3 2 1 INTRODUCTION Clionet - Data Care is an advanced data sharing and back-up service that secures technical documentation of protection and control relays throughout their entire life cycle. Clionet - Data Care is Web-based service which provides the customer with a structured storing space for technical documentation, such as relay configuration files, disturbance recordings, technical solutions, drawings and other documents. Special features such as access to documents for multiple users, service- related alarm notifications and news updates from ABB make Clionet - Data Care a unique choice for utility and industry customers. Clionet - Data Care is set up and administered by ABB together with administrator authorized by the customers. At the beginning, ABB administrators prepare the structure up to the substation level matching the customer s substations under service contract and grants access to customer administrators. The customer administrator grants access to customer employees and subcontractors such as third party service providers. Authorized users can then freely add bays / IEDs and upload / download configuration files, documents etc. into different nodes in the graphical structure. Both the uploading and downloading of files and the user management interface are available at all times through this portal. Storage servers are secured against attacks and backed up to prevent loosing data during server maintenance. This makes Clionet - Data Care a safe storing place for all technical documentation. These guidelines are prepared for the role of Customer Administrator. The administration rights, the role of Customer Administrator to the Clionet - Data Care, are provided exclusively to named and registered full time employees of the Customer. The administration privileges do not extend to subcontractors, third party engineering or service companies, or any other third parties. Basic process that can be handled by Customer Administrator in each sections of Clionet - Data Care is explained here in detail with examples and screen images, wherever necessary.

4 3 2 SUMMARY OF CUSTOMER ADMINISTRATOR FUNCTIONALITIES Functionality Web address and Web page for Clionet Data Care Description Login through User name and Password Customer Administrator can log in with User name and Password as provided by ABB while creating a service contract.

5 4 Forgot your password? option facilitates customer administrator to send request for a new password if the earlier provided password is forgotten. Following screen will appear after selecting Forgot your password? option. Customer Administrator need to write Registered address in the text field and then select Change password button. New randomly generated password will be sent automatically to this Registered address.

6 5 Main menu navigation structure for Customer Administrator After successful login, customer administrator can access the following sections. The navigation path is defined on the top of the page. For example, if user is accessing graphical structure then the path shown is as follows: Main page Customer Administrator can, quickly search information of particular relay. This information is otherwise also available via navigation HOME MY RELAYS EDIT RELAY see list of recent and archived news

This User details screen appears when View/Edit option is selected for particular user. Password is generated randomly by system when new user is created by Customer Administrator or when Reset Password option is selected.

10 9 Company management Customer Administrator can, Search information of registered companies (his own company and his subcontractors). View/Edit the information of these registered companies Add company Customer administrator can add only type subcontractor in Add Company

Edit certain substation Add/Delete switchgear/bay/relay to/from substation Add/Delete serviceman to/from substation Upload/download configuration or any other files to/from substation Add/Delete alarm notification to/from substation Download all files that belongs to substation

12 11 My relays Customer Administrator can, Search information of relays linked to customer (company) View/Edit information of particular relay Add Product (relay) to already registered substation/switchgear/bay under service contract Add/Delete notification with respect to particular relay Upload/Download files (backups, disturbance recording and other file types) Replace relay. This may be required during replacement of particular relay for maintenance purpose or during replacement of old relay.

14 13 Customer Administrator can upload configuration backup / disturbance recording / other type of files to particular relay which is already available under registered substations. Service request Customer Administrator can send Clionet Data Care related support or service requests to assigned ABB service provider. ABB Service providers are the authorized ABB employees to provide support for Clionet - Data Care requests.

15 14 Activity report Customer Administrator can generate the activity report. Result can also be exported to PDF format.

16 15 Change password Customer Administrator can change his own login password. Recycle bin Customer Administrator can, View product and substation files that are deleted by himself/herself as well as by other users of his company Restore the deleted files back to users account Permanently delete the files

17 16 Detail description of customer administrator functionalities Red asterisk in the screen images means field is required. 2.1 Log-in to Clionet - Data Care Customer Administrator can log in with User name and Password as provided by ABB while creating a service contract. Log in with Account Information: Forgot your password? option facilitates customer administrator to make request for a new password if the earlier provided password is forgotten. Following screen will appear after pressing Forgot your password? option.

18 17 Customer Administrator need to mention Registered address in the text field and then press Change Password button. New randomly generated password will be sent automatically to this registered address. 2.2 Main page Customer Administrator can quickly go to Edit relay screen by entering serial number of relay into Quick search by serial number text field and selecting Search button.

19 18 The same screen can also be viewed through My relays section and then by selecting View/Edit of particular relay.

