3. Provide students with the free PowerPoint viewer from Microsoft. Click here for the download information. NOTE: The download is only a Viewer, not the PowerPoint program. Post Web-Based Presentation (html format) on Your Faculty Web Page You may also post the PowerPoint presentations on the Internet for student access in a web-based format (html file). Students will view the presentations in their preferred web browser. The PowerPoint viewer (explained above) is not necessary. 1. From the Menu Bar, Select File>Save as Web Page. In the File Name section, name the presentation. In the Save as type, Single File Web page is selected. 2. Additional choices for your web page are available by selecting the Publish option. 3. Publish all the presentation or a limited number of the slides. 4. Include speaker notes if helpful to student review. 5. Select Web Options for additional publishing tools, such as navigation controls and resize slides. 6. 6 7. To save the html presentation, select Publish button at the bottom of the screen. 8. To view the web-based presentation, from the Menu Bar, Select File>Webpage Preview. 9. Post your presentation to the Internet. Place a hyperlink on your faculty web page and reference the PowerPoint html file. NOTE: You must upload the entire file and folder for complete presentation on the Internet. See the example below: view from Dreamweaver upload screen i 10. 7 NOTE: You may upload PowerPoint presentations into WebCT in either format. Print Options 4 In order to enhance course content presented through a PowerPoint presentations, consider providing students with a hard copy of the presentation. Several print options are available for use with a presentation. Print 1. Open the completed PowerPoint presentation. 2. From the menu bar, Select File>Print and the print dialogue box appears. 3. From the Printer area, select the printer. 4. From the Print Range area, select slides to be printed: all slides, just the current slide or a selection of slides (separate slide numbers by commas or dashes: 3, 4, 5, 7-10). 5. 8 Option 1: Slides- each slide prints on a separate page (create transparencies with film created for your printer) Option 2: Handouts-if the slides are printed 3 per page, the slides appear on the left portion of the paper and lines are provided to the right of each slide for notes (circled above). Option 3: Notes pages-prints a single page of notes Option 4: Outline view-prints only the outline of the presentation. 6. From the Color area select the appearance of the slides to be color, gray scale or pure black and white. 7. Use the Preview button to approve the print options selected. 8. Select OK to proceed with the printing of the presentation. Student Applications 5 If appropriate, provide students an opportunity to communicate their learning through the application of PowerPoint. Presentations to the class or individual assignments may be submitted for learning assessment. Technical evaluation of a PowerPoint assignment could include: *Clearly developed content *Learning goals demonstrated through the presentation *Appropriate number of slides, with consideration of content *Appropriate font sizes, font color and background *Images and sound augment content (from gallery, Internet or scanned files) Student Application of PowerPoint in Learning Assignment: Create a PowerPoint-style Jeopardy game to review content learned in class. Present to your peers. Peers may play by teams or as individual contestants. Jeopardy Game Board and Slides 1. Create a Jeopardy Game Board Slide (contains all categories, point value). 9 2. Add headings and dollar value to each cell. Double click on the table border to add color to cells or adjust line thickness. 2. 10 Hyperlink Question Slides 3. Place a Game Board Home button on each question slide. To insert the home button, From the Menu Bar, Select Slide Show>Action Button. Left click on an action button. 4. Click on the slide where you want the action button to appear. 5. Drag the cursor on the slide to determine the size and where the button will appear in the slide. 11 7. Repeat steps 3, 4, 5, and 6 for each question slide. Hyperlink Answer Slides 8. Place a Next Slide button on each answer slide. To insert the Next Slide button, From the Menu Bar, Select Slide Show>Action Button. Left click on an action button to indicate "Next Slide". 9. Repeat steps 4 and 5 above. 10. Hyperlink to the next slide, as the question slide will always follow the answer slide in the Jeopardy Game. 11. Repeat steps 8, 9 and 10 for each answer slide. Hyperlink All Slides to the Jeopardy Game Board 12. Return to the first slide, Jeopardy Game Board 13. To link the dollar amounts to the correct answer slide, highlight the dollar amount. 14. From the Menu Bar, Select Slide Show>Action Settings. The dialogue box will appear. Select Hyperlink to>slide. 15. From the new dialogue box, select the answer slide the hyperlink should open. 12 16. Save presentation and View Show from the Jeopardy Game Board, slide one! NOTE: Instructions for PowerPoint presentation viewing provided on Presentation of this tutorial. Conclusion 6 Microsoft PowerPoint application presents a variety of applications for the university classroom. PowerPoint enhances course content presentations and assists students in the review of learning expectations. Lecture notes can provide all or part of the major concepts presented by the professor. In addition, students can use PowerPoint to demonstrate evidence of learning. The presentation has the potential to challenge the student to construct understanding and focus on complex learning events.
