Menu: The menu bar allows us to access all of the Phenix software functions. Each menu contains options (or sub-menu) grouped by function. Menu commands can be accessed using the mouse or a keyboard, depending on user preference. Page 4 of 15

5 To navigate in the menu using the mouse, follow the steps below: 1. Click on the desired menu; 2. Select the desired sub-menu by moving the mouse over the sub-menus. To navigate in the menu using the keyboard, follow the steps below: 1. Press the [ALT] key to activate the menu bar; 2. Press the highlighted letter that corresponds to the desired menu; 3. Press the highlighted letter that corresponds to the desired sub-menu. Tool bar: The tool bar is used to confirm an activity in the data base. When the mouse cursor is placed on a tool bar button, its function name appears. This is called a tooltip. Below is a description of the buttons included in the Phenix tool bar: Save Saves changes and additions to the data base. Shortcut key: CTRL + S Search Runs the system in search mode (query find). The value entered in the fields will be used as a filter during data base entry searches. Shortcut key: F11 The % key can be used as a wild card replacement when you only know part of a field. Example: You want to search for all products whose description begins with Choco%, so by entering Choco% in the description field the system will display a list of all products that begin with the description Choco. In the same manner, it is possible to use the wild card character in the following situations: Choco% %choco %choco% %ch%co% The system will display the values beginning with Choco The system will display the values ending with Choco The system will display the values containing Choco The system will display the values containing ch and co keeping in mind that ch is before co It is possible to use the underscore character _ to replace another character during a search. 6 Thus, if you are looking for all products with a code in the 9000 range 9XXX you could enter 9 _ and the system will display all 4-number products that begin with 9. It is possible to combine the percent (%) character and the underscore character (_) in a single search. As well, in all fields having numerical values, it is possible to use mathematical operators. For example, if you want to view all products having a value higher than or equal to $100, you could enter the value >=100 in the cost field. Below is a list of the mathematical operators: < Less than > More than <= Less than or equal to >= More than or equal to <> Different from Exiting Search Cancels the search mode (exit find). Shortcut key: F12 Insert Creates a blank line on the screen to enter entry values. This entry will be saved in the data base when the enter key is selected. Shortcut key: CTRL + Delete Clears the entry selected from the data base. Shortcut key: CTRL + Delete entry Deletes the entry selected from the memory (screen). Normally, this function is used for the following reasons: - to recommence the input process of an entry due to an error; - to recommence the modification of an entry due to an error. To retrieve an entry that has been erased from memory, the search key must be prompted again to conduct a search for it in the data base. Shortcut key: F6 Page 6 of 15

7 Print Prints the screen window displayed. Shortcut key: CTRL + P Help Displays documentation that corresponds to the table. Shortcut key: CTRL + H First entry Allows you to select the first entry from multiple rows. Last entry Allows you to select the last entry from multiple rows. When selecting this key, execution time varies depending on the size of the table. Quit In normal operation mode (input), the system returns to the main page (leaves the form in progress). If modifications have not yet been saved in the data base, the system asks the user if they want to save the changes. In query mode, the system cancels the query mode and returns to normal input mode. No recorded entry is displayed on the screen. Shortcut key: F4 Page 7 of 15

8 Location types maintenance Code: Indicates the code of the type of location. Description: Warehouse: Locations: Base: Indicates the description of the type of location. Alternate: Indicates the alternative description of the type of location. Code: Displays the code and description of the warehouse. Location zone: Indicates the code and the description of the storage locations for this type. Destination warehouse: Indicates the code of the destination warehouse used by shipping dock for the interco transfert. From: Indicates the code of the first location of this type. To: Indicates the code of the last location of this type. Codes "From" and "To" must be the same length. Codes can be composed of digits, or letter. A position of the same character in the range of location number can be a letter or a figure, but not both. Dock: Reception: Indicates whether this is a receiving dock. The receiving docks are used to temporarily locate the products received in two stages or to change a product storage area. There is no validation when the product on a dock is deposited (eg. Setting for special orders, storage area...). The inventory on the docks is not displayed in the inventory available for sale. Normally, at the end of the shift, you should validate the inventory still on the docks. Dimensions: Width (cm): Specifies the width of the default locations of this type in their creations. This value has no other use in the system. Height (cm): Indicates the height default locations of this type in their creations. This value has no other use in the system. Depth (cm): Indicates the depth default locations of this type in their creations. This value has no other use in the system. Page 8 of 15

