2 Overview The San Diego Unified School District uses eschool Solutions Electronic Registrar Online system (ERO) to allow staff to register for district training courses. This job-aid was created to guide you through the various aspects of ERO, including how to view available courses and related sessions, how to register for a session of a course, how to drop a session, and how to complete an online ERO Survey. For users new to ERO, there are instructions on how to create a new ERO Profile including how to create and/or modify your ERO Personal Identification Number (PIN). Much of the information in ERO Profiles comes from SDUSD s PeopleSoft database. If your information is incorrect, please contact the HR Department. Electronic Registrar Online only allows users to modify their ERO PIN. For questions or concerns with the Electronic Registrar Online system, please contact the Help Desk: HELP. 3 Creating a PIN in ERO The district may have created an ERO Profile for you, but to use it, you will have to create an ERO Personal Identification Number (PIN) because ERO does not use the SDUSD Active Directory password. Most SDUSD employees have an ERO Profile, but not all. If you do not have an ERO Profile, you will need to create one. (Many Charter School staff do not have ERO Profiles.) See page 9 for instructions on how to create an ERO Profile while registering for a Course Session. Use the directions immediately below if this is your first time using ERO and you believe you already have a district-created ERO Profile but not an ERO PIN. FOLLOW THE STEPS BELOW TO CREATE A PIN FOR ERO. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Click Don t have a PIN? (A new window opens.) ERO Job Aid Page 3
4 Enter your Employee ID number. 4 5 Enter a number between four and nine digits long. 6 Re-enter those same digits. 7 Click Submit. (A new window opens.) 8 Click OK. (You have successfully created a PIN in ERO and are now logged in.) Important: Remember this PIN because you will use it to login to ERO for future sessions. To modify your PIN, see page 7. 5 Forgot your ERO PIN? If you already have an ERO Profile, but either forgot or do not know your PIN, you can have ERO your PIN to you. FOLLOW THE STEPS BELOW IF YOU FORGOT OR DO NOT KNOW YOUR ERO PIN. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Click Forgot your PIN? (A new window opens.) ERO Job Aid Page 5
6 4 Enter your Employee ID#. 5 Click PIN. (A new window opens.) Your address will show here. (You will receive an from EROAdmin@eschoolsolutions.com informing you of your PIN.) If the address listed is incorrect, please contact Anthony Rodgers at arodgers@sandi.net. 6 Click OK. ERO Job Aid Page 6
7 Modifying your PIN Much of the information in ERO Profiles comes from the district s PeopleSoft database. If your information is incorrect, please contact the HR Department. Electronic Registrar Online only allows users to modify their ERO PIN. FOLLOW THE STEPS BELOW TO MODIFY YOUR PIN. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your current PIN. 5 Click Login. (The window changes.) Your name 6 From the My Profile menu, choose Modify Pin. 8 7 Enter your current PIN. 8 Enter a new PIN. (4 9 digits) 9 Re-enter those same new digits. 10 Click Submit. (The window changes, indicating that your PIN has been updated.) ERO Job Aid Page 8
9 Creating an ERO Profile While Registering for a Course Session Use these directions if this is your first time using ERO and you believe you do not have a district-created ERO Profile. Many Charter school employees do not have ERO Profiles and will need to create them. FOLLOW THE STEPS BELOW TO CREATE A PROFILE IN THE ERO PROFESSIONAL DEVELOPMENT TRACKING SYSTEM AND TO REGISTER FOR A COURSE SESSION. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Click Browse Public Catalog. (The window changes.) ERO Job Aid Page 9
10 4 Click the checkbox. 5 Click Accept. 6 Click the Course Catalog tab. ERO Job Aid Page 10
11 7 From the Curriculum drop-down menu, choose the name of the curriculum for the course you want to register for. (In this example we chose PowerSchool. For PeopleSoft Courses, choose PeopleSoft.) 8 Click Search. In the Register? column, click the Select that corresponds to the course that you want to register for. (You will select the specific session of the course on the next screen.) 9 NOTE: There may be more than one session offered for a course. The date displayed is the first day a session is offered. To see if there are more sessions offered on later dates, complete Step 9. ERO Job Aid Page 11
12 Course Information displays. Review the details of the Course to determine if there are prerequisites required to take the course. NOTE: If multiple sessions of the same course are available, scroll down to see the other sessions, and simply click the green plus sign + of the session of your choice to register for that session. 10 Click Register to sign up for this training session. 13 11 Click Continue. The screen changes, asking you to create a profile. (If you already have a profile and are logged in, clicking Continue would simply register you for this Course Session). IMPORTANT: If you already have an ERO Profile and PIN, STOP! Simply click the Login link Enter your employee ID number. Enter a 4 9 digit number. Enter your first name. 15 Enter your last name. 16 From the Status drop-down menu, choose Active. 17 From the Registrant Type drop-down menu, choose Non-District Employees. 18 From the Primary Location drop-down menu, choose NON-DISTRICT EMPLOYEES. 19 From the Primary Classification drop-down menu, choose Non-District Employee. 14 20 Enter your phone number. 21 Enter your address. 22 Click Add. The screen changes indicating that you have successfully registered for the course. Confirmation of successful registration. If you would like to see all of the Course Sessions you are registered for, click the My Schedule tab. ERO Job Aid Page 14
15 When you are finished, click Logout. 23 If you choose to drop a class, click Drop. See page 32 for more information. Clicking Get Map opens a new window with a MapQuest map of the location. ERO Job Aid Page 15