20 19 Customer Administrator can refer list of recent and archived news. Only 10 latest news (recent or archived) are shown here. 2.3 Company information This section shows company and contact details of Customer Administrator as provided to ABB at the time of creating service contract. 2.4 Graphical structure Customer Administrator can view the information of service contract, substations, switchgears, bays, and relays in a graphical structure. Customer (company) is preselected in Select customer text field.

21 20 Customer Administrator can view service contract, linked substations, bays and relays in a graphical structure and can quickly view its details by selecting arrow in front of respective nodes. The deactivated or grey color text indicates that the service contract (for example: Example Inactive 01 in above screen image) is already ended. Customer company would not be able to access substation/relays belong to ended service contract. Customer Administrator has to contact ABB Administrator to re-activate or extend this ended service contract. 2.5 Service contracts Customer Administrator can, Search particular service contracts by selecting appropriate option such as Contract No, Contact person, Start date period, End date period, Expiration date. View service contracts which are linked to customer (company) by clicking on View/Edit option of particular service contract

22 21 Search service contract: Customer Administrator can Search and view information of particular service contracts (which belong to customer company). View service contract: Customer Administrator can view service contract by selecting View/Edit option. Following read only information is visible to Customer Administrator:

24 23 Description of this information is as follows: Contract No. Customer name Type As provided by ABB at the time of creating service contract As provided by customer at the time of creating service contract Two options are available such as Continuous and Scheduled. The option which was selected at the time of creating service contract is visible to Customer Administrator. Continuous If Type is Continuous: Only Start date field is shown as End date will not be required for continuous contracts Scheduled If Type is Scheduled then both Start date and End date will be shown Description Contact person ABB Service providers Status Substations Service contract history Notes or remarks mentioned, if any, related to this service contract , name and phone number details of Customer Administrator as provided at the time of creating service contract. Shows list of people as selected by ABB at the time of creating service contract. Customer Administrator can send Clionet - Data Care related Service request to any of the shown ABB service providers through Service request section. Status of the service contract is shown and description of status is as follows: Draft : when draft of new service contract is under progress Active : when service contract is signed, approved and in active state Disabled : when service contract is disabled temporarily due to some reason Cancelled : if contract is initially signed and then cancelled due to some reason Ended : contract which was Active from defined Start date to End date but has not been extended further by customer A list of Substations linked with service contract. The following information is shown : Substation name Contact Person Contact Person Phone number Contact Person Additionally the list presenting history of service contract is shown. The following information is shown: Contract No. Start date End date

25 User management Status latest status of contract Modification time The entry within contract history is created, when status of service contract is changed or when the contract is extended by ABB Service Provider Customer Administrator can, Search information of registered users who belong to customer (company). View/Edit the information of these registered users Add user details such as Paid Service User for his own company or for Subcontractor Can generate new password by pressing Reset Password button in User details screen Password is generated randomly by system when new user is created by Customer Administrator or when Reset Password button is pressed.

26 25 Search users: Customer Administrator can Search and view information of his own users (users who work for or belong to Customer Company). Add user : Customer Administrator can add new user such as paid service user for his own company or subcontractor company by selecting Add user option which is available below Results table. Following information should be specified: Description of this required information is as follows: / Username First name Last name Type Valid and unique address as provided by user Details as provided by the user Details as provided by the user Two options are available such as Customer and Subcontractor Customer: this option is selected when user works for a customer company. Subcontractor: this option is selected when user works for a subcontractor company. If user s type if Subcontractor, then Customer status field will be visible:

27 26 Company Phone number User status Expiration date Roles The company s status has to be set to Active so that user can access substations and relays information belong to company. Other status (Blocked/Removed/Inactive) will block the user s access. Inactive: When the status is set to Inactive, user cannot access substations and relays belong to the company. Blocked: the same status as Inactive, but indicating that user is blocked because of some reasons. Removed: the same status as Inactive, but indicating that user has been removed from the Database. List of companies shall be visible depending on the selection of Type thus depending on the selection as Customer or Subcontractor Phone number as provided by the user User status can be selected as Active or InActive Active: User can log-in to the application only when user status is set to Active InActive: User cannot login or use the application when user status is set to Inactive The date when account becomes automatically InActive (User s status is still Active, but he/she cannot log in to the system anymore), if it is not specified, then no expiration date exists for user. Indicates which roles user belongs to. The role within system can be selected as Paid Service User View/Edit user: Customer Administrator can open user details by selecting View/Edit option and then can edit following information:

Customer Administrator can send new password to user s registered address by selecting Reset Password 2.7 Company management Customer Administrator can, Search information of registered companies (his own company and his subcontractors). View/Edit the information of these registered companies Add company such as Subcontractor

29 28 Search company: Customer Administrator can search and view information of own company and subcontractors. Add company : Customer Administrator can add new company by selecting Add company option which is available below Results table. Customer Administrator can only create new Subcontractor company.