9 Configuration: Printer: Displays the code and description of the default printer. Infinite Inventory: Indicates whether the locations of this type have an infinite inventory. A pick mission will be created, even if there is no inventory in the location. No replenishment will be generated in such locations, even if the inventory is in a larger format. However, when picking a product with no inventory but inventory in a higher format in the same location, the system will automatically move part of the inventory of the higher format into the smaller. Then the inventory will be deducted from the smaller size. The inventory will never be negative, it will remain at 0. Damaged inventory: Indicates whether the locations of this type are used to store damaged products. The inventory in these locations is not displayed in the inventory available for sale. No picking is possible in these locations except for returns of damaged products to the suppliers. Reserved inventory: Indicates whether the locations of this type are used to store products in reserve. Cash and carry Location: Indicates whether the locations of this type are used for customer "cash and carry" order. Liquidation location: Indicates that this type of location provides clearance items. This option allows you to group products that have expiration dates too close to the end or to be sold quickly ("picking" and "reserved inventory" should not be checked). Location for in-transit: Indicates whether the locations of this type are logical rather than physical. No picking can take place in this type of location. Single product: Indicates whether the locations of this type are limited to a product / format at a time. Special Order: Indicates whether the locations of this type are used only for products configured as special orders. Unique picking: This is a type of location used to make pickups but that will not reserve the location to the product when empty. The system will create an emergency replenishment to a location of this type when there is no inventory in a picking location (with the same storage area as the product) and that no dedicated picking location for the product exists. It is therefore suggested to have at least one location in each of the location zone. For example, it is a good practice to use this type of location to free picking locations in the case of very low volume product pickup or off-season products. Products are moved aside and picking locations are released. When there is a sale of one of these products, the system creates a replenishment to the first empty location of its kind in the location zone or if all locations are used, the system suggests the first in the location zone. Excluded from counts: Indicates whether the locations of this type are excluded from inventory counts created by the system. This does not prevent a user to perform a count of localization of this type. Picking: Indicates whether the locations of this type are used for the picking. Dedicated: Indicates the locations of picking are dedicated to the same product if the Page 9 of 15

10 inventory is 0. These locations can contain a single product in any quantity. User location: Indicates that this type of location is on a user. These locations will begin with a "#". Substituted Product: Indicates whether the locations of this type are used to substitute product while picking. Interco: Indicates whether the locations of this type are used for intercompany. Codes: Used by the voice recognition system (SRV) and when printing labels location. The total number of characters must match the number of character locations. When SRV dictates a location, it uses this information to decompose the location. When a location number are printed, usually this information is used to print dashes between the different components of the location number. The box is checked by the SRV used to pause and wait for the "Ready" command before continuing diction after the location number. Zone: Indicates the number of characters used in the location number to represent the area. Alley: Indicates the number of characters used in the location number to represent the alley. Bay: Indicates the number of characters used in the location number to represent the bay. Level: Specifies the number of characters used in the location number to represent the level. Position: Specifies the number of characters used in the location number to represent the position. Depth: Indicates the number of characters used in the location number to represent depth. 11 Theoretical concept of location types The types are the strategies that define your warehouse. They are used to define the characteristics of your locations. Properly defining the types should be one of the first steps of the configuration of the WMS. This is essential to the success of your implementation. Even if you have only one area and all locations in your warehouse are the same type, you must define at least ONE rule. All types are numbered. The most common type (those applying to as many places in your warehouse) have the highest numbers. The most specific types have the lowest numbers. Types are applied to locations in ascending order (more specific to least specific). The locations of the beginning and end of the range can be up to twelve (12) characters, but both must have the same number of characters. Before setting the location types, it is essential to visualize and plan how you want the warehouse to be installed. There are four (4) main aspects to consider: 1. The physical layout of the warehouse 2. The order picking 3. The structure of the location number 4. Types of location The physical layout of the warehouse The physical layout of the warehouse will help you determine how your warehouse run by executing the following activities: Draw a map of your warehouse with existing, virtual and future locations. Draw a diagram of your bays, including every level expected. Determine where you want to store your products and in what format (units, boxes, halfcase...). Determine where you want to pick or not your products. Determine the flow of operations in your warehouse. Make a plan for expansion of your warehouse. Page 11 of 15