16 Registering for a Session if you Have a Profile in ERO and Have Created a PIN These are the directions for logging into ERO and register for a course when you know you have an ERO Profile and PIN. To log into to ERO, you will need a Profile and PIN. If you have yet to create a PIN, see page 3 for directions. If you discover that there is no Profile for you in ERO when you attempt to create a PIN, following the directions beginning on page 9 instead. Note: ERO does not recognize the SDUSD Active Directory Passwords. FOLLOW THE STEPS BELOW TO LOG INTO ERO AND REGISTER FOR A COURSE. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. 17 6 Click Course Catalog. (The window changes.) This section is used to search for Courses that you are interested in taking. You can use any of the fields to narrow down your search. 7 In the Curriculum drop-down menu, choose the desired area of study. (In this example, we are going to be taking a PowerSchool training class.) 8 Click Search. ERO Job Aid Page 17
18 Click Select to view information about the course you are interested in attending. (In this example, we chose an Introduction to PowerSchool course.) 9 There may be more than one session offered for a course. The date displayed is the first day a session is offered. If there are more sessions offered on later dates, they will display on the next screen. ERO Job Aid Page 18
19 Course Information displays. Review the details of the course to determine if there are prerequisites. NOTE: If multiple sessions of the same course are available, scroll down to see other sessions, and simply click the green plus sign + of the session of your choice to register for that session. 10 Click Register to register for this training session. Clicking Get Map opens a new window with a MapQuest map of the location. Red means stop. You may not register for this session. (Notice the red minus sign -.) In this case, the employee s classification was not eligible to register. Other reasons might include the session is full, the person is already registered, or there is a prerequisite required. 20 Your name, 11 Simply click Continue to confirm registration. A confirmation will be sent if you have a current listed in the ERO system, and the screen changes. Your name, Confirmation of successfully registering for a session is displayed. ERO Job Aid Page 20
21 Searching and Registering for a Course Session by Viewing the Schedule Calendar In ERO you may want to see all Course Sessions offered in the district on a specific date. FOLLOW THE STEPS BELOW TO SEARCH AND REGISTER FOR A COURSE SESSION IN ERO BY DATE. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) Your name, 6 Hover over the Course Catalog drop-down menu until Hover the menu over the items Course display, Catalog and then tab, click View then Schedule select View Calendar. Schedule Calendar. 22 7 To see all training classes offered on a specific day, click that day s Scheduled link. In this example, to see the 21 classes offered on Wednesday, August 24 th, we click 21 Scheduled. ERO Job Aid Page 22
23 To view information and to register for a specific training class, click View for the selected Course Title. In this example we will view the Zangle Back to School Conference. 8 ERO Job Aid Page 23
24 9 Click Register. The screen changes. NOTE: In this example, there are 4 sessions of the same course available. Scroll down to see other sessions of this course that meet on different days and times, and simply click the green plus sign + of the session of your choice to register for that session. 26 Searching and Registering for a Course Session by Curriculum In ERO you may want to see all Course Sessions offered within a specific curriculum, e.g., Zangle. FOLLOW THE STEPS BELOW TO SEARCH AND REGISTER FOR A COURSE SESSION IN ERO BY CURRICULUM 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) 6 Click the Course Catalog drop-down menu. 27 7 Display the Curriculum drop-down menu and make your choice. (In this example, we chose PowerSchool.) 8 Click Search. (The window changes.) ERO Job Aid Page 27

32 Dropping a Course Session in ERO Please drop any session you won t be attending so there will be space available for others. FOLLOW THE STEPS BELOW TO DROP A COURSE SESSION. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) 6 Click My Schedule. Your current schedule displays. Your name, ERO Job Aid Page 32
33 7 Click Drop. The window changes. 8 Click OK to confirm dropping the session. 1. To sign-up for other Course Sessions, click Course Catalog. 2. To logout, click Logout in the upper right corner of the screen. ERO Job Aid Page 33
34 Completing an ERO Online Evaluation There are times when you ll be asked to complete an ERO online evaluation. FOLLOW THE STEPS BELOW TO COMPLETE AN ERO ONLINE EVALUATION. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. 37 Viewing and Printing an ERO Transcript There are times when you might want to print a report from ERO that shows courses and sessions you have already attended as well as upcoming sessions that you have registered for. FOLLOW THE STEPS BELOW TO PRINT A TRANSCRIPT. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) 6 Click My Transcript. The window changes. 40 Viewing and Printing an ERO Certificate There are times when you might want to print a certificate that indicates that you have attended a specific training course. FOLLOW THE STEPS BELOW TO PRINT A CLASS CERTIFICATE. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) 6 Click My Transcript. The window changes. 43 Using SmartFind Express (SAMS) to report an absence (Certificated staff only) There are times when you ll require a Substitute (Visiting) Teacher while you are attending professional development training. This section describes how to log into SmartFind Express to report your upcoming absence and find a suitable Visiting Teacher. Note: Attending a Zangle or PeopleSoft training session does not allow for a substitute. FOLLOW THE STEPS BELOW TO SIGN INTO SMARTFIND EXPRESS. 1. Open an Internet browser such as Internet Explorer, Firefox, Safari, etc. 2. In the browser window, enter the following URL: 3 Enter your Employee ID#. 4 Enter your PIN. 5 Click Login. (The window changes.) Your name, 6 Click My Schedule. Your current schedule displays. ERO Job Aid Page 43