30 29 Following information should be specified: Description of the required information is as follows: Name Type Customer Street address Postal code City Country Status Contact person As defined by Subcontractor company Preselected as Subcontractor Preselected as Customer (company) where Customer Administrator belongs to As provided by Subcontractor company As provided by Subcontractor company As provided by Subcontractor company As provided by Subcontractor company If check box is selected then the status is Active otherwise it s InActive. If company is not Active, then the users belonging to this company would not be able to access the system. Details such as , Name and Phone number to be specified as provided by Subcontractor company. View/Edit company: Customer Administrator can open company details by selecting View/Edit and can edit following information

31 Substation management Customer Administrator can, Search and view information of substations linked to customer (company). Edit certain substation Add/Delete service man to/from substation Upload/download configuration or any other files to/from substation Add/Delete alarm notification to/from substation Download all files in substation. Add/Delete switchgear/bay/relay to/from substation

32 31 Search substations: Customer Administrator can search and view information of his own substations. View/Edit substation: Customer Administrator can open substation details by selecting View/Edit option and can edit following information:

34 33 Subcontractors Feature allows Customer Administrator to add subcontractor to certain substations. Only paid service users who work for the subcontractors which are added into substation can view/work for substation. Subcontractors list is linked with Customer company. Customer Administrator can create new subcontractors for his own company in Company Management section (see section 3.7) To add Subcontractor to substation, Select subcontractor from Subcontractors list. Select Save

35 34 Upload files to Substation: Customer Administrator can upload files to substation as follows: Select files by with Browse option The application supports upload of multiple files and shows the progress bar. Maximum 2000 characters can be entered into Description text field. Files will be uploaded to server when Upload button is pressed. Uploaded files will be saved in Data Care database with UTC timestamp. List of uploaded files is shown under Configuration backups and Other file types. Uploaded file can be deleted / downloaded by clicking on Delete or Download button.

36 35 Serviceman list Feature allows Customer Administrator to add serviceman to substation. List of service men is populated from list of selected subcontractors. To add new service man, Add subcontractor to substation by selecting subcontractor from the list and pressing Save button as explained earlier in Subcontractors section. Select serviceman from Serviceman list and select Add. Serviceman can be removed from Substation by selecting Remove option. Manage substation Result Customer Administrator can select Manage Substation option which is visible below Manage substation Result table and can do the following: add or delete switchgears add or delete bays add or delete relays change the structure of substation as per site requirement Following screen will appear when clicked on Manage Substation option.

37 36 Only existing relay can be added into Substation. If relay doesn t exist, it has to be created in My relays (Refer section 3.9) Relays belongs to particular bay and/or switchgear has to be deleted first before deleting that particular bay or switchgear.

38 37 notifications List of notifications is created under this section. notification can be created by selecting Add alarm option which is available below notifications table. Following information can be specified: Message is preselected for Alarm Type Periodical Testing and Preventive Maintenance. In case if Customer Administrator wants to enter free text, select Type as Other.

39 38 Download all files in substation: By selecting Download All Files button, Customer Administartor can download all files that are stored at substation and relay level. A job will be scheduled in System Services. Following message will appear after selecting Download all files option: Customer Administartor can check the status of download under Download all files in Substation section. After processing the job, an will be sent to Customer Administrator s registered address, including the link from where Customer Administrator can download the.zip file. For example: The zip file contains all the uploaded files within substation and relays which belong to that substation. The structure of zip file is constructed as in Graphical Structure (Refer section 3.4) and has the following format: Substation name (archived file name) o Switchgear name Bay name Relay serial number o Configuration backup o Disturbance recording o Other

40 My relays (Relay management) Customer Administrator can, Search information of relays linked to customer (company) View/Edit information of relay Add product (relay) Add/Delete notification with respect to particular relay Upload/Download files (backups, disturbance recording and other file types) Replace relay, This may be required during replacement of particular relay for maintenance purpose or during replacement of old relay. Search relays : Customer Administrator can search and view information of relays that are registered under his substations.

41 40 Add Product : Customer Administrator can add new relay by selecting Add Product option which is available below Results table. Following information can be specified: Description of the required information is as follows: Substation Switchgear List of substations specified under service contract is available in drop- down menu. Customer Administrator can select the required substation from this available list. List of already registered switchgears within substations is available in dropdown menu. Customer Administrator can select the required switchgear from this available list.