12 The order picking The order of picking will determine how the locations will be numbered. This order is important because it will directly affect the efficiency of your warehouse operations. Order picking is done by location number. There are two basic methods that can be used for order picking in your warehouse. Most warehouses use a combination of these methods. "Z" - The locations of each side of the aisle are numbered consecutively: even numbers on one side of the aisle, the odd numbers on the other. This dialing method causes the picker to move in "zigzag" by picking one side and then the other. This process is repeated until it reaches the end of the alley. Regularly consecutive paths are numbered in reverse order: the highest location numbers are at opposite ends of the aisles. This will allow the picker to simply turn at the end of the driveway and begin to gather in the next aisle, rather than going down the aisle to continue picking. "U" - The locations on the same side of the aisle are numbered consecutively: 1-10 on one side and on the other. The structure of the location number Here are the steps to determine the nomenclature of the location number: Think of your structure with the following format: Alley, bay, level, position and depth (if necessary). For example, the 30th avenue, the 5th bay, the third level and the 12th position may become BD5C12 or 30E3L or 30EAL. - Do not use the letters "I" or "O", as they are easily confused with the numbers 1 and 0. - The number of location must be a maximum of twelve (12) characters (numbers and / or letters). - Levels of picking should be identified by the letters of the beginning of the alphabet in ascending order and reserve levels by the end of letters of the alphabet in descending order. So the lowest (ground) level should be identified by the letter "A" and the last level should be identified by the letter "Z". Page 12 of 15

13 Types of location The types of locations determine how your warehouse work. When you create the types, always remember to minimize the number. We must develop the general types and then insert more specific types. Each code defines the type of location and their characteristics. For example: Code From the At the location location 10 B1A1 E1D3 This type establishes that all the locations from B1A1 to E1D3 have the same characteristics. NOTE: - The types are evaluated from left to right and compared character by character. - Types with a lower number have precedence on the upper number when there is an overlap of location intervals. - It is important to leave enough space between the codes to allow the addition of types. Example 1: does the type 10 apply to the B1C2 location? 1 Is "B" between "B" and "E"? Yes 2 Is "1" between "1" and "1"? Yes 3 Is "C" between "A" and "D"? Yes 4 Is "2" between "1" and "3"? Yes The type 10 applies to the location B1C2. Example 2: does the type 10 apply to the location C2B3? 1 Is "C" between "B" and "E"? Yes 2 Is "2" between "1" and "1"? No 3 Is "B" between "A" and "D"? Yes 4 Is "3" between "1" and "3"? Yes The type 10 does not apply to the location C2B3. Page 13 of 15

14 Storage maintenance Code: Indicates the code that represents the storage section. Description: Indicates the description of the storage section. Alternative description: Indicates a variant description. Minimum Pallet Volume: Indicates minimum pallet volume. Maximum Pallet Volume: Indicates maximum pallet volume. Min. Overstock Volume: Indicates minimum overstock volume. Seq: Indicates the order in which storage zones will be loaded onto trucks. Complementary information: Warehouse Condition: Indicates to which type this warehouse condition applies. Separated Missions: Indicates if the picking, from overstock locations, is generated in separated missions. Split Print: Allows you to print picking mission headers separate from mission details. Ticket Number is required: Indicates if you need to confirm repackaging ticket number for this storage zone. Location skip: Allows you to temporarily ignore a location during picking. Tote boxe use: Indicates if boxes are used in this storage zone. Printer: Indicates the printer assigned to a storage zone (used only if the Print by Zone box is checked in storage maintenance). Pallet Mission: Indicates if overstock missions are separated by pallet. Package Number is Required: Indicates if the user must provide a package number for this storage zone. Used mainly in storage zones where different products can be placed in the same box for shipping. Delivery dock message: Whenever this box is checked, the system queries the picker for a confirmation code for products delivered to a dock (dock type location). Check shorts: When a picket identifies a short, the system uses an algorithm to identify available products before routes are completed. Pallet Split by Missions: Indicates if the zone allows pallet picking by separated missions (for environments with pallet-consolidation systems). Picking Report: Tickets, Paper or None: Indicates if the picking report is to be printed as tickets, standard paper reports, or if no report is printed. Note: In a pallet-consolidation environment, if the None box is checked, tickets will still be printed, but only for the pallet, not for product details. Max. Weight.: Indicates the maximum weight for a case for applying in the placement rules. Picking the location of overstock: Page 14 of 15

15 Batch Control product: Indicates that overstock locations must be prioritized to pick batch control products. Product FIFO: Indicates that overstock locations must be prioritized to pick FIFO products. Printer: Allows you to assign printers by warehouse. Page 15 of 15