42 41 Bay Serial number Brand List of already registered bays within switchgears of substations is available in drop down menu. Customer Administrator can select the required bay from this available list. Write serial number of the product (relay) Select manufacturer of the product (relay) Following options are available: ABB: If brand is ABB, user can select product type from the list of ABB product types Other: If brand is Other, product type can be entered as Free Text field and data will be saved in data care database. Product code Product type Manufacturing date Received from GDW Comment WebHMI information If relay type is not available even if it belongs to brand ABB then the same can be informed to ABB administrator or the relay type can also be specified under Brand as Other and description can be specified as ABB Other Write code of the product (relay), if any If Brand is selected as ABB then Product Type can be selected from the drop down box. If Brand is selected as Other then text field is empty and non-abb product type can be defined. Write manufacturing date of the product as mentioned on the product (relay) label Indicate if relay is transferred from GDW (True) or if it is manually added by users (False) Write comments, if any, with respect to this relay Write IED IP address, Username and Password as and if specified in the product (relay) Edit relay: Customer Administrator can open relay details by clicking on View/Edit and can edit relay information as shown in the screen image below:

43 42 Relay location can be changed within the substation by modifying the information in Edit relay section.

44 43 Modules: List of modules is shown and it gives following information: Serial number Part name Location Id Revision Test date Indicates serial number of the module Indicates name or description of the module Indicates location of module in the product (relay) Indicate the revision status of the module Indicates module test date All the above information is read only parameter and is available provided relay is registered in relay database. notifications: Provides information of notifications created under this relay. notification can be created by selecting Add alarm option which is available below notifications table. The procedure is same as explained in section 3.8 Backups, Disturbance recordings, other files types: Customer administrator can see the list of uploaded configuration files, disturbance recordings, solution proposals by ABB Administrator and other type of uploaded files. More information is available such as details of user who has uploaded those files with date and time stamp as well as file description. Download option facilitates user to download the file from Data Care to local computer. Customer administrator can delete the file permanently from this view. Deleted file will still be available in Recycle Bin from where, customer administrator can restore the file back to its original location or permanently delete from substation structure.

45 44 Replace relay: Replace relay option is available below the Other file types table. Customer Administrator can replace information of particular relay with another relay by selecting Replace relay option. This may be required during replacement of particular relay for maintenance purpose or during replacement of old relay with healthy relay. For example, if relay sr. no. 1VHR is to be replaced with another relay having sr. no. 1VHR then the process of Replace relay in Data Care databse shall be as follows: Consider that we are in Edit relay section of relay having sr. no. 1VHR

46 45 Then select Replace relay option. Following screen will appear wherein the information of new relay can be described in Replace with: fields (here it s 1VHR ) Then select Confirm button. This changed relay information will be available under Relay details of replaced relay (thus here it is 1VHR ). Appended screen is shown for 1VHR

47 46 The changes can also be viewed in Graphical structure o Before replacement o After replacement If relay used as replacement is not available in Clionet database, then Customer Admin has to create new relay first before using it as replacement for other relays. Customer Administrator can only use his own relay or relays which do not belong to any customers (companies) as a replacement. Otherwise, following message will be shown: If relay which is used as a replacement is already belonged to another bay/switchgear/substation of the same customer (company), following message will be shown:

48 47 OK the old connection between replacement and substation will be removed and replaced by new connection of replacement and new substation. Cancel nothing happens (Relay will not be replaced) Upload files Files can be uploaded through two ways namely through My relays and Upload file If the files are uploaded from My relays screen, information about relays such as serial number, brand, substation, switchgear, bay will be available automatically in the text fields. Customer Administrator just need to select the files and press Upload button. Path in My relays is HOME MY RELAYS EDIT RELAY Upload button is available below webhmi information. If the files are to be uploaded through Upload file section then the information about serial number, substation, switchgear, bay need to be specified manually.

50 49 Files can be selected through Browse option. Necessary description and file type can be selected before selecting Upload button. Data for relay can also be fetched by entering serial number, brand and press Fetch detail button. Following message will appear after successful uploading of the files. Serial number must exist for Brand selected as ABB If brand is selected as Other then relay will be created automatically based on specified information Careful selection of substation, switchgear and bay is required to be done before uploading the file to particular relay. Otherwise relay is automatically linked to selected substation, switchgear, bay Customer administrator can change the location of relay to any of the other substation, switchgear or bay within its graphical structure.

51 Service request This section allows Customer Administrator to get Clionet - Data Care related support from ABB service providers. Following data as shown in the screen image need to be specified: Description of the required information: Service providers: This is the list of ABB service providers linked to service contracts. Request will be sent to the selected Service provider Subject and Description can be specified in detail for the selected Requested type. Request type: Can be selected form the two options namely, o Support o Service After pressing on Send request button, s will be sent to corresponding selected ABB service providers

52 Activity report This section allows Customer Administrator to generate the activity report for own information. Following screen image gives more details about the information that can be specified to generate the report: The report can be generated in HTML format or in PDF format.
